Introduction to Lone Wolf Account Summary Provides a conceptual overview of Lone Wolf Account.

Content Lone Wolf Account is web-based single sign-on (SSO) portal that enables you to access your Lone Wolf products, such as Lone Wolf Analytics, set access permissions for your agents and staff across those products, and access additional services such as the Lone Wolf Community and Idea Portal.

The purpose of Lone Wolf Account is to improve your product experience and increase your productivity by providing you with the means to seamlessly move between your different Lone Wolf products without having to remember different login credentials for each one, and without having to constantly log in and out of our products. Everything you need is available in one central, convenient location.

The Lone Wolf Account home page serves as the landing page when you log into the portal. From the home page, you can access the Lone Wolf Community and Idea portals with a single click, or use the app launcher to access your Lone Wolf products such as Analytics.

The Permissions menu enables you to set access permissions for your Lone Wolf products, providing you with centralized control over what your agents and staff are able to see and do in your applications.

Create or Link Your Lone Wolf Account Profile Summary Describes how create your Lone Wolf Account profile to obtain your login credentials, or link an existing Lone Wolf Account profile to another Lone Wolf product.

Context Before you can log into Lone Wolf Account and begin using the portal’s functionality, you must first create your Lone Wolf Account profile and set up your login credentials. When you log into any of your Lone Wolf products, you are automatically prompted to create your Lone Wolf Account profile, and then log into the profile.

After creating your Lone Wolf Account credentials, if you log into another Lone Wolf product, such as WOLFconnect, you are prompted to create a Lone Wolf Account profile, even if you already created one in a different product, such as brokerWOLF. The next time you log into brokerWOLF, or WOLFconnect, you are no longer prompted to create a profile, and use your single set of credentials for both products.

When creating or linking to Lone Wolf Account thru WOLFconnect, you also have an option to skip the process. However, this is only for a short period of time. After this period, you will need to sign up for Lone Wolf Account.

Before You Begin Required: Internet connection, valid login credentials for any Lone Wolf product

About Security Groups Summary Provides a conceptual overview of security groups in Lone Wolf Account. Content Use security groups in Lone Wolf Account to identify which type of team member a Lone Wolf product user is. You can organize team members, such as admins, and agents, into product user roles that have similar access

permission needs. Often, your admins and staff may have greater product access needs than your agents. For example, your admins may need permission to access Lone Wolf Analytics, while your agents do not.

Security groups enable you to quickly assign access permissions to the majority of your workforce, saving your valuable time, and providing you with peace of mind that your team members are only able to see and interact with the products and functions you need them to.

By default, Lone Wolf includes two pre-made security groups for you in Lone Wolf Account: Admin and User. The Admin security group is meant for brokers, system administrators, IT professionals, and certain admin staff. The Users security group is meant for all other staff and agents.

You can add and modify as many security groups as you need for your Lone Wolf products.

Page 33: Lone Wolf Account · Before you can log into Lone Wolf Account and begin using the portal’s functionality, you must first create your Lone Wolf Account profile and set up your login

Working with Lone Wolf Account

33

This flexibility enables you to create generalized categories that capture most of your workforce, while allowing you to create specialized permissions for your team members that fall outside of those categories. For example, if you work with a third-party accountant that needs access to your Lone Wolf product information, you can create a specialized security group for that individual that ensures they only have access to the specific products you need them to have.

About Access Permissions Summary Provides a conceptual overview of access permissions in Lone Wolf Account.

Content Once your team is organized into the various security groups that define the most common work roles at your brokerage, the next step is to assign access permissions to those security groups, and by extension, the users assigned to those security groups.

Use access permissions to control what products and functions within those products the users in your different security groups are able to see, interact with, and edit. For example, your administrative staff might need read and write access to Lone Wolf Analytics, while your agent users might not need access to the product at all.

By default, Lone Wolf includes two main security groups: Admin and User.

The Admin security group tends to contain a small number of users with system administration, or super user permissions, usually restricted to the business owners and senior leadership, but can include certain high level office staff. This highest level tends to have full read and write access to all of the company’s Lone Wolf products.

Any users that fall outside of the Admin security group are considered to be part of the User security group by default. This group has the most users and is typically composed of junior office staff, agents, licensed assistants, and sales teams. The User security group usually only allows read and write access to users’ own data, or in some cases, read access to their team data.

There are three main categories of access permissions:

• Role management access

• Product access

Page 46: Lone Wolf Account · Before you can log into Lone Wolf Account and begin using the portal’s functionality, you must first create your Lone Wolf Account profile and set up your login

• Function access

Role management access is typically restricted to Admin users only, and refers to the ability of a member of a security group to assign other users to that security group. This type of permission exists to prevent other types of users, such as agents from adding themselves as system administrators and giving themselves permissions they should not have. If you do not have role management access, the Security Groups menu is not available in Lone Wolf Account.

Note: If you have role management permissions in brokerWOLF, these permissions carry over to Lone Wolf Account when you first create your Lone Wolf Account profile, but do not sync after that point, regardless of whether they change in brokerWOLF.

Product access refers to which security groups have the ability to access which Lone Wolf products, such as Lone Wolf Analytics. For example, you may need full access to Lone Wolf Analytics, but may not need to grant your agents access to the product.

Function access is only available if product access is enabled. This level of access refers to which security groups have the ability to see and do what within a particular function in a Lone Wolf product. For example, in Lone Wolf Analytics, you might give your User security group the ability to access the built-in reports in the 1 Property Listings folder, but not give them the ability to access the custom reports contained in the 1 Property Listings Data folder.

Notes:

a. By default, the Admin security group has pre-set product and function access permissions, but, in most cases, you can customize the permissions to meet your buisness’ needs.

b. The User security group, and any other custom groups you create have no default settings, and must be configured manually.

c. The extent to which you can customize permissions for default and custom security groups varies by Lone Wolf product.

Setting access permissions on their own is insufficient to control which users can see and interact with which products and functions. The access permissions must have scope applied to them in order to take effect. Scope permissions determine the extent to which an access permission applies within the security group.

For example, you can create a security group with a set of access permissions for Lone Wolf Analytics, with a scope setting that dictates that the permissions only apply to a certain office. You can then create a separate security group for a different office with a different set of permissions that only applies to the scope of that office.

Permission scope is what truly allows you to customize your permissions for your business’ needs.

There are two types of scope permissions:

• Role management scope

• Product access scope

Role management scope permissions determine the extent to which a member of a security group has the ability to manage permissions. For example, you might have an admin user that only has the ability to manage permissions for their office, but not other offices.

Product access scope permissions determine the extent to which a member of a security group has the ability to access the different functions in a Lone Wolf product. For example, you can set up a security role for Lone Wolf Analytics that allows users to only view the 8 Agent Management folder in the repository. You can then use the scope settings to apply the permissions to all offices, the user’s own office, or several specific offices.
