+1. Log into MDD

Type in the resident’s name and take time to make sure you log the package under the correct name

Label what service the package is coming from (i.e. UPS, USPS, FedEx)

If you are planning on putting the package somewhere other than the shelf, label where you plan on putting it

Make sure your name is put in the system that you are logging it in

Log the TRACKING barcode If the zip-code barcode is scanned, this will result in duplicate

packages, making it difficult to check out.

Only log the package ONCE

+2. Write the proper information on the box

All packages MUST have the following information: The residents LAST name

Written on at least three sides of the package (two if it’s a pak)

The date Your initials MARK THE BARCODE THAT YOU LOGGED

Write LEGIBLY Spell the last name CORRECTLY If the name is hyphenated, put all parts of the last name –

THE LAST NAME THAT SHOWS UP ON MDD IS THE LAST NAME THAT IS ON THE RESIDENT’S MCARD

+3. Putting packages on the shelf

Put the package on the correct shelf, the one that corresponds to the first letter of the resident’s last name

If the package is a pak, put it into the bin on that shelf so that it does not get lost in all of the other packages

Make sure that the name of the resident is FACING OUT so that it can quickly be found when a resident comes to pick it up If you cannot see it the way that you have it, write down

their name again on the side that you can see from the shelf (it only takes a second!)

+4. Extra! Perishable Packages

Be on the lookout for packages that are perishable

If there is a package that is perishable, IMMEDIATELY BRING IT TO THE CC AFTER LOGGING IT AND WRITING DOWN INFORMATION ON THE BOX

Use the same steps as before for logging in a perishable package, with the exception for writing on the MDD package log-in that the package is PERISHABLE

+5. Handing out Packages Take the resident's MCARD – look at their FIRST AND LAST

NAME

Check in MDD - if the package is perishable, send them up to the CC. You can also check to see if they have multiple packages

When you are checking out the package CHECK THE TRACKING NUMBER to the package to make sure that you are checking out the right package.

 When you check out a perishable package from the CC, make sure you check the TRACKING NUMBER and put their confirmation number in the system

 If you cannot find a package, immediately contact Brenda (until we get a new CCM). This will help expedite the process of finding the package for the resident.

Someone has been TURNING OFF the confirmation option to check out a package This is UNACCEPTABLE

If you notice that the confirmation option is turned off, please turn it back on immediately. This helps us know that packages are properly being checked out, especially since we have so many missing packages

Put packages on the platforms on the left side of the mailroom (when looking into the mailroom)

This is to keep things more organized so that we don’t lose packages

If you notice in MDD that two residents have the same last name, put their first initial on the box when writing their last name so we don’t accidentally hand out the wrong package (which has been happening pretty frequently)
