Challenges• Outdated and incomplete lists of information on individuals meant there was
limited comprehensive analysis available to Dean, faculty, and accreditation
• Contract renewal data for hospitals and other clinical sites was laborious to track
• To verify credentials for preceptors (mentors for students at clinical sites), the college sent them the same paper forms every semester to complete, but ended up with scattered and incomplete information
• Di�culty tracking which clinical sites or preceptors each student had visited during his/her program
Solution• Two Qualtrics panels drawing from one database, simultaneously updating each
time changes are made to one panel member
• Clinical site panel manages contract renewal data, contact information, and a�liated preceptors for each clinical site in real time, enabling any administrator to validate active contracts at any time
• Instead of paper forms, preceptors are sent a Qualtrics survey that automatically records their responses in the preceptor panel — and preceptors can’t submit the survey until everything is complete
• Instead of going through credential veri�cation every semester, preceptors receive an even simpler survey in subsequent semesters asking for any revisions
• Student information is acquired in an initial survey during their �rst nursing course and stored in a panel for the rest of their career at UT, enabling the college to solicit feedback on a variety of topics and monitor graduation rates
• Student panel connects preceptor and clinical site panels so college faculty and sta� can see which clinical sites a student visits during his/her college experience
Results• Signi�cant �nancial and sta� resources saved each year in manual labor alone
• Real-time, meaningful data that can be analyzed across multiple semesters in a user-friendly format
• All clinical site agreements are updated, limiting liability concerns for the college
• Preceptor data is 100% complete in Qualtrics panels, saving time and e�ort for preceptors, sta�, and administrators
• Student feedback on clinical visits is shared with their respective preceptors and hospitals, improving the education experience
