VehiclesOur fleet of over 350 Patient Transportvehicles ensures that we have resourcesfor every patient mobility and medicalneed. Vehicles are modern, clean andcomfortable.

Our fleet department manages over 1500 vehicles in total and has adedicated software solution to ensuremaintenance, repairs, servicing, MOT’s,Road Fund Licences, safety inspectionsare all scheduled and implemented tomaintain a safe fleet.

As an organisation, we have a rollingfleet replacement programme and striveto utilise the most green and efficientvehicles as we possibly can. Vehicles onour fleet are generally replaced beforethey reach 5 years, however mileage isfactored into our replacement decisions.

To this end we have within theorganisation one of the largest privatefleets of the Hybrid Toyota Prius vehicles. We have found that they give patients aroomy comfortable journey, whilst beingextremely economic and producingminimal harmful emissions into theenvironment.

Servicing of all vehicles followsmanufacturer’s specified guidelines andschedules. Coupled with this, our ownworkshops will carry out 6 weekly safetyinspections and deep cleans. MedicalServices places great emphasis oninfection control with its in vehicle andequipment cleanliness and staffprotocols and procedures.

TechnologyAll vehicles are satellite tracked, linkinginto our booking and control system. This allows an up to the second view of all resources anywhere in the UK. A complete trace of an individualvehicles route, speeds, pin points ofwhere the vehicle has stopped and ifignition has been turned off at any point.

All ambulance crews and ambulancecar drivers have hand held XDA deviceswhich are able to use data, voice andtext. As well as this each vehicle has aback up two way radio unit tocommunicate with command andcontrol centres.

XDA devices receive journey detailsand upload key performance milestonesin terms of the patient’s journey; i.e.patient collection time, arrival time athospital, collection time from thehospital and arrival time at home. Thisdata is fed directly back into our bookingand control software to ensure thatwhole patient journey records are kept.Records are kept and backed up on atotally secure server, further allowing indepth data and performance reportingto our customers.

Our booking system can deliver ourclients a responsive and effectivereporting tool to allow demand andquality of service to be monitored atevery given point of service provision.

A unique feature is the ‘QualityDashboard’ which allows the authorisedofficer a secure log on to our system toaccess a snapshot of key performanceindicators of the service we areproviding to your patients. This can beselected for any time period and gives a system generated snapshot ofperformance against timelinessstandards.

Medical Services operates as an independent provider of transport solutions to the NHS and private healthcareestablishments across England and Wales. We operate our patient transport services through both contractualarrangements and also through a high quality UK wide on demand service for the NHS and private healthcare providers.

Our organisation has a wealth of experience and expertise in both patient transport services and the general transportindustry. This experience coupled with UK wide resources and service infrastructure ensures that we have all of theattributes to provide a first class patient focused operation for any potential client.

This year we are on target to exceed 1 million patient journeys throughout the UK.

Secure online bookingWe are able to offer our NHS clients asecure online booking facility via theNHS N3 network. Medical Services areone of the few private transportproviders to have achieved the securitylevels in order to be able to qualify forNHS N3 status.

The online booking process is simpleto follow and is fully auditable by usingan individual’s log on and password, soevery keystroke is traceable. As soon as a booking form is completed anautomated unique journey reference is returned to the person placing thebooking.

Eligibility CriteriaAssessment ToolsIf required we can act as yourgatekeepers to ensure that yourtransport is only authorised and agreedto patients that meet the needs criteria. We have a number of existing formattedquestions and scoring methods, butwould be happy to develop a modelthat meets your own criteria and needs.

The assessment tool takes the form ofan initial screen with agreed questionsthat are asked of the patients requestingtransport. The responses are scored onthe system and if the patient hasachieved a high enough score in orderto qualify for hospital provided transportthen a booking screen is opened.Hospital staff can be trained andsupported to use the system if required.

Major IncidentManagement & SupportContained within our team we have a full time Emergency Planning Officer, who works with our clients to prepareresponse plans to potential incidents. A number of our senior managementteam have had major incidentmanagement training and completed a number of ‘emergo’ exercises andapplications within and for hospitaltrusts.

As major incidents take many differentforms, our role is to provide directsupport to the trusts to therefore allowdirect response to the incident to behandled by the emergency services. Our supporting arrangements can be tofacilitate increased discharge activity, increased transfers to other hospitals orcare facilities, staff movement, urgentpathology or blood movement, pharmacy deliveries or replenishments,as a few supporting examples.
