Introduction: The Pain of Not KnowingFor companies in commercial construction and heavy industry that depend on rental equipment to get the job done, not knowing how much equipment is being rented, how often it is being used, when it should be returned, or how much it should really cost, is a universal pain point sapping organizations’ time and money.

United Rentals offers many kinds of integration, most notably an industry-first SAP certification as powered by the SAP NetWeaver® technology platform. With the UR One Adaptor, equipment rentals can be ordered, managed, and paid for with the same ease as internally-owned assets. This certification means that UR One integrates with SAP NetWeaver for easy integration with SAP ERP.

SAP-Certified as Powered by NetWeaver: Integrating with SAP ERP and Reducing Invoice “Cost to Pay”

Earlier this year, United Rentals created the UR One Adaptor which is SAP Certified as Powered by NetWeaver. This allows integration with SAP ERP which allows customers to validate and maintain accurate customer and United Rentals accounting information, an industry-first.

United Rentals took this bold step to help its customers reduce the time and expense associated with paying invoices. United Rentals customers report internal costs for processing an invoice ranging from $5.00 to $25.00 per invoice, with costs escalating 10x when the invoice contains inaccurate information.

The key is eliminating that inaccuracy, and that’s where United Rentals’ UR One SAP-certified integration excels. The integration enables United Rentals to provide customers at order entry: 1) total billed costs, 2) total accrued costs, and 3) total projected costs. Together, this information allows customers to compare total costs to their P/O amount and enables them to make adjustments to stay within current P/O amounts or to knowingly take on additional expense. As an added bonus, United Rentals tracks and reports costs by transaction, by date range, and by accounting information, making cost tracking accurate, flexible, and easy.

Case Study: Integration in ActionThe UR One Adaptor enables SAP customers to validate their equipment rentals at order entry by purchase order and line item, as well as by work order, cost center, or network number; track purchase order value at order entry and throughout the rental lifecycle; and receive alerts about needed purchase-order increases and rental status.

Tight integration between United Rentals and the customer’s ERP/financial system is a real game changer. This proved to be the case for a large oil and gas exploration and production company that was struggling with its accounts payable. Due to a disconnect between accounting details and invoices for its rental equipment, the firm had more than $1 million in accounts 120 days past due.

Yet paying bills wasn’t the problem. Understanding them was.

Together, United Rentals and the customer worked together to find a solution. Integration proved to be the answer. By identifying a customer work-order file and effectively sharing it, the United Rentals integration-services team automated the consumption of that file by Total Control to validate work orders at order entry.

The integration with the customer’s financial system allowed both parties to determine whether a work order was valid. Within weeks, the firm had a handle on its invoices and work orders, completing an amazing turnaround: the company’s A/R moved from among the worst in the industry to the best.

Customers like this one can attest firsthand that when there is an issue with the ordering and payment process, it is not only painful for them, but it can quickly erode trust with the vendor. When the customer’s and equipment provider’s systems operate in silos, so much can go wrong.
