This includes setting and monitoring progress toward achieving annual goals and objectives, presiding as chair at all meetings of the Executive Board and attending district, sectional and national meetings. USTA MS NJD VOLUNTEER POSITION DESCRIPTION

FIRST VICE PRESIDENT This individual assists the president in the performance of duties and exercises all the powers of the president in the event of the president’s absence, resignation, incapacity or death.

QUALIFICATIONS

• Understanding and knowledge of the relationship among the USTA, the Section

and the District

• Understanding and knowledge of USTA programs

• Good communication and interpersonal skills

• Good organizational skills

• Ability to conduct meetings

• Willingness to move into the position of USTA/MS/NJD president

• Ability and willingness to travel and attend sectional, district and national meetings or functions as required

TERM OF OFFICE

Two years

RESPONSIBILITIES

• Assists the president in the performance of duties

USTA MS NJD VOLUNTEER POSITION DESCRIPTION

POSITION TITLE: Treasurer POSITION DESCRIPTION: This individual shall, in conjunction with the Budget and Finance Committee, be responsible for preparing an annual budget, reporting on the financial status of the USTA MS NJD at meetings and recommending policies to the USTA MS NJD Board of Directors with regard to fiscal management and investment and insure that the budget reflects these policies.

QUALIFICATIONS: 1. Understanding and knowledge of the budgetary process. 2. Understanding and knowledge of USTA MS NJD programs and services. 3. Interest in financial planning and investment strategies. 4. Ability to attend section, district and national meetings as required and other

meetings as appropriate. TERM: This position is elected for a term of two years commencing on January 1 of the year in which the term begins. This position may be renewed if duly elected.

RESPONSIBILITIES:

1. Serve as USTA MS NJD Board member 2. Prepare in conjunction with the Budget and Finance Committee, the proposed

annual budget in a timely fashion for approval by the USTA Board of Directors before December 31.

3. Report on the financial status of the organization to the Board of Directors at scheduled meetings and as requested by the President.

4. Work with the USTA MS accountant and auditor as needed. 5. Serve as Chair of the Budget and Finance Committee and identify and

recommend qualified candidates for this committee to the President. 6. Serve as a member of other committees as assigned. 7. Promote a positive public relations image for USTA MS.

USTA MIDDLE STATES NEW JERSEY DISTRICT

Board Secretary Position Position Description: This individual is responsible taking minutes at board meetings, working with the president to secure and schedule board meeting dates/locations, coordinate food and beverages for meetings, send out board meeting reminders beforehand, record electronic votes, keep a master file of all important NJD minutes/other documents and prepare and bring copies of meeting materials. This position would also support the annual NJD awards event and Awards Committee by helping keep an accurate RSVP list and coordinate additional details of the event. This is a voting position and member of the executive committee.

Qualifications:

• Proficiency in MS Word, Excel

• Good note taking skills

• Understanding and knowledge of the relationship among USTA National, the Middle

States Section and the New Jersey District

• Good communication skills, both written and oral and good interpersonal skills

• Good organizational skills and the ability to produce content in a timely and efficient manner and adhere to deadlines

Term of Office:

This position is designed to be a two-year term in conjunction with the NJD board election schedule.

Responsibilities:

• Take minutes at board meetings and prepare a draft copy for the President to

review within two weeks of the last meeting • Schedule and coordinate board meeting times and locations with the President • Prepare and bring meeting materials to board meetings (agendas, treasurer’s

reports, committee reports) • Coordinate food and beverage needs for board meetings • Send out meeting reminders and other communications to board members • Record electronic votes and provide a draft of them to the President for inclusion

in minutes • Keep a master files of all board meeting minutes/meeting agenda and other

important NJD documents • Support the NJD Awards Committee by keeping an accurate RSVP,

communicating with Award Winners and work in cooperation with section staff to provide necessary materials (Photos, bios etc).

VICE PRESIDENT OF ADULT ACTIVITIES Position Description: This individual is responsible for USTA Middle States New Jersey District (USTA MS NJD) oversight of all adult tennis activities, including but not limited to: Adult Rankings, Adult Tournaments, Adult Interdistricts, Adult USTA Leagues

Qualifications:

• Understanding and knowledge of USTA League Tennis and Adult Tournaments

• Understanding and knowledge of the relationship among USTA National, the Middle

States Section and the New Jersey District

• Good communication and interpersonal skills

• Good organizational skills

• Ability to attend national, sectional and district meetings or functions, as required

• Understanding USTA programs for adults

Term of Office:

This position is designed to be a two-year term.

Responsibilities:

• Oversees activities of USTA MS NJD regarding all adult programs and reports on these activities at meetings of the board

• Monitors progress of adult programs toward achieving District goals

• Encourages various constituencies to offer adult USTA programs to meet District goals

• Oversees District activities related to Sectional team events, including but not limited to,

selection of team captains for Interdistrict events

• Monitors District policy regarding Interdistrict participation and ensures that captains and players comply with established policies

• Identifies opportunities to increase adult tennis participation

• Promotes a positive USTA MS NJD public relations image

National levels

• Understanding and knowledge of the relationship among the USTA, the Section and the District

• Understanding of the Tennis Pathway, Youth Competitive Training Centers,

Junior Rankings, Player Development programs, High School Tennis (including junior varsity), After-School Programs and USA Team Tennis for Youth

• Oversees activities of USTA/MS/NJD youth programs

• Monitors progress of youth programs toward achieving District goals

• Works with those delivering programs, as required, to encourage offering of programs to meet District goals

VICE PRESIDENT OF COMMUNICATIONS/MARKETING Position Description: This individual is responsible for raising the District presence in the media and making others aware of District activities and USTA tennis opportunities. This individual is also responsible for running District functions and managing USTA/MS/NJD member relations

Qualifications:

• Understanding and knowledge of USTA programs and activities

• Understanding and knowledge of the relationship among the USTA, the Section

and the District

• Good communication and interpersonal skills

• Good organizational skills

• Ability to attend sectional, district or national meetings or functions, as required

• Knowledge of various communication media and an understanding of the best way to manage content in each of these forums, e.g. Web, cable, newspaper, multi-media, radio, mailings.

This position is designed to be a two-year term.

Responsibilities:

• Directs and manages the functions of the Media Coordinator • Oversees activities related to raising awareness of District activities and

opportunities • Gathers sufficient information to meet publishing deadlines for established media • Develops best ways to use other media, e.g. District web page, cable television,

local newspapers, club newsletters, radio, membership mailings • Promotes a positive USTA/MS/NJD public relations image

USTA MS NJD VOLUNTEER POSITION DESCRIPTION

VICE PRESIDENT OF COMMUNITY DEVELOPMENT

This individual is responsible for establishing communication with tennis organizations in the district while also encouraging those organizations in the delivery of USTA programs to meet District goals. Knowledge of district program events allows for more awareness at the board level.

QUALIFICATIONS:

• Understanding and knowledge of USTA programs and activities

• Understanding and knowledge of the relationship among the USTA, Section and District

• Good communication and interpersonal skills

• Good organizational skills

• Ability to attend sectional, district or other functions, as required

TERM OF OFFICE

Two years

RESPONSIBILITIES

• Understand the goals and objectives of the district and section and align activities accordingly.

• Increase tennis participation by working closely with the TSR and local providers

to offer tennis opportunities.

• Assist the TSR with annual goals.

• Maintain communication with the District’s TSR.

• Represent the Section and District by attending and/or assisting in workshops, events or meetings.
