    1. Knowledge of Occupational Safety and Health in the workplace begins with a firmunderstanding of the following terms. Using the internet along with any other

    resources, research the following key terms and provide a definition / explanationof each.

    Safety Policy & Procedures:This Safety Policy is to guide all employees in pursuing their

    responsibility, shared with the Company, to safeguard the health and well being of everyone

    involved in the company. The process of adopting and implementing the safety policy in an

    organization is known as safety policy and procedure.

    Duty of Care: A requirement that a person act toward others and the public with

    watchfulness, attention, caution and prudence that a reasonable person in the circumstanceswould. If a person's actions do not meet this standard of care, then the acts are considered

    negligent, and any damages resulting may be claimed in a lawsuit for negligence.

    Hazard: Any dangerous event or situation that may lead to an emergency or disaster. It

    could also be a biological, chemical, or physical agent in an environment that may have an

    adverse health effect, or may cause injury or loss. As such, a hazard is a potential and not an

    actual possibility.

    Risk:Probability or threat of a damage, injury,liability, loss, or other negative occurrence,

    caused by external or internal vulnerabilities, and which may be neutralized through pre-

    mediated action.

    Accident:In general, an unplanned, unexpected, and undersigned (not purposefully caused)

    event which occurs suddenly and causes (1) injury or loss, (2) a decrease in value of the

    resources, or (3) an increase in liabilities.

    Incident:It means something arising out of or associated with something more significant

    Near Miss:Potentially significant event that did not occur due to prevailing conditions, but

    could have resulted from a sequence ofevents that did occur.

    OSH Committee: OSH group of official members who establish and enforce standards and

    laws for working conditions in commercial and industrial sectors.

    OSH Representative: The primary function of safety and health representatives is to

    represent the employees in the workplace on all issues relating to occupational safety and

    health. The SHR is a key component of the 'resolution of issues' procedure that enables

    management and employees to work together to improve workplace health and safety. SHRs

    therefore deal regularly with co-workers, workplace supervisors and senior management.

    OSH Legislation:Occupational Safety and Health at the workplace is governed by various

    legislations. The objective of these legislations is to ensure the safety, health and welfare of

    OSH Codes of Practice: These are the written guidelines issued by an official body or a

    professional association to its members to help them comply with its ethical standards.

    Risk Assessment: As a component of risk analysis, it involves identification, evaluation,and estimation of the levels of risks involved in a situation, their comparison against

    benchmarks or standards, and determination of an acceptable level of risk.

    Risk Control: Policies, procedures, and practices involved in identification, analysis,

    assessment, control, and avoidance, minimization, or elimination of unacceptable risks.

    Personal Protective Equipment (PPE): Safety equipment issued to help employees in

    protecting themselves from the hazards of their work environments. PPE includes fire

    retardant or chemical-proof clothing, gloves, hard hats; respirators, safety spectacles, etc.

    Food hygiene equipment (aprons, caps, plastic gloves, etc.) are not included in this category.

    2. Research the internet to identify and review various responsibilities, activities andtasks of an Occupational Safety and Health Officer or a person with OSH

    responsibilities in an organization. Develop a list of these responsibilities, activities

    and tasks. If you are a flexi or online student, you should review and attach a copy of

    a job description for the people with OSH responsibilities in your ownorganizations. For full time students, if you word part, you may do the same.

    Here are some of the major responsibilities of the OSH officer1;

    Consultation and Advice: Consults with stakeholders to identify organizational andindividual issues and provides advice in relation to safety and health issues within

    the workplace and the well being of employees in respect of safety and health issue

    resolution, hazard identification and management and risk analysis. Coordinate and

    provide advice to safety and health representatives and management. Project Management: Initiates and manages OSH projects. Manages contracts

    associated with projects to ensure contract requirements are met.

    Research and Analysis: Conducts research and analysis and considers andrecommends options to meet organizational needs and resolve problems. Statistical

    analysis and data compilation to meet organizational needs. Undertake annual OSH

    systems audits and inspections of workplaces for the identification of real and

    potential hazards

    Information and Knowledge Management: Monitors work practices to ensure theeffective use of information and knowledge. Informs and contributes to the

    development of strategies for information and knowledge management. Provides

    training and education seminars as necessary.

    Team Work: Participates constructively and positively within workplace teams toachieve tasks.

    Policy and Procedures: Implements organizational policy and contributes to thedevelopment of OSH policies and procedures for the Department. Ensures

    compliance with legislation within the team and monitors compliance in business

    areas. Coordinate the Departments adherence to statutory obligations specifically in

    respect to Acts, Regulations and Australian Standards. Provide an integrated safety

    and health service specifically in respect to policy development, safe working

    procedures and training and education.

    Stakeholder Relationships: Ensures effective communication within and outsidethe team through appropriate communication strategies and systems, and liaison and

    consultation with internal/external parties (including contractors).

    Continuous Improvement: Contributes to the development of OSH managementstrategies for clients. Assists clients in continuous improvement of OSH practices.

    Functions of a safety and health committee:

    It deals with the employees matters. Employees refer their matters that they thinkappropriate for consideration of committee.

    Committee is effective to consult and coordinate employees safety and healthmatters to the employer.

    Work as an intermediary between employee and employer on matters of safety andhealth at workplace.

    Committee exposes hazards faced at workplace to the employer. Committee should keep under review the measures taken to ensure the safety and

    health of persons at the place of work.

    Committeeshould investigate any matter at the place of work(i)

    which a member of the committee or a person employed thereat considers is

    not safe or is a risk to health; and

    By law employers must consult their employees on safety and health matters. Thesecommittees facilitate them in doing so.

    The aim is to encourage active workforce involvement in developing measures toimprove health and safety.

    Awareness with legislation:

    An HR practitioner should keep himself aware of OHS legislation and should keep himselfup to date about any changes in legislation. For this purpose he may refer to work Safety

    Coordination with other practitioners:

    For endurance of current and up to date knowledge an HR practitioner should keep in touch

    with other practitioners and communicate them on regular basins.

    Attending sessions:

    A practitioner should attend professional development sessions and should keep himself on

    training. By attending these sessions he makes himself aware of changes and trends and he

    gets to know the changes in industry.

    Continuous learning:

    HR practitioner should have the mentality of continuous improvement and learning and for

    this purpose he should use any source and a better option is to read, read and read. There are

    Q2: outline as many ways as you can in which communication relating to Safety and

    Health may take place. For each answer, you are required to provide both a positive and

    negative aspect for each method. You must also identify how you should ensure that all

    employees in the organisation are able to receive and understand the communication?

    There are many methods that can help an HR practitioner to communicate that relates toSafety and Health of the employees with the workforce. Some of those are outlined as:

    Face to face meeting:

    In this method a meeting is held and all the employees join together in this meeting. Safety

    and Heath representatives give presentations on safety and health matters and make

    employees aware of their safety at workplace. It also can be held in one to one sessions. One

    employee treated at one time. This method is more effective but at the same time it is time

    consuming and it cant be used with the employees of other regions.

    Orientation of new employees:

    New employee is given an introduction of all the policies and procedures to make him/her

    aware of company structure. He is communicated about safety and health matters. This

    method is helpful for new entrants but it does not help the existing employees and you have

    to communicate them separately.

    Regular safety briefing:

    Employees are briefed at regular times about the changes and trends. It helps to keep

    employees up to date with legislations but its cost is higher as briefings are to be held manytimes.

    Establish safety and health committee:

    It will help to solve employee matters and will communicate them about legislations. It

    gives a proper platform to employees.

    Electronic updates:

    If a company has intranet facilities, it can use electronic updates. It is cheaper and easy to

    access for all. But at the same time it does not give prove that all the employees have read it

    or if read, understood it properly or not.

    To ensure whether all the employees have got the information and understood, you

    should develop a monetary plan. You should act upon 6 Cs of communication and to ensure

    whether it is understood or not you should ask for questions, suggestions and feedback from

    employees.
