Having grown increasingly frustrated by the disruption caused by their existing mixed fleet of printers and multi-function printers (MFPs), made up of 11 machines from three different manufacturers, Nigel Isaac, Pardoes’ Facilities Manager, decided it was time for a review. “It was an incredibly complex set-up that we simply had to improve,” admits Nigel. “I recognised the need for a streamlined document management strategy across all of our offices that would improve workflow and administration. I also wanted us to start reducing our print output. The review was less about savings I would have been happy to maintain costs and not necessarily reduce the number of devices in our fleet - as long as business performance was enhanced and our devices were used to their full potential.” One overriding challenge that required a solution was the need for intelligent printing. Nigel explains: “When printing standard client letters we need page one to be printed on Pardoes’ printed headed paper from one cassette, additional follow-on pages to be printed on quality continuation paper from another cassette and copies to be printed on lower grade paper from a third. We’d been struggling with this incompatibility issue for well over nine months and you can imagine, as a busy law firm, how important it was to get this fixed.” With the firm’s requirements in mind, Nigel set about obtaining quotes from various sources including the incumbent dealer, as well as Xerox, Canon and Samsung resellers. “I quickly ruled out the incumbent as they came back with a yet more complex solution featuring an even greater assortment of machines, and turned down the three other tenders.” he says. “Interestingly, the Samsung reseller pointed us in the direction of TA Triumph-Adler who we’d also been recommended by GreenSquare a housing association in Wiltshire” The solution… Nigel liked how TA Triumph-Adler’s sales manager clearly explained how Pardoes’ objectives could be met. For the software issue, TA’s Head of Professional Services, Mike Barnard, was brought in to look at the IT compatibility problem. “Mike was amazing and came up with a solution very quickly,” said Nigel. “He demonstrated how TA Triumph-Adler could programme the device software to overcome

The solution…

the incompatibility, and proposed that our fleet of devices should be standardised to improve consistency across new parts, make staff training easier and allow for their smart three tier billing.” TA Triumph-Adler recommended the use of A3 colour ‘walk-up’ MFPs throughout the entire group – namely the robust 5505ci, which features an easy-to-use colour touch panel similar to a Smartphone. TA Triumph-Adler’s Sales Manager advised that it wouldn’t be wise for Pardoes to be tied into a leasing contract with a set number of prints per quarter. Instead he recommended they lease the hardware through TA Triumph-Adler’s recommended leasing company and then have a Service Agreement with them where they would only pay for copies printed each month. Using TA Triumph-Adler’s innovative three-tier billing they would also save on colour print, which would be calculated on the percentage of colour used, rather than on a pay per page basis. The service agreement includes the embedding of PaperCut print management software onto all devices, which includes swipe card access and authentication so that Pardoes’ personnel have secure ‘walk-up’ print release from any device in any of their office locations and can allocate their print job easily to a client account. TA Triumph-Adler also manages auto-consumable ordering and billing, as well as providing quarterly reviews and figures, servicing and call outs, providing a worry free print solution. With TA Triumph-Adler’s adaptive HyPAS interface, Pardoes can integrate additional document management and software solutions such as Follow Me Print, electronic document faxing, archiving and storage too. Nigel says: “We wanted to use our fleet to its full potential and we feel that we’re doing that much more now thanks to our partnership with TA Triumph-Adler.

“Installation of the 11 MFPs was extremely well planned and was coordinated between our external IT team and both the Professional Services and Installation teams at TA Triumph-Adler,” explains Nigel. “TA Triumph-Adler put in a test 5505ci MFP for three weeks beforehand so it could be evaluated and any issues sorted out. This resulted in our server being reprogrammed prior to the installation which was carried out over three days, including the link-up with their IT support and all glitches ironed out. It really was pain free. “What’s more, our contract included comprehensive training days at TA Triumph-Adler’s HQ and on site at our offices, which brought everybody up to speed with the new devices and what they are capable of in a professional, informative and time-efficient manner.” With the new solution in place for a few months, Nigel concludes by saying: “We’ve noticed a real difference, especially in terms of improved workflow and reduced time spent by our IT support team on compatibility issues. By having more control over what and when we print we are seeing our print volumes and costs reduce, which is good for both the environment and our business.”
