Introduction

On November 21, 2011, one page questionnaire was emailed to the entire staff about the subject because of great reduction in our productivity.

They were offer the option of responding by email or printing out and sending it back inter-office if the wished to remain anonymous. Majority of staff responded, 80% by email, 10% office memo. I also talked informally to the 10% who did not respond.

The questionnaire addresses the problems that are causing the reduction and the need to make change as soon as possible because we are no longer able to compete in today job market.

The problem

The major cause and the reason were due to half of our employees taking time off for doctor’s appointment.

Most of their medical problems were associated with inactivity and work issues related accident due to weight gain that produce to lack of energy to be pro active.

One of our staff that I spoke with describes how her doctor defines weight gaining/obesity during one of her appointment. The doctor said is a “disability as individual problem of disease, incapacity, and impairment”. (Staff)

The question for providing gym membership or creating on-site workout facility, the majority of our staff prefer having on-site workout facility because gym membership is costly, require to sign for a long term contract, inconvenient. Some of our staff who had gym membership in the past have indicated that the gym can be too crowded that you have to wait in line to use equipment and sometime the fitness classes are too crowded which made it too difficult to do workout.

In addition, we feel our basement have no useful purpose and online comparison of basement to gymsource.com layout diagram as follow indicated that we could use our basement to create on-site workout facility.

Recommendation

Before converting our basement into on-site workout facility such as this online design by Club Gym Site, with these bullet point advantages, “

Free design and consulting service Equipment orientation Equipment service and preventative maintenance services Extended warranty programs The largest selection of products Having one source for all our product and service need 24-hour response time.” (Gym)

HR Guidebook for Establish on site fitness rooms or exercise facilities suggested that we buy and read these two books before implement:

ACSM’s Health/Fitness Facility Standards & Guidelines, Second Ed., American College of Sports Medicine, 1992.

Health Fitness Management, A Comprehensive Resource for Managing and Operation Programs and Facilities, by William C. Granthan/Robert W. Patton/Tracy D. York/Mitchel L. Winick, Human Kinetics, 1989. (HR)

The Staff Benefit

Executive assistant employees know the meaning to be able to fit to do the job. Although they are efficient and friendly, they know that their strength for productivities and outgoing have reduced based on their condition and health.

We want to include “On the go” to reference having on site workout facility that would help us to improve our outlook and our fitness for the job. “EXECUTIVE ASSISTANT on The Go for Office Creation” 80% of the staff agrees that having on-site workout facility would be helpful.

Besides not having to pay for gym membership, no travel expenses, and the schedule from Monday to Friday between 6am-8am, Noon-2pm, and 5pm-8pm were convenient for the staff. Having on site-facility would also provide the listed benefit according to HR Guidebook for Established on site fitness.

Potential reduction in overall healthcare costs Potential reduction in employee absences Improved employee health and fitness Increased employee satisfaction Increased employee engagement Informal building of community networks Can aid in the recruitment of top talent Can help facilitate a positive company culture (HR)

In addition, “Internal Revenue Service offers many tax benefits to small business owners. As part of its fringe benefits package to attract qualified employees, employers may offer to pay for health club or gym memberships. Business owners can deduct the costs of membership fees paid to benefit their employees” according to small business chron.com (Hearst)
