ACTIVITY & SERVICE FEES BUDGET COMMITTEE

MINUTES

March 9, 2020

Members Present: Dr. Doug Bagby, Dr. Naima Brown, Austin Burton, Brian Diaz-Rosario, Kerrie Diefendorf,

Derrick Evans, Liz Jusino, Teresa Lanier, Alec Morey, Dennis O’Hearn, Karina Ortiz-Munoz, Dr. David Price,

Dr. Tracey Reeves, Sally Roberts, Christine Weeks

Members Absent: Wyatt Pogue

Guests: Sarah Blanc, Jumauri Bryan, Anderson Hardy, Marina Jordan, Jim Keites, Kate Santacruz, Chris

Spence-Thomas, Zina Zander

Dr. Tracey Reeves, Director of Student Life, called the meeting to order at 12:06 p.m. and welcomed the

members and guests.

Teresa Lanier reviewed the revenue, expenditure and encumbrance report. As of February 28, 2020,

revenue collected for Fiscal Year (FY) 2019-2020 exceeds 89%. Lanier added that there will be additional

revenue collected from Spring B and Summer A and C. Between the expenditures and encumbrances,

approximately 82% of the budget has been spent. The unencumbered carry forward funds are $4,770.95.

Dr. Reeves continued the discussion from last month of the FY 20/21 budget. As requested at the last

meeting, Lanier reviewed the estimated cost for each sports team. Additional costs for the sports teams,

which are more difficult to assign to each team, include; the trainers and trainer supplies, drug testing,

operating expenses for a vehicle, annual subscriptions, printing costs and TempForce (part-time employees

for home game operations). Dr. Brown stated F1 (different funding source from A&S Fees) covers the

equipment replacement costs for the Fitness Center. Lanier stated the expenditure budget proposal for FY

20/21 is based on the starting expenditure budget from FY 19/20. Currently there is no plan to increase or

decrease budgets. There is expected to be enough funds for the proposed expenditure budget with the

expected revenue for FY 20/21 and with carry forward funds. Alec Morey expressed concern about deficit

spending ($150,000) and believes that model is not sustainable. He asked about the possibility of Fund 1

completely funding athlete’s insurance costs. Dr. Brown stated that due to expected reductions in revenue

from state funding and declining enrollment, along with increased health insurance costs, that is not

currently feasible. Dr. Reeves was asked about the costs for the Student Health Care Center for FY 20/21

and she stated there will be no increase from UF for healthcare services as the contract was for two years,

FY 19/20 and FY 20/21. The question was posed about voting to approve the expenditure budget for FY

20/21 or waiting until the April meeting to do so. Morey suggested an electronic vote in April in the event

COVID-19 requires the campus to close. The committee voted to wait until the April meeting to vote on the

FY 20/21 expenditure budget.

Dr. Reeves invited committee members present to share department reports.

The next committee meeting will be held April 13, 2020 in S-141 at noon.

Meeting adjourned at 12:35 p.m.

Respectfully submitted,
