Change Overview for Corporate Transportation

13

Summary

Corporate Transportation is carrier focused, the function will negotiate freight quotes with all carriers (trucks, rail, LTL, deep sea, etc.).

Manage capacity to move finished goods to customers on time. Work with Sales to provide freight quotes.

What’s changing with the

new ways of working? What does this mean to my organization

SCAC Code - All freight vendors begin with the number 9 and are

7 digits long.

Transportation Network master data – Move to standard SAP

(ECC) will increase interaction globally for governance and

maintenance of Transportation Network master data, including

Transport Zones.

Freight quotes – A new, more systematic process (not manual

and verbal) will be used for freight quotes and calculating the

transportation P&L. This will increase the visibility into

transportation-related costs and performance.

Mileage - Mileage will be maintained on the Route.

• The previous SCAC associated with those vendors is still

available through a search function in most SAP screens. You

need to search for the SCAC code.

• All transportation master data is shared and accessible across

the entire SAP environment. For example, the same

transportation zone numbers will be used globally. will be

standardized globally across the company.

• Corporate Transportation will be responsible for uploading and

maintaining Customer Freight quotes into SAP (ECC).

• New T-Codes and format for carrier shipment cost

conditions for the upload program.

• New carrier shipment cost conditions will be used.

• Fuel surcharge as a flat amount.

• Moving away from generic routes.

• For Truckload and Ocean No longer use generic routes.

• Adding additional routes.

• Eliminate the Mileage table.

Start

• Uploading freight quotes prices with a new upload template into ECC.

• Maintaining fuel surcharge shipment cost conditions (ECC). Paid to carrier.

• Increasing interaction with other functions.

• Using Origin Destination Pair (OD pair).

• Using Citibank T&E Card.

• Using P-Card for non-stock goods and services under $3,000 USD.

Stop• Using the distance table (Z Table in TALFIIA).

• Using Generic routes for TL and Ocean.

• Utilizing one card for both Purchasing and T&E items.

Continue

• Handling un-costed shipment cost documents.

• Example: No LTL or Air Freight cost maintained in SAP prior to shipment,

therefor LTL shipment cost are escalated for exception handling and manual

costing.

• Managing transportation network data.

• Working with transportation complaints, returns, redirects and shipping

issues.

• Add Fuel Surcharge into ECC (customer or carrier).

• Quoting sales people freight rates based on their customer freight

specification.

Fuel Surcharges Overview

Fuel surcharges can be calculated by percentage, mileage, or at a flat rate.

Fuel surcharge price condition placed on invoice to accrue at time of billing; fuel surcharges sent as a separate charge and

invoice.

Fuel surcharges are changed by Transportation on a monthly basis

or as needed.

What is Rule 11?

• Per BNSF:

• Type of interline shipment where each railroad bills the customer separately.

• It is the default rate rule governing interline traffic where a joint-line rate is unavailable.

• Rule 11 must be indicated on the original bill of lading along with each price authority for the rail carriers involved in the movement.

• A cross-town transfer is not included on Rule 11 shipments that originate on BNSF.

• Per CSX:

• Rule 11 refers to the practice of each carrier separately billing for rail charges for an interline shipment (a shipment that requires 2 railroads). As a rule of thumb, if you request Rule 11 freight charge billing, you will get a freight bill from each rail carrier that touches your load.

Automation of Means of Transport Type & Mode of Transportation on Delivery

Today

Customer Service enters the Means of Transport Type and Means of Transportation manually in each Sales Order.

Tomorrow

The Means of Transport Type and Means of Transport are maintained in a table and are pulled into the Delivery when the Delivery is created.

Customer Service will no longer have to maintain those fields in the Sales Order.

Key Benefits

Reduces the risk of incorrect data.

Reduces manual work.

Freight Quote

• Transportation has implemented a standard template for freight quotes (Excel). This

template must be submitted to Transportation before a freight quote will be created.

Send an email with the template to a Transportation Specialist.

• If the template is not used, the request will be denied.

• Freight quotes can be modified by Transportation at the request of Sales up until the

status is changed from Quoted to Released.

• Freight quotes are valid for 30 days unless specifically requested otherwise at time of

quote request.

• If the time period lapses, the time period can be extended if the freight rate has not

changed.

• If the time period lapses, and the time period has changed, a new quote must be

created.

• Updates to quantity in a contract will require a new freight quote (Customer Service

and Sales).

• Contracts for the same sold-to/ship-to/material can have different rates at the same

time.

• Can update freight pricing for Sales Orders without updating Contract.

Freight Quote Expiration (Continued)

• The Freight expiration program is a quick method to close out freight

quotes past their expiration date.

• An automatic batch job runs daily to close expired freight quotes.

• Freight quote validity can be shorter than the freight prices themselves – E.g.

Quote valid for 1 month, prices valid for 1 year.

• Transaction: ZSD_FQN_EXPIRE.

57

Page 58: O2C0300G_Transportation_PPT_Rev0.4

Freight Quote Expiration

Which FQNs will be selected by the program?

• Entries where ‘freight valid to’ is < or = to and ‘freight valid from’ is >

or = to date selection criteria.

What activities does the program perform?

• Status of FQN = Quoted

• If the status of an FQN is ‘Quoted’ and system date is greater than

‘quote valid to’ date then ‘Freight Valid From’ and ‘Freight Valid To’

dates should copy from ‘Quote valid From‘ and ‘Quote valid to’ dates

respectively. The status of that FQN would be changed to ‘Expired’.

• Status of FQN = Released

• If the status of an FQN is ‘Released’ and system date is greater than

‘Freight Valid to’ date then the Status of that FQN should be set as

‘Expired’.

Freight Condition maintenance tomorrow

• Freight rate is split into 2 components (ZFBF + ZFFS) to be able to track Base

freight and freight fuel surcharge separately.

• All freight rates related to a freight quote will be stored in SAP as pricing condition

records (that has Freight Quote # as the key).

• Freight Quote can be updated for additional source plants, ship-to’s, Inco-terms,

and shipping conditions without the need to update the Sales Contracts

• Freight Quote details can be copied into a new freight quote template. This allows

easy updating of rates, which can then be used for a new contract with the same

customer / material combination.

• The freight quote must have a validity period, so that once the quote expires, the

freight rates no longer applies to a transaction.

• If a freight quote is not created or used, regular freight rates (using SAP standard

condition type ZF00) will apply.

the shipment cost document.

• The same batch job calculates the shipment cost calculation for both

EMEA and NA&S.

To calculate shipment costs, the

shipment cost document statuses

Conditions Required for Shipment Costing

• The shipment must be marked as relevant for shipment costing.

• The shipment must have the required total status as set in the definition of

the shipment cost type.

• The shipment must have a transportation status of at least ‘Planned’.

• The shipment must have a service agent.

• Customizing for shipment cost pricing must be set.

• Condition records must be maintained for all freight price conditions.

76

Page 77: O2C0300G_Transportation_PPT_Rev0.4

© Tate & Lyle 2014

Shipment Cost Calculation

• The system determines a pricing procedure for the shipment cost item

using:

• Transportation planning point

• Service agent

• Shipment cost item category

• Shipment

• The shipment determines how cost will be calculated for the individual

condition types in the pricing procedure.

• This controls whether costing is carried out per container or delivery.

• The system then searches for a valid condition record in the pricing

procedure for the first condition type.

• The order in which the system searches condition records is determined by

the access sequence.

• This is copied to the shipment cost sub-item.

77

Page 78: O2C0300G_Transportation_PPT_Rev0.4

© Tate & Lyle 2014

Identify and Resolve Shipment Costing Errors

• Identify Shipment Costing Errors (VI11)

• Run report List Shipment Costs: Calculation to identify the shipment

cost documents missing shipment costs.

• Resolving errors in shipment costing depends on the root cause of

the costing error.

• There are various tasks involved in resolving errors in shipment

costing.

78

Page 79: O2C0300G_Transportation_PPT_Rev0.4

© Tate & Lyle 2014

• Chart of Accounts

• Use the chart of accounts to correct G/L account errors.

• Vendor Master Data

• Carriers are vendors. Use vendor master data to correct

vendor-related issues.

• Material Master Data

• Use the material master data to correct material-related issues.

• Shipment Cost Conditions

• Use the shipment cost conditions master data to identify and

correct issues related to shipment costs.

Master Data for Identifying and Resolving Issues

79

Page 80: O2C0300G_Transportation_PPT_Rev0.4

© Tate & Lyle 2014

• Shipment Cost Document

• Review and edit the shipment cost document as needed.

• Purchase Orders

• Transportation uses PO order type: ZTRP – Transportation

Blanket PO. Look up purchase orders to correct issues related

to purchase orders.

• Service Entry Sheet

• Review the service entry sheet to identify and correct order

entry issues.

The system then searches for a valid condition record in the pricing procedure for the first condition type.

The system determines how shipment costs will be calculated for the individual condition types in the pricing procedure. This controls whether costing is carried

out per container, for example, or per delivery item (the shipment cost sub-items).

The system determines a pricing procedure for the shipment cost item (e.g. a shipment stage) using the following criteria:

Transportation planning point

Service agentShipment cost item category

Shipping type

Shipment Cost Calculation

81

Page 82: O2C0300G_Transportation_PPT_Rev0.4

© Tate & Lyle 2014

The values of the individual condition types are cumulated as specified by the pricing procedure. The final amount calculated is copied to the

shipment cost sub-item

The system searches for the second, then third condition record until values are determined for all condition types in the pricing procedure

Information stored in condition records determines values, such as basic freight

The order in which the system searches for condition records is determined by the access sequence
