1 INTRODUCTIONVIDA Admin is used by VIDA administrators to administrate users, registrations, dataand subscriptions for VIDA applications. VIDA Admin states which default languagea user in VIDA is running, on which devices and which functions the user can use inVIDA.

Note

VIDA Admin is used for VIDA All-in-one and VIDA on Web as wellas for the new VIDA application (referred to as VIDA 2015 in thisdocument) launched in 2015. Some of the VIDA Admin settingsdescribed in this document is only applicable for VIDA 2015.

This document is designed for VIDA administrators. The document can be used bothas an introduction and as help when working with VIDA Admin on a daily basis. Someof the images in this document may differ from the screen images shown in VIDAAdmin and other programs. This may be due to differences depending on marketsetup or late changes in the program. However, the essential information in theimages applies.

1.1 News in VIDA Admin related to the new VIDA applicationDue to the release of the new VIDA application in 2015, some new features areintroduced in VIDA Admin. VIDA Admin will handle both the "old" VIDA applicationsin parallel with the new one during a transition phase.All functions in VIDA Admin related to VIDA 2015 are listed below:

● Shared network drive.

● Common quick links.

● Dealer logotype and footer information on printouts.

Licence changes:

● Licenses are tied to a user rather than a device.

● A user needs to have its device approved by the VIDA administrator.

● Each user shall have its own license and, consequently, use its own CDSIDwhen logging into VIDA.

● A user cannot log in to two computers at the same time.

● Several users can log into VIDA at the same time on the same computer (withdifferent VIDA sessions).

The new license model will be effective as from 2015-06-01 and onwards.

2 OVERVIEW FOR NEW VIDA ADMIN USERSAll use of VIDA Admin requires an internet connection. After installation of VIDA2015, VIDA All-in-one or the VIDA on Web installation package, VIDA Admin will beavailable as a desktop shortcut. For VIDA All-in-One, VIDA Admin may also beaccessed via a link that is available on the VIDA All-in-one installation disc. For VIDAon Web, the same link to VIDA Admin is provided by e-mail.The following concepts should be familiar before working with VIDA Admin:

● VIDA

● Subscription

2.1 CompanyCompany is used in VIDA Admin as a term for workshops, dealerships and otherswho use VIDA. Subscriptions are not considered personal but belong to thecompany. The resources belonging to the company (user, VIDA installations andsubscriptions) are registered at the company.When the first subscription is ordered, the company is created in VIDA Admintogether with the first user, the VIDA administrator. The VIDA administrator is oftena local user at the company; however, in certain countries the sales company is theVIDA administrator for all companies.Once the company has been created the VIDA installations can be registered andsubscriptions set-up. The registered computers to be included in the subscriptionmust be specified for VIDA 2015 and VIDA All-in-one.

2.2 UserNew users are created in IDM and VIDA Admin by the VIDA administrator. The useris specified in VIDA by several basic tasks and important settings. When a new useris added the IDM, security system tool for VIDA, must be used to generate the user'susername and password.The username and password are used to log in to VIDA. A user must enter at leastone activated subscription in order to use VIDA.The users contain information about personal IDs, e-mail, phone numbers andpersonal settings.

2.3 VIDA 2015VIDA 2015 is the newest version of VIDA and will eventually replace VIDA All-in-oneand VIDA on Web entirely. VIDA 2015 is a complete VIDA application with accessto all functions. The application is web-based, meaning that internet access isrequired at all times, and all information is stored online. VIDA 2015 includes serviceand parts information, diagnostics and software downloads.

2.4 VIDA All-in-oneVIDA All-in-one is a complete VIDA application with access to all functions. Theapplication and information is stored locally in the computer. VIDA All-in-one requiresan installation DVD. VIDA All-in-one includes service and parts information, diag‐nostics and software downloads.VIDA All-in-one requires regular connection to the Internet in order to reach thecentral data system. A connection is required for software downloads (PIE), vehicleproperties under vehicle profile, part ordering (DMS) and TIE for reporting errors andreading technical journals. In addition, a VIDA All-in-one must be in contact withcentral data system at least every 14 days, when subscription information and usersettings are updated.

2.5 VIDA on WebVIDA on Web is a solution where VIDA is accessed on a normal web site on theInternet. VIDA on Web does not require any installations other than the image viewplug-in IsoView for Internet Explorer. Information does not need to be updated either.The IsoView plug-in is installed with the VIDA on Web installation package.VIDA on Web has fewer functions than VIDA All-in-one. VIDA on Web providesaccess to service and spare parts information. For diagnostics and downloading ofsoftware VIDA All-in-one is required.

2.6 SubscriptionWhen ordering a subscription you choose a number of licenses. The meaning of alicense depends on the type of subscription. Each subscription type defines theinformation and functionality that the user has access to. For more detailed infor‐mation on different subscription types, see chapter 3.4 The SUBSCRIPTION tab onpage 13.The subscription can apply to either locally registered installations of VIDA 2015 andVIDA All-in-one or for VIDA on Web.All users must be added to VIDA Admin. They must be included in the subscriptionin order to use VIDA.

2.7 Ordering a subscriptionContinuous subscriptions are ordered via the sales company. Independent work‐shops can purchase time limited subscriptions in the web shop.To apply for or order the first subscription the information about a contact personmust be specified. The contact person takes the role of IDM administrator and VIDAadministrator. Username and password are sent via e-mail. The contact person addsnew users first in IDM and then in VIDA.

2.8 Registration guide for VIDA 2015If a VIDA 2015 user does not have a valid subscription, the Registration guide forsubscription link on the login page can be used to assign one of the availablesubscriptions in the dealership to the user. Alternatively, a VIDA Admin user candirectly associate the user with a subscription.A PIE client ID is automatically issued to the user after being associated with a soft‐ware download subscription by a VIDA administrator.For a detailed description of how to register VIDA 2015, see chapter 4.6 RegisterVIDA 2015 on page 23.

2.9 Registration guide for VIDA All-in-oneAfter receipt of the VIDA DVD, the program is installed from the installation disc. Tologin, the computer must be registered and included in an existing subscription. Usethe registration guide. For further information, see chapter 4.7 Register VIDA All-in-one on page 23.If a subscription does not have any spare licenses, the subscription is shaded in theregistration guide. To obtain licenses, a computer must be deregistered or morelicenses ordered.The existing users in the selected subscription are shaded in the list. Users who arenot yet included in the subscription are shown and can be selected by marking thewindow in front of the username.An unlimited number of users can be specified for VIDA All-in-one. The licensesapply to the number of registered computers, not the number of users. All users ina subscription can use all installations of VIDA All-in-one that are included in thesubscription. Removing a user from a subscription can only be carried out in VIDAAdmin.Selected users must be registered, both in IDM and in VIDA Admin to be includedin the list.After registering VIDA All-in-one a PIE client ID is created in VIDA All-in-one auto‐matically. If the computer is deregistered and then re-registered the PIE client ID willchange.

2.10 TIETIE (Technical Information Exchange) is a Volvo Cars system used for reportingerrors and distributing information. Whether or not a user has full access to the TIEsystem depends on which sales company the user belongs to. VIDA is adapteddepending on the user's access to the system. Regardless of access to TIE, all VIDAusers have read access to Technical Journals in TIE.TIE is accessed via a web browser. Use the following URL: https://tie.volvocars.biz/TIE is displayed in a separate window. No additional log in is required when TIE isopened from VIDA.VIDA Admin must be updated with the user's ID for a user to have contact with TIE.TIE is displayed in a separate window. No additional log in is required when TIE isopened from VIDA.

2.11 PIEPIE stands for Product Information Exchange. PIE is a Volvo Car Corporation systemfor managing the software packaging for vehicles. When a VIDA user orders soft‐ware, PIE is contacted in order to validate the order. Thereafter the order is packagedwith the software required for the selected vehicle. The order is then electronicallysent to VIDA for vehicle download.

2.12 DMSDMS stands for Dealer Management System. A DMS can be connected to VIDA andmakes it possible to, among other things, retrieve prices and stock status. For userswho do not have access to a DMS, these functions are not visible in VIDA.In order to connect a DMS to VIDA, the system of the DMS supplier must be compat‐ible with VIDA.VIDA can be integrated with different DMS. In VIDA Admin there are settings atorganisational and user levels to enable secure integration between VIDA and aninstance of a DMS.A DMS typically supports invoicing, parts prices, work prices, customer information,vehicle information, time booking, etc.Examples of different DMS used at Volvo dealerships are Kerridge, Bungert, ADP,Dracar+, Reynolds & Reynolds, TACDIS and XDMS.For a step-by-step guide on how to set up a DMS in VIDA Admin, see chapter 4.16Enter settings in DMS on page 33. Information must be given for both the companyand user level in VIDA Admin.

2.13 IDMNovell Identity Manager (IDM) is the security system for VIDA. The username andpassword used to log on to VIDA are created in IDM. The company must be regis‐tered and have a subscription to VIDA in order to add users. To log on to VIDA, theuser must be set-up in both IDM and VIDA Admin.For information and examples on how to use IDM, please see the Novell IdentityManager Roles Based Provisioning Module 3.7 User Guide.The user guide can be found via the following link: http://www.novell.com/en-gb/documentation/idmrbpm37/pdfdoc/ugpro/ugpro.pdf.

2.14 SupportIn the event of any problems with VIDA, help must be obtained in the following order:

In the examples inthis document, the company is called "EXAMPLE DEALER".There are six tabs under the collective company tab:

Navigation for dealers with many workshopsA hub is a dealership that is an administrator for other dealerships. The companystructure in VIDA Admin is hierarchical with the hub at the top. The dealerships arelisted below the hub. Navigation follows the company structure hierarchy.An administrator at a company is called the VIDA administrator. The VIDA adminis‐trator can only administrate the company to which he/she belongs. The hub admin‐istrator can administrate their own company and all other companies listed belowthe hub in the company structure.The hub administrator selects which of the companies under the hub they wish towork with. A hub administrator can in principle perform the same tasks as the VIDAadministrator. The only exception is registration and deregistration of computers withVIDA All-in-one. This can only be done by a user from the company where thecomputer with VIDA All-in-one is used.

3.1 The COMPANY INFORMATION tabInformation about the company is placed under the COMPANY INFORMATION tab.The information is divided into four sub tabs:

● PROPERTIESThis tab contains information about, amongst other things, contacts andpartner groups.

● ADDRESSThis tab contains information about the address that the installation disc forVIDA All-in-one is sent to.

● SETTINGSThis tab contains information about, amongst other things, the language thatis to be used in VIDA.

– Shared drive for Large Software (VIDA 2015)Here it is possible to specify the path for the shared network drivelocation for large software downloads. The shared network drive isa dedicated area of 500 GB, used for cached data. The size of theshared area is regardless of number of users. For each company youcan specify a shared dedicated area to be used by all users. If thefield is left empty, all users will have cached data on their owncomputers.

– Dealer Print Settings (VIDA 2015)Here VIDA adminstrators are able to set print settings for work listquotations and checklists in VIDA. The logotype uploaded here isplaced in the upper right corner of the printouts. The footer fields areplaced on the printout as indicated in the example below.

● QUICK LINKS (VIDA 2015)In VIDA 2015, quick links can be added by the user or in VIDA Admin by theVIDA administrator for a specific company. Up to 20 links can be added andthey can be external links provided by VCC, company specific links or userspecified links to certain web pages as well as internal links to functions inVIDA.

3.2 The USER tabThe company's users are managed under the USER tab. To work with the informa‐tion for a user, click on the user's name in the list of all users to the left. Once a userhas been selected from the list, information about the user is shown on the right-hand side of the user list.

The information about the user is divided into three sub tabs:

● PROPERTIES contains information about user ID, first and last name, e-mail,user role etc.

● EXTERNAL SYSTEMS contains information about other systems that VIDAconnects to in certain cases, such as TIE and DMS.

● USER PROFILE contains information about what the user has access to inVIDA, i.e. which information types, models and functionalities.

NOTE

After changing user information, the user must log in to VIDA inorder for the changes to take effect immediately. VIDA All-in-onemust be in contact with a central system when subscription infor‐mation and user settings are updated.

3.2.1 The PROPERTIES sub tabIn order to save the information, all mandatory fields must be filled in under thePROPERTIES sub tab. The mandatory fields are marked with an asterisk (*).Use the username from IDM. The username must be unique to each VIDA user. Ifa user has already been named, a new name must be created in IDM before the newuser is registered.Specify at least the first and/or last name. Even though they are not mandatory,problems may occur when setting up the subscription if they are not specified. An e-mail address and telephone number must be specified for users with administrationrights so that the support function can reach them.Select ADMIN as administrator role if the user is to administer other users, VIDAinstallations and subscriptions. Otherwise, or if something is unclear, select USER.The administrator role can always be changed if needed. Only users with the ADMINrole can log in to VIDA Admin. Also, select the correct partner group.

Select the most suitable description of the person's work tasks as user role.The language selected is used for both the system and information. The defaultlanguage is set by an administrator in VIDA Admin. In VIDA 2015 the language maybe changed directly from the application.

Note

Language must be selected in order for VIDA All-in-one to work.The language set for the user in VIDA Admin and the languageinstalled in VIDA All-in-one must correspond.

A user can be added by clicking the CREATE NEW button in the lower left part ofthe screen. For further information, see chapter 4.5 Add user on page 21. It is alsopossible to remove a user by clicking the DELETE button in the lower part of thescreen. For further information, see chapter 4.18 Remove a user on page 35.

NOTE

If a user is removed from VIDA Admin, also remove the user fromIDM.

3.2.2 The EXTERNAL SYSTEMS sub tabThe EXTERNAL SYSTEMS sub tab contains information about other systems thatVIDA connects to in certain cases, such as TIE (Technical Information Exchange)and DMS (Dealer Management Systems).Among other things, the user can enter the personal user ID for TIE. This makes itpossible to open TIE from within VIDA.Under Monitoring Volvo On Call, access levels can be controlled by marking itemsand clicking ADD or DELETE. By default, users have all access levels - this iscurrently required in order to access Monitoring Volvo On Call. In the future, differentaccess levels may affect what parts of Monitoring Volvo On Call the user can access.

3.2.3 The USER PROFILE sub tabThe USER PROFILE sub tab is used to set the user's authorisation to the information.The user profile affects the user's license key. License keys are created in a back‐ground process so that the user can continue working whilst a key is being created.If the user profile is changed and saved, the information changes. The license keyis only updated if the Generate new license key checkbox is ticked when the userprofile is saved.The tasks are divided into three groups; Available information types, Includedmodels and Included functionality.There are two lists for each group. The left list contains what the user is allowed todo and the right list contains what the user is not allowed to do. Items can be movedbetween the left/right-hand lists to control access to information types, models andfunctionalities by marking items and clicking the ADD or DELETE button. Use the[Shift]/[Ctrl] keys to mark several items at a time.

● In the list covering information types, you can set up which types of docu‐ments the user should be able to see. For example, you can control whichusers that can read bulletins.

● In the list covering models, you can specify if there are certain models thatthe user does not need to have access to. If you remove a model, the userwill not see any information regarding this model.

● The last list covers functionalities, used to set up what the user should be ableto do in the system. For example, you can control if a user is allowed to ordersoftware. The link FURTHER INFORMATION... opens a new window with adescription of the different options in this list. The new window can be keptopen in order to facilitate finding the information about the options, whilst fillingin the functionalities to be included.

These lists give e.g. a technician that is specialised in certain areas or models thepossibility to filter out information that they require and do not require.Save the information. Without saving, the new user is not added. Before the infor‐mation is saved, it is always possible to click CANCEL to discard the change. Youwill get a message when the information is successfully saved.

3.3 The COMPUTERS tabOnce VIDA All-in-one has been installed on a computer and the computer has beenregistered, it is displayed in the list under the COMPUTERS tab in VIDA Admin.Information displayed about the computer is the PIE client ID, generated automati‐cally at registration of the computer. The date of the last change for the computer isalso displayed.When a computer is selected from the list to the left, information about the computeris displayed to the right.The computer name is displayed below the PROPERTIES sub tab on the right-handside of the screen. The computer name is the computer identity in VIDA. The nameof the computer can be changed to a name that is easier to remember by clicking inthe description field and entering a new name.The computer's subscription(s) can also be seen. Clicking on a subscription in thelist displays a link to the SUBSCRIPTION tab.

3.4 The SUBSCRIPTION tabThe company's subscription(s) is managed under the SUBSCRIPTION tab. Thesubscription(s) of the company are given here. The following sub tabs are displayedby marking a subscription:

● PROPERTIES shows e.g. the number of licenses, the type of subscriptionand the start date.

● USER shows which users have access to the subscription.

● COMPUTERS is only shown for VIDA All-in-one and displays the computersthat have licenses.

● CONTENTS displays the content of the subscription.

3.4.1 Changing and cancelling the subscriptionA subscription is renewed automatically at the end of the period. The company doesnot need to take any action to renew the relevant subscription before it expires.Changing the content and number of licenses in the subscription is carried out bythe local sales company.Contact the local sales company to cancel a subscription.A time limited subscription ends when the end time is reached. The subscription canbe extended by updating the subscription (see chapter 2.14 Support on page 8 formore information).

3.5 The OPERATIONS AND PACKAGES tabThe company's VIDA Operations and Packages settings are managed under theOPERATIONS AND PACKAGES tab. All markets have this tab enabled, but it is onlyapplicable for those that are using VIDA Operations and Packages. In VIDA All-in-one and VIDA on Web, the Operations and Packages functionalities are insteadcalled Menu Pricing. There are two sub tabs:

3.5.1 The FICTIVE PART NUMBER sub tabThe FICTIVE PART NUMBER sub tab, contains information used to map the fictivepart numbers in GPSS to the dealers' local part numbers. The fictive part numbersare used for oils and other lubricants. Lubricants are not included in Volvo Car's partscatalogue, since different dealers at different markets use different suppliers for oilsand other lubricants. Instead, the fictive part numbers are used, which are mappedto local part numbers for each dealer.On this sub tab in VIDA Admin, each dealer can enter the mapping between thefictive part numbers and the local part numbers, including a price and a locallydefined description. This mapping table is used in VIDA Operations and Packages,to show the local part numbers and descriptions for packages that include fictive partnumbers.The following fields are presented in a table:Fictive part number – The GPSS fictive part number.Local part number – The dealer's local part number.Price – The price of the fictive part.Description – The dealer's local description (defined by the dealer).Last modified – Date when the last change was made.

By clicking a fictive part number, the PROPERTIES sub tab is expanded, where eachfield can be edited.

3.5.2 The LABOUR RATES sub tabThe LABOUR RATES sub tab is used to define different labour rates. The labourrates are used in VIDA Operations and Packages to calculate the labour cost foroperations for users that do not have a DMS interface configured. In VIDA Operationsand Packages, the end-user can select the different labour rates defined here, usinga drop down menu. If the dealer has a DMS interface, this page can be left empty.There is no definition of what currency that is used. The local currency should beused.

3.6 The DEVICE tab

NOTE

This tab is only used for VIDA 2015

In VIDA 2015, licenses are tied to a user rather than a device. However, a user needsto have its device approved by the VIDA Administrator in VIDA Admin. Under theDEVICE tab it is possible to see details regarding users' computers. It is also possibleto set approval status of computers.A computer can be assigned one of the following three statuses:

● APPROVEDThe computer can be used to access VIDA.

● REGISTEREDThe computer can not be used to access VIDA. This status is automaticallyassigned when no other action has been taken.

● REJECTEDThe computer can not be used to access VIDA.

3.7 Links to help file, IDM and web shop

There are links for quick navigation at the top of the window. These are:

● Link to the help document for VIDA Admin.

● Link to the IDM system. The users can for example change password here,and IDM administrators can manage the User IDs.

● Link to a web shop (not shown for all users). Different links for differentmarkets and customer categories. Examples of web shops are Volvo Tech‐nical Information Shop (TIS) and Volvo Tech Info (Techinfo or VTI). VolvoTech Info is for North American users.

● Link to VIDA Online Client Control System (VOCCS). VOCCS is an informa‐tion analysis tool intended to be used by VCC and Volvo Sales Companies.

4 EXAMPLES

4.1 Select dealership (applies to dealership hubs)

4.1.1 Navigate to dealershipThe hub administrator first selects a company to work with. To choose the owncompany, click on the tab with the company name. Only new administrators must beadded to the hub. A hub must not have subscriptions. Follow the procedure describedbelow to choose a dealership.

1. To work with a dealership select the BROWSE TO COMPANY tab.à Accessible dealerships are shown in the list. The dealerships are sorted

by company name. The list can also be sorted by PartnerID by clicking thelist heading PartnerID.

4.2 Checklist to get started with VIDA 20151. Make sure that the computer is connected to the internet. An internet connec‐

tion is needed at all times when using VIDA 2015.

2. Make sure that Internet Explorer is installed on the computer.

3. Download and run the VIDA 2015 installation package.

4. Follow the instructions from the VIDA 2015 installation wizard.

5. After installing VIDA 2015, a desktop icon to the application is created. Startthe application once in order for the installation to finalize. This step does notrequire any administrator rights on the computer.

6. Add more VIDA users, see chapter 4.5 Add user on page 21.

VIDA on Web is accessed via a link and therefore requiresan Internet connection. Users of VIDA on Web receive thelink to VIDA Admin via mail. The installation must be config‐ured and activated according to the specific installationinstructions.

4.5 Add userThe username and password created in IDM is used to log in to VIDA. The user mustbe set-up in both systems in order to log in. The company and the first user is set-up by Volvo Cars centrally.

1. Check if the new user has a username in IDM or a Volvo Cars CDS-ID.If the new user already has a username in IDM or a Volvo Cars CDS-ID thenew user does not need to be created in IDM. Go directly to VIDA Admin andadd a new user, using the existing username, see step 8. Otherwise, continueaccording to step 2.

2. Login to IDM.

3. Click Create a New UserID and add a new user in IDM.For a description of IDM and a link to its user guide, see chapter 2.13 IDM onpage 8.

4. Fill in the fields. Fields marked with an asterisk (*) are mandatory. Do not useany special characters.

5. Click Submit.à Response page from IDM is shown.

NOTE! Note the assigned username and password.

6. Repeat this operation to add more users. Otherwise or when all users areadded, click Finished.

7. Logout from IDM.

8. Log in to VIDA Admin.

9. Select the USER sub tab.

10. Click CREATE NEW or select an existing user and click COPY.à If CREATE NEW is selected a blank form is displayed.

If COPY is used, most fields are filled with the values of the copied userexcept for ID and name fields. The COPY function can advantageously beused when several users with similar information are to be created.

11. Fill in the fields in the PROPERTIES tab. Use the username from IDM.Select whether the user is a User or Admin. A language must be selected inorder for the installation to work.

4.6 Register VIDA 2015When VIDA 2015 has been installed, the computer needs to be registered andincluded in an existing subscription. Also note that the user has to be registered inIDM (Novell Identity Manager) and VIDA Admin prior to the registration. IDM isaccessed via this link: https://vcccds.volvocars.biz/IDM1. Make sure that the computer is connected to the internet and start

VIDA 2015.

2. Click Registration Guide for Subscription.à A guide how to register the computer is opened in a separate window. The

guide consists of three steps:- User ID authentication- Linking to a subscription- Reviewing and confirming the registration

3. Enter your VIDA user name and password and click Continue.

4. Select a subscription by ticking one of the radio buttons and clickingContinue. Only one subscription is permitted.à If a subscription does not have any available licenses, the subscription is

shaded. To obtain licenses, a computer must be deregistered or morelicenses ordered.If the wanted subscription is not included in the list, check withVIDA Admin to see if the subscription has been activated.

5. Click Confirm.à The registration is completed.

6. Click Back to Login.à The log in page is displayed.

7. In order to be able to log in to VIDA, the user needs to have its device approvedby the VIDA Administrator in VIDA Admin. For further information, see chapter3.6 The DEVICE tab on page 16.à After having the device approved, the user can now log in to VIDA.

4.7 Register VIDA All-in-oneAfter receipt of the VIDA DVD, install the program from the installation disc. In orderto login, the computer must be registered and included in an existing subscription.In the event of any problems with the registration guide, register by logging in to VIDAAll-in-one and run step 5-7. For more information, see chapter 4.8 Activatesubscription and include the user and computers in the subscription on page 26.A message confirms that the computer has been registered and the designatedname (same as in Windows).

4.8 Activate subscription and include the user and computers in the subscriptionActivation of the subscription is carried out once VIDA is installed. Note that a contin‐uous subscription is normally activated from the start but that time limited subscrip‐tions always must be activated.

1. Log in to VIDA Admin and select the SUBSCRIPTION tab.à A list with the company's subscriptions is displayed.

2. Click on the subscription to be activated.à Information about the subscription is now shown to the right of the list of

subscription(s).

3. Check if the subscription is activated or not. The subscription is not activatedif there is a check box for activation.

4. Check the activation box and save.à The subscription is activated.

5. Select the subscription again in the list to the left.à The start and end date are displayed.

6. Select the USER tab. Assign the user to the subscription by marking in theright list and clicking ADD.à The users who are to use this subscription are in the left-hand list.

4.9 Add a computer to a VIDA All-in-one subscriptionThis is an alternative way, instead of using the registration guide. A license is requiredfor each VIDA All-in-one computer included in the subscription. Check that there isat least one spare license before adding a new computer to the subscription.

1. Log in to VIDA Admin and select the SUBSCRIPTION tab.

NOTE

The subscription must apply to VIDA All-in-one in theCONFIGURATION TYPE column.

2. Select the subscription you want to work with by clicking on its name in thesubscription list.à The subscription is shown as active or not active under the PROPER‐

4.10 Show and change information about a computerInformation about a computer can be changed under the COMPUTERS tab.

1. Select the COMPUTERS tab.à A list of the company's registered computers is displayed.

2. Select the computer in the list that you want to work with.à Information about the selected computer is now shown to the right of the

list. If the name of the computer that is to be administered is unknown (ifmore than one computer in the list), the computer name is shown on thelogin page in VIDA All-in-one.

1. Select the SUBSCRIPTION tab and select the subscription to which the useris to be included.

2. Select the USER sub tab.à Company users that are included in a subscription are shown in the left-

hand list. Users not included in the subscription are shown in the right-handlist.

3. Mark the user to be added and click the ADD button.à The user is transferred from the right list to the left list.

4. To remove a user from the subscription, select a user in the left-hand list byclicking and click the DELETE button.à The user is transferred from the left list to the right list.

5. Click SAVE, log out and close the window.à Added users can now log in to the VIDA client associated to the subscrip‐

tion.

4.12 Transfer VIDA All-in-one to another subscription1. Deregister the computer with the VIDA All-in-one subscription to be trans‐

If the computer with VIDA All-in-one cannot contact VIDAAdmin, an error message will appear. The computerremains registered. Check the Internet connection and tryagain after a couple of minutes before contacting support.When deregistration is successful the user is logged out.

12. Set DMS prefixes. If you do not know the prefixes, contact the organisationresponsible for the DMS. The prefix is needed to be able to handle differentbrands within a DMS. This should normally be a prefix associated to VolvoCars.

13. Enter DMS license keys. These are given so that VIDA and the DMS cancommunicate over a network. The key describes an attribute and the valuethat each key is assigned. The keys must be supplied by the company repre‐sentative for the interface between VIDA and the DMS used.

14. Click SAVE.à The changes are saved.

4.17 Settings in TIE1. Select the USER tab.

2. Select the user by clicking on the name.

3. Click the USER EXTERNAL SYSTEMS tab.

4. Enter the user's personal username for TIE. This makes opening TIE easierand faster. VIDA opens TIE with the user's profile.

5. Click SAVE.à The changes are saved. It can take a couple of minutes before the change

takes effect.

6. Log in to VIDA.à The new TIE settings are retrieved.

4.18 Remove a userIf a user is not to use VIDA any longer, the user must be removed from the system.For temporary removals, log on to IDM, select Make a process request, modify theexternal CDS-ID and confirm by unselecting Active. The user cannot log on until thebox is ticked again.

NOTE

A user who is inactive for longer than one year is automaticallyremoved from the system.

5 TROUBLESHOOT

5.1 Messages when logging inWhen logging in the user may be shown certain information or error messages. Thischapter presents such messages with corresponding information on why theyappear to the user.

5.1.1 Registration information message

This VIDA All-in-one is now registered and can be used after adding the subscrip‐tion information in VIDA Admin. The subscription information is added by yourlocal VIDA administrator.

This is not an error message but an information message that is displayed the firsttime the user logs in. The username is used to find which company the VIDA All-in-one installation is to be registered to. The installation is registered and placed in thelist of VIDA All-in-one installations that can be accessed by the company. Afterregistration the user must run the registration guide and assign their VIDA All-in-oneto a subscription. Alternatively the VIDA administrator adds the VIDA All-in-oneinstallation to a subscription in VIDA Admin. Thereafter all users included in thesubscription can log in to the registered computer with VIDA All-in-one.

5.1.2 Invalid username

Invalid username

Firstly, check that the user is included in VIDA Admin and IDM.

● Wait a couple of minutes if VIDA was just started or if the subscription infor‐mation was changed just before login.

● If the user attempts to log in to VIDA 2015 or VIDA All-in-one, check that thecomputer has been registered at the company and that the username isincluded in a subscription. The computer name is also found on the loginpage. Remedy if necessary.

● If the user attempts to log in to VIDA on Web, check that the user is includedin at least one subscription to VIDA on Web. Remedy if necessary.

● If the computer with VIDA All-in-one has belonged to another company thenit must be deregistered before it can be used for the new company. Registerit as a new VIDA All-in-one. If the username and password from the previouscompany are unknown, a program must be run to delete the subscription data.Contact the Helpdesk.

● For VIDA on Web: Check to see if the username or password is incorrect.Remedy if necessary.

Let the local IDM administrator check:

● if the user exists in IDM.

● if the password has expired.

● if the user is suspended due to inactivity.

● if the user is inactivated by administrator.

5.1.3 Valid subscription missing

Access denied since no valid subscription was found.

If you have recently made a subscription or user change in VIDA Admin it can takeup to a couple of minutes before the change can be downloaded to the VIDA All-in-one. Wait two minutes and try again.Check that:

● the user is both registered and included in a subscription.

● the VIDA All-in-one installation is included in the subscription. Double checkthat the correct VIDA All-in-one is included in the subscription. The namealready exists in the login page in VIDA All-in-one.

● the subscriptions are still active and that they have not expired.

5.1.4 Selected language missing

The language in the VIDA installation does not correspond to the language settingfor your user name in VIDA Admin. Please contact your local administrator.

Check that the user's language setting corresponds to the installed language. Theuser selects a language in VIDA Admin. This language must be installed on thecomputer with VIDA All-in-one.Check if the subscription has expired. Contact the local sales company for furtherinformation if this is the case.

5.1.5 No contact with central system

Could not contact the central systems.

If the user attempts to log in to VIDA All-in-one, connect the computer to the Internetbefore logging in, and try again. VIDA All-in-one needs to communicate with thecentral system after installation, when the user logs in for the first time and to regu‐larly check for updates.Use the Configuration tool VIDA Config to set up the type of connection and anyproxy settings to gain access to the Internet from VIDA All-in-one.

5.1.6 Inactive user-IDThe following error messages, when logging in via VCAM, mean that the user is setto Inactive in IDM:

Your status is set as inactive. To have your status reset, please contact youradministrator.

To remedy this go into IDM and reset the user's profile:

1. Log into IDM.

2. Find the user and change status from Inactive to Active.

If the user is set to Active but still receives error messages as described above,contact the sales company for assistance.

5.1.7 The user's login-ID is already in use

The key field must be unique, there is already another key value equivalent to theone you just tried to create.

This error message means that another user already exists who has this actual user-ID. The user may exist at another company, where they do not have authorisationand therefore the user cannot be found. If the first user is incorrectly stored, contactthe sales company for assistance.

5.2 The user cannot access information or functionsIf the user cannot access the information or functions required, the VIDA adminis‐trator must check the following:

● That the user is in the correct subscription.

● If the user is included in several subscriptions to VIDA 2015, VIDA All-in-oneor VIDA on Web, check that the user selected the correct subscription at logon. Users cannot use more than one subscription at a time.

● If user profiles are used to exclude functions or information for a user. Checkthe user profile in VIDA Admin to see if the profile settings prevent the userfrom accessing functions or information.

● If the subscription package includes the required functions and information.

● That VIDA has been updated to the latest version, including the latesteUpdate. Information about what VIDA version that is being used can be seenon the VIDA login page. Information about which VIDA version and eUpdatethat are the most recent can be found in TIE SPJs.

5.3 VIDA All-in-one cannot be registeredIf VIDA All-in-one cannot be registered, the VIDA administrator must check thefollowing:

● Check on the log in page if the computer is registered. If it is shown that thecomputer is registered with the specified name, then it is already registered.

● Check if it is possible to log in to VIDA Admin from the computer with VIDAAll-in-one. If VIDA Admin works, then there is no fault with the connection,but with the settings. Start the configuration tool VIDA Configurator and setlocation and proxy settings if they differ from those in Internet Explorer.

● If the computer has belonged to another company, the computer must bederegistered. It can only be used in the new company after deregistration andthen registration as a new VIDA All-in-one. If the username and password forlogin are missing from the previous company, a program is required to deletethe subscription data. If there are any questions on how to deregister VIDAAll-in-one, please contact the local sales company. Enter the VIDA All-in-onecomputer name and the company ID if the local sales company is contactedfor assistance.

5.4 The DVD does not work (VIDA All-in-one)If you have ordered a VIDA All-in-one subscription, are waiting for an update or havereceived a damaged DVD, contact your local sales company and they will order anew one. Specify required language.

5.5 Installations of VIDA All-in-one cannot be added to the subscriptionsInstallations of VIDA All-in-one are listed under the SUBSCRIPTION tab.If the installations have been registered, but are not in a subscription, they can beadded on the condition that spare licenses are available. For each VIDA All-in-oneincluded in a subscription, a license is required. If there are no licenses, order moreor deregister some of the existing installations of VIDA All-in-one first. Then add theinstallations to be included in the subscription.

5.6 It is not possible to add more users to the subscription for VIDA on WebUsers are listed under the USER tab.If users have registered, but are not in a subscription, they can be added on thecondition that spare licenses are available. A license is required for each user in asubscription. If licenses are missing, order more or deregister some of the existingusers from the subscription first. Then add the users to be included.

5.7 Rules for subscription start and expiry datesWhen a new subscription is shown in VIDA Admin the subscription can be activated,from that day's date or a later date. Activation starts a countdown which determinesthe end time.An active subscription displays start and end times. The subscription functions up toand including the end time.

5.8 If the subscription is not displayedIf you have ordered a new or updated subscription in the web shop and this is notshown in the list of subscriptions, contact your local sales company for assistance.Indicate whether you received an acknowledgement by e-mail from VIDA and/or theweb shop or not.

5.9 Activation and controls for start and end time for time limited subscriptionsA continuous subscription is normally activated automatically. There are sometimessituations where an administrator from the sales company or Volvo Car Corporationadds a subscription manually and forgets to activate it. If a continuous subscriptionis activated then the end time is always fixed at the end of the period. A subscriptioncannot be used until it has been activated.When a new time limited subscription is displayed in VIDA Admin, activation of thesubscription can be selected. Activation can occur from the day's date or at a laterdate. Activation starts a count-down that determines an end date depending on thelength of the subscription. A subscription cannot be used until it has been activated.An active subscription displays start and end times. The subscription functions up toand including the end time.
