AN ORACLE CASE STUDY

Industry: Retail

Service Areas: End-to-end Application Implementation; Global Rollout

Topology: Oracle Apps - GL, AP, AR, FA, PO; Reusable Components; Implementation & Rollout Toolkit; Change Management; Local Language OR One Language, Consolidation, Multiple Currency Reporting, Revaluation, Revenue Recognition, Exchange Rates, Calendar, Asset Location, Depreciation Policy, Tax Book changes from country to country

One of the oldest retail & manufacturing companies in APAC & Europe

CLIENT

One of the oldest and best known retail and manufacturing companies in the Asia- Pacific and European regions; Employs over 90,000 people who manage 7,100 retail stores in food, electronics, general merchandise and beverages; Also has business operations in port related services, telecommunications, and manufacturing;

Having diverse businesses, the company was on the look out for alternatives to centralize control and to bridge the cultural and geographic barriers. This led them to decide on implementing the Oracle eBusiness Suite and they engaged HCL to provide end-to-end application implementation services and global roll-outs across the company’s manufacturing divisions.

CHALLENGES / OBJECTIVES

To develop a solution in non-English speaking countries, and address issues rising from operations across multiple cultural/language boundaries. Strategies had to be formulated to avert conflict of interest through coaching in people skills

Undertake global rollout for multiple divisions while resolving key issues such as Implementing MLS/NLS; Addressing infrastructure readiness across multiple locations; Communication issues and language constraints; Adhering to project timelines (avoiding scope creep); Managing dependencies between multiple project streams; Addressing business concerns from each operating unit; Facing and resolving non cooperation from various operating units; Providing an awareness of ERP (when the company was not ready for the ERP age); Customizing many business processes according to local requirements

Implementation of Oracle Applications (GL, AP, AR, FA, PO) in Asia & Europe End-to-end implementation - MRC, Multi Org, Asia Pacific & Europe localization and NLS/MLS

functionality Conceptualisation, design & development of the “Implementation & Rollout Toolkit” to rollout the solution

to other countries Standardization of business processes across countries of Rollout using the “Packaging” concept Incremental approach to business requirement gathering & solution design -increased efficiency at lower

costs Joint ownership & participation (HCL & Client) for smooth and effective Change Management Streamlined use of Reusable Components both in code and solution Provided adjunct services like program management, DBA and infrastructure support Transition from onsite implementation mode to offshore implementation support mode

HCL followed this methodology which proved very successful in this case.

Requirement Analysis in the Base Country - Commenced system study in one of the Asian countries; Conducted workshops and provided templates to the stakeholders across the globe

Requirement Analysis in Other Countries - HCL Solution Architects interacted with key business users from other countries; Drafted Global System Requirements; Sign off on System Requirements

Global Design - Considerations : Key business process (function wise, viz. Procure to pay, Order to cash, General ledger – book keeping, statutory reporting, Local Language OR One Language, Consolidation, Multiple currency reporting, revaluation, revenue recognition, exchange rates, calendar, asset location, depreciation policy, tax books changes from country to country); Presentation made to the client on the proposed global design structure; Debated effects on accounting standards, common business process, any local statutory requirements including reports, transfer of assets, receivables and payments process, etc.; Sign off by Accounting / Finance board after deliberations at various levels

Go Live in Base Country - Executed setups on Oracle Financials and completed implementation

Developed the Rollout Kit which contained - Standardized business scenarios; Standards; UAT test scripts; Training packages; Impact analysis of learning’s from previous phases; Test Plans & strategy documents

Added Local Requirements - In National Language; Functional patch analysis & deployment; Local Regulatory reports; Interfacing with other applications; Data conversion using the Rollout Kit; Acceptance testing & Go-Live

Deployment (was completed in a record 4 weeks)

THE SOLUTIONRESULTS / BENEFITS

Cost effectiveness resulting from the Onsite-Offshore model resulting in approx. 21% savings in effort

Handling system implementations in multiple locations meant the standardization of business processes through practical module packaging, which was customized to the organization’s need

Standardization of business processes ensured easy and quick information transfer across departments and geographies

Lower time to rollout as a result of Reusable Components both in code and solutions (first rollout took 10 weeks whereas the 5th rollout took just 6 weeks
