1 Introduction
The Nippers Administration Application is an easy access app. for Junior Coordinators, Age Manager
and program assistants to manage Nipper Education Programs.
Features of the Nipper Admin App.:
• Managing User Permissions (Junior Coordinator only)
• Managing Nipper sessions
• Tracking Nipper attendance
• Completion of Preliminary Assessments, Competition Evaluation and Surf Education Awards
• Ability to leave notes against sessions and Nippers for Junior Coordinators to Age Managers to
view
• Add a Nipper to a session who isn’t a member
• Ability to contact parents
• Access to state resources and links
• Downloading end of season surf education certificates
• Uploading a program to sessions
• Downloading Age Group Contact Lists
1.1 Accessing the application
The application is accessible via the web browser for mobile devices including smartphones and tablets,
while also being able for usage on laptops and computers. It requires internet connectivity to access the
functionality.
The application is supported on the following systems:
• Android
• iOS (iPhone)
• Internet access through browsers

You can save this page to your home screen on your phone or tablet.
1.2 User Access
The clubs Junior Coordinator and Nipper Administrator has the highest access levels. They have the overall responsibility of setting up user permissions for Age Managers and the Nipper program sessions in the app.
The Junior Coordinator or Nipper Admin must set up user permissions and sessions before Age Managers and program assistants can access the app.

1.2.1 Setting up a Junior Coordinator in Surfguard
Your clubs Junior Coordinator must be allocated in Surfguard. Only one Junior Coordinator can be nominated for this role.
This can be completed in the Officers section. Typically, Surfguard Registrars or club Secretaries have access to allocate these positions.
Go to Organisational Management > Officers > Officers. A list of club position titles will appear.
Scroll down to Junior Coordinator and select new to add in your clubs Junior Coordinator.
If you don’t have ‘Junior Coordinator’ listed in the officers section, Select ‘Setup Officer Position Synonyms’ up the top of the page.
The position title listed next to ‘Junior Activities’ is the position which is required to be filled for the Junior Coordinator to have access to the app.

1.2.2 Setting up a Nipper Administrator in Surfguard
Your clubs Nipper Administrator must be allocated in Surfguard. Only one Nipper Administrator can be nominated for this role.
This can be completed in the Officers section. Typically, Surfguard Registrars or club Secretaries have access to allocate these positions.
Go to Organisational Management > Officers > Officers. A list of club position titles will appear.
Scroll down to Nipper Admin and select new to add in your clubs Nipper Administrator.
1.2.3 Setting up Age Manager and program assistant access in the app.
For Age Managers and program assistants to have access to the app. the Junior Coordinator must go in and set up permissions for each user.
Age Managers and program assistants will not be able to enter the app until they have permission.
See ‘4.1 Age Manager Admin’ for instructions on how to set up users.

2 Log in
The app can be accessed via the following link - https://nipperapp.sls.com.au/
Once the application is open, a log in page will appear.
Enter the users log in details to access the options available. Your username and password are the
same as your SLS Members Area Account.
2.1 Errors in Log in
Username and password are case sensitive, so ensure any capital letters are included.
If the username and password is not valid, it may be that the user doesn’t have the permission for
access, or alternatively that a password or username is incorrect.

2.1.1 Forgot Password
If a member is unable to log into the application, select ‘forgot password’. The page will be directed to
the SLSA Members Area to send a reminder of their forgotten username and/or password.
The options will allow the user to receive a reminder of their username or reset their password via email
or SMS to a mobile phone.

2.2 Select club
Once you have logged in, the user may need to select the club they are wishing to access, should they
be a member of more than one club.
Note: If the user is a member of only one club this option will be skipped, and you will progress through
to the home page. Once at the home page, the top right corner will display the club in which the user is
accessing.
3 Home Page
The home page is where the user will be able to access the various areas in which they have
permission for. The top of the page will show the Surf Life Saving Australia logo, state logo and the
selected club logo. With navigation panels to log out on the right.
The Home page look slightly different for Junior Coordinators and Age Managers/program assistants.

4 Junior Coordinator / Nipper Administrator Access
Once logged in, Junior Coordinators / Nipper Administrator will see the home screen with the following
options available. Using the touch screen or mouse you can select the feature you wish to access.
• Age Manager Admin
• Session Admin
• Manage Program
• Reports and Stats
• Publish to Surfguard
• Temp Nipper List

The Age Manager admin. option allows Junior Coordinators to administer permissions for the Age
Managers and program assistants at the club.
The page will show all Age Managers who are active members at the club and flag whether their award
is current or expired. If a club member has not completed the qualification, their name will not appear on
the page. If there are Age Managers listed who are not an active Age Manager for the coming season
you can ‘disable’ them which will remove them from the list. If you would like to add back in a ‘disabled’
Age Manager click the show disabled button, and click ‘enable’.
Junior Coordinators will be able to approve Age Managers permissions using the toggle options.
Showing green gives them permission for the functionality, showing red means they won’t have access
for the functionality.
As a minimum to enter the app. an Age Manager or program assistant must have the ‘Session
Attendance’ functionality showing as green. If all the permissions are showing as red they will not
have access to the app.

4.1.1 Adding a program assistant
Only Age Managers will automatically appear in the Age Manager Admin functionality.
A Junior Coordination can add in other program assistants who they wish to use the app. (for example coaches and Surfguard Registrars) by selecting ‘Add a member by ID’.
By adding the members ID it will bring the user up at the bottom of the list in ‘other members’.
The Junior Coordinator will then be able to assign the member permissions.
4.1.2 Session Attendance
As a minimum, Age Managers must have this approved to access the application.
The option will give the person permission to check in/check out Nippers in session.
Where an Age Manager is not holding a current award or access to the application is not approved,
Junior Coordinators must leave the toggle as red.
4.1.3 Preliminary Assessment
This option grants permission for Age Managers to approve the Preliminary Assessment of Nippers.
The Junior Coordinator will have the final approval prior to submitting.
4.1.4 Competition Evaluation
This option grants permission for Age Managers to approve the Competition Evaluation of Nippers. The
Junior Coordinator will have the final approval prior to submitting.
4.1.5 Season Completion
This option grants permission for Age Managers to approve season completion for Nippers and award
the relevant Surf Education Award. The Junior Coordinator will have the final approval prior to
submitting.

4.1.6 Nipper Awards Criteria
Below is the awards table which outlines the criteria for all Nipper awards

4.2 Session Admin
The Session Admin option will give the Junior Coordinator the option to add, modify, delete and add
notes to Nipper sessions.
Fields include date, start and end time and location.
Make sure you select the season year from the drop-down box. Information from previous years can be
found here.
Sessions will be sorted by date order, if a session is modified to a later date it will appear based upon
this, not on when it was created by the user.
Sessions can be named by clicking the pen icon. A box will appear where you can type the session
name.
As a minimum one session needs to be created to allow the functionality to record Preliminary
Assessments, Competition Evaluations and Season Completion awards.
The Add notes option allows user to leave relevant notes for other users. A drop screen option will
appear allowing the user to write notes in such as age group starting times etc. These notes will appear
for the Age Managers and program assistants to view. If a note has been added the note icon will
become red.

The Starfish Nippers option can be toggled from red to green if club has a Starfish Nippers program. Once this is turned on a Starfish Nippers group will be added to the Age Group page in Manager Program where Starfish Nippers can be added to the group using their Member ID.
4.3 Publish to Surfguard
This option allows the Junior Coordinator or Nipper Administrator to push Nipper Preliminary
Assessments, Competition Evaluations and End of Season Awards to Surfguard.
4.3.1 Publishing awards
After Age Managers and program assistants have marked awards in Manage Program they will show as
pending with a black tick.
The Junior Coordinator is required to go in double check that the assessments put through are correct.
If they are happy with these, select ‘Publish New Awards.
The tick will then change to green to show the awards have been allocated to the Nipper against their
Surfguard profile.
If a tick is showing as orange, it indicates there is an error and the award has not been allocated to
Surfguard. In this case, state centre will be notified by email and will assist to process the awards
directly to Surfguard
You can use the ‘Search for a Nipper’ function to search for an individual Nipper to see their
assessment statuses at any time.
Data from previous seasons can be found in the year drop down box.

4.3.2 Publish new award status
After clicking the ‘Publish New Awards’ button, the below pop up box will appear to give you a live status report.
If there is an error, state centre will be notified by email and will assist to process the awards directly to
Surfguard.
Errors may occur if the Nipper has had the award in previous seasons.

4.3.3 Assessment States
4.3.4 Participating / Not Participating Nippers
Within the Publish to Surfguard area this function has been added for Junior Activities Members who are not participating in the Nippers Program. Administrators can select the ‘participating toggle to red. This will then remove the Nipper from the main list and will be filtered out as not participating.
4.3.5 Surf Education Award Certificates
Surf Education Award Certificates can be downloaded once the season completion awards have been published to Surfguard by clicking on ‘Download Certificates’
It is recommended to download these certificated by age group ie, filter to U8 and the download.
The information, including the club logo is all retrieved from Surfguard,

5 Junior Coordinator, Age Managers & Program Assistant Access
Once logged in Junior Coordinators, Age Managers and program assistants will see a home screen
showing the following options.

5.1 Manage Program
The Manage program function will be a picture of your club cap.
The Manage program option allows the user to access sessions and view and manage age groups.
5.1.1 Choose session
The choose session option will open access to all sessions that have been created by the Junior
Coordinator. Details of date, time and location will be shown under the heading. To access notes on the
session, click the notes option on the right-hand side of the session option. Click on the session you
wish to access.
5.1.2 Age Groups
Once you have selected the session you wish to access you will be presented with the screen seen
below showing all the different age groups. The page will show you:
- all of age groups
- the number of Nippers in each age group, the number of nippers checked in and out per age
group
- the total number of nippers checked in / out and currently on beach
- ability to download session checkins

The add notes option will allow the user to leave notes for other Age Managers, program assistants and
Junior Coordinators regarding each session. If a note has been added the notes icon will become red.
The add program option will allow the user to upload a document ie.the age groups activities for the
session. If a document has been added the program icon will become red.
All sessions show as running, if a session is required to be cancelled select the ‘running’ toggling to
cancel the session. The colour will change to red. Place a note in the notes field as to why the session
required to be canceled.
5.1.3 Nipper List
The Nipper list will show all the members who are active Junior Activity and Cadet Members for the
season and which age group they belong to. The user will have several functionality options depending
on their approved permissions.
This will include:
• Check In/Check Out – Marking attendance of each Nipper. It will include a live count of
Nippers as you check in and out.
• Preliminary Assessment - This option allows permission to approve the Preliminary
Assessment of Nippers.
• Competition Evaluation - This option allows permission for Age Managers to approve the
Competition Evaluation of Nippers.
Notes:
1. Preliminary Assessments must be marked off as complete, prior to marking off Competition
Evaluations.
2. If you do not have permission to use the functionality it will be shaded out, however you will still
see the statuses.
There are also options to leave notes and to see how many sessions the Nipper has attended. These
notes will continue through each session.
There is a live count of how many sessions a Nipper has attended and male/female filtering
functionality.

There is an option to download contact CSV which will download and excel spreadsheet with the age
groups emergency contact details.
The phone symbol will contain contact details of the parent/guardian, this will allow the user to contact them via phone or email.
5.1.4 Medical condition
If a nipper has a medical condition as highlighted in their Surfguard profile this medical symbol will appear next to their name. Click icon to view the medical condition.

5.1.5 Add a missing Nipper
If you wish to add a Nipper who does not show on the Nipper list, this can be completed by the ‘Add a Missing Nipper’ function for the particular age group you are in.
You will be required to add in the Nipper’s name and the parent/guardian email.
An email will be sent to the parent/guardian and Junior Coordinator to flag that a Nipper has been
added and club membership should be followed up.
The Nipper will not automatically appear in the next weeks sessions. The will need to become an active
member to show in each week and have their profile link to Surfguard.

5.1.6 Starfish Nippers Group
The Starfish Nippers Group allows you to add in a Starfish Nipper using their Member ID. Once added to the group the check in and out function is available.

5.1.7 Season Completion
At the end of the season you can close off the season and award Nippers their Surf Education Award. This is located at the bottom of the screen where you view all the sessions in Manage Program.
Once you have selected ‘Season Completion’, select the age group you wish to close off.
A list of Nippers will appear with their numbers of sessions attended. Attendance is recoded via the Check In/Check Out functionality.
If the Nipper has completed all the requirements to be awarded the ‘Surf Education Award’ select the ‘season completion’ toggle and move to green.

The resources tab will provide access to various resources and guides to assist Age Managers to
deliver their Nippers Education Program.
7 Links
The links tab will provide access to external links to assist Age Managers to deliver their Nippers Education Program.
8 Support
A support button has been added to the bottom of each page, by clicking the button you will be able to create a capture of a specific issue or feedback and then add comments and enter your email address for this to be addressed.
