Clever has built a sync "pause" function that gives districts the option to stop syncing new data with Clever and "freeze" data available to applications. When a district is paused:

• SFTP uploads will not be processed, and automatic syncs will not run;

• the district can continue to update sharing permissions with applications;

• the district’s sync status will appear as “paused” in your Clever Dashboard.

Managing School-Year Rollover

To manage school year rollover, Clever will set default dates and “pause” all districts.

This default pause will start on June 15th and end on August 10th. Because school-year schedules vary widely across districts, districts will have the ability to modify those dates directly from their Clever Dashboard.

What is the timeline for Clever’s school year rollover?

5/13/15 Clever emails all districts to introduce pause function

6/15/15* First day of default pause – SY 2014-15 data “frozen” in Clever

8/9/15* Last day of default pause

8/10/15* Syncs with default pause resume – SY 2015-16 data begins syncing with Clever when available in SIS

8/15/15 Clever emails all districts with reminder to reset sharing permissions for the new school year

*NOTE: These are the dates for Clever’s default summer pause. Actual dates will vary for districts who have modified their start and end dates from their Clever Dashboard.

What does this mean for you?

• Consistency By default, SY 2014-15 data will remain in Clever throughout the

summer.

• PredictabilitySY 2015-16 data will only be available in Clever after a district’s

pause ends and their data resumes its regular sync.

• VisibilityOn your Clever dashboard, you will see the district’s status as “paused,” and their status message will include the pause end date.

• FlexibilityDistricts will be able to update sharing permissions while paused, and Clever Support will work individually with any districts using applications for summer school. If you know of districts who will be using your application for summer school, please encourage them to reach out to Clever Support as early as possible.

How will I know if a district is paused?

On your Clever Dashboard you will see the district’s status as “paused,” and their status message will include the pause end date.

Can districts change the default pause dates?

Yes, districts will be able to adjust the start and end dates of their pause from the Sync Settings page of their Clever Dashboard.https://account.clever.com/settings/system

Districts will also be able to pause their sync indefinitely, by not specifying a last day.

Can districts opt out of the default pause?

Districts will be able to cancel the default pause from the Sync Settings page of their Clever Dashboard.https://account.clever.com/settings/system

How will Clever communicate with districts about summer pauses?

Clever will notify all districts of the school-year rollover process via email, in mid-May. Districts will receive an email reminder at the start and end of their pause. Throughout the summer, Clever will continue targeted outreach to districts with infrequent Clever logins.

Clever will send emails in response to any SFTP uploads that occur while a district is paused.

On their Clever Dashboard, districts will see their status as “paused,” and their status message will include the pause end date (if specified).

What if a district would like to sync data for summer school?

Districts that would like to sync different data for summer school will be instructed to reach out to Clever Support and work with us to get this new data into Clever.

We will be able to assess their SIS sync type and troubleshoot accordingly. This will also allow us to confer with the district’s applications first if necessary.
