What to include:What to include:• Look for examples of documents that tie into the specific skills the

processes, accuracy, evaluations, etc.• Make sure your examples are clear, clean, and professional looking, easily y p , , p g, y

visible/legible – choose a font like Arial Narrow for word processed documents.  

• If you want to include an example of something other than a word‐processed document (i e a spreadsheet) it’s a good idea to create a pdfprocessed document (i.e. a  spreadsheet), it s a good idea to create a .pdffile so you can keep an electronic copy of your printed item.  You might also consider adding short, explanatory text on the pages of these items. 

• Keep all documents single‐sided to aid in presentation – you don’t want to have to flip a page back and forth If necessary break up a double sidedhave to flip a page back and forth.  If necessary, break up a double‐sided original into single‐sided copies.

• Don’t include too many examples for a specific topic – choose one or two of your strongest samples.

• Create a cover page: include your name, job applying for, month/year, your contact information (Note: this is not on my example because it was used for an internal application)

• Use a nice (purchased) single color cover (no pictures or designs)

– Something that opens/lies flat – not a ring binder

• Align your pages when inserting them into your cover so that you can hold up the portfolio and speak about it while looking at your audiencep p p g y

• Create logical sections and attach tabs for those sections so you can turn to them quickly

• Rehearse with the portfolio.  Get familiar enough with the contents/ organization of your portfolio that you can find a section while holding it up and presenting it with as little hesitation as possible.  “Talk through” each page as if presenting it.  Ask a friend/relative/colleague/teacher to b d d f l h f hbe a test audience and present your portfolio to them as if they were a potential employer.  Get their feedback on how it looks from their perspective.

• Keep your portfolio close by during your interview.  If a topic comes up p y p y g y p pwhere you know you have a great example in the portfolio, introduce it: “I’m glad you asked about that – if you don’t mind, I’d like to refer to an example I have here in my portfolio” (open portfolio at this point to the page you want and hold it up).  “If you look at this example, you will see p g y p) f y p , ythat I was able to . . . “

• As your interview closes and before you leave, ask if your interviewer/ audience would like to keep your portfolio and be prepared to part with it!

So how do I get “pretty” hard copiesof weird stuff like Web pages, etc.?

How to “print” to a .pdf• Many items can be cleanly and easily printed by going to the “print” feature of 

the program they were created in (i.e. Word, Excel) and sending the document directly to your local printer; however, there may be some things you want to h h d i f th t d ddl f tt d lt if j t hit “ i t”have hard copies of that produce oddly formatted results if you just hit “print”.  Examples of these types of items are Web pages, views of a calendar program, database content, etc.

• If you want to have a hard copy of such items that looks like what you see on y py yyour screen, try printing to a .pdf format:

– Bring up the item you want to print on your computer screen (i.e., a database screen)– If the item is larger than your screen (i.e., multiple pages) make sure what you view on your 

screen is what you want the printed copy to reflect y p py– Select  “print” from your program menu.  This typically brings up a box that includes a place 

where you can select your printer.    Before you send the document to print, go into the list of printers.  Look for a printer that says “pdf” in the name (I.e. “Adobe PDF”) or, if working in Office, look for “Microsoft XPS Document Writer” – select one of these as your printer.

– The computer will now prompt you to indicate where you want the file saved and to name the file.  Modify these items as needed and click on “Save”.

– You now have your item saved in a .pdf/.xps format.  Locate and open the document, and print to your local printer as you normally would.

How to do a screen capture• Some items (i.e. Web pages) can defy printing faithfully to a local printer 

AND “printing” to a .pdf or .xps file.  These can still be printed by making a screen capture and pasting the result into Word. You can then print outscreen capture and pasting the result into Word.  You can then print out the Word document as you normally would.  Here are the steps:

– Bring up the item you want to print on your computer screen (i.e., a Web page)

– If the item is larger than your screen (i.e., multiple pages) make sure what you view on your screen is what you want the printed copy to reflect 

– Press both the “Alt” key and the “Print Screen” key on your computer at the same time –this will produce a copy to your computer’s clipboard of what is on your screen at the time

– Open a blank document in Word.  Position your cursor at the top of the blank document and right click; a menu will now pop up ‐ select “Paste”.

– You now have your item in a Word document format.  Save the file and print a hard copy for your portfoliofor your portfolio.
