What’s New in Microsoft PowerPoint 2013?

New Look – Landing Page

MS PowerPoint 2013 opens to a landing page instead of a blank presentation. The left panel shows the recent PowerPoint files and their locations. The familiar Blank Presentation option appears in the template section with other available templates.

Pin

a Document to the Recent Document List

To pin a presentation to the Recent document list, hover on the file name, and click on the pin that appears to the right of the presentation name. The pin will switch from a horizontal to a vertical position. This file will remain at the top of the Recent document list until you unpin the file or the computer is reimaged.

New PowerPoint Options

To open PowerPoint Options, click on the FILE tab, and then click on Options at the bottom of the list.

General Tab

Office Background Under the Personalize options, choose an Office Background from the pull-down menu. The selected background will appear in the title bar of a PowerPoint window.

Office ThemeThree theme options are available: White, Light Gray, or Dark Gray.

If any changes to PowerPoint Options are made, click OK to save changes.

Ruler

To view the horizontal and vertical rulers, go to the VIEW ribbon and place a check the box next to Ruler in the Show group.

Reading View

From the VIEW ribbon, click on the Reading View icon in the Presentation Views group. The Reading View allows quick navigation in the slide show and access at the same time to the Windows task bar to switch to other available or open programs. Press Esc to return to Normal View.

Presenter View

The Use Presenter View option is located in the Monitors group on the SLIDE SHOW ribbon. When using two monitors, place a check mark in the Use Presenter View check box.

This feature will show the speaker’s notes, current slide, and next slide on one monitor. The audience sees only the presentation slides.

If using one monitor, pressing Alt + F5 while in the slide show will allow you to see the slide, the next slide, and the slide presentation notes while the audience sees only the slides.

Zoom

During a slide show, right-click on an object and select Zoom in. A box with a zoom icon will appear. Drag the box around to select the area to zoom in on, and click the magnifying icon to zoom in on the object.

Automatic Set Up

PowerPoint senses the computer’s set-up and selects the right monitor for the presentation.

The default slide size is widescreen (16:9). To change to the standard size (4:3), go to the DESIGN ribbon, select Slide Size, and then select Standard.

If PowerPoint is unable to automatically scale the content of the slide, it will prompt you with options.

Chart Features

To quickly make changes to a chart, click on the chart, and icons will appear to the right of the chart. Clicking the + symbol will open Chart Elements. Clicking on the pencil icon will open Styles and Colors for the chart. The funnel icon will open the Values and Names from the chart for editing.

Eyedropper

On the HOME ribbon, in the Drawing group, open Shape Effect, hover on Glow, and select More Glow Colors, and then select Eyedropper to access the Eyedropper. Alternatively, with an object selected, on the PICTURE TOOLS FORMAT ribbon, select Color in the Adjust group, hover on More Variations, and select Eyedropper.

Using the eyedropper, click the color you want to match and apply to the selected shape or object.

As you move your pointer around the different colors, a live preview of the color appears. Hover or pause on a color to see its RGB (Red Green Blue) color coordinates. Click on the color you want. For a more accurate way of getting the exact color you want when many colors are clustered together, select the color by pressing Enter or the space bar instead.

Transitions Ribbon

The TRANSITIONS ribbon has a new Preview icon. After a transition is added, an Effect Options icon is available. This option allows variations to the selected transition effect. An example of a variation is the direction of the effect.

Animations are no longer located on the same ribbon as transitions.

Animations Ribbon

The Preview and Effect Options icons are new on the ANIMATIONS ribbon. After an animation is installed, click the Preview icon to view the animation. All animations are listed and categorized. New animations are available in PowerPoint 2013.

After an animation is added, the Effect Options icon is available. This option allows variations of the animation.

To open the Animation Pane, click the Animation Pane icon in the Advanced Animation group. The Animation Pane shows the order of the added animations. In this pane, animations can be reordered or removed. Special effects—such as dim, hide, duration, and animation type (by letter, by word, or by whole line)—can be inserted from the Animation Pane.

Animation Painter

Use the Animation Painter to copy an animation from one object to another. Select the object with the animation to copy, click the Animation Painter icon in the Advanced Animation group, and click on another object to paste the animation on the second object. To copy an animation on several objects, double-click on the Animation Painter icon, and click on each object to paint the animation on the object.

Notes

To open the notes options, click NOTES on the status bar. Another way to access NOTES is from the VIEW ribbon. Click the Notes Pages icon in the Presentation Views group to see the entire notes page.

Comments

Comments can be added by others to the presentation, and replies can be made to the comments. To see the comments, go to the REVIEW ribbon, in the Comments group, click on the Show Comments, and select Comments Pane.

Screenshot

The Screenshot icon is new on the INSERT ribbon in the Images group. To take a screenshot, click on the Screenshot icon and select Screen Clipping. The screenshot window will open in another window (not the PowerPoint presentation). Drag the + cursor over the area to copy, and the selected area will be pasted onto the PowerPoint slide.

Video

The Video icon, located on the INSERT ribbon in the Media group, allows a search from an online source for a video that can be inserted into the PowerPoint presentation without downloading the video to the computer.

Additional video formats are supported without the need to install additional software. Videos can be edited in PowerPoint.

After inserting a video you created, click on the PLAYBACK contextual tab under the VIDEO TOOLS ribbon. Click on the Trim Video icon in the Editing group to edit the length of the video. Fade In and Fade Out options are also available in the Editing group.

Audio

PowerPoint 2013 supports AIFF, AUD, MID, MIDI, MS, M4A, WAV, and WMA files. Audio tracks can be inserted into a presentation.

After an audio file is inserted, new options are available on the AUDIO TOOLS contextual tab, Playback. The file can be trimmed, faded in or out, or played in the background.

Printing

From the FILE tab, select Print. A preview of the selected slide will appear to the right of the print options.

Select the printer under Printer.

Settings

Under Print All Slides, choices are Print All Slides, Print Selection, Print Current Slide, or Custom Range.

Under Full Page Slides, choices under Print Layout are Full Page Slides, Notes Pages, and Outline. Under Handouts, choices are to print 1 Slide, 2 Slides, 3 Slides (with notes lines), 4 Slides Horizontal, 6 Slides Horizontal, 9 Slides Horizontal, 4 Slides Vertical, 6 Slides Vertical, and 9 Slides Vertical.

Color choices are Color, Grayscale, and Pure Black and White.
