CASE STUDY

The client approached Mercer to create a solution that would help their senior executives better understand, and value, the benefits provided to them by giving them a clearer picture of what total rewards meant for them. The critical success factors were:

• to offer greater transparency around individual compensation and benefits;

• to provide further information about the benefits provided, including links to third-party websites and modelers which could be used to show the value of stock based benefits, e.g. long-term incentives; and

• to improve the ‘value add’ and communication with executives through an enhanced user experience.

User authentication and data consolidation were two key challenges we faced. The client required a seamless authentication process without the need to remember yet another password. The Online Total Rewards solution was embedded into the client’s ‘Executive Portal’ and was accessed via Single Sign On (SSO), so there was no need to enter a password as authentication was managed automatically. The TRS solution, at the request of the client, was also designed to look like the clients own intranet site, providing a consistent experience for the executive users.

In addition, the client had to consolidate multiple different data files and provide that to Mercer in the agreed template format. This was easier for some countries than it was for others, and required a great deal of project management and data validation and checking on the client’s side.

We reviewed all existing material and data on the client’s side and then designed a new solution based on Mercer standard templates, but tailored to meet the specific needs of the client. Due to a very tight timeframe, we were forced to develop the various elements of the client’s Online Total Rewards site in parallel, such as the statement design, development of content and consolidation and validation of reward data. We tested the proposed design with key stakeholders to ensure it was ‘fit for purpose’ and would gain wide acceptance on launch. Following completion of User Acceptance Testing on both design and data validation (performed by the client), there was an initial ‘soft launch’ to the HR team. Rollout out to the remaining senior executives followed.

We delivered an online solution that now provides senior executives with a comprehensive and transparent view of their total rewards, 24 hours a day, seven days a week. The site was initially available to around 350 executives in the first year. This was expanded to around 2,000 executives in the second year, following a very successful pilot exercise. There is now strong interest to roll this out to an even broader employee base and incorporate additional features for managers, such as greater reporting on their team members and a new recruit view. It can also be made available to mobile devices such as tablets and smartphones.

Our client has confirmed that over 85% of executives find the information helpful, and the feedback they have received to date demonstrates that the awareness and appreciation of benefits is higher, which has led to increased engagement from senior executives.
