Design, Print and Distribute a Promotional Bookmarkby Robyn Richards

To promote your Toastmasters club it may take a unique marketing approach. Have you ever thought about how many people buy a book? Are these the type of people you need in your club? Absolutely!

Your club could be gaining new members from your local bookstore, library or newsagent.

Here are three designs of bookmark which are easily changed to meet the needs of your club.

There are 6 simple steps to making your club’s own unique bookmark which you can then use to promote your club in your area. I used Microsoft Word.

1. Choose a design or make your own.

2. Change the details to your club’s. Include your club logo, meeting address, contact details and website. Bookmark 1 has 3 separate text boxes, bookmark 2 has 1 text box with Toastmasters International logo and bookmark 3 has 2 text boxes overlaid and a club logo inserted. Using Microsoft Word...... insert, text box, text box tools, format. All colours, text box designs and text style may be changed.

3. When you are satisfied with your design, copy and paste 3 per page.

4. Print on at least 200gsm card in the colour of your choice (available from newsagents or Officeworks).

5. Cut to size with a guillotine.

6. Distribute to each and every store which sells books (new or second hand), library and newsagent in your area. You could even leave them in doctors, dentists and physiotherapist rooms. Why not even the local fish and chip shop? Anywhere people read.

This is a relatively inexpensive and fun way in which to promote your club.

Toastmasters International President to visit DHS by Trish Brown DTM

On Thursday 21 May, DHS Toastmaster Clubs will welcome Jana Barnhill, President of Toastmasters International to a function at the Department of Human Services (DHS). DHS is quite unique within the clubs of District 73 because the organisation supports five Toastmaster Clubs: The Babylons, The Dynamos, The Gavellers, The Happy Hour and The Wafflers Clubs. Karen Carmichael is the project leader of this event and has a number of DHS members and other Toastmasters assisting with the planning.

In addition to welcoming Jana Barnhill to Melbourne and giving her the opportunity to meet Toastmaster members, this visit will create a heightened awareness of the Toastmaster Program within DHS and neighbouring corporate clubs and hopefully generate enquires for membership growth within and outside DHS. Existing members who participate in the project will gain from the experience as they apply their leadership and public speaking skills. The event will also reinforce the backing of the Department Secretary

for DHS participation and is an acknowledgement of the great support the Department has supplied since the inception of the Clubs.

The agenda for the function will include a welcome to Jana, a message of thanks and support to the Department and a showcase of the Toastmaster program, including a table topics segment and a humorous speech presentation.

Acknowledging Our Past Club Officersby Damian Chong DTM, Lieutenant Governor Education & TrainingSometimes we have the opportunity of contact from past members and it is an absolute delight to hear from them. We all like to remember former members of our clubs, especially when they have been great contributors to the club as an officer.

Every year, we receive several emails back to District Officers from past members asking to be taken off the circulation list. The email list of Current Club Officers!

Some clubs are so sentimental, that they leave these lovely people on the Club Officer list. Yes, even when they have left the club up to 18 months ago.

Please note, your District Officers are unable to permanently remove these people from the clubs’ officer details. We update our mailing list each quarter from information provided by Toastmasters International. This is the official channel. http://www.toastmasters.org/Members/OfficerResources/ClubOfficerResources/ClubOfficerList.aspx

Only clubs can maintain their membership and club officer details. If the club does not update their lists, then every quarter, District will be sent the new list from WHQ, hence reverts back to the list.

The great majority of clubs are following the correct requirements. However, I would like to encourage and recommend all clubs to build in a 6 monthly quick check/audit of their club officer lists. Please make sure that all officers listed are current officers. Acknowledge your past Officers in a different way.

A Suggested Summary System for clubs:

Action: Responsible Due Dates:Submit New Club Officers Club Secretary By 30 June of each year or 31 Dec

if club has 6 month terms. Audit check President By the first meeting in July or the

first meeting in the new year. Update Change in Officers through the year.

Club Secretary As soon as change is imple-mented.

Coomes Toastmasters Club held their Charter Meeting at Coomes premises in Albert Road, South Melbourne on 4 February.

The club which is in Area 26 of Southern Division chartered with 23 members. Sponsors of the club are Bruce Hill and Rob Boykett, with Matthew Ibrahim (Area Governor S26) and Ivy Branson as club mentors.

The club is open to Coomes staff members who are very enthusiastic and enjoying the Toastmasters experience. The club meets every second Wednesday from 12.15pm to 1.30pm. Chris Mahon is the President of the club and the Vice President Education is Natasha Liddell.

New Club – Coomes by Bruce Hill DTM

COME TO THE 400TH MEETING OF BOX HILL TOASTMASTERS ON TUESDAY 7 APRIL 2009

Well, over the last few months, we’ve had some good articles in the Southern Cross, about getting our clubs to have websites on the internet. Many of you are using the Freetoasthost facilities to build a website that works. Having a website seems to almost guarantee clubs a steady stream of visitors, and the work – and fun – begins once they get in the door!

Working with the District website over the last few months, I am very aware of the range of experiences our members have with the internet. We have some members who are “out there” exploring the internet to enrich their Toastmasters experience; we also have some whose eyes glaze over when they hear the word “website”.

So I thought this month, I’d mention some of the facilities “online”, how people use them, and answer one of the common questions. “What’s In It For Me?”

Many of you will have seen the article from Toastmasters International about their official Social Networking sites. You can read about it on the following web page – http://www.toastmasters.org/Members/News/Announcements/Archive/NetworkingSites.aspx .

The first of these Networking Sites is LinkedIn. LinkedIn is one of the sites most used by Professionals to stay connected with peers in their industry.

Users of LinkedIn maintain a list of contacts who maintain their profile, with details of their career or life experience. LinkedIn peers often “catch up” to consider future career or business opportunities, and even more frequently, use their peers’ contacts to extend their network. It is little wonder such sites are called Social Networking sites.

One of the less-known features of LinkedIn is the ability to join groups and discuss topics – much like our Forums on our Members website. Indeed, Toastmasters International has created a group you can join, and members there are discussing topics of interest to all of us.

Members of the group “Toastmasters International Members” have recently been discussing “How to get new members to be pro-active in using their CL Manual”, “From Toastmaster to Professional Writer”, “Table Topic Suggestions” and even “Suggestions for naming a new Advanced Club”!. What a great way to share and learn from experiences around the world!

Registering on LinkedIn is free, as is access to read and contribute to this great resource!

Youtube (or U-tube to some) has been blossoming ever since it was launched in 2005. It provides an easy mechanism to share videos amongst users around the world. Content varies widely – being submitted by complete (and rank) amateurs right

through to the corporates of the ilk of the BBC. There are some risks in terms of the types of content that can be uploaded, with such an “open” usage model – however, increasingly Toastmasters (and other speakers) are using it as a major resource.

Politicians are using it to communicate their policies; wannabe musicians are singing/playing/dancing their way to being “found” by talent scouts – who don’t need to travel beyond their homes to find that budding star working in a bar in Brazil for an ever decreasingly valuable pay cheque. Toastmasters International President Jana Barnhill, DTM, has recently starred on Youtube, with some great promotional material – and that’s not all. Many Toastmasters are finding Youtube as a place where they can store and present their speeches to a vast audience beyond their local clubs. You will find contest-winning speeches from around the world in minutes of searching on Youtube.

One club has even developed a 10 minute “Demonstration Meeting”! What a way to get greater exposure from your “Demonstration Meeting”, and have it run at the time that suits each and every potential guest!

Hmm.. I think I’ll put a link to it on our Public Website. You could consider adding it to your Club Website!

With all these social connecting sites, it is easy to forget that the Internet is still a fantastic source of material to help you on your Toastmasters journey. At a club I attend, I recently overheard the question “Where do you find ideas on what to talk about?”. The question led me to think that I should mention some of my sources here... I find ideas for Speeches, Table Topics, Word of the Day, Special Activities, Meeting Themes all over the World Wide Web.

Some of the best I use are “Refdesk” – http://www.refdesk.com – An index to some of the best reference materials from around the world. You can find online editions of newspapers from pole to pole; News items, Pictures, Words, and Historical tidbits that are updated daily; even a list of all the banks that have failed – and there’s been quite a few in the last 6 months! Might be interesting if you have a club that is for staff in the Financial sector!

I have collated some of the best resources I’ve found online at http://toastmasters.wikia.com/Online_Resources. Feel free to take a look – and even add your own.

On a completely different topic, I was speaking with a colleague in the last week, and she introduced me to a new word. I had run a workshop, that for a raft of reasons was always going to be a challenge – and as happens to all of us – more challenges were sent on the day. She said I had “Blagged It” really well. What a great word to apply to Toastmasters – particularly in the context of Table Topics. Apparently it means

to “Do it on the Cheap” – or trying to get something for free. And yes, the workshop was underprepared, and I had to take control as unintended host, to achieve most of the objectives. “Blagging” also means “Informal talk, usually among men occurring in a public place”, or so Answers.Com says.

So, as you consider how easy it is to learn from, and interact with Toastmasters around the world, without the inordinate cost of getting there, considering “Blagging It”, like you do in Table Topics, and join other Toastmasters Online.

Competent Leadership (CL) Prompter by Bert Naik ACS, CL

Background

Most Toastmasters Clubs find it rather difficult to implement an efficient CL accreditation process for several reasons. The new format CL has also added to the workload of the Vice President Education (VPE) – who generally struggles to find sufficient number of candidates to fill the various meeting roles. It is hoped that a new meeting role – that of a CL Prompter – may alleviate some of the problems faced by a Club in implementing an efficient CL accreditation process.

CL Prompter responsibilities

1. One day before the meeting • Look at the meeting program received from the

VPE and identify the potential CL candidates.

Generally these are assigned the following meeting roles:

o Speech Evaluator o Timer o Ah Counter o General Evaluator o Toastmaster o Table Topics Master

• Send an email to each of them with the suggestion that they could have a better understanding of the task if they followed the instructions in the CL manual. Suggest also that they identify an Evaluator at the meeting for their task.

• In the email to the Table Topics Master, ask him/her to announce at the Table Topics session to the potential Table Topics speakers that they could receive CL credit for their speeches. (Note that the CL evaluations for the Table Topics speeches could be done by the Table Topics evaluators).

2. Prior to the Meeting (at the Venue) • Arrive at least 10 minutes before the meeting

start time

• Speak to the Vice President Membership to identify those who have been assigned to ‘Befriend the Guests’

• Prompt the Guest Befrienders that they could get some ideas on the task by following the CL Manual (Project 7: Developing Your Facilitation Skills)

3. At the Meeting • Prepare a 1.5 - 2 minutes report on the CL activities

and progress at the meeting.

• At the supper-break, ask the CL candidates if they have spoken to the evaluators should they need credit for the task undertaken.

• Towards the end of the meeting (if the task has been noted in the program), read out the report.

Notes

1. It is up to an individual member to pursue his/her own Toastmasters Education interests. A CL Prompter is not at all responsible for a member’s educational progress.

2. CL Prompter does not replace the VPE; the CL Prompter merely assists the VPE in the Club’s Educational program.

3. A member can get credit for only one activity per meeting (e.g. either as a Timer or as the Table Topics Master, but not for both).

4. The CL manual includes several tasks in addition to the categories mentioned above. A member may approach the VPE for help in undertaking those tasks.

5. Most clubs do not provide oral evaluations for the CL activities – due to time constraints. A written evaluation should provide sufficient feedback.

Tea House Toastmasters by Adrian Ong

Tea House Toastmasters Club is a special interest group of the Australian Computer Society (ACS). It was started by a group of ACS members, some of whom were previous members of other Toastmasters clubs and was chartered in December 2007. As a club, it draws most of its members from the ACS which subsidises the cost of joining Toastmasters as a service to its members. Members range from university students to those nearing the end of their working careers and also features members from a wide range of different nationalities.

In spite of being a young club it has successfully participated for the first time in various competitions held recently, coming first in the Table Topics and Humorous competitions and second in the Evaluation and International competitions of the Area M24 contests held in November last year.

The club meets in the Tea House, a National Trust-listed building constructed in 1882, situated opposite the Crown Casino on Clarendon Street, South Melbourne (from which the club derived its name). Meetings are held every third Tuesday of the month where light refreshments are served. The club is currently trialling extra sessions to provide more speaking opportunities for members. Meetings start at 6.15 pm and finish around 8.00 pm. I was attracted to the club by its fun, friendly and supportive environment.

Although it is not mandatory, registration to attend is via the ACS website www.acs.org.au/vic to assist with catering and name tags etc.

We are seeking other Toastmasters to visit us to expand our experiences.
