INTRODUCTION

The security section is mandated to deliver quality service in the entire areas of the Company’s operations in partnership with all departments. To fulfil the mandate, we need to strategically position ourselves in these challenging times.

SCOPE

This presentation seeks to outline the objectives, role and general operations of the security section. It also includes some salient GRIDCo security regulations affecting staff.

VISION

To establish a Security Section of highly skilled and motivated personnel with a compliment of modern security technologies to deliver cost-effective and efficient security services for GRIDCo and its clients.

MISSION To provide cost- effective and efficient security services for the protection of

Company assets against all security threats to which they may be exposed.

NB: This entails

a. Establishing checks and balances on the functions of employees so that they do not defraud the Company.

b. Enforcing strict information control so that the Company is not damaged by the leak of trade secrets.

c. Safeguarding Company assets against burglary, theft, damage, waste and misuse. N

The day to day security operations concentrate more on the last role.

GENERAL SECURITY REGULATIONS PERSONNEL SECURITY Staff are subject to security searches as and when deemed

necessary. It could be routine or at random Vetting of entrants into the security section and sensitive

offices. Personnel are allowed free movement during working hours.

(0800hrs-1600hrs Monday-Friday.) Movement of personnel is controlled after normal working

hours and it is recorded in the security log book. Staff may be refused entry into offices after working hours and on non-working days.

Warehouses and Switchyards are restricted areas where private and non-project vehicles are not allowed in.

MOVEMENT OF COMPANY PROPERTY FROM PLACE TO PLACE

All office equipment or company property

must be covered with a waybill when being moved from place to place.

Security must be made aware of any such movement.

Security shall keep record of such movement

ISSUES AND RECIEPTS OF STORES FROM THE WAREHOUSE Security must witness and check all stores

entering or leaving the yard. Stores received must be covered with appropriate

documents like Invoices and Receipts. Items shall be examined by the receiving storekeeper and also counter checked by Security.

Stores issued shall also be counter checked by Security against quantities vouched

Security shall check loading of Bulk items during loading and shall also sign the waybill of the consignment

Vehicle movement at loading site shall be controlled by the security on duty

HANDLING OF VISITORS AND CONTRACTORS

VISITORS All visitors must first report to

security, where they will be issued with a visitors’ tag after they have entered their particulars in a register provided for such purpose

Visitors must be accorded with the best reception at all times

Visitors shall be directed/escorted appropriately.

Tags issued to visitors must be retrieved after the visit

CONTRACTORS List of Contractor’s staff must be submitted

to security prior to commencement of work The staff must wear their company I.D Cards Their access is restricted to the place of work

only. They are always subject to security searches. Security supervision is required if working at

odd hours

CONTROL OF KEYS- OFFICES, STORES AND VEH.

All keys are Company

Property and must remain in the custody of Security at the close of work.

Keys to offices, stores and vehicles must be deposited at designated security posts and recorded accordingly.

Keys shall be collected by an appropriate officer who shall sign the keys register indicating time and signature

HANDLING OF SCRAP AND OBSOLATE MATERIALS

All discarded or obsolete material/ equipment remain Company property and cannot be taken away by any individual without any appropriate authorising document.

Such items must be declared to Procurement section and handed over appropriately for disposal procedure.

Procurement section initiates a Board of Survey to be convened by Management.

Board of survey recommends disposal methods for Management approval.

Procurement prepares waybills to cover disposals as approved by Management.

Security vets documents and waybill before allowing conveyance
