Is the child/young person new into care?

Start the PEP with the child in school.

Yes NoStart a new PEP in September/October and review in March/April. PEP meetings must be within 6 months of the previous meeting. There are two PEP meetings in an academic year and both meetings are recorded in the same single document.

Arranging the meeting

A member of the Virtual School Team liaises with the social worker and the school to arrange a time and

date for the PEP meeting. The social worker informs carers and birth parents (if applicable). The PEP

meeting should take place within 20 days of the child coming into care.

is notified of the date/invited.

Prior to the PEP meetingThe Designated Teacher for CLA (or appropriate person) meets with the child/young person to complete the child/young person part of the PEP. The teacher records their views and what they need help with and this is included in the action plan. The designated teacher consults with other staff and completes the progress and

attendance page, the additional needs page and prepares the action plan with costings.

PEP meetingFirst part of the meeting. Adults only discuss the PEP. The date of the next PEP meeting is arranged and recorded in the PEP. The contact section is checked for accuracy. The adults discuss the information in the

PEP so that all have a clear understanding of the child/young person’s education, progress, views and needs. The action plan is discussed and agreed and the celebration page is completed.

Second part of the meeting. If they wish, the child/young person joins the meeting and the agreed action plan and the celebration page is shared.

Quality Assurance and Distribution of PEPSThe Designated Teacher quality assures the PEP and sends it to the Virtual School within 5 days of the PEP meeting. Schools in Cumbria should upload the PEP to the School Portal “Returns to the LA” “PEPs Virtual

School Team”. Other schools please email the PEP securely to: The Virtual School quality assures the PEP and the request for pupil premium plus. The Virtual School are

responsible for uploading the PEP onto ICS. Only when this has taken place is the PEP counted as complete. The original PEP is kept in school where it is a working document which is regularly updated.

PEPs and the Pupil Premium Plus SpendCompleted PEPs must be submitted to the Virtual School immediately after the PEP meeting and must be

reviewed at the end of each term. The reviewed PEP must be submitted to the Virtual School to keep everything within statutory timescales.

Additional visits to school site with support from Miss Lewis and TA Mr and Mrs Wright to visit site and receive site plan to stick on fridge at home. Oliver to visit with J and D, his close friends who are also staying on for 6th Form. Pathways support required. Miss Lewis to build in sessions to look at progression from current curriculum and identify life skill focus

for next year.

Review: Are there further actions required for transition?

Oliver has had 6 visits to the sixth form building. He has walked from one site to the other with hesitation at first but has done so well to overcome this. He can now manage this with adult support and says he is excited to move on.

More timetable support and planning is required, Mr King to lead.

Photos of Oliver’s table, class, workbook station, dining room and exits to be uploaded onto his ipad so he can look at these regularly over the summer holidays.

Consider a child centred transition booklet to plan for the move. This could encompass likes, dislikes, future ambitions, photos of locations and staff.

£840 There has been improvement in his reading and attempting to sound out words. However he needs further support with comprehension and inference (20/03/2019).

To improve Oliver’s cooking and social skills through an after school cook club.

£195 Oliver really enjoyed the cookery club and he benefited from a key adult being with him. For example he did not like the noise of some of the equipment (mixers and whisks)
