Compliance - Servicing The Servicing module can be used for any appliance or plant asset that requires regular servicing or maintenance such as boilers, gas fires, electrical installations, solar panels, door entry systems, water systems (legionella), liſts, grounds maintenance items, smoke alarms and fire fighting equipment. Multiple service / inspection frequencies can be applied to each item. Contractor information is stored together with details of each plant item and appliance including its manufacturer, make and model, servicing frequency requirements, condition of asset and service contract. Following a maintenance visit, the Orchard Asset Servicing system will automatically calculate the next required date. If the visit was unsuccessful, it will log the failed attempt and escalate accordingly. Tenant letters can be automatically generated (in multiple languages) via a mail merge facility and full management of the process to ensure compliance with the Gas Safety Regulations. Details of appointments, letters and telephone calls made are also recorded. Compliance - AsbestosFully compliant with HSG264, a detailed history of inspections and other actions is maintained including storage of historical data for older type 1, 2 and 3 surveys. This helps helps to ensure our clients are legally compliant with all relevant Asbestos legislation. Scores are produced for both priority and material assessments and these are used to generate re-inspection intervals and generate actions.

Automated procedures within Orchard Asset ensure that asbestos inspection data and documentation is loaded as soon as it is made available from third party consultants or collected on site using Orchard Asset Mobile.

A comprehensive reporting suite gives the ability to quickly identify high risk issues.

In addition to making information available to housing, repairs and asset systems users within an organisation, Contractors and other third parties have 24/7 access through a fixed URL using password controlled web services. Authorised users can select locations based on address matching and view not only the Asbestos records but also any photographs and documents related to them. These records can be viewed in any web browser on any device, whether fixed or mobile.

A full audit trail is available, for example, to check whether a contractor accessed the records prior to a site visit.

Many standard pre-configured reports have been created using Microsoft Reporting Services and are available from within the application. User defined reports can be created using any report generation software which can access an ODBC data source.
