1.0 Welcome, Introductions and Updates

Members of the SITS Trainers Network (STN) were welcomed to Sheffield Hallam University by Briony Hancox (Systems Support and Communications Manager).

A brief summary of aims of the network was presented by Dr. Richard Clark (Chair / University of London International Programmes):

Share knowledge, lessons learned, training approaches and good practice.

Showcases (training, testing, support, e-Learning etc).

Offer re-purposed training materials.

Build up a profile of SITS training activities across Institutions.

Skills analysis of STN members.

Collaborative training initiatives (manuals, books, courses etc).

Create a community of trainers/testers/support staff via networking events.

Group members introduced themselves, their institutions and their roles with regards to SITS.

1.1 Apologies for Absence

1.2 Welcome to new members and a brief history of the STN

As part of the welcome to new members, a brief history of the SITS Trainers Network was presented via a short two minute video:

1.4 Resources: MySITS Forum, STN Website & STN LinkedIn Group

Members of the STN were reminded that they can use the SITS:Vision Training forum setup by Tribal Group plc via MySITS (Community menu -> Forum -> SITS:Vision Training).

The SITS Trainers Network website was also discussed. Repurposed training materials and presentations/minutes/photos from past events are available via the website. The STN LinkedIn Group was also demonstrated and STN members were invited to join the group. [Action] Chair to post minutes, presentations and photos on website from STN event at Sheffield

Hallam University.

1.5 STN Committee Structure

The STN Committee structure was presented and spaces for Regional Facilitators were highlighted. Regional Facilitators help to coordinate regional-based activities for the SITS Trainers Network including meetings, RUG’s, training events etc. Regional updates are then presented at STN conferences/events. Current Regional Facilitator vacancies include:

Scottish, SFE & North of England

Ireland Members of the STN are invited to put themselves forward for vacant Regional Facilitator posts as part of the STN Committee. [Action] Members of the STN community are invited to become Regional Facilitators (Scottish, SFE

& North of England and Ireland).

1.6 Minutes and summary of actions from previous meeting

Minutes/actions from the previous event (University of London, April 2016) were summarised and updates to the actions were presented to attending STN members.

The minutes from April 2016 were agreed as correct and accurate by all attending delegates.

1.7 STN and Regional Updates

An overview of the topics addressed during the London (April 2016) event was presented. Luke Austin (Vice Chair / Regional Facilitator: M62 / University of Huddersfield) presented a Conference and M62 Regional Update:

No formal STN presence at SITS User Conference (July 2016) but the lack of a presentation or exhibition stand didn’t matter as many delegates were asking about and interested in the SITS Trainers Network and a lot of training-based networking continued.

A STN presence at a future SITS User Conference would be good to arranged.

Briony Hancox (Sheffield Hallam University) added that at the M62 RUG, a presentation on the Web Communications Tool was provided plus some feedback on the rumour that SITS is being moved to a new platform and that this would have implications for SITS trainers. Also Tribal Group plc are proposing to extend the SITS Conference to 3 days. Briony Hancox had also enquired about live streaming of the conference for people who are unable to attend.

It was proposed by Luke Austin that Volume 2 of the Collaborative Manual (Introduction to SITS:Vision Client Server) be completed early 2017 in order to launch both volumes at the 2017 SITS User Conference (during a presentation session / exhibition stand). CD’s containing both volumes could be handed out at the conference.

John Crofts (University of Surrey) enquired if it would be possible to have an exhibition stand at a RUG. The group felt that RUG’s were facilitated in a meeting-like environment and therefore an exhibition stand would probably be more suitable at a conference.

It was further noted that Training will be a standard item for future RUG Agenda’s.

The group enquired with regards to further training sessions via Tribal Group plc:

o Sara Kirby confirmed that SRL and Tasking sessions had been delivered and that new training plans were underway for Portal Admin and Vistas. Document Management was also ‘in the pipeline’. Finance training for Business Functional Areas was also being worked on. A further initiative with regards to ‘Managing SITS Vision’ was under development. Exercises would be provided in Amazon cloud.

Briony Hancox (Sheffield Hallam University) noted a number of User Group events: o Changes in SITS – early December 2016. o Data Features – March 2017. o People Management – Date TBA.

Richard Block (Regional Facilitator: Midlands, Wales & West of England / Aston University) presented a Regional Update:

Richard Block had emailed 12 MWW members seeking interest in arranging a local event: o A half/whole day at a host institution. o Small, local meetings i.e. for those within close proximity of Birmingham, Bath etc. o Virtual meetings/discussion.

The MWW RUG 9th November was raised to see if delegates had attended (as Richard Block wasn’t able to attend).

Attempt to reach out to non-members to encourage them to join the network. Richard Clark noted that a contacts database is maintained and shared amongst the STN Committee. A new version of this database would be created via GoogleDocs so that STN Committee members could all share/edit/update a contacts database. A regional field would be added.

[Action] Chair to create a GoogleDocs-based Contacts list to share with STN Committee members.

[Action] Richard Block inviting regional members to local events (Midlands, Wales & West of England).

2.0 Presentation

Chris Sutton (The Training Foundation) presented a session on “Benefits of TAP Accreditation for Professional Training Networks”.

- All courses underpinned by assessed processes.

- 23 certificates available.

- The Training Foundation was IITT which was sold off in 2005, TAP created.

- Costs:

o An L&D Manager may look at the direct costs: i.e. salary, employers NI, pension etc. Say £30k pa

o The HR Director will understand that cost includes overhead recovery, often 100% of direct cost. Say £60k pa

o The FD and CEO will also be including the lost opportunity costs of all the delegate training days. Say £250k pa

o Cost of a trainer to an employer, in the area of £2,500 per day

- Impact of the role, we ‘sell ourselves’.

- Discussion of the Hawthorne Effect (i.e. a spike in focus).

- If higher employee engagement (a happy workforce), this leads to an improvement as a HPO.

- Line manager engagement before and after training is pivotal, i.e. how to enable staff to transfer knowledge to the workplace.

- It was noted that many line managers do not apply this method however.

- TAP fits a SMART model and quality is ensured in terms of delivery of materials (it was also noted as a comparison that CIPD courses are often outsourced).

- Diplomas – 2 or 3 day max, with flexible framework.

- Roger Sperry’s Split Brain Theory was also presented (left brain = logical, right brain = creative).

- Dynamic design & delivery = increased retention rate = increased ability in skills & knowledge application

- It was discussed how the ‘Cobblers Kids’ saying applies to our area of work, i.e. how some professionals don't apply skills for themselves. We are often at the end of the queue for our own L&D.

- British Institute of Learning and Development (BILD) award certificates.

- Learning and learner engagement has changed during the past few years i.e. eLearning, gamification, blended. Face-to-face still continues of course.

Further points during Q&A:

- Can take a TAP course face-to-face or online over 5 weeks and send in assessments. Chris recommended the online approach so that you can apply knowledge in stages as you learn.

- Chris did offer a sample session/taster of an online course as a 1-hour session. The STN Committee to follow up with Chris on this kind offer.

- Assessments takes the form of storyboards, bits of work, online facilitations, webinars etc.

- Costs: 3-day ~£1260+VAT, 2-day (i.e. TNA course) ~£840+VAT. Per person rate is lower if a group arrangement is in place.

All delegates at the STN at Sheffield Hallam University thanked Chris for his interesting presentation and further discussions with Chris continued during the lunch break.

[Action] STN Committee to follow up with Chris Sutton with regards to offering a small cohort of

trainers access to a 1-hour sample session/taster course.

3.0 Tour of iconic Head Post Office building in Fitzalan Square

During the lunch period, a tour of the iconic Head Post Office building in Fitzalan Square was provided. The Head Post Office building provides a new home for the Sheffield Institute of Arts (SIA). The SITS Trainers Network would like to extend a note of thanks and gratitude to Briony Hancox and Sinead O'Toole for an excellent and enjoyable tour.

4.0 Collaborative eLearning: Sharing Best Practice During the afternoon, two showcase sessions around eLearning were presented to delegates. The following topics were presented as an introduction to the session:

Static e-Learning

Interactive e-Learning

Videos etc.

What tools do we use to create training/support?

What approaches do we apply to update/maintain materials?

How do we keep e-Learning updated, innovative and engaging?

4.1 eLearning showcase (University of London International Programmes)

Session presented by Dr. Richard Clark, Head of Training and Development, University of London International Programmes.

VLE (Moodle)

The UoL International Programmes VLE was demonstrated. The VLE is based on Moodle.

Examples of static pages were demonstrated, showing the presentation of information (in a step-by-step instructional manner) along with illustrations.

Richard emphasised that he usually creates training manuals first and then turns the content (text, images, exercises etc) into eLearning materials aftewards. This is a quicker method of production.

HTML code is added to course pages to create further navigation in the form of a contents/jump menu and handy ‘next/previous’ buttons to move between topics.

Videos

The use of Camtasia Studio 8 (by TechSmith) was demonstrated for the recording (screen casting) and editing of videos. Video shots (buildings, students etc) are also recorded via iPad and transferred to the computer for editing. Can quickly create & edit videos (compared to Microsoft Word manuals) but the videos only provide a ‘See It’ demonstration. Useful for short ‘how to’ videos for students using e:Vision. Note that if SITS screens have been changed, the video may need to be re-recorded and re-edited.

At UoL International Programmes, two YouTube channels have been setup (one for internal staff-facing training videos and one for student-facing ‘how to’ videos). Note that videos are easily repurposed in other forms of training as any student-facing videos can be very helpful to staff to communicate what student processes look like.

A demonstration of videos that have been used during the e:Vision-based Module Registration process (via a link to a YouTube video shown in a JavaScript window) was provided. It was also noted that TechSmith provide Snagit as a very useful and low cost tool to capture and edit screenshots (i.e. blur out any real student data) and to create simple videos/screen casts.

Interactive eLearning (via Oracle UPK)

Since 2009, a lot of the eLearning materials were created at UoL International Programmes using Oracle UPK (User Productivity Kit). Via Oracle UPK, ‘See it’, ‘Try it’ and ‘Know it’ simulation recordings can be made along with captions and instructions to users. It does take a little longer to create the interactive exercises and can be time consuming to update (if many screens have changed – often resulting in a re-recording). To create content in Moodle, the SCORM publishing option is chosen and the generated files are added to a .zip file and uploaded as a SCORM activity.

It was noted that ‘compatibility mode’ is often required in some modern browsers to get resources created via Oracle UPK to work properly. The product is also quite costly (in terms of an initial purchase and yearly support/maintenance payments).

UoL International Programmes has decided to discontinue its use of Oracle UPK, however a lot of eLearning materials are already in this format and will require full redevelopment using another product.

Interactive eLearning (Articulate Storyline 2)

Richard is currently converting earlier interactive eLearning materials using Articulate Storyline 2 (in addition to creating a wide range of new eLearning materials). Richard described Articulate Storyline as ‘PowerPoint with go faster stripes!’. In addition to creating static pages, quizzes and interactive slides, Articulate Storyline 2 also provides a ‘See it’, ‘Try it’, ‘Know it’ approach. This is achieved by recording a video as a screen cast via Articulate Storyline 2 and then inserting the video as ‘See It’, ‘Try It’ and ‘Know It’ storyboards. Each can be edited with customised captions, layers & graphics. Richard has also been using Articulate Storyline 2 to create SITS-based screen references for UoL staff. Articulate Storyline 2 is much easier to learn and is significantly lower in cost when compared to other products (around £1000.00 for an educational licence, no maintenance/support contract required). There are also a lot of online resources to teach and help users of the product. You can publish materials as stand-alone executables (useful for network drives, USB sticks, CD’s etc), as HTML5 pages and for LMS systems. To create content in Moodle, the LMS publishing option is chosen and the generated files are added to a .zip file and uploaded as a SCORM activity.

Prezi (for presentations)

Further to demonstrations provided by Luke Austin & Ross Denby at the STN event in Huddersfield (21/11/2014), Prezi was demonstrated again in the context of providing interactive diagrams within eLearning courses. Prezi presentations can be embedded into a Moodle course.

4.2 eLearning showcase (Sheffield Hallam University)

Session presented by Brian Irwin, Head of Technology Enhanced Learning, Sheffield Hallam University.

Brian presented the ‘Tell-Help’ website with FAQ’s, static pages and steps with pictures.

Blackboard as the VLE was also presented with a BB Support tab on the side of web pages.

The Support tab displays help articles relating to a page on the website.

If SHU don’t have an article themselves, Blackboard often has a default relevant article.

Eesysoft was also discussed and works primarily with Blackboard.

Screencast-O-Matic was also referenced as a free screen casting recorder.

Blackboard Collaborate was demonstrated whereby a session can be made available online (as a presentation). Doesn’t work for an interactive session however.

Other tools discussed included:

Google Hangouts Lets you video call, phone or send messages.

Cisco Webex For online meetings

Skype for Business For online meetings, instant messaging & desktop sharing.

Socrative Voting system via mobile devices.

The tools presented are used in addition to any face-to-face training/support sessions at Sheffield Hallam University.

4.3 eLearning Workshop & Discussion

Following the two showcases of approaches and tools, a group workshop and discussion took place focusing on:

What tools do we use to create training/support materials?

What approaches do we apply to update/maintain materials?

How do we keep e-Learning updated, innovative and engaging?

Topics raised by group during discussion:

- If more of our learning and development activities are moved ‘online’, would this cause a drop in class-based attendance?

- Trainers would have to adapt to changes in how colleagues work in the future (i.e. if more staff work at home, the nature of training would need to change to include online facilitated sessions as well as any on-site provision).

- Finding the right blend of eLearning and class-based activities would be key to the continued success of training.

- Maintaining the currency of materials is often difficult, requiring time and resource.

- Although many institutions create detailed manuals, some institutions also create short notes or tech-notes (Luke Austin, University of Huddersfield).

- Luke Austin (University of Huddersfield) is planning to create short 30 second videos hosted on SharePoint.

- Luke Austin (University of Huddersfield) and Louise Hill (University of Leicester) also referred to Panupto as a Lecture Capture approach (i.e. recording training sessions for online playback).

- Abi Taylor (University of Oxford) added that she had also used Oracle UPK during a previous employment and also found similar issues and poor user feedback with regards the product.

- The group commented how they felt that future STN events should include additional eLearning follow-up sessions.

- Richard Clark (University of London International Programmes) offered the group an invitation to visit London to view eLearning approaches and tools. An offer was also made for temporary/guest access to the UoL International Programmes Training VLE (Moodle) to view examples of SITS materials demonstrated during the showcase session.

- An eLearning publication was proposed (as a case study of tools, techniques and approaches across member institutions) as a future collaborative manual project.

5.0 Future Objectives of the SITS Trainers Network During 2017, the SITS Trainers Network will be celebrating its fifth year and would like to setup a number of activities to celebrate reaching this milestone. STN Committee members have also received invitations to host future events at the University of Surrey, University of Hull and University of Huddersfield. During previous conversations with Tribal Group plc (via Sara Kirby), Tribal have asked how they could further help the STN. The Chair has asked if the STN could potentially host an event at or near to the Tribal Group plc offices in Hessle, Hull. This suggestion has been agreed, however Tribal meeting spaces may not be able to accommodate the large number of delegates that our events attract. If it is felt that we would have a higher number of delegates interested in attending, the STN could instead investigate a suitable venue near to Hessle. The Chair has also discussed the idea of a Q&A session with Tribal Group plc at a future event. This type of session hasn’t been arranged since our very first event. Several Tribal consultants could be invited to attend and questions from delegates could be gathered prior to the event (in order to help Tribal prepare suitable answers). Questions may involve topics such as setting up training data, managing training data, managing training environments, Tribal training initiatives and so on. The topic of continuing a project during 2017 focusing on a training profile of STN members was discussed. This project would continue some of the work undertaken by Richard Clark (UoL International Programmes) and John Davis (University of Wolverhampton) during February–April 2013. A training profile of the STN membership could map out the wide range of useful skills and SITS-based training programmes across member institutions. This would provide all STN members with a ‘go to’ map where members would be able to contact colleagues in other institutions who may be running training, testing or support activities for any topics of interest. STN members could then potentially arrange visits, collaborations, knowledge sharing activities and information exchange. There was a strong desire from the group to continue further collaborative publication activities. During the first half of 2017, work on Volume 2 of the Introduction to SITS:Vision Client Server manual will continue (following on from planning activities explored during the University of London event in April 2016). A further collaborative project would then be initiated from the second half of 2017 onwards with regards to the design and development of an eLearning publication (as a case study of tools, techniques and approaches across member institutions). Delegates also expressed an interest in User Account Setup and Management. This topic could therefore be included during future events (from a training and support perspective). It was proposed that the STN arrange the following events where possible during 2017:

Spring/Summer event. Discuss with Tribal the possibility of a session and/or exhibition stand at the SITS User

Conference (July). Autumn event.
