What is your role as a PPA?

A Partner Portal Administrator, or PPA, is the primary administrator for a partner organization within Partner Ready Portal.

Your main responsibility is to approve and manage users to allow people from your organization to access the functionalities of Partner Ready Portal.

You will also be the first point of contact for your colleagues for anything to do with the Partner Portal.

Your organization must have at least one PPA, and multiple PPAs may be identified.

The first user registering with Partner Ready Portal on behalf of an organization should be set up as a PPA in order to facilitate the smooth migration of other users.

Your responsibilities as a PPA

As a PPA, you are responsible for managing, changing and removing Partner Ready Portal user accounts for your organization.

Your key responsibilities are to:

Approve Partner Ready Portal accounts for colleagues within your organization.

Deactivate or terminate Partner Ready Portal access to employees within your organization.

Manage user access to enterprise data and tools (pricing terms, project/product information, claims and so on) through Partner Ready Portal.

Manage the communication related to Partner Ready Portal issues with users within your organization.

You are the gatekeeper of the relationship between Hewlett Packard Enterprise and your organization through Partner Ready Portal.

Ensuring security and updating data flow between Hewlett Packard Enterprise and your organization are among your main roles as a PPA. In addition, routinely monitoring the access of users from your organization to the portal is also a daily activity.

You have deeper insight into your organization’s structure.

Log in to the Partner Ready Portal at partner.hpe.com to access user account settings.

You can view your user account settings, reset passwords and view all PPA information by accessing your PROFILE PREFERENCES.

1. After logging in to the partner portal, click the drop-down arrow on the top right corner next to your user name.

2. Select PROFILE PREFERENCES. It will take you to Partner Ready Portal Settings screen.

3. You can review and update your personal details here (except your email address – for this submit a support ticket)

Click the user name drop-down menu and click PROFILE PREFERENCES to access your user account settings.

4. You can reset your password by clicking Change password in the My access details screen.

5. You will see your assigned role when you click Myroles.

As a PPA, your organization role will be PPA. Your role enables you to grant permission and access for all other users in your organization.

All other portal users will be designated the role light user or authorized user. We will explain more about light and authorized users in Topic 3.

6. You can set your time zone by selecting a time zone from the drop-down menu in the My time zone section.

7. You can see your communication preferences when you click My subscriptions.

You can choose to receive updates via email, mail, call, SMS and fax.

Organization/business relationship

When you click Users and Organisations on the left menu, you will see your location and organization information.

In this example, in the Name column, Commercial Value Added Reseller is the business relationship that your company has with HPE. Click it to display the sub-organization information.

NOTE: The number 4046 appended to the name is the system ID that is related to your office location, which is useful information for the HPE support team for troubleshooting purposes. Your new colleagues can use this ID to easily register in the Partner Ready Portal.

What is a business relationship?

A business relationship indicates the different ways an organization can do business with HPE. It is often represented by separate contractual agreements. For example, an organization can be an HPE distributor and/or a corporate reseller. Business relationship impacts the content you’ll see, your ability to access tools, and the information you can share.

Note that your organization may have more than one business relationship with HPE.

Sub-organization/location

When you click the Commercial Value Added Reseller Organization, the sub-organizations/location information will be displayed. In this example, there are 23 sub-organizations/locations. You will find the unique locator ID, address, and number of users in each location.

In this section, you will find the list of users who are associated to the organization.

Creating a new user account

There are three main steps, that need to occur for someone within your organization to become a Partner Ready Portal user:

1. Complete the registration form

2. Submit the form for approval

3. Receive approval*

*New user registration requests will be approved by your organization’s Partner Ready Portal Administrator (PPA). If your organization does not have a PPA, approval will be given by an internal HPE User Administrator.

Now let’s take a look at how to complete step 1 – completing the registration form.

Go to partner.hpe.com using your preferred browser.

At the login screen, please click the Register here link that is located under the sign-in box. 1. Click the

Since your company is registered, provide at least three characters of the company name in the Company Name field.

7. Enter the company name.

Note: Locator ID and Tax ID, if provided, will lead to the exact match.

9. Select your company name by checking the appropriate button.

This is the country that your company is selling to.

10. Click NEXT.

If your company name is not found after refining the search criteria, register your company.

This is the country where your company is located.

If your company already has a Partner Portal Administrator (PPA), the form will be ready to be submitted to the PPA for approval.

Once you click SUBMIT, a confirmation message displays that the application has been submitted successfully.

The Partner Portal Administrators should ensure that action is taken on the request within 5 business days.

A success message is displayed on the screen.

Passport

Passport is a single sign-on solution that provides access to numerous functionalities within the Partner Ready Portal using the same login credentials.

Using the Passport credentials, the user can log in to the Partner Ready Portal – this provides direct access to many tools without needing to sign in to each one individually.

The Passport credentials include your email address/user ID and the password you will set when prompted by the registration-submitted notification.

As a PPA, you will receive an email every time a new user registers. To approve a new user account, perform the following steps:

Step 3: Approving a new user account (continued)As a PPA, you have administrative access levels within Partner Ready Portal.

If your organization has more than one PPA, you will share tasks with the other PPAs.

This means when a task is assigned to the PPA user role, all PPAs within your organization are able to access it.

The person who chooses to work on the task needs to assign it to themselves to make them the owner of this task. Once you assign a task to yourself, you are responsible for completing it.

User access

Until the registration is approved, the user is categorized as a light user, which means they can only access the public information on the portal.

There are two types of portal users:

Approved user account

How does the user find out that they have been approved?When the users log in to the Partner Ready Portal for the first time after approval and if the partner to which they belong has not signed an HPE agreement yet, they will see the Terms and Conditions (Ts&Cs) pop-up. Note that not all the users need to accept Ts&Cs.

These need to be accepted by the users in order to access and use the Partner Ready Portal. Once users have accepted the Ts&Cs, they will have access to the Partner Ready Portal. Users will also be notified via email that they are approved to use the Partner Ready Portal.

Providing access to tools

This is one of the most important functions a PPA carries out.There are two types of tools your users may need to use:

– Tools that require training completion prior to access

– Tools that do not require any training for access

Access to tools that require training is provided automatically to users after they complete the tool training course on The Learning Center.

For tools that do not require any training, a user needs to request access and the PPA needs to assign the access. As a PPA, you will receive an email or a call asking you to provide a user’s access to a specific tool. Note that the email is a personal email and not a system-generated one. Let’s see how you provide access to a tool.

1. On the left side menu of the Control Panel, click Users and Organizations.

2. Click the icon under Assign users for this tool to see the access mode assigned to the tool.

NOTE: Users are granted access to business management tools on the Partner Ready Portal based on both company profile and user profile.As a PPA, you will see a list of tools under Tool management that can be accessed by users in your organization. While access to business tools is predefined and aligned to your HPE business relationship, as a PPA you can choose which users are able to access these tools.

A list of access modes associated with the tool is displayed.

The Name and Access Mode description columns allow you to give different levels of access to the tool depending on the user’s needs.

3. Each group provides a different level of access to the tool. It is important you choose the right access mode for the user you are adding. In this example, we will be granting a user Order Status with Net Pricing access to the Order Status Tool.

4. Two tabs appear: Current and Available.

The Current tab displays a list of users that are associated to the access mode that you have selected.

6. In this example, we have searched using the user’s first name. The results display below.

8. Complete task 7 below, then click Save to confirm tool access for the selected user.

7. Select the user you are providing access to. You can select multiple users to provide access to a tool.

5. The Available tab displays a list of users that can be given this level of access. It shows both the actual and possible users (but the actual users are already matched).

NOTE: You can check that the access has been successfully provided by clicking the Current tab at the top and searching for the user you have just added.

As a PPA, you can also make someone a PPA. Perform these steps:

3. Click Actions and select Promote as PPA next to the user whom you want to make a PPA.

NOTE: If you are the only PPA for your company and decide to transition responsibilities, ensure that you promote another user as a PPA.

Resetting a user password

For security, users are able to easily change their passwords.

There are three ways in which a user can change their password:

1. Go to Profile preferences by clicking the username drop-down menu at the top of the page, and change the password via the My Account section.

2. Ask the PPA to trigger an email, which the user will receive. From this email, users are then able to change their password.

3. Click the Forgot Password link on the login screen.

To reset your own password, you need to access My Account.

4. A new HPE Passport screen displays. Enter your current password and a new password here.

All users are able to reset their own passwords.

The partner users can send an email to their PPAs requesting a password reset. As a PPA, perform the following steps to trigger a password for your organization’s users:

1. Click Password from the login screen.

2. Enter the user’s email address in the Email address section.

3. Click Next.

NOTE: If your email exists in the repository, you’ll receive a reset link. Click the appropriate link from the email notification to reset your password.

Deactivating a user’s access

As a PPA, at times you may need to deactivate a user’s access. For example, when a user leaves your organization. To deactivate a user’s access:

1. Click your username drop-down menu and select PROFILE PREFERENCES.

2. Click Users and Organizations from the left menu.

3. Select the Search All Users link in the My users section. Search the user you need to Deactivate.

4. Once user is found, select the user check box and click Deactivate.

Select the check box of the user.

Click Deactivate.

Alternatively, you can also click Actions and select Deactivate.

Deleting a user

Once you deactivate a user, you can delete the user from the system. Perform the following steps:

1. Click your username drop-down menu and select PROFILE PREFERENCES.

2. Click Users and Organizations from the left menu.

3. Select the Search All Users link in the My users section. Search the user you had deactivated through the drop-down menu next to Show.

4. Once the deactivated user is found, select the user check box and click Delete.

Select the check box of the user.

Click Delete.

Alternatively, you can also click Actions and select Delete.

The deactivated user status shows as InActive.

Click the drop-down menu next to Show and select Inactive.

NOTE: Once users are deleted, they will not be able to access the Partner Ready Portal unless they register again.

Changing company information

To change official company data, raise a ticket with HPE Support team by clicking the GET SUPPORT icon.

The GET SUPPORT icon is available on the right side of every screen. Click this icon and provide as much information as possible:

– What information would you like changed?

– Why is this information no longer accurate?

– When will this change need to be made?

You will be contacted by someone from the HPE Support team and you may be required to provide additional information to make this change.

NOTE: Partner Ready Portal users do not have the option to update the company information by themselves. It can be done only by raising a ticket with the HPE Support team.
