Project Funding 2014 Planned projects for this year will cover the Library Room, located on the second floor, work to be carried out, refit and equipment/furniture. Rye Books contact will be involved with the supplying of shelving. It was agreed that the Year 6 school trip would continue to be funded up to a cost of £5K cost and that the P&F would also fund the year 6 Year Book, however we would investigate the possibility of reducing the cost of the Year Book from 2014 cost. Kristy informed the committee that Tom Grealish is no longer available to continue as our school gardener, due to other commitments but he has given the project a lot of insight and goals to work toward. An advertisement has been posted on the East Dulwich Forum, Kristy & Sarah will meet any interested candidates, CRB checks will need to be carried out, it was agreed that we are looking for someone who can commit to taking care of our school garden throughout the school holidays, as well as being able to interact with young children and is happy to work on the projects all ready agreed but we welcome new ideas for projects to engage the children. . The person appointed will be on a set contract. Kristy informed the committee that this would cost around £100.00/day + any materials. Gardening Projects all ready agreed include a sensory garden area whereby children would be involved with the planting and designs; DT projects involving the use of recycled materials; a green house behind the school house; and a welly boots wall where children will decorate and plant their own wellington boots. Lindsay reported that she has submitted a grant application to Southwark’s cleaner, greener-safer (CGS) fund and anticipated a response to the application in Jan/Feb 2015. The Committee agreed that any remaining funds should go towards redecoration of the main hall in 2015. 2. Direct Donations/fundraising campaignNik reported on the possibility of setting up an on-line direct donation scheme whereby people could make direct debit monthly payments, the website would be fairly simple to construct and Stef Lewandowski, was prepared to construct the platform required to enable safe on-line payments. . The amount that a person could donate would be £2 , £5, £10, £20 or ‘other amount’, either as a one off payment or by monthly direct debit. It was agreed that this would be a great way for others to get involved by offering financial support, particularly if they were otherwise unable to do so by volunteering for and/or attending P&F events.

It was agreed that information regarding the safeguarding of people’s personal information and data would be explained and covered on the new web page. It was agreed that the funding campaign needed an identity and also a specific project to raise funds for. It was agreed to review progress at the next meeting.

3. Feedback/communicating to school community on funds raised throughout the year.Everyone agreed that notice boards mounted on the wall by each school gate (CP road; Lordship lane & Jennings Road) to display P&F information(events, project updates, funding notices etc.) would be very useful. Lindsay reported that the P&F used to publish newsletters for bookbag distribution and all agreed that this should be reintroduced. Lindsay agreed to send Emma a template for the newsletters. The idea of a ‘funding barometer’ was discussed and all agreed that it would be great to have something positioned in the main hall which could be updated by children in assemblies (the markers being funds raised and/or projects achieved). 4. Halloween cake sale

The Committee thanked all the parents, children, teachers and volunteers for their generous baking, and assistance. Special thanks to Amy Devlin for organising the sale. The amount raised will be confirmed at a later date.There was a short discussion with regard to the consistency of pricing (ie between during the school day and after school), it was agreed to confirm with Amy the pricing of the cakes.

Post meeting note: Amy confirmed that all cakes sold during the day are sold to the children for ‘2 cakes for 50p’. Some cakes donated are much bigger than others, these are reserved for after school sales and are sold for 50p/cake. However, towards the close of all cake sales, cakes are sold in bags for 50p in order to avoid having to throw donations away. 5. Heber Parents Disco. It was noted that the date is confirmed for 14th November 2014, the Committee thanked Barbara Simitier who is leading the organisation of the event. Tickets are now on sale and can be purchased from the main reception area and through the class reps. Barbara reported prior to the meeting that everything is in order. Kristy raised the issue of the P&F having a limited charge card (suggestion £500) which could be used by those organising an event which required large purchases in advance of the event. Nik confirmed this should be possible and agreed to explore the possibility further . 6. Heber Arts ExhibitionSarah reported that the purchase price for parents/carers of their child’s art work will be £10.00. Art work could also be ordered after the exhibition. It was agreed that a sibling discount should be applied to sales; Kristy agreed to propose a £2 discount for each sibling art purchased. Sarah reported that the P&F would be offering a small refreshment area, including bucks Fizz, tea/coffee and cold drinks and a tuck shop area for children, volunteers were needed to help out on the day. 7. Date for Xmas fair. It was confirmed that the Christmas Fair would take place on Sunday 14th December between 11am-2pm The cost for a market stall pitch is set at £20.00 or £15.00 plus a gift donation. Tash reported that she was leading on the Arts and craft stalls be running them. A Café team has been assembled, led by Kate Tunnicliffe, Uma Moorthy, Shirley Ifield and others. Classes will once again be asked to take on the responsibility of a stall/activity. The games area is led by Ruth Pierce and Jo Howes and it was suggested that some of the older children could help manage some of the games stalls.

Tash reported that she has a contact who hires popcorn machines at a cost of around £70, it was agreed that Sarah & Tash would consider the potential profit and if viable to contact regarding availability on the 14th. The Grotto team is assembled – led by Ruth Stage; Ruth reported that it was yet to be decided as to whether the Grotto wold be set-up in the school house or the music room, Tickets to see Santa will remain at £2.50.

It was agreed to arrange a planning meeting for the Xmas fair. The meeting was scheduled for Friday the 7th November at 11.30am at Sarah’s house.

8. AOB Carols in the playground The date is yet to be confirmed, but likely to be either Wednesday 17th or Thursday 18th of December at 3.20pm. it was necessary to find a volunteer to lead the organisation of the musicians. If a group of musicians could not be assembled then is was suggested that perhaps parents, teachers and children could be persuaded to sing along to Christmas backing music Shirley reported that she may have some tapes and would be happy to sing a solo Christmas song and could also help with one or two rehearsals. Kristy agreed to organise a small team to serve mulled wine, hot chocolate and mince pies team.

Christmas cardsRuth reported that all was in order with regard to the Christmas cards Members were thanked for attending this evening and for all the support given to fundraising events and activities.
