What happens if minimum target is not raised by the Dream Teamer by 20th

November 2013?: Though raising INR 1.5 lakhs and INR 4 lakhs should not be a difficult task for senior people, where a Dream Teamer is unable to raise the minimum target by 20th November 2013, he/she will be allowed to run only as part of 'I Pledge'. The special privilege available to Dream Teamer runners will be revoked. After deducting INR 7,500 or INR 20,000, as the case may be, from the total pledges that may have been raised by the Dream Maker or Dream Challenger respectively, the balance will be remitted to your organization.

In order to avoid this kind of an embarrassing situation for the Dream Maker as well as your organization, it will be a good idea to make a strong and passionate pitch for your cause through sending mailers, presentations etc. along with constantly motivating and persuading them to raise funds for your organisation.

Important:

All the cheques that come to Concern India Foundation should be in favour of "Concern India Foundation".

Once all pledges have been collected, please help the Dream Teamer to fill up the pledge summary sheet and pledge sheet.

The pledge summary sheet is to be submitted to Concern India Foundation along with all payments.

Concern India Foundation will issue receipts and *80G certificates for all individuals who have contributed to the Dream Teamer’s fund raising efforts. These receipts and certificates will be sent to your organization, which have to be passed on to the Dream Teamers by you. As a goodwill gesture, you can further enclose a simple token of thanks before passing the certificates on to the Dream Teamer. We recommend

SOME IMPORTANT TIPS

What sort of companies can participate?: Identify companies that are likely to fit the Corporate Challenge based on what is required of them. These will typically be from industries/sectors that employ a large proportion of "knowledge workers", e.g. banking, finance, insurance, ITs (BPOs, call centers & software), FMCG, etc. Try and focus on companies where you directly know someone senior in the Top Management, HR or Corporate Communications functions.

While this is not a rule or guideline, companies with less than 100 employees or with a turnover less than INR 50 crores per annum are unlikely to participate in the Corporate Challenge. Make a strong pitch to them on how participating in the ADHM will help them energize their staff. We also recommend that if a company has already been approached by another NGO and they are considering participating; it would be wonderful if you could support their cause. It is important that as conscience-keepers, we ourselves do not start competing with each other!

AIRTEL DELHI HALF MARATHON 2013: NGO Process Note

14

Page 15: NGO Process Note 2013 Final 3

Role of Team Leaders: Every Corporate Challenge team will be requested to internally nominate a "Team Leader". A Team Leader is expected to be Concern India Foundation's point of contact for all event related communication and documentation. He or she will also be responsible to help motivate the remaining members of the Corporate Challenge Team to raise pledges and inspire them to participate as well as train them for the event.

Increased corporate participation in fund raising: Remember, the INR 1,25,000 or INR 2,50,000 or INR 3,50,000 contribution from the company is only half the work done, or even less. The real fun is in getting employees to raise pledges from far and wide, and then getting the company to match the total that will exceed INR 1,25,000 or INR 2,50,000 or INR 3,50,000, the initial contribution. To encourage and instigate greater corporate participation, Concern India Foundation will be happy to conduct a 1-hour Pledge Raising Orientation workshop for the participating companies, completely free of cost, if they so require. Representatives from Concern India Foundation's will conduct this workshop which will include walking and familiarizing people through the process along with demonstrating how they can use their pledge kits most effectively. You can make a presentation about your organization in this workshop as well. This will serve as a great opportunity for the corporate team to bond together before the event.

Who will issue receipts?: Concern India Foundation will issue receipts and 80G certificates for all individuals who have contributed to the runner. These receipts and certificates will be sent to the runners directly, because different runners from a company may choose to run for different charities. We recommend that you directly contact those who you know have run for your organization before, and give them materials about your organization and small gifts as goodwill gesture, if you want to reach out to the donor. ANNEXURE 1: FREQUENTLY ASKED QUESTIONS

1. Can people give money to my NGO directly?

AIRTEL DELHI HALF MARATHON 2013: NGO Process Note

18

Page 19: NGO Process Note 2013 Final 3

No. All money raised for the charity through marathon have to be routed through the official charity partner i.e. Concern India Foundation. NGOs will risk disqualification from the charity list if doing otherwise. This will also give you and the pledge raisers a fair opportunity to win the charity awards.

2. Can people raise pledges without the pledge kit?The Pledge Kit is vital as it not only answers a lot of questions on pledge raising but also because it gives the people tools to inspire themselves for a more successful pledge raising drive. We would like people to raise pledges via the Pledge Sheet, which is provided as a part of the Pledge Kit. Our systems are geared to track pledges only of those individual runners who have used the Pledge Kit to record the donations raised by them in the pledge sheets.

3. If we get a Celebrity to run for a cause, do they still have to raise INR 1.5 lakhs to be a Dream Maker? We believe that people who support a cause are the true celebrities of this event, and therefore, yes, even celebrities need to raise pledges. This will also ensure that they know your NGO well when the press contacts them. Concern India Foundation will be happy to support your efforts to use such opportunities to derive visibility for your own organization.

4. What happens if a celebrity is not able to participate after signing up?We understand that celebrities might not be sure if they are available to run at this time. In case they cannot be present on race day, the money they have raised can still go to the NGO they have raised it for.

5. Can an NGO display its own banners/posters during the Event or are there any guidelines that should be followed?Runners may carry and display banners and posters of NGOs or cause they are supporting as long as such display banners do not harm anyone or block the way of other participants.

6. Is there any dress code to be followed? Can an NGO distribute their T-Shirts?For the various categories of the race, there is no dress code. People can wear T-shirts of your NGO with your messages printed on them, or they can wear special costumes to attract attention to your cause. Whatever may be the attire of the runner, it should not obscure the visibility of the running number bib.

7. If a celebrity wishes to run for an NGO without raising any pledges, will that be allowed? Not everyone who runs will be raising pledges, so sure, they can run. However, they cannot run as a Dream Maker or Dream Challenger nor will any publicity be received by them.

8. Is there any restriction on the number of NGOs who can participate or on the number of runners per NGO?

AIRTEL DELHI HALF MARATHON 2013: NGO Process Note

19

Page 20: NGO Process Note 2013 Final 3

There is no restriction on the number of NGOs that can participate. You can have maximum running numbers for the general group in the Great Delhi run or Half Marathon and will be purely on the first come first serve basis.

9. Can different people who fill in forms separately still run together? All race categories (e.g. Half Marathon, etc.) have different start timings. The runners will only be able to run together if they are running the same race and are part of the same category, irrespective of whether participating as part of the Corporate Challenge, Dream Maker, Dream Challenger or I Pledge.

10. Is it a must for a Corporate’s employees to participate in Event or can they give the required minimum amount of INR 1.25 lakhs to the NGO and allow the NGO to carry their company banners on their behalf?Through this Event we want to create a culture of "giving". Encouraging corporate employees to run/walk and raise pledges is therefore an important part of the event. If you are unable to energize 10 or 25 or 40 employees in a company to run, please seek help from Concern India Foundation. We will be happy to come across and motivate your team!

11. Can an NGO representative be given the Running Number Bibs on behalf of all the people running for that NGO?EXPO:Running number bib and runner kit is to be collected from the Get Active Expo held very close to the main event. To collect the same individuals must carry the original acceptance letter or the copy of the email confirmation. Individuals are requested to carry a proof of identity (original or photocopy), in case they are required by the Registration Executives at the Registration Area.In case of representatives collecting bib numbers and goodie bags on behalf of the runners he/she must submit the following documents Original Acceptance Letter signed by the participant, Authority letter, authorizing the representative to collect bib & goodie bag on the participant's behalf, Proof of Identity of the representative and the confirmed applicant (original and a photocopy of the same). However, please note, a representative will not be allowed to collect the running number bib and timing chip on behalf of more than one half marathon runner.

12. Can an NGO's contingent of runners of all ages start the Dream Run together?Yes, this will be possible as long as they are all part of the same category (Dream Maker, Dream Challenger, Corporate Challenge or I Pledge).

13. What happens if a child stops in between? Please note the minimum age eligibility for Dream Maker and Dream Challenger is 12 years. There will be race volunteers along the way who can help them get back to the venue of ADHM 2013.
