This month we’d like to introduce to you another component of this framework which we are developing, named “custom fields”, that allows the ability to add new fields to any transaction in the Magaya Software. How this will work? To better explain how this will work, assume for example that you distribute shoes. Magaya software does not generically have a field to store shoe color, which your customer may need. With this new feature you will be able to add the shoe color field to store such information when the cargo is received. This in turn will be available for a number of different uses, including reports to see how many of a certain color are on inventory, or even to see how many of that color were shipped the previous month. Using the Magaya Document Designer with the “custom fields” feature, you will be able to customize a warehouse receipt or cargo release to show that field.

In the last newsletter we spoke about the new customization framework being developed for all of our Magaya products. We explained only one component called the Magaya Document Designer. “How To”?

Decoding the VIN Number

This month we bring you a detailed guide on how to use Magaya’s VIN Decoder plug-in to streamline your vehicle export process. Magaya’s VIN Decoder requires only a Vehicle Identi�cation Number (VIN) Number, and all vehicle-relevant information is automatically populated into the database. By implementing the VIN Decoder you will no longer need to search through various documents for the vehicle’s information, and with this month’s issue we give you an insider’s look at just how that works.

SECTION I: Decoding from your desktopSection one covers how to decode a vehicle’s information by entering the VIN Number from your desktop. This is typically done on a Warehouse Receipt; however, it can be done anywhere you normally would add commodities with the same results. This includes but is not limited to the Pick-Up Order, Quotation, Warehouse Receipt, etc...

1. With the warehouse receipt entry window open, click on the “Commodities” tab.

2. Click the “Add” button at the bottom.

A menu will appear over that “Add” button with two options. Choose the second option: “Add Vehicle.”

3. A window will pop-up with one �eld on it for the VIN Number. Simply enter your 17 digit VIN on this �eld, and click “OK.”

Scanning the VINAt this moment, if you are using the VIN Decoder in conjunction with a scanner gun, you may feel free to scan the barcode with the VIN number on it. The barcode could be found in most cars on the door as a sticker. Simply place the mouse cursor in the VIN Number �eld, and scan the bar code for the VIN from the vehicle door. The 17-character number will be populated for you, allowing you to immediately press “OK” and decode the VIN.

4. The system will take a moment to decode your VIN, and once �nished all of the relevant information will be displayed on the commodity window.

Where is the rest of the information?a. On the commodity window with the dims./pieces/volume/weight there are tabs at the top. Click the “SED” tab.

b. Choose on the “SED” tab window the “Vehicle” button at the bottom. This will display all of the information regarding the vehicle.

c. When all information is veri�ed, you can click “OK” to return to the commodity screen.

5. Click “OK” on this commodity window to return to the Warehouse Receipt.

SECTION II: Decoding at the warehouse receiving door…Section two covers how you can receive vehicles and decode their information directly onto a Warehouse Receipts right at your warehouse receiving door. This applies only to WMS Mobile users that have purchased the MSC3090 Symbol Scanner or other compatible scanner gun and the required Magaya System. This is a scanner gun that also comes with a touch screen and a mobile version of Magaya WMS running in a Windows environment. Designed for the dynamic conditions of a warehouse, this revolutionary mobile software/scanner allows your warehousemen to process most warehouse procedures right from the same scanner that scans barcodes on warehouse labels.

1. Run the WMS Mobile application.

2. Click the Manual Receive option.

3. Scan or Type in the location in your warehouse that the vehicle will be stored at, and click “Next.”

4. Enter the shipper name and consignee name and click “Next.”

5. On the following screen, you can freely scan the vehicle’s door stickers as you receive them. Please allow just a couple of seconds between multiple scans until the vehicle is decoded and displayed on your WMS Mobile screen.

6. Once you scan all desired vehicles, click “Finish” at the bottom.

7. This will generate a new Warehouse Receipt based on the information you have entered.

SOLUTION

Since 2002, US exports of vehicles designed for the transporting of

persons has grown by approximately 112%. Logistics providers whom

export these vehicles are required to maintain a substantial amount of

information pertinent to each vehicle. The logistics behind exporting

vehicles could be cumbersome, as it requires a vast amount of

information per vehicle to be maintained by the provider. Strategically

poised to take full advantage of this unique opportunity, Limco

Logistics began the search for a software system that did not sacri�ce

capability for e�ciency. They needed a system that not only managed

logistics but also needed that same system to manage the accounting

behind logistics. It had to come out of the box with the capability to

generate all necessary trade documentation and facilitate the customs

procedures.

Limco Logistics purchased the Magaya Cargo System as soon as Limco

fed directly from the ocean carriers system. This level of detail requires

absolutely no additional work on Limco’s part since the Magaya

Ocean Carriers Interface allows you to plug into your ocean carrier.

Receiving the vehicles

Limco outsources their warehousing to providers who receive their

vehicles physically, and then send them lists of warehouse receipts

via fax. Limco in turn takes the VIN Numbers of all the vehicles, found

on the list of receipts faxed to them, and uses the VIN Decoder to

process most of the data entry. The data entry of these vehicles can

be done long before any proper vehicle documentation is even

received thanks to the VIN Decoder which requires them to

speci�cally input the VIN number. This frees up more resources for

Limco to focus on the other aspects of the business.

Initiating the shipment

Limco’s customers email them a list of VIN Numbers for the vehicles

that are to be exported once they are ready. Using Magaya’s shipment

wizard, they generate all necessary documentation within a few

moments. The wizard automatically creates one Bill of Lading for each

vehicle, as is required to export out of the US. The remainder of work

between Limco and their ocean carrier, including the shipping

instructions, is done electronically via the Magaya Ocean Carriers

Interface plug-in. Once the booking and shipping instructions are

acknowledged, a container is sent to the warehouse for loading.

Limco beforehand sends the warehouse a “loading list” detailing

which cars speci�cally to load onto the incoming empty container.

When the cars are loaded for export, Limco utilizes the Magaya AES

integration to �le all necessary SEDs automatically. This integration

with AES eliminates redundant data entry work by populating all Bills

of Lading and cargo manifests with the pertinent ITN numbers.

Post-shipment procedures

Limco takes full advantage of the Magaya Cargo System’s accounting

features and its automated liquidation process. Once the shipment is

ready to be billed, Limco runs the liquidation process generating all

necessary invoices and bills automatically with only a few simple clicks.

Those invoices are then emailed right out of the system to the pertinent

customer and later processed for payment.

Limco’s customers enjoy an unprecedented level of detail using Magaya

LiveTrack that few other vehicle exporters can a�ord to o�er. Since they

are using Magayas Ocean Carriers Interface, every single vehicle is

tracked every step of the way after leaving port up until it is in the

consignee’s hands. If a problem presents itself, the customer can react in

real-time thanks to this powerful out-of-the-box tracking component.
