PROJECT OBJECTIVE The objective of this project is to manage the resource to full extend. Phone Management System automates the entire function of IBU onto a single computer that can serve their needs and help the customer. The major reasons to undertake this project: To standardize the processes. Standardizing the processes and using computer system can save time, increase the service and reduce the head count. Properly implementing this package can deliver a significant competitive advantage and helps to run more effectively, efficiently, and responsively. Specific Objective goals include Simplifying the process by eliminating unnecessary paper work, reviews, approvals and duplication of efforts. Providing more efficient information by implementing real time process environment. This system reduces the clerical work.

Cost is minimized in the case of the stationary and man power.

The system provides accurate updating, data validation and integrity is

observed.

PROJECT OVERVIEW

The project “Phone Management System “is aimed at developing

a software which enables the employees as well as the customer to perform the

operations in an easy and user friendly manner.

PMS attempts to automate the entire function onto a single

computer that can serve their needs and help the customer and employees in the

IBU.

Security is the main feature. Thus this preliminary prevents illegal

users from viewing unauthorized information.

The administrator has the full authority to do any operations. The

employees are also given the authority to the operations. It provides a more

secured way of operation

Provisions

MASTER

Cash Card Details

This maintains the information about the Cash card

details so whenever the user wants to view the overall details or a single

information he can just track down the system and retrieve the data then and

there.

Phone Details

It maintains information about Phone details. It

contains data like the model of the Phone, Color, Company of the Phone and the

features related to the Phone.

Recharge Card Details

It maintains information about the recharge details

such as Phone number, amount for how much it should be recharged, top up or

validity information and serial number of the recharge card.

Easy Recharge

It maintains information about the easy recharge

details for which number they have to recharge, the cost and balance in the easy

recharge.

EXISTING SYSTEM

The existing system is a manual one where the user does all

calculations manually. Large volumes of paper works are done and stored which has

the possibility of getting messed up. Maintaining data regarding all the employees is a

tedious one and updating the records is not an easy job in the existing system.

LIMITATIONS OF EXISTING SYSTEM

The existing system faced many problems and difficulties

Some of the major problems which people faced due to manual processing

are

Time Consumption was more

Manual calculations prone to error

Data once lost was very difficult to be retrieved

Much manpower was required

It was not cost effective

Maintaining existing data was very tedious

Generation of reports was tedious

So the solution to overcome such inconvenience is to computerize the system.

PROPOSED SYSTEM

The proposed system is to computerize the Phone Management System. Data

regarding the cash card details, Phone details, Recharge details are collected from the

records maintained in a database from where it can be easily retrieved and edited

whenever necessary .

CONCLUSION

This project works on windows-technology. The software was

developed using Visual Basic 6.0 as front end and MS-Access as Back end. This is used

to develop this system makes it more flexible, portable more secure. It also supports

dynamic content pages.

Users are well informed about the transaction the Company deals

with. Administrator can manage the Company more efficiently.

The project is full-fledged and user-friendly. This system has

greatly reduced the clerical overhead and drastically reduced the time taken in the

Company. This satisfies all requirements needed by the user

SCOPE FOR FUTURE ENHANCEMENT

Modification and enhancement can be made without affecting any

other part of the program because of the user friendliness and understandability of the

project.

Integration and maintenance can be done in the administration

level.

The data screens can be upgraded and menus can be easily added

when required. Items can be added to the forms when there is a necessity of new data.

The system has much scope in the future an it can be developed to

add more features to satisfy the user‘s request and company’s request.
