THE OREAD CATERING POLICIESPrices Due to market conditions, prices are subject to change. A price will be confirmed with you 30 days prior to your event with subsequent changes occurring only under extreme market conditions. Prices do not include 9.85% Sales Tax or 19% Service Charge.
A Room Rental Fee and/or Food & Beverage Minimum is assigned to each banquet room. Please consult your Catering Director for your room charges.
Sales Tax and Service Charge All prices are subject to a 19% service charge and 9.85% Kansas Sales Tax.
Guarantees It is necessary that the guaranteed number of guests be confirmed to the hotel according to the following chart.

Once a guarantee is given, it may not be reduced. However, we can accommodate a reasonable increase. If we do not receive your guaranteed number of guests by the listed time, we will use your highest expected number. Please call your guarantee to the Catering Department. Increase requests for food the day of the event will be at the discretion of the Chef.
Bookings Short-term bookings inside of 72 hours may be subject to menu substitutions at the discretions of the Chef and Catering Director.
Alcohol No alcoholic beverages, except for bottled wine, shall be brought into the hotel function rooms for sampling or consumption. A $15 corkage fee per wine bottle opened will be applied to the bill. Kansas state law prohibits persons under the age of 21 to purchase or consume alcoholic beverages. Persons who appear intoxicated are not permitted to purchase or consume alcoholic beverages at the discretions of the hotel staff and management. Bar service will conclude 15 minutes prior to the agreed ending time with last call 30 minutes prior to agreed ending time. No liquor service will extend beyond 1:30am.
Food and Beverage No food or beverages of any kind (with the exception of special occasion cakes) will be permitted to be brought into The Oread by any customer. Any remaining food cannot be taken out ofThe Oread.
Room Rental Fee or Food & Beverage Minimum
THE OREAD CATERING POLICIESBuffets Most buffets are subject to minimum of 50 guests. Groups below minimums will be charged additional fees. Breakfast, lunch and dinner buffets may be presented for a maximum of two hours. Hors d’oeuvres buffets may be presented for a maximum of three hours.
Deposit and Payment Some functions will be subject to deposit and prepayment specifications. Requests for direct billing after event will be subject to credit application approval.
Entertainment and Outside Vendors The Oread must be notified of all entertainment and outside vendors for events. The Oread reserves the right to regulate the volume of any entertainment in our event spaces. A copy of all outside vendor contracts must be supplied to the Catering Department.
Audio/Visual Equipment Audio/Visual equipment may be ordered through the Catering Department. We ask that all requests are made at least two days prior to your event. Requests for equipment forevents on Sunday, Monday or Tuesday must be received by the preceding Friday. The Oread will not handle, transport, store or be responsible for Audio/ Visual equipment not rented through our Catering Department. We reserve the option to submit a bid to the client for all Audio/ visual functions in the hotel.
Smoking Smoking is prohibited in all Banquet and Public Spaces of the Hotel.
Labor Fees Due to staffing requirements, smaller groups under 20 persons may be subject to a labor fee of $100. Additional fees, such as linen, buffet and bar set up fees may also be applied to any event and if so will be clearly stated on all Banquet Event Orders. Extraordinary set up will be billed at $20 per man hour.
Decorations Decorations may be brought into the hotel based on prior approval from the Catering Director. Open flame candles, glitter and confetti are prohibited. The Banquet Department is not responsible for the setup, take down or storage of any decorations without approval. A fee will be assessed in the event of noncompliance.
Damage/Loss The Oread does not assume liability for damage to or loss of equipment or personal belongings brought into the hotel. All personal property is the sole responsibility of the group or invitees of the group.
Security The Oread reserves the right to inspect and control all functions. We also reserve the right to require that events provide and pay for security for their event. The security company must be approved by the Catering Director.
Contracts & Billing Events will not proceed without returned signed Event Contracts and fulfilled billing payment requirements per the contracts.
Terrace Events The Oread is not responsible for inclement weather the day of an outdoor event. A backup space will not be reserved without full room rental of the second space. No events with a live band or DJ will be permitted on the terrace. Any events booked on the terrace must end no later than 11:00pm. Rental tents are NOT allowed on the terraces.
Electronic Equipment Disclosure All electronic equipment, including but not limited to CD players, DVD players, and microphones, housed in each designated banquet room is available for use based on availability and working condition. Working condition or quality of all equipment is not guaranteed for any event. Any damage done to the equipment will be added to your final bill. All equipment located in given room is not guaranteed or covered by room fees. If any equipment is needed or utilized there will not be technical support provided by The Oread or banquet staff. The Oread staff is not responsible and cannot be available for maintaining any electronic device housed in the building or brought in by an outside source. Technicians will provide a quote for services and an invoice will be issued thereafter. This includes, but is not limited to, volume levels, operation controls, or execution of music or videos. Additional fees will be applied for any technical support provided or outsourced pending a separate signed Contract.
Sleeping Room Accommodations The Catering department does not book sleeping room accommodations for any of the events booked at The Oread. For sleeping room availability for your event, please contact The Oread Sales Director. Please note, the Catering or Sales department may show you guest rooms at the property for informational purposes, but those accommodations may not necessarily be available for your event. All sleeping room accommodations are booked under a separate contract (the catering contract does not automatically secure sleeping rooms at the hotel, and we may or may not have sleeping rooms available). Please do not contact the front desk clerks to make a room block. If your event requires sleeping rooms and the rooms are available, a contract will be submitted to you which must be signed and returned immediately to the Reservations Manager for confirmation of your room block. All sleeping room blocks are released 30 days in advance of your event. Please contact the Reservations Director prior to the 30 day expiration date to review the room list, and to ensure that all of your guests have had their sleeping rooms reserved as needed. Please also let us know if individuals will pay for their own sleeping rooms, or if these charges are to be placed on a master account to be paid for by the event. All sleeping rooms must have a credit card for each reservation. Rooms and suites without a credit card will not be honored. The Oread has a 48 hour cancellation policy. If you or your guests should cancel the room and/or suite accommodations inside the 48 hours, one night of room and tax will be charged to the credit card on file.
Graduation Policies 3 night minimum. Room and tax for 3 nights payable at the time of reservation. 30 day cancellation policy. Any reservation can-celled within 30 days will not receive a refund of deposit.
Football Policies 2 night minimum. Room and tax for 3 nights payable at the time of reservation. 30 day cancellation policy. Any reservation cancelled within 30 days will not receive a refund of deposit.

THE OREAD CATERING POLICIESThe Oread staff will make every attempt to meet the needs of clients and guests planning events at The Oread, including addressing unexpected changes. Changes to event schedules or menu plans may result in additional charges.
CancellationsA non-refundable deposit is required for all events. Cancellations that are communicated in writing and postmarked 90 days prior to the scheduled event, or more, will be penalized only the amount of the deposit.
Cancellations that are communicated in writing and postmarked 60 - 90 days prior to the scheduled event will be penalized the amount of the deposit and an additional amount of 25% of all contracted services, including, but not limited to, room rental, food and beverages, alcohol, other service items, equipment, labor, gratuities, and tax.
Cancellations that are communicated in writing and postmarked 30 - 60 days prior to the scheduled event will be penalized the amount of the deposit and an additional amount of 65% of all contracted services, including, but not limited to, room rental, food and beverages, alcohol, other service items, equipment, labor, gratuities, and tax.
Cancellations made within 30 days prior to the scheduled event will be charged 100% of all contracted services, including, but not limited to deposit, room rental, food and beverages, alcohol, other service items, equipment, labor, gratuities, and tax.
* Exception: if an event has to cancel due to inclement weather no penalty will be assessed as long as the event is rebooked within 30 days of the original contracted event date. If the event is not rebooked within 30 days of the original contracted event date then the total contracted amount will be charged. Please refer to the Catering Contract for further information regarding the cancelation of your event.
