Section 3Information to Review Before You Install

General

Develop a Plan to Back Up Files

Timberline strongly recommends that you use third-party software to automatically back up all Timberline data files to external media on a regular basis.

Consider the following as you develop your backup plan:

■ You must close all Timberline applications before you back up files (unless you use open file management software, which allows backups of files that are in use).

■ You must back up all Timberline data at the same time. This is because Timberline applications transfer data between many files. When you back up all files at the same time, you maintain critically important relationships between files.

■ Carefully review where you store application data, and be sure to back up all data, even if it is outside default folders. For most accounting and management applications, you can see a list of folders that are outside the current data folder. In TS-Main, select File > Data Folder Settings > File Locations, and review entries in the Data Folder column.

■ Use third-party backup software for all backups. If you need an immediate backup and your third-party backup software is not available, you can temporarily use Timberline’s File Tools utility, but be sure to see “Show File Extensions To Ensure Proper File Tools

13

Information to Review Before You Install

Section 3

Operations” on page 13 and “Follow Special File Tools Instructions for Inventory, Purchasing, and Service Management” on page 14.

■ Store backup media in a secure location outside your building.

■ Test backups by restoring them to test folders. These tests are important because backup media may have a limited life, backup devices may malfunction, and you may have incorrect software settings in your backup software.

WARNING: When you test a backup, be very careful to keep the restored data separate from your other data.

Show File Extensions To Ensure Proper File Tools Operations

In Windows Explorer, you must show file extensions for known file types in order for File Tools to work properly. If you hide file extensions for known file types, File Tools does not recognize the files with hidden extensions. This results in an incomplete File Tools operation, such as an incomplete backup. You cannot rely on File Tools when you hide file extensions.

To show file extensions for known file types, follow these steps:

1 Start Windows Explorer.

2 From the Tools menu, select Folder Options.

3 In the Folder Options window, click the View tab.

4 In the Advanced settings group box, clear the Hide file extensions for known file types check box.

You must show file extensions on all workstations and servers that use File Tools.

14

Section 3

Follow Special File Tools Instructions for Inventory, Purchasing, and Service Management

Please follow these instructions when you use File Tools with Inventory, Purchasing, and Service Management.

■ To perform file tools operations on Inventory or Purchasing files, be sure to start File Tools from Inventory or Purchasing. These applications use a different version of File Tools from the one in TS-Main.

■ To perform File Tools operations on Service Management files, start File Tools from TS-Main or another accounting application. You cannot start File Tools from Service Management.

■ Your Service Management data may be in a subfolder of one of Timberline's data folders. In a File Tools window that has a Select Files box, be sure to browse to your service management data folder, double-click the folder, and then select files.

Use High Quality Antivirus Software

Maintain the effectiveness of this software by regularly downloading the latest antivirus data files.

Do Not Actively Scan Pervasive Program Files, Timberline Program Files, and Timberline Data Files for Viruses

This type of scanning causes poor performance and aborts. The default folders for these files are:

■ Pervasive: C:\Pvsw.

■ Timberline program files: C:\Program Files\Timberline Office.

■ Timberline data files: C:\Program Files\Timberline Office.

Important: Be sure to scan these files at a time when they are not in use (for example, schedule a daily scan at 3:00 a.m.).

Section 3

Use High Quality Hardware

Timberline’s powerful database software requires high quality hardware. Make sure all hardware is on your operating system’s hardware compatibility list and that your server is expressly designed to be a server.

If you report a problem that Timberline’s Software Support cannot reproduce on an authorized network, Software Support cannot fully investigate the problem.

Use Updated Device Drivers

Obtain updated device drivers from your hardware manufacturers’ Web sites. Be sure to update drivers for video and network cards, SCSI controllers, CD-ROM drives, and printers. Many device drivers shipped with your operating system have since been updated.

Use Timberline System Verification

Use the Timberline System Verification utility on your workstations. This utility identifies settings and other issues that may conflict with the operation of Timberline applications. For more information, see “System Verification” on page 85.

Do Not Use a Windows Server as a Workstation

When you use a server as a workstation, the server diverts its processing power for workstation tasks. Also, the server becomes vulnerable to operator errors. These factors may lead to a network crash because problems with the server can affect the network. Timberline does not support using a server as a workstation.

Do Not Use Complex Screen Savers on Workstations

In particular, avoid using Open Graphics Library (OpenGL) screen savers, such as 3D Pipes, which can significantly degrade performance and can cause system aborts leading to data corruption.

Eliminate Unnecessary Programs That Execute From the Windows Startup Folder

This conserves workstation resources.

16

Information to Review Before You Install

Section 3

Use High-Performance, High-Quality Network Cards That Match the PC Bus

Do not use ISA cards in computers that have a PCI bus. This could cause data corruption.

If You Use Bus Mastering Network Cards, Verify That Your System Board Fully Supports Bus Mastering

If you experience problems on a machine that uses bus mastering cards, you may need to update your BIOS or your may have a hardware compatibility problem. If necessary, disable bus mastering under Windows operating systems.

Ensure That the Winsock.dll and Wsock32.dll Files on Your Workstation are From Microsoft

In Windows Explorer, browse to the Windows\System folder. Locate the files, right-click, and select Properties. Click the Version tab and review the name in the Value window. If Microsoft did not create either of these files, ask your network administrator to replace them with drivers produced by Microsoft.

Section 3

Pervasive Database Engine

WARNING: If you upgrade to Novell NetWare 5.1, the upgrade replaces Timberline’s Pervasive service pack with an older service pack. If this happens, reinstall Timberline’s Pervasive database engine. This does not harm NetWare 5.1. For more information, see “Pervasive.SQL 2000i Database Engine With Service Pack 4” on page 78.

WARNING: Novell NetWare 4.2 and later load a Pervasive.SQL 2000i database engine that is similar to Timberline's. During installation, Timberline may modify the Autoexec.ncf file to ensure that its server database engine loads properly. If such a modification occurs, Timberline notes the changes in the Autoexec.ncf file and creates a backup called Autoexec.ts. A message appears that notes this modification and lists the location of the backup file. In addition, the Autoexec.ncf file lists modifications.

Resolve Incompatibility Between Btrieve Versions Earlier Than 6.15 and the Pervasive.SQL 2000i Database Engine

If you use a version of Btrieve earlier than 6.15, install Timberline applications on a separate server or upgrade Btrieve.

Peachtree versions up to and including 7.x are incompatible with Timberline applications. Peachtree 8 is compatible with Timberline applications but, due to a conflict between database engines, requires the following workaround. Even with the workaround, Peachtree 8 cannot run at the same time as Timberline applications.

1 Move the following files into the \Peachw directory on your workstation. These files are probably in the \Windows\System directory.

Wbtr32.exeW32mkde.exeW32mkrc.dllWbtrvres.dllWbtrthnk.dllWbtrlocl.dllWbt32res.dllWbtrcall.dll (file size = 43,472 bytes)Wbtrv32.dll (file size = 68,096 bytes)

2 Restart. You can now use Timberline applications and Peachtree 8, though not simultaneously.

NOTE: If these steps are not successful, please call Timberline’s Software Support or Peachtree support.

An icon appears in the system tray when Timberline’s Pervasive.SQL 2000i database engine is running. After you exit a Timberline application, make sure this icon disappears before you start Peachtree 8. Peachtree’s Btrieve 6.15 workstation database engine requires

20

Information to Review Before You Install

Section 3

30 seconds to unload from memory. After you close Peachtree 8, wait at least 30 seconds before you start a Timberline application.

Ensure That the Pervasive Database Engine and Timberline Data Files Are on the Same Computer

Verify that you have a Pvsw folder on the same computer as your Timberline data files. If you have a Pvsw folder, you probably have the Pervasive database engine.

If Other Applications Use the Pervasive Database Engine, Remove Extra Copies of Wbtrcall.dll

After you install Timberline applications, search all local and mapped drives for Wbtrcall.dll. If you locate this file anywhere other than in the C:\Pvsw\Bin folder, rename the file (for example, rename it Wbtrcall_dll.old).

Do Not Use the SUBST Command (only Windows)

This command is usually in Autoexec.bat or the startup folder. Use of the SUBST (substitute) command may cause Pervasive status code 11 or 116 errors.

Do Not Exclusively Use the NetBEUI Network Protocol

Timberline does not support the NetBEUI network protocol. If NetBEUI is your only network protocol, you must install TCP/IP before you install Timberline applications. If no applications require the NetBEUI protocol, consult with a network technician about removing it.

Section 3

Novell NetWare

Enable Long File Name Support

Make sure that your Novell NetWare server supports long filenames before you install Timberline applications. Long filename (LFN) support is not automatically installed on NetWare 4.2.

To check whether you have LFN support, first try to create an eight-character folder name on your server to test whether you have the rights to create a folder. If you can do this, try to create a folder name with more than eight characters on the same drive and location. If you receive an error, do not attempt to install your software. If necessary, contact your NetWare technician to install LFN support.

Ensure That You Have at Least the Minimum NetWare Folder Rights

The minimum NetWare rights to program and data folders are Read, Write, Create, FileScan, Modify, and Erase (RWCFME).

Respond to the Turbodis.nlm Error Message Correctly

During the installation of accounting and management products, operators of NetWare 4.2 may receive an error message such as Cannot copy D:\Prerequisites\Updates\Pervasive\NW\Turbofat\42\Turbodis.nlm to C:\Nwserver\Turbodis.nlm (D:\ represents your CD-ROM drive and C:\ represents the MS-DOS partition on your Novell server.

The following steps provide a workaround for this error. If you have difficulty implementing this workaround, contact your network administrator. You need a 3.5" floppy disk and your accounting and management products CD.

1 Copy the file D:\Prerequisites\Updates\Pervasive\NW\Turbofat\42\Turbodis.nlm to the floppy disk.

2 At the Novell server, type down. This should take you to a command prompt.

3 Type exit. This should take you to a command prompt at the C:\Nwserver directory.

4 Copy the Turbodis.nlm file from your floppy to the C:\Nwserver directory.

5 Type edit Startup.ncf at the command prompt.

6 At the top of this file, type pmload C:\Nwserver\Turbodis.nlm.

7 Save and close the file.

22

Information to Review Before You Install

Section 3

8 At the C:\Nwserver command prompt, type server.

9 After the server restarts, press CTRL+ESC and select option 1, system console. Type Pmload C:\Nwserver\Turbodis.nlm and press ENTER. The server returns the message Patch Turbodis.nlm is already loaded.

10 Use accounting and management products to confirm basic functionality. For example, in Accounts Payable, enter and post an invoice. Then open an invoices by batch report and confirm that the invoice is there.

NOTE: If you re-install your software, the Turbodis error message reappears because the installation cannot write Turbodis.nlm to the MS-DOS partition. Ignore this message. You already resolved the problem by manually adding the needed file. To confirm the presence of the needed file, repeat steps 8 and 9.

Use Novell’s Client Software

You must use Novell’s Client connectivity software (with all associated patches) on your Windows workstations. Do not use a NetWare client created by Microsoft. Please follow these steps to determine whether you have a Novell NetWare client installed:

■ Windows NT Workstation 4.0: log on as an administrator. Click [Start] > Settings > Control Panel. Double-click Network. On the Services tab, look for Novell Client for Windows NT.

■ Windows 2000 Professional: Click [Start] > Settings > Network and Dial-up Connections. Double-click Local Area Connection. Click [Properties] and look for Novell Client for Windows 2000 with a check mark next to it.

■ Windows XP Professional: From Control Panel, double-click Network Connections; then double-click Local Area Connection. Click [Properties] and look for Novell Client for Windows XP.

If you do not properly install Novell Client software on every Timberline workstation, data corruption, lockups, and other serious problems may result.

Timberline does not guarantee the reliability or performance of any version of Novell's workstation connectivity software. Timberline is not liable for damages, loss, or costs incurred as a result of problems with third party products, including Novell products.

Section 3

Verify That You Have the Correct Novell Client Properties

1 Right-click the Novell N icon in the system tray.

2 Select Novell Client Properties; then click the Advanced Settings tab.

3 If you use Windows NT 4.0, Windows 2000, or Windows XP Professional, make sure that File Caching Off is selected. If you use Windows 98 SE or Windows Me, make sure that Cache Writes and Opportunistic Locking Off is selected.

File caching, cache writes, and opportunistic locking can interfere with the ability to open and close database files properly.

Do Not Make Data Files Sharable or Transactional

Make sure all Timberline data files are nonshareable read-write. Sharable files may cause data integrity problems.

Section 3

Windows NT Server 4.0, Windows 2000 Server/Advanced Server, and Windows Server 2003 Standard Edition

Give Operators Full Control Access Rights to All Folders That Contain Timberline Data or Program Files

If you use Windows Server 2003, please note that some default security settings are different than those found in Windows NT Server 4.0 and Windows 2000 Server/Advanced Server:

■ When you create a new share for a folder, Windows Server 2003 gives operators read access instead of full control access.

■ Windows Server 2003 gives Power Users change and read access to only the Program Files folder. Windows NT Server 4.0 and Windows 2000 Server/Advanced Server give Power Users change and read access to all folders.

Give the Local System User Full Control Access Rights to Pervasive and Timberline Folders

The system user is an internal user that all Windows NT 4.0, Windows 2000, and Windows Server 2003 services use for access rights. Because the Pervasive database engine runs as a service and not as an application, it must inherit rights from the system user account. To avoid Pervasive status code 46 and 94 errors, be sure to give the system user full control access rights to the Pervasive program folder, Timberline data folders, and Timberline program folders.

If You Install Estimating Products on a Server That Uses Windows Server 2003 Standard Edition, You Must Log On as an Administrator When You Use Estimating Products

This ensures that Estimating has proper access to the Windows registry.

Do Not Use NTFS File Compression on Timberline Data or Program Files

NTFS file compression severely degrades performance.

25

Information to Review Before You Install

Section 3

Terminal Services

If You Install Estimating Products on a Terminal Server That Uses Windows Server 2003 Standard Edition, You Must Log On to the Terminal Server as an Administrator When You Use Estimating Products

This ensures that Estimating has proper access to the Windows registry.

Use an Appropriate Page File Size

Usually, a page file size approximately 2.5 times larger than the terminal server’s RAM works very well. For example, if your terminal server has 512 MB of RAM, the page file size should be 1.25 GB (this is the default for a new terminal server installation).

Install a Terminal Server as a Member Server, Not as a Domain Controller

As a member server, the terminal server can dedicate its resources to client applications rather than to domain authentication.

Make Sure That the Terminal Server Uses the NTFS File System

NTFS provides a much more secure environment.

Recommendation to Operators of MetaFrame: Install MetaFrame Immediately After You Install Your Terminal Services Operating System

If the drive letters of your remote machine are the same as the terminal server’s, MetaFrame temporarily reassigns your drive letters to something else. This reassignment invalidates shortcuts on your local machine.

To avoid this, permanently reassign drive letters on the terminal server during the MetaFrame installation. Change the drive letters to something less common (for example, change a “C” drive to an “M” drive) so that the terminal server and remote workstations do not have identical drive letters. You should make these terminal server drive reassignments immediately after you install your terminal services operating system. This allows all subsequent programs to install to the renamed drives.

Windows NT Workstation 4.0, Windows 2000 Professional, and Windows XP Professional

Log On as a Power User or Administrator

You must be a power user or administrator to use Timberline applications. This is because you must be able to create or modify files in your X:\WinNT and X:\Windows folders (X:\ is the drive to which you installed Timberline applications).

Do Not Use Fast User Switching (only Windows XP Professional)

Timberline does not support fast user switching.

Reinstall the Full Version of Internet Explorer 6.0 Service Pack 1 if Report Manager Does Not Start

If you cannot start the estimating products Report Manager or if you receive an error message titled ReportManager.exe - Entry Point Not Found when you try to start Report Manager, download and reinstall the full version of Internet Explorer Service Pack 1 from http://www.microsoft.com/windows/ie/default.asp.

Windows 98 SE and Windows Me

If You Use ePlan Takeoff, You May Receive an Error Message

If you use ePlan Takeoff to open On Center Software’s On-Screen Takeoff program, you may receive the error message A problem occurred sending a request to the On-Screen Takeoff application. The server threw an exception. This error message appears if you perform the following steps:

1 Use ePlan Takeoff interface to open On-Screen Takeoff version 2.7.2.32.

2 Close On-Screen Takeoff.

3 Reopen On-Screen Takeoff from the ePlan Takeoff command.

If you dismiss this error, you can still send values back to Estimating.

The error message occurs because On-Screen Takeoff does not support Windows Me.

If You Have a Peer Network Composed of a Windows 98 SE or Windows Me Peer Server and One or More Workstations That Use Windows NT Workstation 4.0, Use Eight Characters or Less and No Spaces in Shared Folder Names

Because of a limitation of the Windows 98 and Windows Me operating systems, you must use eight characters or less with no spaces for your Timberline program and data shared folder names.

If You Use Estimating on a Peer Network Composed Entirely of Windows 98 SE or Windows Me Workstations, You May Need to Move Your Address Book Database

Operators cannot share Address Book data when all of the following conditions exist:

■ Your peer network is composed entirely of workstations that use Windows 98 SE and Windows Me.

■ Multiple operators use Estimating.

■ You do not have accounting and management products installed.

■ The Address Book database is on one of the workstations that has Estimating.

■ Estimators share one or more Estimating databases.

To resolve this issue, perform one of these steps:

29

Information to Review Before You Install

Section 3

■ Put the Address Book database on a workstation that does not have Estimating. Also, add the Pervasive database workgroup engine to this workstation. To add the database workgroup engine, click [Start] > Run. In the Run window, click [Browse]. In the Browse window, select D:\Prerequisites\Updates\Pervasive\WGE\Setup.exe (D:\ represents your CD-ROM drive). Click [Open]; then click [OK]. Follow the instructions in the windows.

■ Add a workstation to the network that uses Windows NT Workstation 4.0, Windows 2000 Professional, or Windows XP Professional. Put the Address Book database on this workstation. If this workstation does not have Estimating, add the Pervasive database workgroup engine. See the bullet above for instructions.

If You Use Your Peer Server as a Workstation, Modify the TS.dir File After You Install Timberline Accounting and Management Products

If you share data in a subfolder on the server (for example, C:\Timberline Office\Accounting\Data), you must edit the TS.dir file to access data from both the server and the workstations. If you do not edit the TS.dir file, the system displays the message No companies exist. Follow these steps to edit the TS.dir file on the server:

1 Use a text editor such as Microsoft Notepad to open the TS.dir file in the Misc folder of your Timberline installation on your server (for example C:\Timberline Office\Accounting\Misc).

2 Add a line beginning with a backslash that contains the full path to the folder (for example, \Timberline Office\Accounting\Data).

3 Add a blank line at the end of the file.

4 Save the file.

After you make the above addition, if a No companies exist message appears on workstations, the TS.dir file probably does not have the mapped path. Use a text editor to add the mapped path to TS.dir. For example, if a workstation’s mapped path to the data is T:\Data, add \Data to TS.dir.

If a Drive or directory not found message appears when you print reports in Accounts Receivable (AR), Billing (BL), Job Cost (JC), or Payroll (PR), follow these steps:

1 Open TS-Main.

2 Select File > Data Folder Settings (or Company Folder Settings) > File Locations and remove the drive designation in the Reports box.

3 In one of the affected applications (AR, BL, JC, or PR), select Reports > Reports Manager.

4 Select a report.

30

Section 3

5 Click [Change].

6 In the Change Report window, in the File name box, remove the drive designation.

7 Repeat this procedure for each report in each affected application.

8 If necessary, in each affected application, select File > Data Folder Settings (or Company Folder Settings) > XX Settings (XX is the application abbreviation).

9 In the XX Settings window, click [Journals/Forms] and remove the drive designation from each journal and form.

If you install both estimating products and accounting and management products to your peer network, you must use Windows NT Workstation 4.0, Windows 2000 Professional, or Windows XP Professional with your peer server. You cannot use Windows 98 SE or Windows Me with your peer server.

In addition, you must follow these steps before you install accounting and management products:

40

Accounting and Management Products Installation

Section 4

1 On the peer server, create a folder in which you will install (a) your accounting and management software and (b) your shared Address Book database. For example, create C:\TSApps.

2 On the peer server, create a shared folder name for the folder created in step 1. For example, create a shared folder name called TSApps.

3 On the peer server and on each workstation, map a drive to the shared folder name created in step 2. For example, map T: to \\peer-server\TSApps (peer-server is the computer name of the peer server and TSApps is the shared folder name that you created).

4 Follow the instructions in “Client Server or Peer Server Network Steps” on page 37. Be sure to install to the mapped drive you just created.

Special Instructions for Upgrades of Both Estimating Products and Accounting and Management Products on a Peer Network

If you upgrade both estimating products and accounting and management products on your peer network, you must use Windows NT Workstation 4.0, Windows 2000 Professional, or Windows XP Professional with your peer server. You cannot use Windows 98 SE or Windows Me with your peer server.

In addition, you must follow these steps when you upgrade your accounting and management software. These steps require you to edit the registry on the peer server. If you do not feel comfortable editing the registry, contact Timberline’s Software Support for assistance.

1 Before you begin, back up your current Timberline program and data files.

2 On the peer server, map a drive to the shared folder name on the local drive in which you installed accounting and management products.

For example, if you installed accounting and management products in C:\Program Files\Timberline and your workstations map drive T: to \\peer-server\TSapps, you would map drive T: to \\peer-server\Tsapps on the peer server (peer-server is the computer name of the peer server and TSapps is the shared folder name assigned to C:\Program Files).

3 On the peer server, edit the registry so that the Timberline key for the local machine points to the mapped drive instead of the local drive. To edit the registry:

a From the Start menu, select Run and type regedit in the Open box. This starts Registry Editor.

b Locate Hkey_Local_Machine\Software\Timberline\General in the left pane of the Registry Editor window and click the General folder.

c In the right pane, click System Directory. Select Modify from the Edit menu and edit the path to point to the mapped drive you created in step 2. For example, edit the path to point to T:\Timberline.

41

Accounting and Management Products Installation

Section 4

d From the Registry menu, select Exit to close the Registry Editor.

4 Install accounting and management products. For instructions, see “Client Server or Peer Server Network Steps” on page 37.

5 Place your shared Address Book database in a folder on the mapped drive you created on the peer server in step 2.

The first time you start an accounting or management application after you upgrade, the Data Folder Selection window opens, prompting you to specify the location of your existing Timberline data folders. When the Data Folder Selection window opens, do the following:

a Click [Search Drives] to open the Search Drives window.

2 If you are upgrading from a Precision Collection or estimating products CD earlier than 6.5.0, print the Subcontractor Detail report (Database > Reports > Subcontractors) from your current version of Estimating. You need the data in this report to help you integrate databases after you install. You should use the Export File option to create a comma separated value (.csv) version of the report. This will let you view the report details in common word processing and spreadsheet products, such as Microsoft Word and Excel.

3 If you are upgrading, click [Start] > Settings > Control Panel > Add/Remove Programs to remove all previous versions of Estimating. After you remove previous versions, be sure to restart your computer.

4 If you are upgrading a network installation, ask all operators to close Timberline applications for the duration of the installation.

5 Turn off the following software for the duration of the installation:

a Antivirus software

b Backup software

c Microsoft Exchange and Novell GroupWise e-mail software

6 If you have other applications that use the Btrieve or Pervasive database engines, make sure the database engines are compatible. For more information, see “Resolve Incompatibility Between Btrieve Versions Earlier Than 6.15 and the Pervasive.SQL 2000i Database Engine” on page 19.

7 Be sure that you have installed at least one printer.

Section 6Frequently Asked Questions

General

What permission level do I need to use Timberline applications? If you use Windows NT Workstation 4.0, Windows 2000 Professional, or Windows XP Professional, you must log on as a power user or administrator. This is because you must be able to create or modify files in your X:\WinNT and X:\Windows folders (X:\ is the drive to which you installed Timberline applications).

If you install estimating products on a server that uses Windows Server 2003 Standard Edition, you must log on as an administrator when you use estimating products. This ensures that estimating products have proper access to the Windows registry.

I have Estimating and Buyout on my workstation, and I need to access the Address Book, Job Cost, and tax data used by my colleagues in the accounting department. How can I access this data? You must perform an additional installation and then configure Estimating and Buyout to access shared Address Book, Job Cost, and tax data.

For instructions about the additional installation, see “Additional Steps for Network Installations That Have Accounting and Management Products” on page 51.

For instructions about configuring Estimating and Buyout to access shared Address Book, Job Cost, and tax data, see “Selecting a company data folder for Address Book and Job Cost

Frequently Asked Questions

Section 6

information” in Estimating Help or “Select a company data folder for Address Book and accounting information” in Buyout.

In Estimating or Buyout, I suddenly cannot access Address Book, Job Cost, or tax data. I have never had this problem before. What happened? You are probably in the following situation: (a) you do not have accounting and management products on your workstation, and (b) your company upgraded accounting and management products on your server. This upgrade severed your link to shared data folders.

If you are in this situation, see “Additional Steps for Network Installations That Have Accounting and Management Products” on page 51 to reestablish access to Timberline’s shared data.

What are system modes and folder types?Timberline uses system modes and folder types to define how applications share data. At this time, the primary example of this is Address Book. In this application, you can share data in several ways:

■ Share Address Book information between estimating and accounting departments so that you have a central database of subcontractors and vendors.

■ Share Address Book information between estimating and accounting departments but temporarily disconnect from the network and use Address Book and other Timberline applications at a job site.

■ Share Address Book information with only estimators in your company.

■ Do not share Address Book information.

To accommodate these scenarios, Timberline developed three types of data folders:

■ Enterprise folders, which can be shared between estimating products and accounting and management products.

■ Workstation folders, which can be shared only among estimators.

■ Offline folders, which cannot be shared.

In addition, Timberline developed four system modes:

■ Workstation (estimating) mode is the default for estimating products. In this mode, you can share Address Book information with other estimators (share a workstation folder) or use a private copy of Address Book (use an offline folder).

■ Enterprise (accounting) mode is the default for accounting and project management products. In this mode, you can access any type of folder.

66

Frequently Asked Questions

Section 6

■ Enterprise (accounting/estimating) mode, which occurs when you have (a) estimating products and accounting and management products on the same workstation, or (b) only estimating products but you have performed an additional installation that allows access to accounting and management data. In this mode, you can access any type of folder.

■ Offline (accounting/estimating) mode, which occurs when you are in enterprise (accounting/estimating) mode but cannot access an enterprise system folder. This usually happens when you temporarily disconnect from the network to work outside the office. In this mode, you can access offline folders and workstation folders.

If you do not know your system mode or folder type, open TS-Main. Select Help > About TS-Main; then click [Additional Information]. In the Additional Information window, look for the lines that list the system mode and folder type.

Why do I have to worry about drivers and special settings for Timberline applications? My other applications don't seem to have special requirements.Timberline’s powerful database applications require more network resources than applications such as Microsoft Word and Microsoft Excel, which typically read or write to one data file at a time and make relatively few file and printer requests over a network. In contrast, Timberline applications often read and write to many records in several database files at almost the same time. This high demand on network resources requires you to have quality hardware, the correct device drivers, and the correct system settings.

Why can't I find Launch.exe on the CD-ROM?Your CD-ROM driver may not be supported. Your CD-ROM driver must be 32-bit and fully compatible with long file name support. Contact your hardware technician if you need assistance determining your CD-ROM and its driver.

Why can't I find Timberline accounting and management product report designs after I install my software? If you use Novell NetWare, you may have installed accounting and management products without long file name support (LFN) enabled on the server. To check whether your server supports long file names, see “Enable Long File Name Support” on page 21. To enable long file name support, contact a qualified NetWare technician for assistance. You must then reinstall accounting and management products on the network.

Timberline hangs during the workstation install process, how can I resolve this?Try the following:

■ Double check that you have full access to the shared folder containing program files.

■ Make sure that you have the latest network interface card drivers.

■ Turn off antivirus software and unnecessary programs before you install. For a list of all pre-installation steps, see “A. Prepare to Install” on page 34.

Frequently Asked Questions

Section 6

After I install Timberline applications, I try to run software applications such as Suretrak from my workstation and I receive a Wbtrcall.dll compatibility error message. What should I do?Search all local and mapped drives for Wbtrcall.dll. If you locate this file anywhere other than in the C:\Pvsw\Bin folder, rename the file (for example, rename it Wbtrcall_dll.old).

One of my workstations aborts or shows low resources or memory after I install accounting and management products. What should I do?Verify that Microsoft created your Winsock.dll and Wsock32.dll files. Locate these files in your Windows\System folder. Right-click them and select Properties. Click the Version tab and review the name in the Value window. If Microsoft did not create either of these files, have your network administrator replace them with drivers produced by Microsoft.

I get error messages in my accounting and management applications that reference a drive and path. Typically, the error messages say "drive or directory unavailable." How do I resolve this?

1 Determine your Timberline path. From a command prompt (DOS prompt), type path. Look for a path that says Timberline (for example, M:\Program Files\Timberline Office\Shared). Write down this path.

2 In Windows Explorer, verify that you have a drive mapped to this path. If you do not, map a drive to the path. This should resolve the problem. If you do have a drive mapped to the path, continue with step 3.

3 Ensure that you have the correct registry settings. To do this, start Timberline’s Registry Editor. If you installed Registry Editor during the installation of accounting and management products, start this program from the Start menu location used for other Timberline applications. If you did not install Timberline Registry Editor, start the program from your accounting and management products CD. For example, run D:\AdditionalInstalls\TSRegEdt\Setup.exe (D:\ represents your CD-ROM drive).

4 In Registry Editor, select Tools > Search.

5 In the Timberline Registry Editor - Search Drives window, in the Available drives box, select the drive where accounting and management applications are installed. Then click [Search]. After the search is complete, click [OK].

6 In the Available Timberline install directories box, select the path where accounting and management applications are installed.

7 Click [Set Registry].

8 If you still receive the error message, ensure that you have sufficient file access permission to the Timberline folders on the server.

68

Frequently Asked Questions

Section 6

I get an error message that says “No companies exist” when I launch my accounting and management applications. What is wrong? You may not have your drive mapped to your Timberline data folder.

1 If this problem occurs on several workstations, make sure that all workstations map to the same data folder.

2 Start an accounting or management application.

3 If you still have the problem, rename the file TS.dir in the Misc folder under your Timberline program folder (for example, in C:\Program Files\Timberline Office\Accounting\misc).

4 Start an accounting or management application again. The software recreates the TS.dir file. Search for your Timberline data folder. Then select this data folder when you start your application.

How do I troubleshoot problems that occur when I start Timberline applications?Focus your investigation on invalid registry settings, improperly mapped drives, and insufficient user permissions. If you need assistance, call Timberline’s Software Support. Please refer to “Timberline’s Software Support Contact Information” on page 99.

71

Frequently Asked Questions

Section 6

IPX/SPX

Should I be concerned about using Novell IPX on a Novell network? No. The Novell IPX protocol should work well as long as you use Novell NetWare 4.2 or 5.1 and the associated NetWare patches.

Why is Microsoft IPX not recommended?Microsoft IPX has been associated with a variety of problems, including illegal operation errors, printer errors, aborts, and data corruption.

How do I know whether I'm running Novell IPX on a Novell network? Use only the Novell (not Microsoft-created) Client for your Windows operating system. Refer to the Novell Networks chapter in this guide for more information.

My technician says I need IPX for my network. Why? The most common reason is for print devices, such as Jetdirect Cards. Unless you have older hardware devices that cannot use other protocols, you can switch to TCP/IP or DLC protocols for these print devices.

What if I am not having any problems with IPX and my accounting and management products, and switching to another protocol would be inconvenient and costly? In this situation, you could postpone making the change. However, if encounter problems with file corruption or aborts, switch to another protocol as soon as possible.

How can I be sure my problems are Microsoft IPX-related? If you consistently have a problem performing a particular operation, such as posting or updating General Ledger, perform the same procedure on company information or data copied to a workstation hard drive. Make sure your data is not damaged before running your test. To check for damage, use File Doctor. See “Checking files” in Help for detailed instructions. If you cannot duplicate the problem when accessing company information or data copied to a local drive, the problem is likely IPX-related.

How do I check to see whether I am using IPX on a Windows network? Look in the following areas to check whether you have IPX loaded.

■ Windows 98/Me: Control Panel > Network.

■ Windows NT Workstation 4.0/Server: Control Panel > Network > Protocols.

■ Windows 2000 Professional/Server/Advanced Server: Network and Dial-up Connections > Local Area Connections > Properties.

72

Frequently Asked Questions

Section 6

■ Windows XP Professional: Control Panel > Network Connections > Local Area Connections > Properties.

If you see "IPX/SPX" listed on any computer or server, IPX may be generating network traffic that could possibly result in software problems.

Can I remove Microsoft IPX myself? In most cases, removing IPX and installing another protocol is easy. However, your Timberline support representative cannot tell if you have devices installed that specifically need IPX. You should contact a qualified technician before performing this procedure.

I am using Novell NetWare Client 32 on a Novell network, and I see both the Novell 32-bit IPX protocol and the Microsoft IPX/SPX compatible protocols loaded. I can't remove the Microsoft IPX protocol. Is this a problem? Generally, this does not cause problems because the Novell IPX protocol takes precedence on a Novell server.

I have Client for Microsoft Networks for printer sharing and Novell Client for my Novell network. Is this a problem? Generally, this does not cause problems as long as you are using TCP/IP for Microsoft network printer sharing. For more information, contact a qualified network technician.

Appendix BPrinters

Printer Selection

For optimum printing performance, Timberline recommends the use of laser and dot matrix printers. Inkjet (including bubble jet) and multi-function devices (combined printer/scanner/fax) can be used as secondary or backup printers but should not be the primary printers used with Timberline applications.

Depending on the state, Payroll users may need to use a dot matrix printer for quarterly report forms. For a state-by-state list of printer requirements, go to Payroll Help and type states with special quarterly form requirements on the index tab.

If you plan to use the Billing, Service Management, Purchasing, or Inventory applications to generate Crystal Reports cost and contract invoices (AIA documents), you must use laser printers emulating Hewlett Packard’s Printer Control Language (PCL) 4, 5, or 5e. Timberline does not support inkjet and dot matrix printers for these tasks.

Choose your primary printer based on your company’s printing needs. Your network administrator, systems consultant, or your Timberline Certified Consultant can help in assessing these needs. In addition to advice from these sources, consider the following when you purchase a new printer to be used with Timberline products:

■ Timberline supports printers that (a) work with Microsoft Windows and (b) emulate the industry standards for laser and dot matrix printers (Hewlett Packard PCL and Epson, respectively).

80

Printers

Appendix B

■ If you want to purchase a dot matrix printer, Timberline recommends a nine-pin, wide-carriage model. This type of printer effectively handles Timberline’s wide reports, which use 14 7/8 by 11 inch paper (US standard fanfold). In addition, this type of printer prints bi-directionally and at higher speeds than letter-quality 24-pin dot matrix printers.

Printer Driver and Cable

Check your printer manufacturer’s Web site to obtain the latest driver for your printer (except the PCL 6 driver noted in the next section). In addition, be sure to use a printer cable that is triple-shielded, bi-directional, and rated IEEE 1284.

81

Printers

Appendix B

Laser Printers

Do Not Use the PCL 6 Driver

Most new laser printers ship with Hewlett Packard’s PCL 6 and PCL 5e drivers. Do not use the PCL 6 driver. PCL 6 supports higher resolution printing than PCL 5e (1200 dots per inch versus 600 dots per inch) but, because of its higher resolution (and hence greater memory needs), PCL 6-based printing uses more toner, is slower, and is unstable. For these reasons, be sure to use the PCL 5e driver instead of the PCL 6 driver.

Appendix ENetworks

Wide Area Networks

A wide area network (WAN) is a low speed communication link that connects one or more computers. Low speed is anything slower than the transmission rate of a cabled 10 Mb Ethernet network. Based on this definition, wide area networks can use anything from 28.8 Kbps modems to T1 lines.

Remote Access Configurations

Not all remote access configurations work well with Timberline applications. Some common configurations result in extremely poor performance. The following section describes key concepts about WAN configurations and their impact on performance.

Two types of remote communication are common:

■ Remote node (also know as remote client). An example of this is the Microsoft Remote Access Service (RAS).

■ Remote control. Examples of this are Windows Terminal Services and Symantec pcAnywhere®.

Remote node software runs in the memory of the remote computer, just like a workstation on a LAN. However, unlike a LAN, remote node software transmits data requests to the server at a fraction of the speed of a standard Ethernet network. For Timberline's accounting and management applications, this causes major performance degradation. Even the use of

92

Networks

Appendix E

high bandwidth lines, such as T1 lines, can result in poor performance because of the latency of routers and bandwidth competition from other applications and services.

Remote control software runs on a host workstation or application server, not at the remote computer. This software transmits only keyboard, mouse commands, and screen images over the communication link. Because less information is transmitted, this usually results in better performance than remote node configurations. In addition, a remote control configuration usually has fewer data integrity problems because database activity remains at the host computer and is not subject to transmission problems.

Local Area Networks

A local area network (LAN) is a group of interconnected computers and peripherals that typically encompasses a small area such as an office building.

When you use a Timberline application over a LAN, input and output (I/O) file requests travel from workstation to server. The server sends requested data back to the workstation and the workstation processes it. The server performs little or no processing of applications tasks. For this reason, equip Timberline workstations with sufficient system resources to handle significant processing tasks.

Microsoft Distributed File System

Timberline does not support Microsoft Distributed File System because the Pervasive.SQL 2000i database engine does not support this configuration. Network Protocols

A network protocol is a set of rules and procedures that govern communication on a network. The three most common protocols are NetBEUI, TCP/IP, and IPX/SPX. Timberline applications support TCP/IP and IPX/SPX.

NetBEUI

Timberline does not support NetBEUI. If NetBEUI is your only network protocol, you must install TCP/IP before you install Timberline applications. If no applications require the NetBEUI protocol, consult with a network technician about removing it.

Microsoft TCP/IP

You can configure your TCP/IP network in several ways. The ideal configuration takes into account the size of your network and its complexity. Consult with your network technician carefully regarding the implementation of the TCP/IP protocol, especially if you use it in conjunction with the NetBEUI protocol.

Use one of the following options for your Windows operating systems.

■ Install TCP/IP and manually assign your IP addresses.

■ Install TCP/IP and DHCP Services on the NT Server.

After you install TCP/IP, make sure that you have connections between workstations and the server.

Important: The Pervasive engine relies on the network’s ability to resolve the workstation or server name to an IP address. To test this, follow these steps:

1 Open a command prompt (a DOS prompt).

95

2 Type ping servername (where “servername” is the name of the server on your network). You should receive the following commands that indicate a reply with a specified IP address:

Please consult your Novell network technician regarding the implementation of this protocol.

Appendix DTerminal Services

Definition of a Terminal Server Network

A terminal server network consists of a terminal server and one or more remote workstations. The terminal server and workstations communicate by dial-up modem, local area network, the Internet, or other communication methods.

In a terminal services network, the terminal server performs almost all processing. Remote workstations merely send mouse and keystroke information to the terminal server.

At the beginning of a terminal services session, a remote operator logs in to a terminal server. Once the operator logs in, the monitor of the remote workstation displays a copy the terminal server’s Windows desktop. As the remote operator interacts with this desktop, terminal services transmits keystrokes and mouse movements to the terminal server. The terminal server performs the corresponding tasks and sends back refreshed screen images. To the remote operator, applications look and behave normally (although performance may be slower).

■ Especially good performance in low-bandwidth environments.

■ A seamless user interface that automatically incorporates all client system resources, including local printers, disk drives, and ports.

Crystal Reports Issues

You may experience the following issues when you remotely access reports that use the Crystal Reports format.

■ After Billing has been open for a few minutes, it closes without displaying any messages.

■ In Billing, when you print or preview an invoice format report, Billing closes without displaying any messages.

■ When you print or preview a Timberline report that uses the Crystal Reports format, you receive the message A number, currency amount, boolean, data, time, time-date, or string is expected here or Unable to open print job.

For instructions on how to resolve these issues, open www.timberline.com and click Client Login. In the next window, on the left, click Knowledgebase. Follow the instructions to log on; then search for "The Billing application opens for a few seconds and then closes.”

Use this search phrase even if you do not own Billing. The resulting article applies equally well to all issues noted above.
