1. Learn the software beforehand

• Time commitment: a few hours to a few days

• Use a demo data set ^

• Make a "cheat sheet*

Demo software by appointment only.

• Ask what programs they specifically want to see.

• If they don't specifyparticularprograms, ask what applications they areinterested in.

Practice the demo before the visitor arrives.

Start the visit with questions about how the visitor works: f

• What software, hardware do they currently use?

• What tasks do they routinelyperform? What computer application(s) willhelp them do their job faster, more thoroughly?

• Are there budgetary constraints?

5. Ifthe visitor wants a general overview ofthe software available at your resourcecenter, consider a slide show—see the back ofthis book for information on this.

6. Perform your demo using your cheat sheet.

7. After your demo, ask the visitor to **take a turn at the driver seat"—let themexplore the software for themselves for an hour or more.

8. Finish the visit with a discussion ofalternative software packages, theirsimilarities, differences. Provide literature. Get their business card.

Slide Shows on the Computer-When an Overview of Available Software is Desired

Many times visitors to the resource center are not familiar with the latest softwaretechnology, and simply want to see what's available. A slide show, constructed inWindows PowerPoint, is an effective wayto givetheman overview without strugglingthrough ftill-blown demos.

The slide show should mclude some "screen grabs" ofwindows from a real demosession. In other words, try to capture some interestingdisplays that illustrate thecapabilities and keyfeatures of the software. In Windows 95, this is easily accomplishedby the following steps:

1. open both a software application and Windows PowerPoint at the same time.2. Highlight (or make active) the window that you want to image.3. Press: Alt and PrintScreen together. The window's image is now on the clipboard.4. Put the cursor into the PowerPointwindow and select Paste—theimage will appear.5. Annotate with the drawing and text tools in PowerPoint.

Depending uponthe application, 5 slides are probably sufficient. Youmightwant togroupthemby discipline (e.g. geology, engineering) or application type (e.g. log analysis,fi^c design) intoa single file so you canshowseveral different software packages duringthe slide show overview.

In the back pocket of this book are floppy disks that contains a series ofPowerPoint filesthat you can use for computer slide shows ofthe software that was studied in thisworkshop. These files are offeredas examples, you may wishto modifythem or createyour own slides.
