Introduction to this document and the [email protected] portal

This document is a step by step guide to registering a new account on the [email protected] portal.

Registration is a relatively easy process and requires no specialized computer knowledge. After completing the registration process you will be able to access the portal from any desktop computer, laptop, tablet, or smartphone. No special software is required, only an internet capable device with an internet connection is required. Portal access is free of charge.

The connection to the portal is completely secure and encrypted. Therefore any information you enter into the portal will be kept confidential and stored on secure and encrypted servers that employ the most stringent security protocols. You can rest assured that your personal information is stored safely in accordance with the highest standards in the industry.

Step 1: Go To the My Health Record PageFrom any standard web browser navigate to the Tucson Orthopaedic Institute website by typing the web address shown below into the address bar of the web browser: www.tucsonortho.com

Once the Tucson Orthopaedic Institute homepage has loaded, click on the MY HEALTH RECORD - Patient Login button as shown in the image below. (The My Health Record link button can be found on the upper left hand section of any page on the Tucson Orthopaedic Institute website.)

Please note: If you are a parent or guardian acting on the behalf of a child under the age of 16 a Proxy Authorization Form will be required in order to complete the sign up process. A Proxy Authorization Form can be obtained at your nearest Tucson Orthopaedic Institute medical records location.

Step 2: Create a New AccountAfter clicking on the MY HEALTH RECORD button on the Tucson Orthopaedic website you will be taken to the MyHealth@TucsonOrtho webpage.

Since you will be creating a new account click on the “Create an Account” option.You can email a Patient Portal specialist or look at the help section by clicking on either of those links at the bottom of the page.

Step 3: Fill Out the Online FormAfter clicking on the “Create a New Account” option a new page will load and you will be asked for some information about yourself. Any information labeled Optional is not required to complete the registration process. Including optional information can significantly reduce the amount of time required to establish a connection with Tucson Orthopaedic Institute.

Any information that is shared on this form is stored securely and will not be distributed or shared without your prior consent and authorization.

Step 4: Selecting a Login MethodOnce you have submitted your personal information you will be asked to Login. You can create a username and password or if you have an account with one of the listed options to the right you can log in using those account credentials by selecting the appropriate button.

If you choose to log in using an existing account please skip to step 7.

If you choose to use an existing login method your login credentials will not be shared.

Step 5: Create Your Username and PasswordA new window will appear asking you to create a username and password that comply with the instructions on the page.

When creating a username be sure that you begin with a letter and nowhere in your username can there be spaces or special characters. In the event that somebody has already created the same username the system will alert you and you will be asked to create a new username. Ending the same username with you birth year is a common method to individualize your username. For example, if your name is John Smith and you choose JSmith as a username Jane Smith may have already taken JSmith. If you were born in 1954 changing your username to JSmith1954 should alleviate the problem.

When creating a password be sure to include a capital letter, a symbol (like @ or &), and that the password is 8 characters long. It is important that you do not share your password. Nobody at Tucson Orthopaedic will ever ask you for your password.

Step 6: Logging into MyHealth@TucsonOrthoNow that you have successfully created a username and password, or will be using existing login credentials for a supported account, you can now log into MyHealth@TucsonOrtho.

If you have chosen to create a secure login and password a new screen will indicate that you have successfully created a username and password and you will be asked to enter that information into the corresponding fields.

Step 7: Connecting with Tucson OrthopaedicA new screen will appear in which you will request a connection with Tucson Orthopaedic. In the “Search” box enter your zip code or type out Tucson Orthopaedic Institute. You will see a list of results in the field to the left under “Search Results”. Find Tucson Orthopaedic Institute in the results list and click on the “Connect” button to the right of the listing.

Once you have clicked “Connect” Tucson Orthopaedic Institute should appear in the box to the right of the screen entitled “My Organizations”. Click the “Next” button once Tucson Orthopaedic is listed under “My Organizations”.

Do not click “Skip This Step”. Doing so will require you to start the process again from the beginning.

Step 8: Sign the Release of InformationUpon clicking “Next” from the previous step you will be asked to sign a Release of Information Authorization. Please read the release authorization and click “I accept” if you accept the information release form.

Step 9: Connection Request SuccessfulOnce you’ve accepted the Information Authorization form a message will appear that indicates your request to connect with Tucson Orthopaedic Institute has been successfully received by Tucson Orthopaedic. Click OK to continue.

You will receive an email from FollowMyHealth indicating that your connection request was received and that your profile is being matched to your medical records.

You should receive an email within 24 hours indicating that your connection has been successfully completed. If you do not receive a confirmation email within 24 hours please call Tucson Orthopaedic MyHealth Portal Support at 520-784-6319 or send an email to [email protected]. If you make your submission on a Friday, or on the weekend, please allow 48-72 hours to receive a confirmation email.

If your profile cannot be matched to your medical records your request will be denied. If you are sent a denial email please follow the suggestions included in the email. If you have additional questions or require further assistance please call or email portal support via the contact information shown above.

Once you have sent a message to Tucson Orthopaedic you should receive a reply within 24 hours. (Please allow additional time if you send an email on weekends)

Step 10: Optional Video WalkthroughAfter you have acknowledged that your connection request has been successfully sent to Tucson Orthopaedic Institute a new window will appear showing your Health Summary. A window will appear asking you if your would like to take a video tour of the MyHealth Portal.

The video tour is optional. If you would like to take the video tour click “OK”. If you would like to skip the video tutorial and jump right in click “Maybe Later”.

After you have made a selection you can explore the MyHealth portal or logout until you receive an email confirming your connection to Tucson Orthopaedic.

Step 11: Go To Your Secure InboxOnce you have received a confirmation email from Tucson Orthopaedic indicating that your connection is successful please log into the MyHealth portal and return to your Health Summary page.

Once you have successfully logged into your MyHealth account and are at your Health Summary page click in the tab labeled “Inbox” which will open the secure communication window.

Step 12: Send a Message to Tucson Orthopaedic InstituteOnce you have opened your secure communication window you will see a list of titles of messages addressed to you to your left. When you click on a message title the entire secure communication will be shown to in the window to the right.

Select Compose to create a new message to Tucson Orthopaedic Institute.

Upon selecting Compose a new window will appear in which you will select your recipient and compose your message.

Select the recipient of the message, we recommend your most recent doctor, by clicking the dropdown menu under the To: field. Once you have selected the recipient enter a mes-sage subject and a short message for the doctor verifying your connection. (There is a limit of 1000 characters in the message so please try to be succinct in your message)

Once you have finished typing and are satisfied with your message simply press the Send button.

Step 13: Waiting for a Reply from Tucson OrthopaedicOnce you have clicked the Send button a message will appear indicating that your message has been sent successfully.

You should receive a response from your Tucson Orthopaedic Institute physician, or staff member, within 12-24 hours if your message was sent during the week. If you send a message on the weekend you may not receive a response until the beginning of the week.

Once you have received a response from Tucson Orthopaedic the Portal is verified and working properly. You can send secure messages in the future and enjoy the other features of the [email protected] portal.
