Useful Tips for the Exhibitors

1. Please read your exhibitor information Manual carefully. The information it contains will help you to save time, money, and needless aggravation.

2. Be sure to order your essential services in advance, some of which include the following:

– Electrical Services

– Water Connection

– Compressed Air

– Telephone

– Furniture.

Be sure to place your orders early. Try not to keep your orders for the last minute and wait to book them on site. Bring copies of all your advance order forms to the show.

3. Exhibitors are requested to return all forms to the relevant addresses by the deadline dates indicated on each form.

4. Even if no services are required, please mark “NOT APPLICABLE” on the relevant form and your company name / stand number.

5. Please enclose all necessary payments, samples, plans and other relevant materials to the appropriate party.

6. Exhibitors who join the show after the stipulated deadline date are requested to submit all forms immediately.

7. Local and site regulations: Exhibitors must agree to abide by the local and site regulations with respect to law, order and safety etc. The Organiser will take necessary action against those who do not comply with the laid down regulations.

8. Violation of rules: The Organiser reserves the right to demand removal or change of any structure which may not be in accordance with the laid down rules and regulations. The decision of the organizer in this regard will be final and binding.

9. No private vehicles will be allowed into Helipad Ground during exhibition time. Only trolleys and official mini buses arranged for by the organizers will ply in the Fair Grounds during the exhibition period.

10. Any unauthorized Vehicle/Exhibit parked within the fair grounds during the exhibition time will be towed away by the Ground Authorities.

11. Safety and Behaviour: No person present inside the Exhibition Halls will behave or act in a manner that may cause any harm, injury, damage to other persons/exhibits/exhibition hall property/fixtures.

12. Ultimate authority on the Premises. The Organiser shall be responsible for and be entitled to act as the owner of the premises throughout the tenancy period. The decision of the organizer on any problem or dispute will be final.

13. Beware of Professional Hand Bag Thieves who regularly operate in Helipad Ground.

14. The exhibitors are strongly advised not to hire any furniture fittings electrical fixtures & appliances etc. from any other suppliers other than the official agency so designated. For your requirement please fill in the relevant forms.

15. For various requisitions and official communications with organizers, exhibitor‘s letterheads and official rubber stamp is a must. During the exhibition period all exhibitors are advised to bring with them their letterheads and rubberstamp.

Note:

The exhibition hall will be opened for build-up and dismantling purpose from 0800 to 2000 hours daily during the build-up and break-down periods. During exhibition days, exhibitors are permitted to remain in the exhibition hall to service their stands for half an hour after the exhibition closes. Exhibitors requiring to stay later must obtain written permission from the organiser’s office prior to close of the exhibition. This is required for security reasons and for hall lighting to be arranged at additional cost to the exhibitor. The exhibitor will have to fill in the required Form for additional lighting load required in such cases.

All exhibitors shall hand over the exhibition space allotted to them in good condition back to HELIPAD authorities as the same was allotted in good condition to Plastindia Foundation or its authorized representative. Any damage done to the HELIPAD ground building by the exhibitors or its contractor the amount payable towards such damages shall be recovered from the exhibitors.

VENUE AND DATES

Exhibition

The Exhibition will be held at Helipad Ground, Gandhinagar, India from 7 – 12 February 2018, both days inclusive. The Exhibition will be held in various halls and the exhibitors grouped as shown below:

DEADLINE FOR FINISHING OF ERECTION WORKAll work of setting up of stands must stop latest by noon on 6 February 2018 and aisles and stands must be cleared of all empty cases, waste materials, etc. General cleaning of the exhibition halls will be carried out immediately thereafter as the halls have to be kept ready by 9 a.m. on 7 February 2018 for inauguration of the exhibition. No machinery material or goods will be allowed to be moved, brought in or taken out during show opening hours, respectively the entire show period.

DISMANTLING AND REMOVAL OF EXHIBITSWork of dismantling and packing of exhibits begins from 5.00 p.m. on 12 February 2018 and all goods must be removed as vacant possession of space could be handed over to the organizers latest by 14 February 2018, 20:00h / bare space exhibitors 13 February 2018, 20:00h.

All items received from our official contractors must be handed over to them in good condition. In case of any damage of these items the exhibitor will be held liable.

No goods will be allowed to be taken out unless a “Gate Pass” is obtained from the camp office of organizers, listing the items only to be taken out.

Gate Pass will be issued only when all dues of organizers and / or contractors are settled.

Exhibitors are allowed to remove exhibits from their stands only on conclusion i.e. from 5.30 p.m. on 12 February 2018.

If an exhibitor fails to remove his goods to vacate the stand within the stipulated period, the organizers reserve the right to remove the items and return possession of halls to the authorities. All cost in this connection will be debited to the concerned exhibitor.

AMENDMENTS TO REGULATIONSThe organizers reserve the right to issue amendments/additions to rules & regulations, if required.

ENTRY FOR EXHIBITORSDuring exhibition exhibitors have access to halls an hour before opening and half an hour after closing in order to service their stands. In case of special requirements, not only an application should be made to the organisers in advance but also permission has to be obtained for an extension of hours.

ADMISSIONS• General public will however be allowed to visit the exhibition after obtaining entry tickets priced by the Organizers from Gate Nos.- 1,2,3,6,8,9,10,11 at the entry point.

• Organizer reserves the right of admission to Exhibition Area

• Children below 12 years of age are not permitted in the Exhibition under any circumstances, even if are accompanied by Parents/ Guardian.

• Visitors/ Exhibitors are liable for frisking/ check at the Entry Gate as a security measure

• Smoking is strictly prohibited in the entire Exhibition area and Cafeteria

• Consumption of liquor is strictly prohibited in the entire Exhibition Area.

• Weapons or any other similar objects as per the law are prohibited in the entire venue.

ENTRY : Entry of vehicles carrying exhibition goods will be allowed only from 8.00 p.m. to 8.00 a.m. through Gate No.1 ,2,3 on Rokadia Hanuman Temple Road, off CH-Road,B/H Jilla Panchayat Bhawan,Sector-17 GandhiNagar-382010,Gujarat,India.

For Business Visitors: Pre- registration or onsite registration shall enter through Gate Nos. 1,2,3,6,8,9,10,11.

PROCEDURE FOR OBTAINING ADDITIONAL EXHIBITOR BADGES VISITORS ENTRY PASSES

Only online before or directly at PLASTINDIA FOUNDATION camp office.

Those exhibitors who want additional badges have to do this online on the online system of PLASTINDIA FOUNDATION or directly at PLASTINDIA FOUNDATION camp office.

3. Admission

Exhibitor

Exhibitors may access the exhibition hall one hour before the show starts and half an hour after the show closes each day to service their booths during exhibition days. Approval could be obtained from Messe Düsseldorf GmbH for working before or beyond these hours.

Visitors

Trade visitors must complete a registration form before entering. Only those related to the industry and properly attired will be allowed. Admission of visitors is solely at the discretion of MD.

Exhibitors note please that only official trade invitations are valid for enter the Exhibition. Privately printed invitation cards will not be accepted.

Contractors

All contractors (stand-fitting, interior decoration, etc.), other than the official contractors, are required to sign a perfomance bond guaranteeing their observance of regulations laid down by Plastindia Camp Office (P.I.C.O) before admission badges are issued for carrying out the construction/dismantling work during the build-up/tear-down period.

Where a contractor has a valid reason to be present during the show period (e.g. maintenance or remedial works), a small number of special badges will be issued on application in writing to the show management office.

Minors below 18 years of age are not allowed in the exhibition hall.

EXHIBITOR’S BADGES AND ENTRY PASSESEach Exhibitor will be issued Exhibitor Badges as follows.

The organizers will endeavor to mail to the respective exhibitors well in advance, their quantum of exhibitor badges. However if exhibitors for some reason or the other do not receive their allotted quantity as listed below, the same may be collected from the show management office at site, on their arrival at the fairgrounds. They may also do the same by issuing a letter of authorization, naming their representative whom they wish to do so.

Note : Exhibitor’s Badges and Entry Passes are non-transferable

1. Any misuse of the Exhibitor Badges will result in confiscation of the same.

2. Exhibitor badges are not transferable and should be worn at all times for security reasons.

3. Exhibitors should note that further requirement of badges shall not be entertained under any circumstances.

Exhibitors may please note that entry of unauthorized labour/ exhibitor’s staff not carrying proper identification badges will not be allowed during the built –up and Exhibition days.

PROCEDURE FOR OBTAINING SERVICE BADGES• Service badges is a must for all Exhibitors/ Venders for entry and exit during built- up period.

• Please contact Plastindia Foundation website: www.plastindia.org for procurement of Badges.

• Exhibitors are requested to kindly instruct their staff and contractors to wear these badges all the time during the build-up period as entry into venue will only be allowed on the basis of these badges.

• Exhibitors are responsible for the safe custody of the badges. For reasons of safety, possessions of Exhibitor badges by unauthorized persons are strictly prohibited.

PROCEDURE FOR OBTAINING ADDITIONAL EXHIBITOR BADGES / VISITORS ENTRY PASSESExhibitor’s Bonafide Personnel: Those exhibitors who want additional badges can have the same on payment, please contact Messe Düsseldorf GmbH

ENTRY PROCEDURE TO ENTER INTO THE VENUE. Entry into the venue. is regulated by security personnel from gate Nos 1, 2, 3, 6,8,9,10,11 during exhibition period.

Procedure for entry into the venue. :

Step 1 : Visitor reaching entry gate at the venue. will be checked by (appointed) Security Guard by the venue authorized booking authority.

Step 2 : Pre- Registration: To avoid queues and to facilitate quick entry into the premises, Business Visitors are encouraged to register online at www.plastindia.org . Visitors will receive an email confirmation indicating their registration no. The badges will be issued by courier.

Step 3 : Business visitors can also register on the spot during the Exhibition from 7th – 12th Feb 2018. Please register yourself at designated Registration Counters.

Step 4 : Business Visitors, after registration will obtain the Badges & Kit.

Step 5 : By observing the above procedures Exhibitors / Visitors would have an easy and comfortable access into the venue Halls.

For all exhibitors

AMENDMENTS TO REGULATIONSThe organizers reserve the right to issue amendments / additions to rules & regulations, if required.

1. No part of an exhibit should project out of the stand area, nor anything be placed outside the stand area by any exhibitor.

2. There should be sufficient free space in the stand for easy and safe movement of visitors. Entry and exit to stand must be at least 3 m wide. Transparency of the stand must be guaranteed. Closed walls alongside aisles are allowed up to a maximum of a third of the dimension of the stand.

3. Grouting; digging on the floor or walls is not allowed. Raised wooden platforms of not more than 8 cm in height, may be allowed.

4. Painting or nailing (use of screws) on the plywood partitions supplied under shell scheme, is prohibited. Photographs, charts, etc. may be fixed with adhesive tape, or suspended with nylon thread with the help of clamps hooked on the top horizontal channel.

5. Multi-Level use of space is permitted only at extra fee and subject to approval from Messe Düsseldorf GmbH as well as the organizer.

6. Use of air-conditioners will be allowed only with prior permission from organizers provided that the air-conditioners are self-standing and do not project out the passages. Airconditioning must be done in consultation with Messe Düsseldorf GmbH technical division. All costs will be borne by the exhibitor.

7. Whereas no construction will normally be allowed to be of more than 2.5m high, that part of machinery placed away from the open side of the stand could be higher, as strictly necessary.

8. If audio/-visual equipment is used in the stand, the sound level should be so regulated as not to disturb adjoining exhibitors.(Maximum dB level shall be 40-50 at 1mtr distance from source).

9. Exhibitor should endeavor to maintain a high standard of cleanliness, avoid littering and take all necessary care not to disturb neighbouring exhibitors. Their co-operating with the organziers in maintaining continuity and keeping with the general aesthetics of the show will be greatly appreciated. It will be obligatory on part of the exhibitor to segregate all waste plastic, glass, metals, wood & paper and eatables in separate polyethylene bags.

10. All height details mentioned in these guidelines are from the ground level and not from any raises flooring created by the exhibitors.

11. Suspending of display items from the hall ceiling or parts of it is prohibited. Storage of any kind of material, behind the display walls is prohibited.

12. It is necessary that panels erected against glass walls in the halls are properly finished on both sides. Exhibitors failing to do so would be charged with € 50.- per run m.

13. Height of panel against natural back wall along the periphery of the hall will be allowed up to 4.00 m subject to availability of height.

14. Access must be given to any fire exit, electrical box, service room etc. falling within the exhibitors stand area. It is mandatory to leave minimum one opening in the partitions against the natural wall to provide access for electrical fittings etc.

15. It ist mandatory for the exhibitors to inform the organizer if any of the exhibits comply with the following:

– Exhibits configuration is 10 sqm or more – Exhibits exceeds 2.50 m in height or 3.00 m in length – Exhibits material exceeds 3 tons – Exhibits contain liquid fuel/natural/gas/propane – Exhibits require water for demonstration purpose

16. Hall columns, roof trusses, air-conditioning vents and all other structures of the hall must not be used as support or be subject to load or stress by the stand structure.

17. Woodwork in the hall is prohibited. Platforms/panels and other decorations for the interior must be brought in prefabricated condition. Only assembly and finishing will be allowed in the hall.

18. For corner- & island stands it is mandatory for exhibitors to design their stands in such a way that there is no obstruction on any of the open sides in order to ensure free movement and give exhibitors a feeling of openness and transparency.

19. Naked light are not allowed in the stand. Glow signs or any moving light will not be allowed above 2.5mtr height.

20. Any stand structure, exhibit or display e.g. towers, signages or others exceeding 2.50 m must be at least one meter away from their neighbour partition wall. The max. construction height is 5.00 m.

The general stand construction approval procedures, inspection of the maximum permissible installation height and compliance with the specified distances between installations continue to be the responsibility of Messe Düsseldorf GmbH.

Please send us the scaled floor plans (1:100) and view diagrams, which will be immediately returned to you with the corresponding approval notes of Messe Düsseldorf GmbH.

1. The necessary project documents must be submitted to Messe Düsseldorf GmbH within 60 days prior to the official start of the stand construction.

Neither PLASTINDIA does not guarantee uninterrupted power supply nor does the fair authority. Any failure in regular power supply during the exhibition by unforeseen or any technical reason, no refund of money or any act of omission will be entertained by the organizers.

FLASHING LIGHTS AND NEON SIGNS ARE NOT PERMITTED.

Visable cables and hosepipes along side the stands might be inevitable in order to guarantee provision to all stands.

SUPPLY OF TEMPORARY ELECTRICAL CONNECTION POWER BY THE OFFICIALLY APPOINTED ELECTRICAL CONTRACTORS

For supply of temporary electrical connection during the build-up period, exhibitors will have to fill up the Temporary Load Form along with payment. In case of any further clarifications, you may contact Messe Düsseldorf GmbH or show management consultant.All exhibitors requiring power load/ temporary load either for demonstration of their machines or even for spotlights, halogen lamps, focus lights etc. must ensure that they are not exceeding the consumption of the load applied for. If found their connection exceeding the load then applied for in such case, their connection will be disconnected without further notice.The connection can be re-installed only after payment and penalty of excess load subject to approval of Messe Düsseldorf GmbH.

1. Electrical supply system and installation

The supply system, voltage, standards frequency, earthing system and unit of supply of the electricity service provided by the Fair Authority are as follows:i. 3-Phase Neutral : 400/440V, 50 cyclesii. Single Phase : 230V ± 10%iii. Frequency : 50Hz iv. Earthing system : Earthing at suitable distribution points of supplyv. Unit of Supply : A single power supply system through suitable supply points for each exhibitor depending upon power demand.

2. Work to be performed by the venue authorised booking authority

i. On the basis of the applications submitted by the organizers on behalf of the exhibitors, the venue authorised booking authority shall make arrangements to supply available electrical power as far as possible, at a feeder pillar closest to the exhibitor’s plot / stall.ii. The venue authorised booking authority shall extend electrical supply through underground power cables from the feeder pillar to the main switchboard in the electric service rooms of the exhibition halls. iii. In case of loads exceeding 100kw, separate cabling arrangements from the LT board of the substation to the electric service rooms of the exhibitors will be provided by the Messe Düsseldorf GmbH at the exhibitor’s cost. Separate invoice shall be raised by Messe Düsseldorf GmbH for such heavy load.

NOTE:ALL BARE SPACE / OPEN AIR DISPLAY AREA EXHIBITORS MUST COMPLETE AND SUBMIT FORM 4A. FOR CONNECTED LOAD REQUIRED BY THEM.

Connection to machinery to be operated can be taken from the main power supply point provided by Messe Düsseldorf GmbH in the stand. Further connecting power supply to the machine shall be done by exhibitor’s own electrician, ensuring all safety precautions.

IN-HALL FREIGHT HANDLINGONLY THE OFFICIALLY APPOINTED FREIGHT FORWARDER (R.E. Rogers) is permited to work in-hall and handle onsite equipments. Any forwarder may deliver goods to the doors of the hall, but the officially appointed freight forwarders MUST handle from the point to your booth, unless the item can be hand-carried by one man. This regulation will be strictly enforced and is necessary for reasons of insurance, safety and control.

REMOVAL OF EXHIBITS

NO REMOVAL OR DELIVERY OF EXHIBITS AND OTHER EXHIBITION STORES IN OR OUT OF THE EXHIBITION HALL IS PERMITTED DURING THE OPEN HOURS OF THE EXHIBITION. Such removal, delivery or replenishment to stock may only be carried out before opening hours in the morning or after closing time in the evening. If you wish to remove any item of your display from the hall during theshow days, a “GOODS REMOVAL PASS” must be obtained from the show management office.

STAND CLEANING

The organizers will arrange for the general cleaning of the exhibition premises and stands (excluding exhibits and displays) prior to the opening of the exhibition. It is the responsibility of all exhibitors to keep their own stands tidy. Exhibitors with working exhibits resulting in substantial quantities of waste materials, must inform the organizers in advance so that necessary arrangements may be made for which a charge will be raised.

STORAGE & WASTE MATERIAL

The organizers are unable to provide storage facilities for packing cases, surplus materials, or other property of the exhibitors. Arrangements for safe-keeping of such items at a cost must be made with the officially appointed freight forwarders of your choice. Also, for small entrepreneurs efforts will be made to provide storage space. They too should get in touch with official forwarder of their choice with their requirements.

During the move-in, construction of stands and removal of exhibits, the passageways of the exhibition hall must not be obstructed with packing materials, construction materials or debris. Contractors are responsible for removing their own off-cuts and waste each day of buildup and break down.

MANNING OF STANDS AND GENERAL CONDUCT

Stands must be fully staffed and operational throughout the open hours of the exhibition. Exhibitors may not participate in any activity, which causes or is likely to cause annoyance to visitors or other exhibitors. In particular, audio / visual display equipment must be positioned and sound levels so adjusted to avoid disturbance to neighbours. In the event of any disagreement, the organisers decision in this matter will be final.

CENSORSHIP OF FILM/AUDIO VISUAL DEMONSTRATIONAudio / Video cassettes, tapes and other material like this must be submitted to the officially appointed freight forwarder by the Exhibitor for clearance by the Indian Government Authorities prior to the show.

DILAPIDATION

Exhibitors are responsible for cost of making good or replacing any damages or dilapidations to the exhibition premises, whether caused by themselves, their agents, contractors or by any person or persons employed or engaged on their behalf.

Exhibitors occupying shell scheme stands are also responsible for the cost of making good, restoring or renewing any damages or dilapidations to their shell stand structures, floor coverings, light fittings, or any part thereof, whether caused by themselves, their agents, contractors or by any person or persons employed or engaged on their behalf by such agents or contractors. The cost of making good any damage will be assessed by the official shell scheme contractor and charged to the exhibitor.

FORCE MAJEURE

The exhibition may be postponed, shortened, shifted or extended due to any cause whatsoever outside the control of the organizers. The organizers shall not be responsible for any loss sustained by the exhibitor, directly or indirectly, attributable to the elements of nature, force majeure or orders and directives imposed by any governmental authority.

AUTHORITY ON THE PREMISES

The organizers shall be responsible for and be entitled to act as the owners of the premises throughout the tenancy period. The decision of the organizers in any problem or dispute will be final.

RETAIL SALES PROHIBITED

Retail sales of plants, machinery, ancillary equipment & samples are strictly prohibited. Spot orders for the same may be booked and delivered after the exhibition is over. However, free sale of books, periodicals and magazines is permitted.

OBSERVANCE OF RULES AND REGULATIONS

All exhibitors and all their personnel must observe the rules & regulations stated in this exhibitor manual while working or present in the exhibition halls.

SAFETY AND BEHAVIOR

No person present inside the exhibition halls is to behave or act in a manner that may cause any harm, injury or damage to other persons or exhibits, nor to exhibition hall property or fixtures.

SECURITY LOSS / THEFT

While the organisers will maintain security surveillance at all times throughout the exhibition, exhibitors are reminded that immediately after the show closes on the final day, the goods will be at maximum risk. Please be sure to see that your stand is not left unattended at this time. Particular care should be taken of small portable items, tools and instruments, including telephones.

MANAGEMENT FEE

A management fee of Euro 8,00 / sqm is due if stand construction is handled by any other contractor than Messe Düsseldorf GmbH. (The management fee covers on-site-co-ordination, design approval and construction debris disposal)

Catering and Restaurants

Arrangements are made with multi cuisine National & International by the venue authorized booking authority.

OPENING CEREMONY

The Inaugural Ceremony of Plastindia 2018 will take place on February 07th, 2018. This function will be held at The Mahatma Mandir Venue . The time of the inaugural ceremony as well as the name of the Chief Guest will be intimated to all concerned. While we would certainly expect one or two representatives from the exhibiting firm to attend the Inaugural function, care should be taken to ensure that his/her colleague who is not attending the ceremony, will take position in their respective stand by 0900 hrs on February 07th, 2018. This is essential since it would not be possible for them to enter their halls in time before the visit of the VIPs, as entry into the hall would be subject to security check and other formalities.

EXHIBITORS GET-TOGETHER

The organizers are planning to arrange an Exhibitors’ get-together along with a Cultural evening. This function will be held in the evening hours after the closing of the exhibition. For admission tariff and other details please contact the organizers/ Website: www.plastindia.org.

Section 2 – ENTITLEMENT

DESIGN FOR APPROVAL

Exhibitors opting for bare space or open-air display area are required to send their stand design drawings (stand construction and display arrangements of exhibits) for approval to Messe Düsseldorf GmbH. The drawing should be with plan, elevation, section and 3D Views. One set of the drawing duly approved or with suggested modification will be returned to the exhibitor as scanned copy through email address available with Messe Düsseldorf in PDF Format. Actual construction and display in the stand must strictly confirm to the drawing approved by the Official Architect of Messe Düsseldorf.PROCEDURE FOR TAKING POSSESSION OF SHELL SCHEME STANDS

i) Possession of shell scheme stands will be given to those exhibitors who have made full payment of all dues. ii) The exhibitor must send a letter of authorization on his letterhead, requesting the organizers to give possession to his representative named in the letter to take possession of his shell scheme stand. The authorization letter must be submitted to the Messe Düsseldorf of the organizers situated at the venue.iii) Possession would only be given on approval of drawings / designs of their stalls as stated above.

Additional time for Installation, if required by Exhibitor.

Exhibitors who need extra time for installation of machinery than specified, either for erection or dismantling charges towards the same would have to be borne by them on chargeable basis. Exhibitors who wish to have such additional days for construction are required to apply to the organizers about this extra days requirement in advance in writing. The organizers shall make efforts to meet with such specific request received from exhibitors subject to availability of the site at The Exhibition Centre,Helipad Ground,Gandhinagar,Gujarat. and additional rental charges for such period.

HAND-OVER OF HALLS-REMOVAL OF EXHIBITS

• The hall must be handed back to the venue authorised booking authority promptly on the final day of breakdown to make way for a subsequent event (13/14 February 2018, 20:00h). Please adhere strictly to this Day & Timing.• Exhibitors must ensure that their exhibits and stand materials are removed on or before time specified for the Hall in which they have been allotted space. Any items remaining will be disposed of by the fastest means possible. • Organiser cannot accept responsibility, for any loss or damage, and any cost involved must be borne by the exhibitors. • If an exhibitor intend to built Mezzanine Floor within the space allotted is permissible subject to:

Section 4 – PART 1

Stand construction, decoration & display Approval of layout plans of stands

Exhibitors opting for bare space must submit the design and drawing of their stall (floor plan & elevation) depicting position of exhibits, furniture, fittings, fixtures, office cubicles with complete dimensions in meters, in duplicate, to the Organiser for approval latest by 4 December 2017. The stall should be constructed as per the layout approve by the organizer. Exhibitors are requested to bring in pre-fabricated structures in constructing their own booths. No carpentry work including paining shall be allowed inside the exhibition hall.Exhibitors must issue a letter of authorization to their respective stand contractors to take stand possession.

GENERAL

• Messe Düsseldorf GmbH will demarcate the stands within the halls by suitable means. Exhibitors may take assistance from the Hall Co-ordinators for exact location of their respective stands before commencing construction of their stall• Exhibitors will be allowed to work between 8.00 am - 8.00 pm during the build-up period. Stands should be complete in every respect by 7th Feb 2018, 10:00 a.m.• Exhibitors shall ensure that their booth is built & dismantled in a safe, systematic and organised manner, within the specified build-up & dismantling period.• Stands should be constructed according to the layout approved by Messe Düsseldorf GmbH. Messe Düsseldorf GmbH reserves the right to demand modifications/alterations to the stand. In case actual display arrangement of a stand is not in conformity to the approved layout plan or guidelines, Messe Düsseldorf GmbH shall remove such installations from the stands at the cost and risk of the Exhibitor. Further, any part of the exhibit/stand which appears unsightly to the Messe Düsseldorf GmbH must be covered by the Exhibitor failing which Messe Düsseldorf GmbH will have the same covered at Exhibitor s cost & risk. Decision of the Messe Düsseldorf GmbH in this regard will be final and binding.• Exhibitors should not take support of any permanent structures in Exhibition Halls for display. Woodwork, inside/ outside the Exhibition Halls is prohibited. Exhibitors are advised to bring prefabricated stands for assembly in the Exhibition Halls.• Exhibitors are advised not to use any vacant space around their stands for storage or otherwise. This could be hazardous and could restrict the movement of service personnel. Messe Düsseldorf GmbH reserves the right to remove such material at the risk & cost of the Exhibitor.• Exhibitors are requested to kindly contact their hall inspector for their exact location within the Hall before commencing construction of their Stall.• Grouting/drilling of holes in the floor or walls is not permitted.• No suspended displays/structures are permitted from the ceiling of the exhibition halls.

• Exhibitors shall advise their advertising/construction/ electrical, and all other agencies about the guidelines for stand construction, decoration & display. Messe Düsseldorf GmbH shall not correspond with any of the agencies engaged by the Exhibitor.• Welding is strictly prohibited.• No brickwork melamine polishing or carpentry work will be allowed inside the hall.• The Exhibitors give unconditional undertaking that no promotion would be undertaken outside the booth allotted area including hostess distributing business cards to the buyers. If the Fair Authorities detect such incidents, the hostess and publicity material should be removed/confiscated at the cost of Exhibitor.• Exhibitors are responsible for the removal of trash at the close ôf the exhibition. Large volume of waste of any item including catalogues books, etc. remaining in the booth /stall will be regarded as trash, will be removed at the cost and risk to the Exhibitor.• Sale of ready stocks/stock lot is prohibited at the fair venue.

Site operations-information

Presentation and installation of exhibits

• Exhibitors should confine their exhibits within the space allotted to them and should not encroach upon the aisles or unused space/facilities provided by the Messe Düsseldorf GmbH. Clustering or crowding of exhibits in the stands is not allowed.• No part of any exhibit/display should project out of the stand boundaries. Exhibits / showcases/display podiums must be placed at least 0.3m away from the boundary of open sides of the stand.

Overall height

• The maximum height of any structure/display should not exceed 2.5 / 5.00 mtr. However special permission will be allowed for higher height, if space permit in Hall allotted.• Partitions and/or dividers in the stand should not be erected on the open side of the stand. The height of the partition or divider should not exceed 2.5m. Both sides of the partition should be properly finished or painted, particularly the partition on the side of their neighbouring stand. Exhibitors are advised to make side partitions in mutual agreement with neighbours.• Display panels, branding towers, name boards, sample holders, photographs and other display material are permitted in the stand, subject to a maximum height of 3.5m.• Show cases are permitted in stands subject to the condition that their height does not exceed 2.5m.• Spotlights, focus lights etc. are permitted provided these are fitted along with the stand structure within the maximum height of 2.5m.• Exhibitors having wall(s) along with their stall boundary or pillar within stands, may cover the same with wooden panels without causing damage to the walls, pillars, floor or any structure of the Exhibition Halls, not exceeding the maximum permissible height of 2.5m. However, electric panels on the walls or duct doors in the pillars, if any, should be kept accessible for the Messe Düsseldorf GmbH, for maintenance.

Floor Covering

• For Shell Scheme (Built-up Stall): Unicolour Carpeting of the stands is compulsory for shell scheme Exhibitors, which shall be provided by the Messe Düsseldorf GmbH. Bare Space: Use of suitable commercial material for floor covering inside the stands is permitted. Gluing/pasting of carpets on the floor may be done only by using easily removable bi-adhesive tape that leaves no marks on the floor.• Stand floor should not be primed, painted or varnished, nor floor covering be stuck permanently to the floor

Office areas

• Exhibitors can set up office enclosures in their stands. External height of the office enclosures cannot exceed 2.5m. The area of the office enclosure should be proportionate to the area of the stand as under

Area of stand: Maximum permitted area of office enclosure Up to 36 sqm.: 10 sqm. 36 sqm. or more: Not more than 25% of total stand area

• Office enclosures/cabins must be located either along the wall, if any, at the rear side of the stand, or at the back along the adjoining wall of their neighbouring stand. Extension of office enclosures/cabins up to open aisles is not permitted.

Section 4 – PART 3

The electric power supply available at the exhibition is as under (as provided by the venue authorised booking authority)

• The fluctuation in the parameter for power supply mentioned above is only for reference. Larger variations cannot be ruled out.• Each stand will be provided with electric power at one or more main points depending on the total requirement. Exhibitors should use Fuse distribution Boards for further distribution. Exhibitors should use either armored cables or metal conduits for connecting power supply for further distribution. All electrical installations should be earthed firmly at two places through bare copper earthing wire of the size appropriate to the load connected.• The work of drawing power from main point(s) given in the stand area to exhibits is to be carried out by the exhibitors at their own cost. Exhibitors may engage the services of their own personnel for cabling work inside their stand subject to the condition that these personnel are duly licensed to undertake electrical work and their names and addresses are intimated to the Organiser before the commencement of work. However, in case the services of electrical contractors are required to make connections, exhibitors may contact Organiser for assistance in locating a contractor. The service charges of electrical contractors are to be borne by the exhibitors and are payable directly to contractors.• Connecting power to exhibits other than the specified load or the load allotted by the Electrical Department is strictly prohibited.• After the electric wiring work is completed the exhibitors must obtain a completion report from their electricians or contractors engaged by them and file the same with organiser. However, if any participants desire to have extra load in his/her stall, they should inform the Stall Contractor before 06th Dec 2017 request received after the deadline will not be considered under any circumstances.• All main electrical supply points must be kept easily accessible for operation and repairs, in the event of emergency. These should not be concealed or covered.• Power will be released only after the wiring work is carried out to the standard of the organizer.• Exhibitors are advised to take highest level of safety precautions and engage services of only qualified and licensed personnel for electrical wiring and installations.• Exhibitors may contact the organizer for electrical work and guidance.• Permanent power will be probably made available from 6th Feb 2018 at 12:00 noon.• The organiser reserves the right to disconnect the electrical supply to any installation which in their opinion is dangerous or likely to cause a risk to visitors or other Exhibitors.• Arms and ammunition, explosives, contraband and/or other goods prohibited by Indian law, will not be allowed inside the venue.

OBSERVANCE OF RULES AND REGULATIONS

All exhibitors and all their personnel must observe the rules & regulations stated in this exhibitor manual under Section 2 and in the “Fact Sheet and Conditions of Participations” while working or present in the exhibition halls.

SAFETY AND BEHAVIOR

No person present inside the exhibition halls is to behave or act in a manner that may cause any harm, injury or damage to other persons or exhibits, nor to exhibition hall property or fixtures.

SECURITY LOSS / THEFT

While the organizers will maintain security surveillance at all times throughout the exhibition, exhibitors are reminded that immediately after the show closes on the final day, the goods will be at maximum risk. Please be sure to see that your stand is not left unattended at this time. Particular care should be taken of small portable items, tools and instruments, including telephones.

UTILITIES COMPRESSED AIR, WATER SUPPLY, CHILLED WATER, DRAINAGE & DISPOSAL

Compressed air, water supply and drainage facilities are not permanent available at the venue. Please contact Messe Düsseldorf GmbH to arrange these facilities (Forms No. 5 & 6)

Section 5 GENERAL INFORMATION

SECURITY

Rules & RegulationsThe security agency will do its best to ensure the safety of exhibits. Nevertheless, exhibitors must arrange their insurance AGAINST ALL RISKS to cover all stages of the event. They would be particularly careful not to leave their stand unattended at the closing of the show when dismantling commences. It is at this time that there is the greatest risk of theft. The organizers cannot accept responsibility for theft, loss or damage to exhibits. Only official security agency’s guards will be allowed, and no personnel of the exhibitor or private security guards will be allowed to stay in the exhibition halls after the closing hours. Exhibitors may arrange Individual security for their booths only from the official security agency.

Section 6 RULES & REGULATIONS

LIABILITY AND INSURANCE

The organizers will not accept liability for loss of or damage to any exhibit, materials, machineries, etc. nor for injury to exhibitor‘s personnel at any time. Exhibitors are strongly advised to take insurance policy covering the following against theft, loss or damage, including the risk of fire, injuries and third party claims etc:

i. Machinery ii. Transit and loading & unloading of machines iii. Exhibition personneliv. Third party (Visitors)

DEMONSTRATIONS AND WORKING EXHIBITS

An exhibitor intending to demonstrate working equipment on his stand must:

i. Provide the organizers with full details in writing of any working exhibits involving moving parts, naked flame, lasers or other items, which could be hazardous to visitors or the exhibitors shall take prior approval from Organiser.

ii. Give proper consideration to the safety and conditions under which the exhibits will be demonstrated, as per rules laid down by Ministry of Environment, Pollution Control Act Government of India prior approval for Display & demonstration shall be obtained from competent authority.iii. Cause no annoyance to visitors or other exhibitors, where a high level of noise (noise level shall be 20 db at one meter distance of source unless they are part of the machine, as per law) or other objectionable factor is involved. Demonstrations may only take place at the times stipulated by the organizers, who reserve the right to terminate a demonstration at any time.

iv. Isolate controls of sound so that they cannot be operated by visitors.

v. No use of flashing or winking lights.

vi. Not to contravene any Acts passed by Government of India, Ministry of Environment and Pollution Control Act.

FIRE PRECAUTION

The organizers at different points in the exhibition halls shall provide fire-fighting equipment. Exhibitors are however advised to take due precautions and install necessary safety and firefighting equipment in their stands.

Because of the nature of their exhibits, require a special type of fire extinguisher, Exhibitors must make arrangements at their own cost for the provision of such equipment. However the Organizers/ Technical Consultant of Messe Düsseldorf, will assist and advise, if required.

Any person seeing an outbreak of fire, however slight, must make immediate use of fire alarm system existing in their Hall and make every endeavour to extinguish the outbreak or to confine it by the use of extinguishers and also inform the Fire man/ Hall Director of their Hall.

FIRE BRIGADE AREAS

The marked areas for access by the fire brigade must not be obstructed by parked or parking vehicles or by storage of exhibits, building and packaging material or anything like that at any time including exhibition stand set-up and dismantling periods.

FIRE EXTINGUISHERS

Fire hydrants and fire extinguishers in the halls must not be obstructed or made unrecognizable or inaccessible. In case it is found that they are obstructed the Organiser will remove such obstruction at the risk & cost of the Exhibitor.

ELECTRICAL INSTALLATION AND ELECTRICAL APPLIANCES

All electrical equipments must comply with the safety regulations.Electric cooker plates, irons, grills, cookers, immersion heaters and other electrical appliances are to be adequately supervised during operations. They must be placed on the fire proof, heat resistant bases so that even in the case of excessive heat, inflammable objects in their vicinity cannot be ignited.

GENERAL LIGHTING

General lighting will be switched off at night in the hall. If exhibition stands or parts of the exhibition hall are darkened for operational purpose, sufficient safety lighting is to be provided.

PACKING MATERIAL

Packing material/ items which are not required as exhibit during the exhibition are to be handed over to the officially appointed freight forwarder who will store the material for you at designated storage/ ware house. During the stand set-up and dismantling periods, the transport paths in the halls are to be kept free as far as possible, transport and packing material and other equipment, which is no longer needed, should be removed immediately from the halls.

INTERNAL COMBUSTION ENGINES

Internal combustion engines must not be demonstrated in operation in the halls. Fuels must not be stored on the stand.Fuel tanks must be locked and batteries disconnected.Compressed gas cylinders are prohibited in the exhibition area.

STAND FITTING REGULATIONS (FOR OFFICIAL SHELL SCHEME EXHIBITORS)

The following regulations must be observed when preparing a stand presentation:-

Rental Display / Shell Scheme

i) No additional stand fitting or display may be attached to the shell structure. Neither nailing nor drilling will be allowed. If you require assistance in hanging or displaying your exhibits, please consult the official shell scheme contractor.ii) No painting or wall papering of stand panels of shell scheme stands will be allowed in the exhibition halls. Exhibitors who wish to have panels painted must inform the official shell scheme contractor who will provide a quotation for the requirement.

iii) No free standing fitment may exceed a height of 2.5 metres or extend beyond the boundaries of the site allocated.

iv) Any change in the type or colour of the floor covering provided must be by prior approval of the architect. The cost must be borne by the exhibitor.

v) An exhibitor occupying a corner booth has the choice to have either a wall or both sides open on to the aisle.

vi) No financial credit will be given by the organizers for any package item not utilized.

Space only stands are subjected to following rules:

i) Confirmation and submission of stand layout plan and design through email i.e. [email protected] or [email protected] or in triplicate not later than 4th December 2017 together with the name, address and contact details of their selected contractor. This is to prevent cost alterations on site.

ii) Exhibitors are responsible for the good behavior of the ‚Space Only‘ contractor, whom they appoint. In particular, they must ensure that the aisles are not blocked, that painting of the stand does not result in spillage, that the contractor removes his offcuts and debris from the hall and that the stand is completed by 10:00 hours on February 7th, 2018.

The Exhibitors will also have to bear any charges levied by the India Trade Promotion Organisation for damage caused to property, walls, flooring, or for debris not cleared away by their space only contractor.

iii) No structure may exceed a height of 2.5/5.00 metres.

iv) No part of any structures may extend beyond the boundaries of the site allocated.

v) No suspensions are to be made from the ceiling of the exhibition halls, nor may any fixing be made to the floor, walls or any other part of the building.

vi) A suitable floor covering, such as carpet or matting must be provided for all stands.

vii) A back wall, except in the case of an island or peninsula stand, must be provided.

viii) Where ‚Bare Space‘ stand walls exceed 2.5 metres in height adjacent to a shell scheme stand, the exhibitor with the higher wall must decorate the rear surfaces above that level.

ELECTRICAL SUPPLIES AND INSTALLATIONS

The organizer, in addition to normal stand lighting will provide hall lighting. The standard electrical voltage available for use on stands at the exhibition is 230 volts, single-phase alternating at 50 Hz and 415 volts, three-phase alternating at 50 Hz. A fluctuation of plus or minus 10% can be expected. EXHIBITORS WHOSE EQUIPMENT IS PARTICULARLY SENSITIVE SHOULD INSTALL A STABILIZER. Supplies to stands will normally be switched off at source 30 minutes after the exhibition closes each day (15 minutes on the final day).

a) Electric power supply available at the exhibition is as under:i. 3-Phase Neutral : 400/440V, 50 cycles ± 10%ii. Single Phase : 230V ± 10%iii. Frequency : 50Hz

The fluctuations mentioned above are only for reference. Larger variation could be expected on some occasions.

b) Fair management personnel responsible for supply of power will be entrusted with authority for regulating and controlling the power supply to the exhibition halls and individual stalls. c) Each stall will be provided with electric power at one or more main points depending on the total load requirement. Exhibitors should use distribution boards for feeding power to their machines. Individual isolation switches should be provided for each machine. Exhibitors should use either armored cables or metal conduits for connecting power supply to machines. d) The work of drawing power from main points to machines / exhibits is to be carried out by the exhibitors, at their own cost. Exhibitors may engage the services of their own personnel or authorized electrical contractors for cabling work inside their stall subject to the condition that they are duly licensed to undertake electrical work and their names and addresses are intimated to the organizers before the commencement of work. The service charges of electrical contractors are to be borne by the exhibitors and are payable directly to the contractors appointed by them.e) The exhibitors should connect power to machines and exhibits as per the requirement given in their applications. Connecting power to the exhibits other than those mentioned in the electricity requisition form or more than the specified load or the load allotted by the electrical department will not be permitted.

f) Exhibitors must install separate and independent switch connections for their machines / exhibits. Alternate connections or throw-over switches are not allowed. g) In case, power is supplied to the stall from two or more main points, exhibitors must distribute the load as per the capa city of the respective switchboards in consultation with Plastindia‘s officially appointed electrical contractors. Exhibitors requiring single-phase power for lighting purpose should carry out necessary wiring from 3-phase outlet through two poles single phase switches if necessary for further distribution. h) After the electrical wiring work is completed, the exhibitors must obtain a completion report from their electricians or contractors engaged by them and file the same with Plastindia‘s officially appointed electrical contractors. Actual connected load for individual machines / exhibits are to be mentioned in the report. i) All the main electrical supply points must be kept easily accessible for operation and repairs in the event of any emergency. Main electrical supply points should not be concealed or covered. j) Power will be released only after the wiring work is carried out to the standards of Plastindia‘s officially appointed electrical contractors and approved by the fair inspectors. k) Temporary power supply for erection and testing of machines can be made available on charges if the possession of such Hall is with the Exhibitor, please fill in the load requirement in Form 4A.l) The exhibitors are advised to install equipments like voltage stabilizers / UPS for their sophisticated machines / exhibits. If the machines are sensitive to the alignment of the floor, placement of steel plates underneath is recommended. m) Exhibitors are advised to exercise highest levels of safety precautions and engage services of only qualified professionals for electrical wiring and installations. e) The organizer does not guarantee uninterrupted power supply nor does the venue authorised booking authority. Any failure in regular power supply during the exhibition by unforeseen or any technical reason, no refund of money or any act of omission will be entertained by the organizersNOTE: i) EXHIBITORS DESIRING TO HAVE CONNECTED POWER LOAD FOR DEMONSTRATION OF EXHIBITS AND/ OR LIGHTING LOAD FOR ILLUMINATION OF THEIR STANDS MUST COMPLETE AND SUBMIT FORM NO. 4Ai) FLASHING LIGHTS AND NEON SIGNS ARE NOT PERMITTED.

IN-HALL FREIGHT HANDLING

ONLY THE OFFICIALLY APPOINTED FREIGHT FORWARDERS are permitted to work in-hall and handle onsite equipments. Any forwarder may deliver goods to the doors of the hall, but the officially appointed freight forwarders MUST handle from the point to your booth, unless the item can be hand-carried by one man. This regulation will be strictly enforced and is necessary for reasons of insurance, safety and control.

REMOVAL OF EXHIBITS

NO REMOVAL OR DELIVERY OF EXHIBITS AND OTHER EXHIBITION STORES IN OR OUT OF THE EXHIBITION HALL IS PERMITTED DURING THE OPEN HOURS OF THE EXHIBITION. Such removal, delivery or replenishment to stock may only be carried out before opening hours in the morning or after closing time in the evening. If you wish to remove any item of your display from the hall during the show days, a “GOODS REMOVAL PASS” must be obtained from the show management office.

STAND CLEANING

The organizers will arrange for the general cleaning of the passages prior to the opening of the exhibition and daily thereafter. It is the responsibility of all exhibitors to keep their own stands tidy. Exhibitors with working exhibits resulting in substantial quantities of waste materials, must inform Messe Düsseldorf GmbH in advance so that necessary arrangements may be made for which a charge will be raised. Please also fill in relevant form for stand cleaning, if required.

STORAGE & WASTE MATERIAL

The organizers are unable to provide storage facilities for packing cases, surplus materials, or other property of the exhibitors. Arrangements for safe-keeping of such items at a cost must be made with the officially appointed freight forwarders of your choice. Also, for small entrepreneurs efforts will be made to provide storage space. They too should get in touch with official forwarder of their choice with their requirements.During the move-in, construction of stands and removal of exhibits, the passageways of the exhibition hall must not be obstructed with packing materials, construction materials or debris. Contractors are responsible for removing their own off-cuts and waste each day of build-up and break down.Exhibitors are requested to place their waste in the aisle for removal by the cleaners. The organizers reserve the right to invoice exhibitors for excessive packing materials and discarded crates or cartons, which will be removed by the cleaners.

MANNING OF STANDS AND GENERAL CONDUCT

Stands must be fully staffed and operational throughout the open hours of the exhibition. Exhibitors may not participate in any activity, which causes or is likely to cause annoyance to visitors or other exhibitors. In particular, audio / visual display equipment must be positioned and sound levels so adjusted to avoid disturbance to neighbours. In the event of any disagreement, the organisers decision in this matter will be final.

CENSORSHIP OF FILM/ AUDIOVISUAL DEMONSTRATION

The Licensing of Exhibition space and facilities in the venue and The Fair Organisers are hereby notified that they shall obtain License from M/s Phonographic Performance Ltd, at Gandhinagar. If the Exhibitor intend to use the Music System in their Stall or Pavilion, this will be a violation of the Copyright Act. Hence it is not permitted, unless proved that that the License is obtained from Statutory Authority.

DILAPIDATION

Exhibitors are responsible for cost of making good or replacing any damages or dilapidations to the exhibition premises, whether caused by themselves, their agents, contractors or by any person or persons employed or engaged on their behalf.Exhibitors occupying shell scheme stands are also responsible for the cost of making good, restoring or renewing any damages or dilapidations to their shell stand structures, floor coverings, light fittings, or any part thereof, whether caused by themselves, their agents, contractors or by any person or persons employed or engaged on their behalf by such agents or contractors. The cost of making good any damage will be assessed by the official shell scheme contractor and charged to the exhibitor. The organizers will inspect the halls before build-up and after break down of the exhibition.

FORCE MAJEURE

The exhibition may be postponed, shortened or extended due to any cause whatsoever outside the control of the organizers. The organizers shall not be responsible for any loss sustained by the exhibitor, directly or indirectly, attributable to the elements of nature, force majeure or orders and directives imposed by any governmental authority. In the event of such circumstances, the money paid by the exhibitors, or any part thereof, is refundable at the sole discretion of the organizers.

AUTHORITY ON THE PREMISES

The organizers shall be responsible for and be entitled to act as the owners of the premises throughout the tenancy period. The decision of the organizers in any problem or dispute will be final.

RETAIL SALES PROHIBITED

Retail sales of plants, machinery, ancillary equipment & samples are strictly prohibited. Spot orders for the same may be booked and delivered after the exhibition is over.

SALES OF EXHIBITS BY INDIAN EXHIBITORS

The organizers appreciate that in many cases the exhibitors prefer to sell exhibits instead of carrying them back to their destination. Such sale of exhibits can be affected, if so desired by the exhibitors. This is however, subject to the condition that organisers shall not be responsible for collection or remission of duty, taxes such as import and excise duty, sales tax, octroi etc. Fulfillment of this obligation will be totally the responsibility of the exhibitor individually. The sold exhibits can be removed only after the conclusion of the exhibition along with removal of other exhibits after complying with the rules in all respects. It is advisable for exhibitors to refer to the guidelines of the officially appointed clearing & forwarding agents in this regard.

Organizer

The word ‘Organizer’ used herein shall mean Plastindia Foundation, Associations & its Official Agencies or Messe Düsseldorf GmbH.

Administration of Exhibition Halls

The administration of Exhibition Halls will be controlled from the Fair Secretariat located at The Admin Building. The Organiser will appoint hall inspectors for each Hall. Exhibitors may contact their respective hall inspectors for any assistance before, during and after the Exhibition. The Organiser’s decision will be final and binding in all respects.

Exhibitor

The word ‘Exhibitor/ Exhibitors’ used herein shall mean any company, agency or organization which has applied to the Organiser to participate in Plastindia 2018 and has been allotted space to display their products as per details submitted by them to the Organiser in the application form.

No verbal agreement

No verbal agreement between the Organiser and Exhibitors is acceptable, unless the same is confirmed in writing.

Agreement & amendment to rules

Exhibitors and their employees, agents and representatives agree to fully abide by the foregoing rules and by any amendments that may be put into effect by the Organiser.Any subject(s) not specifically covered herein shall be left solely to the decision of the Organiser, who shall also have full authority in the matter of interpretation, amendment and enforcement of all rules and regulations to aid any one or more Exhibitors and further any such amendments when made and brought to the notice of the Exhibitor shall be and become part of these rules and regulations hereof as though duly incorporated herein and subject to all of the conditions stipulated.

Non-Compliance / Non-observance / Default

In the event of Non-observance of or default on any of the rules and regulations mentioned herein, the Organiser reserves the right to terminate the participation of the Exhibitors without notice and retain all payments received on account as liquidated damages. On such termination the Exhibitor must close their stand.

Failure to Exhibit

If any participant has applied for space fails to exhibit its products for whatever reasons, shall be liable to pay for full payment plus any additional cost incurred by Organiser as a result of such failure to exhibit. Should an Exhibitor fail to occupy allotted space by the date and time specified for installation of Exhibits, the Organiser reserves the right to take over such space and reallocate or use the same as they deem fit.

Damage to property

The Exhibitor s is liable for any damage caused to the building, floor, walls, panels and carpeting or to the standard items and fittings & fixtures provided within the stand. The Exhibitor should not apply paint, adhesive or any such material, which would damage the fittings, fixtures and furniture provided by the Organiser.

Exhibitor booth representatives

Exhibitor’s stands should be manned at all times during exhibition hours only by the employees or their authorized representatives. Such representatives must at all times wear identification badges provided by the Organisers. All representatives in the exhibition stands must be decently attired and bear good moral character. Entry into other exhibitor s stands, without their consent, is forbidden.

Safety measures

The safety of Exhibitors, visitors as well as that of exhibits is of paramount importance. Exhibitors must strictly comply with all relevant fire and other safety regulations. All electrical wiring and fittings must conform to the appropriate safety norms. Exhibitors should take precaution to avoid injury or damage to visitors and laborers.

Odour

Exhibitors will not be permitted to display any equipment which causes high levels of pollution in terms of odour.

Limitation of Liability

Organiser shall not be liable for the safety of Exhibitors, their representatives, agents, contractors or visitors during the exhibition or for any exhibits, articles or other property whatsoever. Organiser shall not be held responsible for any restriction or conditions which prevent the construction, erection, completion, alteration or dismantling of stands or the entry, placement or removal of exhibits, or for non-conformance of any services or amenities provided by third parties.

Insurance

Exhibitors shall ensure that they are fully covered by insurance including, but not restricted to, all risks on their property, exhibits or articles of any kind, public liability and comprehensive protection against any loss or damage caused by any circumstance whatsoever whether by reason of fire, water, theft, accident or any other cause. Exhibitor shall indemnify the Organiser in respect of all costs, claims, demands and expenses to which the Organiser may be subjected, as a result of any loss or injury arising to any person (including the members of the public or the Organiser s staff, agents or contractors) or property, howsoever caused, as a result of any act of default of the exhibitor, his agents or contractors or visitors. If the Organiser so demand, the Exhibitor shall provide proof of adequate insurance cover. Exhibitors must ensure that their temporary staff, representatives, agents, contractors are insured against claims for workman’s compensation. The period for which such insurance should be maintained, shall run from the time the Exhibitor or any of his representatives, agents or contractors first enter the Exhibition grounds, and to continue until they have vacated the exhibition grounds and all their exhibits and property have been removed.

Exhibit publicity

All sales promotion activities including distribution of literature, brochures, samples, handouts, etc. must be confined to the designated stand of the Exhibitor.

Filming/photography

Organiser has exclusive rights to take photographs and films of the exhibition stands. Exhibitors will have to take prior permission of the Organiser for taking photographs and films of the exhibition. Exhibitor may however take photographs of their own stands and visitors

1. In addition to the plan approval as described in exhibitors engaging the services of contractors other than the officially appointed contractors, are required to provide an undertaking in writing to the organizers, as per the prescribed format below:

UNDERTAKING:

i. We will work as per the design approved by Messe Düsseldorf. ii. We will not undertake any work inside the halls other than, which is strictly necessary for finishing and touching up. All carpentry, prefabrication and painting work will be completed outside the halls. iii. We shall strictly abide by the rules and regulations laid down by Messe Düsseldorf. iv. We will ensure that existing structures such as floors, walls, ceiling, columns/pillars, as well as electrical installation/wiring and other as exists in the halls are not damaged or tampered with. However, if such damage occurs in the opinion of the organizers, then we hereby undertake to pay damages as determined by the organizers, and their decision in this matter shall be final and binding to us.
