The Treffert Academy is delighted to welcome your child and family to our celebration of children and learning. We believe chil-dren learn best through play, movement, and guided discovery. The Academy has designed an environment that promotes child engagement through movement and meaningful experiences. Academy teachers nurture social connections and have the expertise to understand that young children are just learning self-regulation and often challenging behaviors are part of gaining the new skills of self-awareness and self-regulation. It is the Academy’s policy to administer a developmentally appropriate curriculum in a manner that ensures a diverse learning environment, which is vital to children’s social-emotional, physical and cognitive growth.

The mission of Agnesian HealthCare and the Treffert Academy is to provide compassionate care that brings Hope, Health, & Wholeness to those we serve by honoring the sacredness and dignity of all persons at every stage of life.

From the moment you walk into our newly re-designed center you feel the energy and support for your child no matter what their individual need is. We work with our families to promote positive, supportive, nurturing relationships, which set the tone and provide a model for everyone. We encourage parents and teachers to work together to create the best possible experience for the children. It is important to us that we continue to build supportive relationships with families, and hope to collaborate with you to provide a wonderful experience for your family.

Thank you for choosing the Treffert Academy. At the Academy we share with you as your children grow, learn, and become the unique, special people they are already on their way to being. We are excited about the journey.

Learning through play and movement is a major component of the Treffert Academy. Plentiful time, materials, and space are provided for children to actively explore the world around them. Children have an opportunity to use an assortment of art mate-rials, manipulatives, and housekeeping equipment. Treffert Academy curriculum provides exposure to a variety of cultures and celebrates how we are all the same and how we are all different from one another. Religious training is not part of our program; however holiday celebrations are allowed and reflect the diversity in cultures.

CurriculumTreffert Academy teachers utilize the The Creative Curriculum for Preschool to create lesson plans. The Creative Curriculum for Preschool, (4th edition; Dodge, Colker, Heroman 2011) is an environmentally based curriculum carefully chosen by Kimberly Nichols-Green MSE, Autism Therapist, Curriculum Coordinator & Educator. This curriculum utilizes best practices taking the needs of every type of learner into account. Developmentally appropriate practice means teaching in ways that match the way children develop and learn and provides children opportunities to practice newly acquired skills. The curriculum offers challenges just beyond the level of their present mastery, and takes place “in the context of the community where children are safe and valued, where their physical needs are met, and where they feel psychologically secure” (Bredekamp & Copple 1997, pp. 14-15). The approach is based on theories and research from the work of Piaget, Maslow, Erickson, Smilansky, Vygotsky & Gardner. The Academy also uses a kindness curriculum modeled after recent research from the Waisman center, (Goldberg, Pinger, Davidson; 2015). This approach helps children learn how to become more aware, not only of themselves, but others through practices that encourage them to “bring mindful attention to present moment experience”. These practices improve self-regulation skills, the ability to pay attention, impulse control, and kindness.

All Academy associates have information about Developmentally Appropriate Practices and are able to review this information at provided associate meetings. Treffert Academy teachers plan activities and provide children with a variety of experiences including:

• Language development: Books, writing materials, music, stories and games, finger plays, poems, and flannel board stories

• Large muscle skills: Balls, hoops, bubbles, running, jumping, dancing, indoor gym activities. and outdoor play

• Small muscle skills: Puzzles, art and craft activities, manipulative toys, and blocks

• Creative expression: Dramatic play props, puppets, musical instruments, and movement activities

• Self-help skills: Cleaning up after self, helping with mealtime preparation, daily responsibilities, and dressing self

Lesson Plans A schedule of daily activities is posted for each classroom. Groups of children may be combined together at the beginning and at the end of the day. Activities at these times are designed for a wide age range of children working and playing together. Lesson plans are completed at least a week in advance by an Academy teacher using a selection of resources, including the Wisconsin Child Care Information Center (800-362-7353). Lesson plans and activities focus on a weekly to monthly theme based on the interests of the children, such as animals, friendship, family, and careers.

Preschoolers Preschoolers are encouraged to play with a wide variety of safe toys and objects. Preschoolers have access to a variety of developmentally appropriate activities, both structured and non-structured. They also have ample time for large muscle activities, play, and movement. Preschool children may have the opportunity to participate in Intergenerational activities and Peer-Modeling activities. Information about what the children ate, when quiet/nap time was offered, and daily classroom activities are posted and available for parents.

School-age children The Academy environment allows school-age children to unwind, relax, socialize with peers, and be themselves after a day in school. They have a quiet place to study and assistance from teachers if needed. School-age children are given the tools and encouragement to help plan and organize their environment by allowing them to have input on activities, clubs, and materials they find appealing. They also have access to developmentally appropriate and age appropriate materials and activities, and have sufficient time for large muscle activities. School-age children may have the opportunity to participate in Intergenerational activities and Peer-Modeling activities. Activities to promote independence, leadership skills, and self-help (such as meal preparation, laundry, and budgeting) may be offered.

Rest and/or naptime Rest and/or naptime is provided for all children younger than five years of age who are in care for more than four consecutive hours. Bedding is laundered after every five uses, or sooner if necessary. Children who remain awake after 30 minutes of resting or wake early from rest time are allowed to get up and engage in a quiet activity that does not disturb the rest of the children, such as reading, coloring, soft animals, and puzzles. Children sleep on a cot or mat, with a sheet and parent provided blanket. Children are allowed to bring a blanket and/or small stuffed animal to have during rest/naptime. All items must be labeled with the child’s name.

Extended Care Children at the Academy for early morning or late afternoon care are provided additional activities denoted on the lesson plan. Those children also have opportunities for an additional rest period if needed.

Program Schedule

Outdoor Play Children go outdoors daily when weather permits. Children age two and above are kept indoors in the following conditions: heavy rain, outdoor temperatures above 90 degrees Fahrenheit, and outdoor temperatures below zero degrees Fahrenheit, including the wind chill. If the inside temperature rises above 80 degrees Fahrenheit, Treffert Academy will provide fans or air-conditioning. There is multiple play yards available for the children, each created for age appropriate play. The play yards offer different types of activities such as bike riding on concrete paths, climbing, swinging, and art.

Swimming Pools Treffert Academy does not have a swimming pool on the premises. In the event the Academy uses an off-premises pool / water attraction / beach for special summer field trips, Academy associates will follow all safety and supervision requirements as specified by licensing rules.

Treffert Academy utilizes positive proactive procedures to support and understand children’s behavior. The Academy provides guidelines for expected behaviors and consistently models these behaviors. Children are also guided to self-regulate. Academy associates positively state what children can do, using specific terms; e.g. “you need to walk” rather than “don’t run”. Children are given a wide variety of developmentally appropriate and age appropriate activities and materials to choose from and are given the attention they need before they demand it. Classrooms are arranged in learning centers to encourage small group play as well as a larger area for group/circle time. Behavior management is utilized for the purpose of helping children develop self-regulation, self-esteem and respect for the rights of others. Our daily schedule of activities is designed to be consistent and offer a routine with clear guidelines and expectations.

Positive Behavior PlansAcademy associates recognize that no single technique will work with children every time. If a child continually exhibits a challenging behavior, Academy associates may conference with parents to understand the behavior and may create a positive behavior plan. The Academy makes referrals to appropriate community resources as needed. The Treffert Academy has the right to discharge a child from the Academy according to the Discharge of Enrolled Children (page 11).

Restricted Forms of Child GuidanceIn accordance with “Wisconsin Rules for Group Child Care Centers,” actions that are aversive, cruel, humiliating, and actions that may be psychologically, emotionally or physically painful, discomforting, dangerous or potentially injurious are prohibited. Prohibited actions include spanking, hitting, pinching, shaking, slapping, twisting, or inflicting any other form of corporal punishment on the child; verbal abuse, threats, or derogatory remarks about the child or the child’s family; physical restraint, binding or tying the child to restrict the child’s movement or enclosing the child in a confined space such as a closet, locked room, box or similar cubicle; withholding or forcing meals, snacks or naps; punishing a child for lapses in toilet training. These forms of punishment are never permitted to be used, even at a parent’s request.

Treffert Academy does not use time outs as a form of child guidance. Challenging behaviors are redirected to another activity and appropriate coping skills are taught and practiced.

All Academy associates are trained in Shaken Baby Syndrome, which includes appropriate ways to manage crying, fussing, or distraught children, as required. Academy associates are trained to understand that children cry or become upset. Methods of responding include, but are not limited to: sensory activities, soothing, swaddling, rocking, softly singing, gently massaging, or going for a walk. Associates are trained to remain calm during periods of crying and fussiness. They are also trained to ask for help when needed.

TransitionsTreffert Academy associates are versed in understanding the challenges of transitions and ensure that children’s schedules have predictable sequences and avoid lengthy periods of standing in line for activities. Children are given verbal notice before transitions between activities and also given ample time to complete transitions.

Treffert Academy is licensed and inspected regularly by the State of Wisconsin, Department of Children and Families. The Academy is owned and operated by Agnesian Health Care as a Child Care Center. The Treffert Academy Delegation of Authority is as follows: Owner, Agnesian HealthCare; Treffert Center Director and Co-Administrator, Matthew Doll, PhD; Academy Supervisor/Director & Co-Administrator, Leah Smet; Assistant Director; Receptionist, Lead Preschool Teacher. To contact individuals on the Delegation of Authority list, please call the Academy and ask to speak with the individual. An onsite Director will manage the day-to-day operations.

Americans with Disabilities Act Treffert Academy complies with the provisions of the Americans with Disabilities Act (ADA). Treffert Academy does not discriminate against any child or family with respect to any terms, privileges, or conditions of admission because of a person’s physical or mental disability or a person’s disease such as HIV/AIDS, Sickle-Cell Trait, cancer, heart disease, or other life-threatening illnesses or diseases. Treffert Academy makes reasonable accommodations as necessary for all children with disabilities, provided that the accom-modations do not impose an undue hardship on the Ministry.

TermsThe Academy serves children ages three to twelve years. The Academy does not offer child care for children birth to 35 months of age. Children may be enrolled on a full-time basis or part-time basis. Full-time is defined as attending four days a week or more. Part-time is defined as attending less than four days. There is no restriction on the minimum hourly attendance. Treffert Academy is licensed to serve a capacity of 51 or more children at any one time. A waiting list is kept by the Academy administration to determine who will fill any openings. Priority is given to full-time children and to siblings of Academy enrollees. Children needing part-time care are put on the waiting list until another family’s schedule becomes available to fill the remaining slots for that week.

Changes in AttendanceParents must give a two week written notice of their intent to alter or permanently change their child’s attendance. Requests may be accommodated if space is available. All outstanding fees must be paid before the end of the two week period. If a parent fails to provide a two week written notice, they may remain responsible for the previously agreed upon tuition rate until the two week period has ended.

Drop-In Care Treffert Academy accepts children for Drop-In Care if prior enrollment arrangements have been made and space is available. Drop-In Care is provided for emergency use on days your child is NOT signed up for on the Parent/Provider Agreement. It can also be requested for an occasional status use in which case your child does not come on a consistent weekly basis. If Drop-In Care is used in a consistent pattern, parents may be asked to add days to their child’s contracted schedule. This is to ensure the Academy can accommodate families and meet teacher to student ratios appropriately. A Drop-In Care Consent form is required for each day the child attends the Academy outside of their contracted days. Non-School Days are not considered Drop-In Care.

Days and Hours of OperationThe Treffert Academy is open year round, Monday through Friday, from 6:30 a.m. to 6:00 p.m., January through December. No service is provided on New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving, and Christmas Day. All regular fees are charged for these holidays. The Treffert Academy does not provide night care.

Parent NotificationThe Treffert Academy is covered by liability insurance. The following items are available for review via postings in classrooms and/or hallway, parent binder, and/or EZ-Care2 notifications:

The Treffert Academy does not have pets. In the event that any visiting pet will be present in the Academy, parents will be noti-fied in advance via newsletter, posting in the classrooms or hallway, and/or via EZ-Care2 notification. Consent forms for child participation with pets are sent home for parents to sign and return.

Smoking is not permitted anywhere on the premises of the Academy. Concealed and/or non-concealed weapons are not permit-ted anywhere on the premises of the Academy. This includes but it is not limited to, any type of gun, hand gun, electric weapon, knife, switchblade or club.

Authorized PersonsParents are welcome to visit at any time during the hours of operation unless prohibited by a court order. If so, a copy of the order is required to be provided by the parent and kept on file. If a family is experiencing custody difficulties, the Academy urges the family to keep the Academy associates fully advised of circumstances which might affect your child and supervision. Unless legal documentation is submitted to the contrary, the Academy will assume that parents share equal rights.

If a child leaves with another person other than their parents, an authorization from the parent must be on file. If a child arrives or departs by another method of transportation, other than a parent, an Alternate Arrival/Release Agreement must be on file. When an authorization or agreement is signed, parents are giving permission for their child to come and go from the Treffert Academy with an alternate person or method of transportation. During this time, they are signed out of care from the Academy. Parents or authorized adults are required to bring children into the building and sign the children in at the beginning of the day (documenting arrival time) and sign them out at the end of the day (documenting departure time) using the provided tracking system at the reception desk. If the child has a change in the classroom assignment/location during the day, Academy associates sign them out on their current headcount sheet and sign them in on the new location headcount sheet. This ensures that Academy associates know the names of the children and the numbers of children in their care at all times.

Children are only released to person(s) listed on the Enrollment form. In the case of an emergency, if anyone other than a parent or authorized adult is to pick up a child (ren), Academy associates need to be notified in writing or by a telephone call in advance. The person picking up the child (ren) is required to show a driver’s license or other form of photo ID.

If a parent or other authorized person arrives to pick up a child and that person appears to be intoxicated or under the influence of drugs, all reasonable steps are taken to prevent the person from leaving with the child, including offering to call a cab or another contact person. While Academy associates cannot legally withhold a child from the legal guardian, they do not hesitate to call the local authorities if they feel the child is in danger.

Parent Communication ProceduresIt is important that parents and Academy associates communicate daily concerning the needs and interests of the child. If there are issues or concerns that need to be discussed in detail, a verbal or written notice is given to the parent. Please work with your child’s teacher to arrange a convenient time to schedule a meeting or talk on the phone. To foster communication on a regular basis, Treffert Academy provides scheduled conferences twice annually, written newsletters, parent bulletin boards, notifications in EZ-Care2, and daily conversations.

LimitationsPrior to the first day of attendance, children are expected to be day-time potty trained. In the case that your child is not potty trained and you would like to enroll your child, please meet with the Director to discuss an individual plan of care. Enrollment will depend upon the Academy’s ability to accommodate your child’s specific potty training needs. Treffert Academy associates understand that children have accidents and that all children are unique in their stages of development. Associates use verbal and visual reminders to encourage children to use the bathroom throughout the day.

If in the case Academy associates need to diaper a child, associates are trained on and follow the Wisconsin State Licensing Rules on diapering.

ConfidentialityAll associates are required to sign a Confidentiality Agreement, in which they agree not to disclose or discuss any personal information regarding the children and their families to anyone, aside from other Academy associates caring for the child, without the proper consent. Associates may share concerns to an Academy Administrator or Director, without consent, if they feel a child or family may be in danger.

Mandated ReportingAll Treffert Academy associates are mandated reporters of suspected child abuse and neglect. Academy associates are required to notify the proper authorities if they suspect that any child is being improperly treated. Reports of suspected abuse are reported in the Medical Log. Each Academy associate receives training at least every two years in the following areas: child abuse and neglect laws, how to identify children who have been abused or neglected, and the procedure for ensuring that all known or suspected cases of child abuse or neglect are immediately reported to the proper authorities by the associate with the suspicion.

Enrollment FormsParents interested in enrolling their children at Treffert Academy must fill out and return an Academy Registration form (with fee) and meet with the Director to discuss their child’s specific needs and to review program policies. Treffert Academy recognizes the importance of structure and consistency, therefore, the Academy requires written instruction and information from parents about their child’s home routine, diet, sleeping habits and toileting. Each child has a written confidential record which is kept at the Academy and is available to the parent (unless not permitted due to court order) and licensing representative upon request. Each record contains the following items which must be completed and returned to the Academy by the first day of attendance:

The Director or person in charge informs parents of any updates needed to these forms. Parents are given no more than 10 business days to submit the updated forms.

The Parent/Provider Agreement informs Academy associates on each child’s scheduled attendance and arrival time. Parents are encouraged to call if their child will not be attending or will be arriving late. If a child is being transported by a transportation company and does not arrive at the scheduled time, an Academy associate may call the parent or authorized adult to check on the child. If a child is absent without notification or has not arrived within an hour of specified arrival time, the Academy will call the parent and/or emergency contact on child’s information page to locate the child.

The Treffert Academy discourages your child from bringing in any toys or belongings to eliminate the sad chance of the item becoming lost or broken. Exceptions may be made for special days such as: Show and Tell, themed Spirit Days, Student of the Week, etc.

Tuition and any applicable fees are due in advance on Friday for the following week of service. Each family is given five va-cation days per calendar year, in which they are not responsible to make tuition payments. A one week written notice must be given for vacation days.

Tuition charges are calculated and charged according to all contracted days indicated in the Parent/Provider Agreement, whether or not the child is present those days. Scheduled and approved vacation days are an exception. If additional days or Drop-In Care is needed, payment will be due the day of care.

Treffert Academy accepts Check, Money Order, and Electronic Funds Transfer (EFT) services. When electing EFT services, Treffert Academy will transfer funds weekly via your checking account.

If there will be a third party payment, as from an employer or the county, a special payment schedule will be arranged and detailed in the Parent/Provider Agreement. Parents will be responsible for any specified co-payments or unpaid amounts.

The Treffert Academy does not offer a sliding fee scale or any other discounts.

FeesThere is a registration fee due with submission of Academy Registration form. Please see rate document for more information. If a family terminates care and re-enrolls at a later time, the registration fee and Academy Registration form will apply. Any additional fees for field trips, clubs, activities, etc. will be charged on a case by case basis. Treffert Academy will announce any tuition increases at least two weeks in advance.

There is a late fee assessed on all accounts that are past due. This fee is charged every Wednesday if your account is outstanding. Please see rate document for more information.

There is a Non-Sufficient Funds (NSF) fee for all returned checks. Please see rate document for more information.

A late fee is applied per every minute a child remains in care after closing hours. Please see rate document for more information.

RefundsNo refunds are given for days when children do not attend due to illness or other reasons aside from a scheduled and approved vacation day.

The Treffert Academy values equal learning opportunities and safety for all children. Open communication between parents and Academy associates is encouraged to address issues as soon as possible. However, in order to provide safe and quality care the Academy reserves the right to involuntarily discharge a child, without appeal for reasons such as, but not limited to:

Verbal warnings are not acceptable means of intent to discharge. Treffert Academy may give up to two weeks written notice of our intent to discharge a child as well as try to inform parents of local resources that may be of help to them, except when due to parent’s failure to keep current with fees owed or when immediate termination is required due to child and/or associate safety.

Parent initiated decision to withdraw from the Academy or change attendance must provide a two week written notice. All outstanding fees must be paid before the end of the two week period. If a parent fails to provide a two week written notice, they may remain responsible for the previously agreed upon tuition rate until the two week termination period has ended.

Challenging BehaviorsThe Academy takes very seriously its opportunity to support and nurture all children while it strictly protects the safety of all who enter the Academy. One of the developmental tasks of young children is to experience emotional diversity and develop self-regulation. For some children, self-regulation develops very easily and for others there is a longer or more intense learning curve to achieve self-control.

Academy associates are committed to working with the diversity of the children to develop the accommodations that will help bring positive outcomes. This process requires the engagement of the parents and may include recommendations and referral for families to utilize community supports.

For any child experiencing challenging behaviors Academy associates, using Positive Behavior supports, provide on-going assessment and accommodations until a child reaches successful benchmarks. A positive behavior plan may be made.

There is no specific time line on the process for accommodating challenging behaviors. In the event that the Academy has identified that the child cannot be served in our group setting, it is hoped that a mutual decision can be reached between the Academy and family about discontinuing placement at the Academy. However, the Academy can activate an involuntary discharge in areas regarding safety. This may occur with less than a 24 hour notice. Families discharged for safety are not responsible for any payment after the final day of discharge selected by the Academy. All decisions made by the Academy are final and without appeal.

GrievanceThe Treffert Academy strives to provide an environment where concerns are addressed as they occur and open dialogue is fostered. To that end we ask that parents with a concern discuss them with their child’s classroom teacher. The classroom teacher may ask for support from appropriate Academy associates to ensure the concern is correctly addressed. If the parent continues to have the concern they should contact the Academy Director. During the process of addressing the concern, the Academy will include parents in discussion to best understand how the issue is being addressed.

The Treffert Academy provides an age appropriate menu that meets all USDA requirements. Whenever possible the meals are varied to reflect cultural and ethnic preferences of the children. Menus of snacks and meals are provided and are posted for parent review. Menus are kept available for review for three months. Specialty menus are not provided by the Treffert Academy.

Food Preparation and DeliveryTreffert Academy does not prepare meals and snacks on site. St. Agnes Hospital Nutrition and Food Service prepares and delivers Treffert Academy meals and snacks. St. Agnes Hospital Nutrition and Food Service follows all USDA guidelines and food safety and sanitation regulations. Agnesian HealthCare provides food service personnel orientation and training. These policies are available to parents upon request. St. Agnes Hospital Nutrition and Food Service is responsible for the dishwashing and sanitization of all Academy dishes and kitchen utensils.

Food StorageFood is stored off of the floor and once opened, in airtight containers. Refrigerator (40 degrees or colder) and freezer temperatures (0 degrees or colder) are properly maintained.

Breakfast and Special Treat DaysTreffert Academy does not provide breakfast. Breakfast may be provided by parents if the child is at the Academy before 7:45 a.m. Breakfast from home must be nutritious.

Special treat days and celebration days are welcomed at Treffert Academy. Parents must notify Academy associates before bringing in any class treat. Treats must be store bought with ingredient label attached. Parents are asked to provide healthy treats, low in fat and sugar.

Meals and Snack TimeAcademy meals and snacks are served family style. Academy teachers eat the provided lunch and snacks with the children as it is part of the “family” experience to eat together.

Academy associates teach children how to properly serve themselves and emphasize growth in such independent behavior. Mealtimes include meaningful conversation, promote social interaction, encourage good table manners, and develop sound nutritional habits. Children are encouraged to clean up after themselves. Eating surfaces are sanitized before and after meals and snacks and associates and children wash their hands before and after eating. Children are not forced to eat; they are encouraged to try new foods as appropriate. Meals and snacks are not withheld as a form of punishment.

Children who attend during the early morning or late afternoon hours are offered a snack to ensure they never go without food for more than three hours. School¬-age children are offered an afternoon snack upon return from school.

Food Allergies and Special Dietary NeedsFood allergies and special dietary need notifications are available in the classroom for associates to review. Each classroom has an “allergy table” which allows children with significant allergies to eat along and socialize with classmates during meal times. If a child has a special dietary need or food allergy, parents must have their health care professional fill out a Health Report form. Parents must also provide written notice on the Health History and Emergency Care Plan. In the event of a special dietary need or food allergy, parents are responsible for providing any substitutions from our current menu offering; those substitutions should meet the CACFP Meal Pattern Requirements from the USDA (Appendix B). In the event a child has a life threatening food allergy all Academy associates and parents receive written notification of the type of allergy and the food may be prohibited from being brought into the Academy.

The Treffert Academy strives to promote health for all associates and children. The Academy works to improve the quality of health and to prevent the spread of illness. The Treffert Academy does not provide care for mildly ill children.

All children are observed for symptoms of illness upon arrival. Parents are contacted as soon as possible if a child should become ill or seriously injured while at the Academy or off-site. Children who become ill are isolated within sight and sound and are made as comfortable as possible. Children may return to the Academy when they have been symptom free for 24 hours, have been appropriately treated, or have been given medical approval to return to child care. An exam by a physician may be required, including a diagnosis, and specific instructions for treatment before accepting the child back into the Academy.

Medical LogTreffert Academy maintains Medical Logs with documentation of the administration of medication, missed dosage or damage of medication, accidents or injuries that happen when children are in care, marked changes in behavior and appearance, child welfare, and observations of injuries to a child’s body received outside of care. Each entry is documented in ink and on a new line.

Communicable DiseaseIn the event a communicable disease (reportable under ch. DHS 145) is confirmed, the Fond du Lac County Health Department and the Department of Children and Families are notified. Parents of children exposed are notified in writing and are given symptoms to watch for. A child with a communicable disease is allowed to return to the Academy after an exam and permission from a physician.

Accident & InjuryThe Treffert Academy associates understand children bite for many different reasons. In the event of a child being bitten by another child, Academy associates respond with calm supportive assistance. The site of the bite is cleaned and rinsed under running water. Both the parents of the child who was bitten and the child who bit receive an Incident/Accident Report and as-sociates report it in the Medical Log. Regulations do not allow Treffert Academy associates to provide the names of the children involved to families.

Superficial injuries on site or off premises of either an associate or child are washed with soap and water and covered with a bandage and/or treated with ice, as soon as possible. Associates have a basic first aid kit in their emergency bag that they bring with them outdoors and for walks. Parents will receive an Incident/Accident Report about the minor injury when they pick up their child and the Academy associates responsible for the child will report it in the Medical Log.

All Academy associates have training in infant and child CPR and first aid. First aid supplies are kept in emergency bags and in the Academy Director’s office. An AED is available in the hallway.

If there is a need for emergency medical treatment, 911 is called and the child and/or associates are taken to St. Agnes Hospital. Should an ambulance be needed, parents will be responsible for any costs. Parents are contacted by an Academy associate, as soon as possible, after contacting 911.

Personal CleanlinessProper hand washing procedures are followed to prevent the spread of disease. Hand washing is taught, practiced, and its importance emphasized to children daily. Associates wash hands when entering a classroom, before and after changing a diaper/assisting in the bathroom, before and after serving food, after nose wiping, after handling any bodily fluids, and after using the restroom. Children wash their hands before and after snacks and meals, after using bathroom/ diapering, after playing outdoors, after wiping their nose, and after handling any bodily fluid. Hand washing procedures are posted at all of the sink areas. Wet or soiled clothing and diapers are changed promptly from an available supply of clean clothing provided by each family. Wet or soiled clothing and bedding are placed in a plastic bag for parents to take home. Wet and/or soiled diapers are disposed of in a plastic lined, hands free container with cover.

SanitizationFurnishings, toys, and other equipment shall be washed and cleaned frequently and when they become soiled with a sanitizer approved by the Department of Children and Families.

Universal PrecautionsAll Treffert Academy associates practice universal precautions when handling all blood injuries and bodily fluid. All associates use disposable gloves when treating blood injuries. Injuries are properly washed and all of the materials used to treat the injury are wrapped in an airtight plastic bag and disposed of immediately. The associate that treated the injury and the person injured will wash their hands after treatment.

MedicationsTreffert Academy administers prescriptive medication, non-prescriptive medication, nutrient concentrates, and supplements only under all of the following conditions:

• ParentalconsentisprovidedontheAuthorizationtoAdministerMedicationform,whichshallbecompletedforeachday the child is receiving the medication, nutrient concentrate, and/or supplement.

• TreffertAcademywillonlyadministermedication,nutrientconcentrates,and/orsupplementsifthedirectionsstateitis best for the child to receive during the hours the child is in Academy attendance or with physician instructions.

• TreffertAcademywillnotadministerthe1stdoseofanymedication,nutrientconcentrates,orsupplements.

All medications are stored so they are not accessible to children. Treffert Academy will not exceed the age-related dosage on the label of any medication without a written doctor’s authorization. Any errors in administering medications such as a missed dosage, damaged capsule, etc. are immediately informed to the parents and recorded in the Medical Log.

ImmunizationsEnrolled children need to be properly immunized with an immunization record on file. The Treffert Academy has the right to deny or terminate enrollment for any child not up to date on their immunizations.

Treffert Academy does not provide or contract transportation. Families may independently set up an individual contract for bussing to and from school.

Field TripsParents are notified in advance of all field trips. A Field Trip Permission form must be filled out, signed and returned to the Academy by parents prior to each field trip. Classrooms occasionally take walking field trips around the neighborhood to explore and learn about the environment.

Health HistoryAll children need to have a Health Report on file. The physical examination for a child age two and above must be dated no more than twelve months prior or 90 days after first day of attendance. Physical exams for children over two years of age need to be updated every two years. School-age children need only a Health History on file.

Child Special Health NeedsThe Health History form details any special needs or allergies that a child may need special care for. Each classroom has a binder containing information for each child in the center with a special health need. Each classroom has a teacher assigned to oversee the binder and make sure the binder is up to date. This information is shared with all Academy associates assigned to care for your child and all Academy associates are oriented about children with special health needs.

Treffert Academy associates are trained to act in the case of an emergency. Emergency numbers are posted by all phones in the Academy. In the event there is only one Academy associate in the building during operating hours, the Agnesian HealthCare Security Officer on duty will act as an emergency contact person and is available within five minutes. An associate vehicle will serve as an immediate emergency vehicle in the case that private rescue or emergency help cannot arrive within ten minutes of a phone call. Special written accommodations for evacuation may be made for any associate and/or child with a physical or mental disability. All associates are trained on these special accommodations as they arise. Special accommodations are reviewed annually by all associates.

Child LocationAcademy associates have a daily attendance sheet that includes the names of all children in their care at all times. Associates periodically perform and document a name to face headcount totaling the number of children in their care. Name to face headcounts are performed by Academy associates each time children in their care enter and exit the building, upon arrival and departure from the safety location or shelter areas, and when entering or exiting any means of transportation. This ensures the Academy associates know the whereabouts of all children in their care at all times and that no child is left behind.

Emergency BagsEach classroom has an emergency bag that contains, but is not limited to, basic first aid supplies, a flashlight, blanket, extra batteries, and a binder with a list of each enrolled child, their health information, parent’s contact and emergency contact information. Academy associates take the emergency bag and daily attendance sheet when they go outdoors, on fieldtrips and at any time the class needs to evacuate or take shelter. Academy associates may take a cell phone for emergency use when leaving the building with children in their care.

DrillsTreffert Academy practices fire evacuation plans monthly. Tornado drills are practiced with the children monthly during the tornado season, which is April through October. Dates of fire and tornado drills and monthly checks of the smoke detectors with results are documented for review.

Emergency PlansEmergency evacuation plans are posted at each Academy exit. For all emergencies, the steps in the Summary of Emergency Response Terms (Appendix C) may be used. In addition to those steps, the following steps occur:

Severe Winter Weather Treffert Academy remains open in the event that local schools close due to severe winter weather, with the exception of blizzard conditions. If blizzard conditions occur during hours of operation, parents are contacted to pick up their children within the hour of notification.

Loss of Heat, Water and/or ElectricityIf the Academy should lose the use of heat, water, or electricity before the center opens, parents will be notified as soon as possible and are asked not to bring their child that day. If the Academy should lose the use of heat, water, or electricity while children are in attendance, Treffert Academy associates will call the parents of all children and ask them to pick up their child.
