1.4.0002 Test Scores

Introduction TxEIS Test Scores is an application within the TxEIS Student system that allows you to view and maintain student test score information throughout the year, including TAKS, PSAT, ACT, SAT, SDAA II, TELPAS, STAAR 3-8, EOC, AP, and ITBS. The test score data is maintained over time, so test score information from previous years remains available.

MAIN MENUThe Test Scores main menu includes the current application version; options to change to a different application, exit the current application, and view online Help; and several menu options to utilize the Test Scores application.

CHANGE SCHOOL YEAR AND CAMPUSThe Change button allows you to access Test Scores data for another school year and campus.

■ When you click Change, the School Year and Campus fields become enabled, allowing you to select another school year and campus.

■ Click Apply to apply the changes. You can only select campuses to which you have been granted access.

CHANGE APPLICATIONThe Change Application link allows you to open another TxEIS application in a separate browser.

EXIT APPLICATIONThe Exit Application link allows you to close the Test Scores application. Click Exit Application to close the Test Scores application window. The Application Directory is displayed.

ONLINE HELPThe TxEIS Student system is constantly changing to meet ongoing state-mandated requirements and the needs of the school districts. With every system change that occurs, the online Help system is immediately updated to reflect the change.

Click the Help button in the upper-right corner of the application page for information about the individual fields on the pages. This ensures that you will be accessing the most up-to-date information for every field in the application.

SYSTEM REQUIREMENTS AND BROWSER SETTINGSPeriodically ensure that your system and browser settings meet the minimum requirements. For information about system requirements and recommended browser settings, see the System Requirements page found on the Contents tab of the online Help system.

Maintenance

DIRECTORY - TEST SCORESThe Directory page in Test Scores is used to retrieve student records in the Test Scores application if you do not know the student ID. The page is accessed from the Test Scores maintenance pages.

To find a student:

1. You can search for a student by last and/or first name. Other options allow you to narrow the search further. Enter data in any or all of the following fields:

● In the Last Name field, type all or part of the student’s last name. For example, you can type sm to find all students whose last name begins with Sm. You can type up to 25 characters.

● In the First Name field, type all or part of the student’s first name. For example, you can type jo to find all students whose first name begins with Jo. You can type up to 17 characters.

● The Campus ID field displays the campus ID to which you are logged on. You can type another campus ID for which you have access. The campus ID must be three digits.

● In the Grade Level field, type a grade level to narrow the search to one grade level. The grade level must be two characters.

● The Active Code field indicates the status of the student records. The field is set to 1 (Active) by default. If necessary, you can type another code.

● Select ACT, ACT Plan, AP, EOC, EOC English Trans, ITBS, PSAT, SAT, SDAA, STAAR 3-8, TAKS, or TELPAS to limit the search to only students who have records for these tests.

2. Click Search. The students who meet the criteria entered are displayed.

● You can re-sort the grid by clicking on an underlined column heading. It will sort in ascending order. Click it again to sort in descending order.

● If more students are retrieved than can be displayed on one page, you can page through the list.

3. When you locate the student you want to retrieve, click the student ID. The student’s information is displayed on the page from which you accessed the directory.

4. Click Cancel to return to the previous page without selecting a student.

INDIVIDUAL MAINTENANCETo retrieve a student:

1. To view a student’s records, select the student in one of the following ways:

● In the Student ID field, type the student ID. Leading zeros are not required.

● In the Student Name autosuggest field, begin typing the student’s name in one of the following formats:

□ Last name, comma, first name

□ Last name initial, comma, first name initial

As you begin typing the name, a drop-down list displays students whose names match the letters you have typed. The drop-down list also displays student IDs. From the drop-down list you can select the student.

2. Click Retrieve. The student’s grade level, date of birth, sex, and last four digits of the SSN, status, and TX Unique Student ID are displayed.

Note: Students who have status codes of 4 or 5 will not be retrieved and an error message will display.

ACTACT

The ACT page allows you to view and update a student’s ACT data. Alternatively, you can use the Import Test Scores utility to import ACT test data.

1. Under TESTS on the left side of the page, click ACT to retrieve the student’s existing ACT test data to the right side of the page.

2. Click +Add to add an ACT record for the student. The ACT dialog box is displayed.

● In the Admin Dt field, type the date that the test was administered in the MMYYYY

format. The administration date must be the current month and year, or prior.

● In the Ed Level field, type the student’s education level. Valid education levels are 07-15, where 07 includes grades 6 and 7, 13 is a high school graduate, 14 is a college student, and 15 is other.

● In the Test Loc field, type D - DANTES (military base), F - International Test Center (outside U.S., U.S. territories, Puerto Rico, or Canada), S - State (in-school testing or on a state test date), Z - School (testing not through national, international or state), or leave blank for the National Test Center.

● In the English Score field, type the score for the English portion of the ACT test. Valid scores are 01-36.

● In the Math Score field, type the score for the math portion of the ACT test. Valid scores are 01-36.

● In the Reading Score field, type the score for the reading portion of the ACT test. Valid scores are 01-36.

● In the Science Score field, type the score for the science portion of the ACT test. Valid scores are 01-36.

● The Total Score field automatically calculates the sum of the English, math, reading, and science scores. The field is read-only.

● In the Composite Score field, type the composite score for the ACT test. Valid scores are 01-36.

● In the Combined Eng/Wrt Score field, type the sum of the English and writing score. The field can be up to two digits.

● In the Writing Score field, type the sub score for the writing portion of the ACT test. Valid scores are 02-12.

● In the National Percentile fields, type the national percentage of college-bound students who are below the number in the Composite field. Valid percentages are 0-99.

3. Click OK to add the ACT data to the student’s record. The data is displayed in the grid.

4. Click Save to save the information.

5. To edit an ACT record, click . The ACT dialog box is displayed allowing you to update data.

● Update the fields as needed, click OK, and then click Save to save the changes. The

changes are displayed in displayed in the grid.

● Click Cancel to close the dialog box without making changes.

Notes:

● If the test file was imported, you cannot edit the record using . You can delete it.

● If the test was added manually, you can edit the record using .

● You can select multiple rows to be deleted at the same time.

● Click Save. A message is displayed asking you to confirm that you want to delete the row.

ACT PLANACT PLAN

The ACT PLAN page allows you to view and update a student's ACT PLAN data. Alternatively, you can use the Import Test Scores utility to import ACT PLAN test data.

Maintenance > Individual Maintenance > ACT PLAN

1. Under Tests on the left side of the page, click ACT PLAN to retrieve the student’s existing ACT PLAN test data to the right side of the page.

2. Click +Add to add an ACT PLAN record for the student. The ACT PLAN dialog box is displayed.

● In the Test Dt field, type the date that the test was administered in the MMYYYY format. The test date must be the current month and year, or prior.

● In the Rhetorical Subscale Score field, type the score for the rhetorical subsection (part of the English portion) of the ACT PLAN test. Valid scores are 01-16.

● In the Pre-Algebra Subscale Score field, type the score for the pre-algebra subsection (part of the math portion) of the ACT PLAN test. Valid scores are 01-16.

● In the Geometry Subscale Score field, type the score for the pre-algebra subsection (part of the math portion) of the ACT PLAN test. Valid scores are 01-16.

● In the National Norms fields, type the national percentage of college-bound students who are below the number in the corresponding field. Valid percentages are 0-99.

3. Click OK to add the ACT PLAN data to the student's record. The data is displayed in the grid.

4. Click Save to save the information.

5. To edit an ACT PLAN record, click . A dialog box is displayed allowing you to update data.

● Update the fields as needed, click OK, and then click Save to save the changes. The changes are displayed in the grid.

● Click Cancel to close the dialog box without making changes.

Notes:

● If the test file was imported, you cannot edit the record using . You can delete it.

● If the test was added manually, you can edit the record using .

The Advanced Placement (AP) page allows you to view and update a student’s advanced placement test data. Alternatively, you can use the Import Test Scores utility to import AP test data.

Maintenance > Individual Maintenance > AP

1. Click +Add to add an AP record for the student. The AP dialog box is displayed.

● In the AP Number field, type the advanced placement number. The field can be up to

eight digits.

● In the GRD Educational Level field, type or select the student’s educational level at the time the test was administered.

Valid education levels:

3 - < 9th Grade

4 - 9th grade

The End-of-Course (EOC) page allows you to view and update a student’s end-of-course test data. Alternatively, you can use the Import Test Scores utility to import EOC test data.

1. Under TESTS on the left side of the page, click EOC to retrieve the student’s existing EOC test data to the right side of the page.

2. Click +Add to add an EOC record for the student. The EOC dialog box is displayed.

● In the EOC Type field, type or select the code indicating the type of EOC test

administered.

● In the Season field, type or select the code indicating the season the EOC test was administered.

● In the Admin Year field, type the year the test was administered in the YYYY format.

Note: A future date can be entered; however, it must be within the calendar years associated with the school year. For example, if you are entering data for the 2013-2014 school year, you can use any date within the 2013 or 2014 calendar year.

● In the Tst Grade Level field, type or select the student’s grade level at the time the test was administered.

● In the Cnty Dist Camp field, type the county-district number in which the test was administered. The field is nine digits.

● In the Substitute Assessment field, indicate whether the student took a substitute assessment that met the requirements for that substitute assessment to count as the graduation requirement for the EOC subject.

● In the Assessment Substituted field, indicate what substitute assessment met the requirement.

● Under Obj/Category, in the Score 1-7 fields, type the number of items correct for each objective. The fields can up to two digits. The Obj/Category 7 field only applies to Algebra II.

● In the Raw Score field, type the total number of correct items. The field can be up to two digits.

● In the Scale Score field, type the statistically-determined score. This field applies only to Algebra I and allows you to perform a comparison of test results over time and across different groups. The field can be up to four digits.

● In the Met Standard field, type or select Y (i.e., yes) or N (i.e. no) to indicate if the student met the standard. The field applies only to Algebra I.

● In the Commended Performance field type or select Y (i.e., yes) or N (i.e. no) to indicate if the student’s performance on the section of the test was commended. The field applies only to Algebra I.

● In the Score Code field, type or select the code indicating why a test section was not scored, if applicable. Select S if the test was scored. Press TAB, or click outside of the field to display the code description.

● In the Score Default field, type or select the code indicating the score code default, if applicable. Select 0 if the score code was not defaulted. Press TAB, or click outside of the field to display the code description.

● In the Test Admin Mode field, type or select the code indicating whether the test was administered online or on paper. Press TAB, or click outside of the field to display the code description.

● In the Test Version field, type or select S - STAAR, L - STAAR L, M - STAAR Modified, T - STAAR Alternate to indicate the test version administered. Leave blank for previous assessment results from 2011 or earlier. Press TAB, or click outside of the field to display the code description.

● In the Met TAKS Equiv Std field, type or select 1 (i.e., yes) or 0 (i.e., no) to indicate if the student met the TAKS equivalent standards.

● In the Progress Measure fields for Reading and Math, type or select 0 - Did Not Meet, 1 - Met, or 2 - Exceeded.

● Under Student Passing Standards, enter data in the following fields, as needed:

□ In the Level II field, type or select the code indicating the student’s level II passing standard.

□ In the Level III field, type or select the code indicating the student’s level III passing standard.

● Under Academic Performance Phase-in 1, enter data in the following fields, as needed:

□ In the Level I: Minimum field, type or select 1 - Yes or 0 - No to indicate if the student met the level I minimum academic performance at the phase-in 1 standard.

□ In the Level II: Satisfactory field, type or select 1 - Yes or 0 - No to indicate if the student met the level II satisfactory academic performance at the phase-in 1 standard.

● Under Academic Performance Recommended, enter data in the following fields, as needed:

□ In the Level I: Minimum field, type or select 1 - Yes or 0 - No to indicate if the student met the level I minimum academic performance at the recommended standard.

□ In the Level II: Satisfactory field, type or select 1 - Yes or 0 - No to indicate if the student met the level II satisfactory academic performance at the recommended standard.

● Under Student Academic Performance, enter data in the following fields, as needed:

□ In the Level I: Minimum field, type or select 1 - Yes or 0 - No to indicate if the minimum score was achieved at the student’s standard.

□ In the Level II: Satisfactory field, type or select 1 - Yes or 0 - No to indicate if the level II satisfactory academic performance was met at the student’s standard.

□ In the Level III: Advanced field, type or select 1 - Yes or 0 - No to indicate if the level III advanced academic performance was met at the student’s standard.

● Under Academic Performance Phase-in 2, enter data in the following fields, as needed:

□ In the Level I: Minimum field, type or select 1 - Yes or 0 - No to indicate if the student met the minimum academic performance at the phase-in 2 standard.

□ In the Level II: Satisfactory field, type or select 1 - Yes or 0 - No to indicate if the student met the level II satisfactory academic performance at the phase-in 2 standard.

● Under Advanced Academic Performance, enter data in the following fields, as needed:

□ In the Level III: Phase-in field, type or select 1 - Yes or 0 - No to indicate if the student met the level III advanced academic performance at the phase-in standard.

□ In the Level III: Recommended field, type or select 1 - Yes or 0 - No to indicate if the student met the level III advanced academic performance at the recommended standard.

Note: The Academic Performance fields should only be used for students who tested in 2012 or later.

3. Click OK to add the EOC data to the student’s record. The data is displayed in the grid.

4. Click Save to save the information.

EOC ENGLISH TRANSEOC ENGLISH TRANS

The EOC English Transition page allows you to view, add and update a student's EOC English Transition data. In the 2012-2013 school year, students took separate English Writing and English Reading EOC tests. Beginning in 2013-2014, these tests have been combined into a single English EOC exam. In order to facilitate the transition, the EOC English Transition was created. Students who passed either the reading or writing assessment for previous English I and/or II exams, met the minimum score on the other, and achieved at least a combined scale score of 3750, are given credit for the associated EOC test.

Note: If the combined total on the reading and writing assessments is less than 3750, the row will not save.

Maintenance > Individual Maintenance > EOC English Trans

1. Under TESTS on the left side of the page, click EOC English Trans to retrieve the student's existing EOC English Transition test data to the right side of the page.

2. Click +Add to add an EOC English Transition record for the student. The EOC English Transition dialog box is displayed.

● In the EOC Code field, select or type the code for which Reading and Writing will be substituted.

ITBSITBS

The Iowa Test of Basic Skills (ITBS) page allows you to view and update a student’s Iowa Test of Basic Skills test data. Alternatively, you can use the Import Test Scores utility to import ITBS test data. To prevent errors when importing data, you must use the file import Form RPC04.

Maintenance > Individual Maintenance > ITBS

1. Under TESTS on the left side of the page, click ITBS to retrieve the student’s existing ITBS test data to the right side of the page.

2. The ITBS Levels are displayed on the left side of the page. Click an ITBS Level to expand the drop down and view the available test options.

3. Each ITBS Level displays the student’s test score data by batteries (Core, Survey, and Composite), if applicable. The test score data is divided into subcategories at the Survey and Composite levels in which the student may have one or more test score records. An asterisk indicates existing test score data.

4. The student’s test score data is displayed in form view on the right side of the page and in grid view at the bottom of the page, according to your selection. The form view defaults to the first ITBS level in which the student has test score data. If more data is retrieved than can be viewed, you can scroll through the data.

5. Click +Add to add an ITBS record for the student. The ITBS dialog box is displayed according to the ITBS level and battery selected. A blank row is added to the grid, and the form view is cleared allowing you to enter the student’s test score data.

Notes: ● Core test score records do not exist for ITBS levels 5, 6, and 7.

● Survey test score records do not exist for ITBS levels 5 and 6.

● Composite test score records do not exist for ITBS level 5.

● The Core battery is not divided into subcategories; therefore, does not have individual tests associated.

● Click Yes to set all codes to T. Or, click No to close the dialog box and leave the codes unchanged.

SDAA IISDAA II

The State-Developed Alternative Assessment (SDAA) II page allows you to view and update a student’s SDAA II test data. SDAA II is a Texas Assessment of Knowledge and Skills (TAKS)-aligned assessment program that measures the academic progress of students in grade levels 3-10 who receive special education services and for whom the TAKS test is not an appropriate measure of academic progress, even with allowable accommodations. Like TAKS, SDAA II measures the degree to which students understand the Texas Essential Knowledge and Skills (TEKS) curriculum.

SDAA II includes the instructional levels of kindergarten through grade 10 and measures the TEKS curriculum. Students in grades 3-10 are assessed in reading/ELA and math at their appropriate instructional levels. Students in grades 4, 7, and 10 are assessed in writing and reading/ELA at their appropriate instructional levels.

TELPASTELPAS

The Texas English Language Proficiency Assessment System (TELPAS) page allows you to view and update a student’s TELPAS data, which consists of the Texas Observation Protocols (TOP) and Reading Proficiency Tests in English (RPTE). TELPAS is an assessment program for students in Texas public schools who have limited English proficiency. Under the No Child Left Behind Act of 2001, Texas must assess English language learners annually in listening, speaking, reading, and writing. Students learning the English language begin participating in TELPAS in kindergarten and stop participating when their language proficiency assessment committee (LPAC) determines that they are proficient in the English language.

For students in kindergarten through grade 2, TELPAS consists of the TOP. For students in grades 3-12, TELPAS consists of the RPTE and the TOP. Both parts assess the progress that students are making in learning English.

UtilitiesThe Test Scores application offers one utility.

IMPORT TEST SCORESThe utility imports and updates records from a fixed-length file created by third-party testing software. The utility also imports the testing data into the most current enrollment record for students who were enrolled in a prior year but are not enrolled in the current year.

Note: The Test Scores > Maintenance > Individual Maintenance page can also be used to add or update test data.

Utilities > Import Test Scores

1. For Test Type, select the test for which to import data files from the following options:

● ACT TestNotes: □ Students who test more than once will have multiple records imported with the same

month and year; however, the test location will vary.

□ The State ID column displays either the students eight-digit ACT ID or the last four of his social security number.

□ If the imported record does not have data in the following fields: Name, Gender, DOB, or Grade, then hyphens are displayed.

□ Warning: When imported records have the same administration date and test location as existing records in the ACT table, the imported records will replace the existing records, and all manual updates will be lost.

2. Click Browse to locate the file. The Choose File dialog box is displayed.

3. Locate the file, and then click Open. The file name is displayed.

4. Select Ignore record length validation if you want to be able to import a file that has fewer than 500 characters. This field is only displayed if you selected TAKS Test for Test Type.

The standard import record length is 500 positions; however, if the field is selected, the import program bypasses the length validation and accepts any length record without generating an error. Therefore, if you create a file to import that is less than 500 characters, you do not have to space out the remaining positions.

5. Click Import.● When the process is complete, a message is displayed indicating that the import was

successful. ● The number of records imported successfully is displayed, as well as the total number of

records in the file.

● If the import was previously run for the same test data file, or if errors are encountered, a message is displayed asking if you want to view the error report.

6. Click Yes to open the report. The report opens in a new window.

Notes: ● The report is temporary and only available at the time of import. You must save or print

the report at this time, as it will not be available to view or print after you close the report window.

● When viewing a test error report, the student records that display a Warning in the Severity column indicate that the record was imported; however, you should review the record for accuracy. The student records displaying an Error in the Severity column indicate that the record was not imported.

CREATE TEST SCORES REPORT The Create Test Scores Report page allows you to create a customized Test Scores report for students at one campus or all campuses. The information is taken from the most current student record for the selected school year.

1. In the Report Title field, type a title for the report. The title can be up to 50 characters.

2. Under Campus Options, select Campus to print information for the campus to which you are logged on, or select All Campuses to print information for all campuses in the district to which you have access (according to your security settings).

3. To view and print the report in landscape orientation, select Print Landscape.

Notes on PDF printing:

● If you do not select Print Landscape, and the number of columns selected would create a report that is wider than the portrait paper width, the report is automatically printed in landscape orientation.

● If you select Print Landscape, and the number of columns selected would create a report that is wider than the landscape paper width, the font size is reduced in order for all fields to be displayed on the page. If too many fields are added, the font will become illegible.

● When the report opens in Adobe Reader, you cannot change the orientation.

4. The fields are grouped by student table. Click a group heading (Demographic, Demo Info, TAKS, PSAT/SAT, ACT, SDAA II, TELPAS, EOC, STAAR 3-8, or Advanced Placement) to expand the drop down and select the fields for which you want to print information.

You can select an entire group of fields by selecting the group name (e.g., Demographic).

5. Click Clear Checkboxes to clear all selected fields.

6. Click Create Report to generate the report. The report displays the selected data. The report heading includes the county-district number, campus ID(s), report title, school year, date and time, page numbers, and record count.

SORTING AND FILTERINGSome reports allow you to sort and filter data to make it easier to review or find records in the reports.

Sorting

You can sort data to make it easier to review or find records in the reports. Reports that can be sorted have a Sort button at the top of the report.

1. Click Sort. The Sort dialog box is displayed.

2. Click Add to add new sorting criteria. A row is displayed in the grid.

● In the Column field, select a field by which to sort the data.

● In the Sort Order field, indicate if you want to sort the column in ascending or descending order.

3. To add another row, click Add. Continue adding rows as needed.

Sorting is applied in the order in which it was added.

4. To delete a row, select the row, and then click Delete. The row is deleted.

5. Click OK to apply the sorting to the report.

Filtering

When you want to view only certain data, you may find it useful to filter the data in the window.

You can use specific criteria to retrieve only the data that you want. Reports that can be filtered have a Filter button at the top of the report.

1. Click Filter. The Filter dialog box is displayed.

The Original Filter Criteria section displays the original filter expression.

2. Click Add to add new filter criteria. A row is displayed in the grid.
