Similar to the flu, COVID-19 is a respiratory virus that can cause the following symptoms: • Fever• Cough• Shortness of breath The symptoms may appear in as few as two days or as long as 14 days after exposure. Reported illnesses have ranged from people with minor to no symptoms to people being severely ill and some dying – again, similar to the flu.

COVID-19 can be transmitted in the following methods:• Through the air by coughing or sneezing;• Through close personal contact, such as touching or shaking hands;• By touching an object or surface with the virus on it; and • Occasionally, through fecal contamination.

The best ways to protect yourself include:• Cover coughs or sneezes with your elbow, not your hands.• Avoid touching your eyes, nose or mouth to prevent spreading germs.• Wash your hands often with soap and water for at least 20 seconds. Use an alcohol-based hand sanitizer if soap and water are not available.• Clean surfaces frequently, including countertops, light switches, cell phones, remotes, computer keyboards, door handles and other frequently touched items.• If you are sick, stay home until you feel better. Avoid close contact with people who are sick. If you have any questions or concerns about your specific medical situation, contact your primary care physician. Our administration team is here to answer questions, as well.

Protect Yourself & Our Residents from the Coronavirus

Dear Masonic Villages Family,

At this time of year, our campuses would normally be bustling with activity: We would be planning for and participating in club meetings, wellness classes, intergenerational projects, educational initiatives, donor appreciation dinners, and other spring celebrations and social gatherings.

Unfortunately, due to the continuously evolving public health care crisis, we have instead been forced to limit, suspend or cancel many of our most cherished activities.

Over the past week, many of our residents, team members, board members, Pennsylvania Masons, donors and volunteers have shared with me and others their suggestions to protect our residents and team members. In listening to you, I am reminded that, despite the limitations, restrictions and “social distancing,” we are and will remain a warm, caring and loving organization.

We are carefully monitoring the public health crisis and all official guidance and directives. We will remain nimble in order to quickly adapt to changes, and endeavor to always keep you up-to-date concerning our policies. Be assured that during this trying time, we are committed to making sound decisions calculated first and foremost to protect our residents and team members.

I wish to express my gratitude to all of you:

To our Masonic Villages’ administrators, staff and health care professionals who have been working around the clock to monitor and guide us through this public health emergency: Thank you for your dedication, talent, leadership, flexibility, ingenuity, and for always going above and beyond to do everything necessary to safeguard our residents and customers. You are an inspiration to me and indispensable to our Mission of Love.To our residents, customers and families: Thank you for your patience, understanding and adherence to the limitations, postponements and changes we have had to implement during this time. I know it is difficult to be separated from your loved ones, miss out on scheduled activities and events, alter your schedules and modify your routines. I hope you have found alternate ways to connect, whether through phone calls, texts, emails, social media, video chat or other creative means. In the meantime, know our team members consider our residents and their families to be part of our family, and we will always strive to treat them with compassion, respect and care.

To our volunteers: While we have asked you to suspend your service with us until further notice, please know that we miss your smiles and talents and look forward to your return. Our communities just aren’t the same without you!

To our donors: Without your support, we wouldn’t have the wherewithal to implement the precautions we have taken during this national emergency. For example, being able to pre-purchase additional supplies to ensure the welfare of our residents and staff provides a peace of mind that is priceless during times like these.I have seen and heard about many selfless, thoughtful and caring deeds at our campuses during the last several days. While our employees and residents are being conscientious and responsible, they are always willing to help their neighbor, coworker, or a community member in need. With a family like this, I know we will get through these unprecedented times.

Campus Updates

Thank you for our patience and understanding during this challenging time. As you know, this situation is changing very rapidly, and with it, so are our plans to maintain the safety and wellness of our communities. We are trying to communicate as quickly as we can without sacrificing accuracy. While we are not aware of any cases of COVID-19 at any of our Masonic Villages, we take these measures out of an abundance of caution to safeguard the well-being of all our residents, youth, families, volunteers, visitors and staff.

Although we understand the importance of spending time with loved ones, our nursing and personal care areas are closed to all visitors until further notice. We understand the importance of visiting with loved ones, but we must maintain the safety and health of our residents as our top priority. Exceptions will be considered under extraordinary circumstances and will need to be scheduled and approved in advance. These visitors will be screened prior to entry. To obtain special permission to visit a loved one, Kelly Weaver, Executive Director, 215-672-2500 ext. 112.

To lessen the chances of infection, we have canceled all group events, outings, activities and gatherings until further notice.

All residents will dine in their rooms.

While vital to our mission, we are asking all non-resident volunteers to suspend their service until further notice.

We strongly discourage non-essential travel to reduce the opportunity for exposure to the virus. Anyone who has traveled out of the area or stayed off campus overnight will be screened upon return.

All staff will be screened upon coming to work in resident-related areas each day.

No staff will be eliminated based on operational changes or due to COVID-19-related illness.

Unnecessary vendors will be restricted.

Again, thank you in advance for your cooperation with these matters to safeguard our community.

Masonic Village COVID-19 Guidelines for Employees We discourage all employees from traveling abroad and domestically. COVID-19 has been reported in many states with strict rules being implemented to control the spread of the virus. We are asking all employees to reconsider any travel at this point, particularly through crowded travel settings, like airports and cruises that increase your risk of exposure to COVID-19. Employees are required to report any travel, even domestically, to their managers. From this point until further notice, if an employee makes the decision to travel, even domestically, and is mandated to self-quarantine, either by a Masonic Village Infection Preventionist or by other edict, they will be required to use vacation and/or flex time for missed hours. Further, any employee who chooses to go on a cruise will be mandated to self-quarantine upon their return for 14 days and will be required to use their vacation and or flex time. Masonic Village will not pay employees for this self-quarantine period.

Working from home.We understand that the government is encouraging organizations engaged in non-essential commercial and public services to consider liberal work from home policies for employees. Unlike many organizations, Masonic Village operations are considered essential services, and the majority of our employees are considered essential employees. Essential employees are those who provide services that relate directly to the health, safety, and welfare of our residents; ensure continuity of key operations; and maintain and protect Masonic Village properties. Because of this, we are not able to implement an across-the-board liberal work from home policy, but we must evaluate requests more thoroughly. Our collective mission is to protect the health, safety, and well-being of our residents and staff while ensuring core operations continue. This will become difficult, particularly in the event that we experience staffing challenges related to illness. If support is needed in an area that an employee does not typically work, we reserve the ability to redeploy our employees’ time and talents across our continuum of services (consistent with applicable rules and requirements). All requests to work from home at each campus must go through the Executive Director. Corporate employee requests must be discussed with their Chief Corporate and or Chief Human Resources Officer. We will continue to evaluate each request on a case-by-case basis. In addition, we will review any such work-at-home determinations regularly in light of staffing needs across our continuum. We sincerely appreciate all of our employees’ cooperation in this regard as we stand together on the front lines of this public health emergency. Requests for vacation and flex time.All employee requests for vacation and flex time will be thoughtfully evaluated based on the operational needs at each of the campuses. At this time, we are asking all employees to limit requests for time off to urgent matters. Employee illness is an urgent matter.

Due to the recent scrutiny that has been placed on granting approval of vacation time we are temporarily adjusting our policy for employee’s whose vacation accrual exceeds the 200 hour limit. For any employee that has a benefit service date of 3/16 or later in which the addition of new vacation time places their accrual over the 200 hour limit, the employee has the following options for the number of hours exceeding 200:• Donate the time to the Vacation Donation Program. (We anticipate a great need for this program in the days ahead)• Receive an extension through 9/30/2020 to use the hours• Be paid out for the hours

An employee’s supervisor will be notified when an employee’s vacation balance exceeds the 200 hour limit. The supervisor will need to meet with the employee and inform the payroll department of the option the employee has chosen for the hours that exceeded the 200 hour limit.

The pay-out option does not apply to vacation hours that have already been extended for an employee. If an employee was previously granted a 90 day extension to use excess vacation hours, those will not be extended an additional 90 days.

Employee Breaks.Due to the additional time and resources required to perform the mandated screening of employees, we are strongly discouraging employees from leaving the campus during their meal breaks. This does not prevent employees from leaving their work areas to step outside for fresh air.

Bringing pets to work.Unless the pet is deemed a service animal, until further notice, employees are not permitted to bring their pets to work.

Masonic Villages Human Resources Frequently Asked Questions Related to COVID-19

Q: Can Masonic Village restrict employees from traveling to CDC identified high risk areas? A: Only for business purposes. We request that employees inform their Executive Director or Corporate Director if they are scheduled for travel for personal reasons to any areas identified by CDC as warning level areas. We need to be aware of employees who may be exposed to the virus to complete appropriate screening. We are asking staff to reconsider any international travel or domestic travel to areas with high infection rates. Those who do travel will be screened upon their return.

Q: Are there any current restrictions on business travel for Masonic Village employees?A: Yes. Masonic Village is placing restrictions on employees traveling for any non-essential business purposes such as attending conferences, outside meetings, seminars and trainings until further notice. If an employee is registered for any conference, seminar or training, the employee must contact their Executive Director, who will review the situation with the Chief Human Resources Officer for final determination.

Q: If an employee has recently travelled abroad to a CDC warning level area, is there any guidance for how and when they can report back to work? A: Yes. A Masonic Village infection preventionist will assess employees according to CDC guidelines related to quarantining or isolating employees who have traveled to a CDC Warning Level country. Prior to returning to work, the employee must be cleared by the infection preventionist. Employees should also understand that their travel to a CDC Warning Level 3 or Alert Level 2 country could result in a federally mandated, 14-day quarantine.

Call Off Procedure. We will continue to apply the same process to employees who call in sick for non-COVID related concerns. If an employee’s call off is suspected to be COVID-19 related, the call will need to be forwarded to the infection preventionist at each location, who will assess the need to quarantine. If the employee is suspected or confirmed of having COVID-19, via prior medical testing, the information must be forwarded to Mary Pat Frick at ext. 33049. If it is determined that the employee needs to be quarantined, further instructions will be provided. Any employee quarantined will need to be screened at the term of their quarantine period prior to being approved to return to work. If an employee is mandated to be off of work for a 14-day quarantine period based on CDC guidelines due to exposure to COVID-19 and is reviewed by an infection preventionist, Masonic Village will pay for time off in correlation with what would have been their normal scheduled working hours. If the employee would need to be off of work for any extended period of time beyond the 14-day period, the employee may be required to use leave and/or paid time off.

Q: Does Family and Medical Leave Act (FMLA) policy apply for employees or immediate family members who may contract COVID-19?A: Yes. Assuming that the employee meets eligibility requirements for FMLA (length of service and hours worked). COVID-19 would qualify as a serious health condition under FMLA, allowing an employee to take FMLA leave if either the employee or an immediate family member contracts the virus.

Q: If an employee needs to be off for COVID-19 related reasons and is not eligible for FMLA, will the employee’s job be unprotected during the course of their absence?A: No. If an employee is mandated to be off for COVID-19 related reasons and they are not eligible for FMLA, the employee will have job protection.

Q: Does Short-Term Disability Policy apply for employees who may contract COVID-19?A: Yes. Assuming that the employee meets eligibility requirements for Short-Term Disability (length of service and benefit status). Employees would apply through Mutual of Omaha by calling 1-877-365-2666 (Monday - Friday, 7:30 a.m.- 9 p.m. CST), visiting their website at AbsencePro.absencemgmt.com or calling your Human Resources Representative.

Q: What happens if an employee is diagnosed with COVID-19 and is not eligible for Short-Term Disability or FMLA?A: Employees would be eligible to apply for a personal medical leave. If the employee does not have benefit time, they could apply for time through the vacation donation program or a grant through the Helping Hands Fund.

Q: What if an employee is afraid of contracting COVID-19 because they have a medical condition that causes them to be more susceptible to illness or is pregnant and concerned about the health of the baby? A: Masonic Village is taking all precautions to keep employees safe at work and expects all employees to follow infection prevention protocols. Staff with concerns should meet with the infection preventionist to talk through their specific concerns to see if they can be made to feel more comfortable at work. To be excused from work, employees are required to get documentation from their treating healthcare provider indicating that they are not able to work. At that point, the employee would follow guidelines to apply for a leave of absence through Mutual of Omaha.

Q: Is an employee allowed to work from home if they do not want to put themselves at risk for contracting COVID-19?A: Not all positions at Masonic Village allow for employees to work from home. In addition, if there is a widespread outbreak, we may need employees to function in an area or function that may not be their typical role; therefore, all requests will be evaluated on a case-by-case basis.

Q: If an employee is not feeling well but is concerned about absences related to calling off with COVID-19 symptoms, how would this affect their attendance record? A: Employees must NOT report to work if not feeling well. Employees are to follow the call in procedure established for COVID-19 screening. There will not be any corrective action associated with call off related to COVID-19 symptoms unless there would be evidence that the situation is being exploited.

Q: If an employee contracts COVID-19 at work, could they be covered under workers compensation?A: If it is believed the COVID-19 resulted from a work-related incident, the employee will be able to file a workers’ compensation claim. However, all claim determinations on entitlement to workers’ compensation will be reviewed, and each claim is judged on a case-by-case basis.

Q: Is an employee able to travel to countries for personal reasons after the date on which the CDC adds them to the Level 3 list?A: Based on the CDC travel guidelines, Masonic Village would discourage personal travel to CDC Level 3 countries. Upon return to the United States, you would be subject to a 14-day self-quarantine period and would not be paid during the quarantine period, unless you would use your own accrued paid time off. Q: If an employee is mandated to stay off work for the 14-day self-quarantine period, based on the guidelines instituted by CDC due to exposure to COVID-19, and never becomes symptomatic, will their time off from work be paid? A: If an employee is mandated to be off of work for a 14-day quarantine period based on CDC guidelines due to exposure to COVID-19 and is reviewed by an infection preventionist, Masonic Village will pay for time off in correlation with what would have been their normal scheduled working hours. If the employee would need to be off of work for any extended period of time beyond the 14-day period, the employee may be required to use leave and/or paid time off.

The Casual Friday dress code has been extended to apply to everyday until further notice.
