RESPONDING TO A LINEAR RFP This document gives a brief overview of the steps a vendor must take to respond to a Linear RFP Request.
Rep Receives an RFP Request Rep receives an email letting him/her know they have a new RFP Request. Rep should click the here hyperlink at the bottom of the email.
Rep is brought to the login screen and should click First time user if he or she is not yet registered.

The rep is prompted to create a password for the STRATASPHERE RFP Site.
If the rep has not yet received a request for the specific station, he or she will be prompted to confirm they do business on behalf of the vendor.

The RFP site displays additional RFP information that is not included in the rep email.
Optional information, such as Goal type, Daypart Codes, Budget Notes, Restrictions, etc. can be filled out when creating the RFP.
Responding to a Request The rep can choose to respond to the RFP request or to Decline to respond to the request. If the rep chooses Upload Response, another screen opens with rules for responding, as well as the ability to upload an XML.

When an XML is selected, validation is done to ensure the XML flight dates are within the specified flight dates of the RFP Request, the Primary demo matches the RFP request, and the start day of the week is the same as the flight start date. If all criteria are met, the selected file will display as Validated.
If the file does not meet all required criteria, the selected file will display as Not Acceptable and a red message will display the reasoning in the top right of the website.
After a valid XML is uploaded, the rep can attach additional file(s) to include with the response.
The rep can then include additional comments, if desired.

Before sending the response, the rep can review the attachments and comments.
Once the response is sent, a confirmation screen will appear.

The buyer is notified via email when a response is received.
Declining to Respond If the rep chooses Decline RFP, a comment must be entered before continuing.

After selecting Next, the rep should review the comment and select Send Response.
Once the response is sent, a confirmation screen will appear.

The buyer is notified via email when the declined response is received.
Notes 1) A rep can only respond to an RFP Request once. The buyer can add the vendor again and send a new
RFP request, if another round of negotiation is necessary.
2) Once the request has been responded to, the rep can no longer access the original RFP Request because the link is closed.
3) If the rep has not responded to an RFP request within 15 days of the RFP Due Date, the RFP Request link will become invalid.
