Job letter & Resume WritingDefinition: A Job letter is a letter that accompanies your resume and introduces you and your qualifications to a potential employer. It is also known as a “Cover Letter”. In the cover letter, you should state which position you are applying for and why you are qualified for the job.

Importance of Job letter: Focus on the fit between your qualification and job requirements. You should also use your cover letter to highlight your most relevant skills and experience,

while making sure that you keep it concise and to the point. Your cover letter should be representing you as a professional person. You don’t need to write an essay about why you are right for the job, but you should

include 3-4 relevant career highlights and how these would be transferrable to the role. Make sure that your cover letter illustrates your enthusiasm and positivity.

What is the purpose of the Job letter?The purpose of the cover letter is to introduce yourself to an organization, demonstrate your interest in the company or a specific vacancy, draw attention to your resume and motivate the reader to interview you. Often this letter is the first contact you have with a prospective employer. A neat, concise, well-written letter can entice the employer to read your resume with greater interest and will improve your chances of getting an interview.

How should Job letters be organized?

The Job letter typically consists of three parts: introduction, body, and closing. Within these three parts you must include:

• Why you are interested in the organization?

• Why they should be interested in you?

• When and how you will contact them to follow up and schedule an appointment?

Types of Job letter (On The Basis Of Advertised Vacancy):

Solicited Job Letter: If job advertisement available, the person sends a solicited application letter. Solicited job application is written by the job seeker in response to an advertised vacancy provided by the employer.

Application Included Resume: Here all information about qualifications, experience, and personal details are given in the body of the application letter to introduce you to employer.

Date: The date is written at the top with the left margin in the Job Application.

Inside Address: The name and Address of the employer is usually placed at the left hand corner two spaces below the level of date.

Subject Line: it is indicated the position that an applicant want to apply.

Salutation: Usually “Dear Sir/Dear Sirs” are used in application letters addressed to business organizations, but for a govt. job “sir” is preferable when addressing a Govt. Officer.

Body: The body of the application letter consists of three parts: the beginning, middles & endings. An application letter being persuasive in nature, used the following sequence-

Signature: Signature usually used to valid the job application which is placed before the name of the applicant.

Enclosure: The documents sent with the application letter should be indicated either by the number of the documents or by the specific items enclosed against the notation.

Resume WritingDefinition: Resume is document contained the information of a job applicant about his/her personal, educational, training, experience, reference and others related the position applied for in an organization. In the other word, a resume is a written compilation of your education, work experience, credentials, and accomplishments that is used to apply for jobs. It is one of the most important pieces of any job application.

Honors, awards, Achievements Language and Computer skills Extracurricular activities Signature & date

Heading, Photograph: Heading is very much important in writing a CV. The heading should be placed in the middle and on the top with a photo enclosed on right side.

Career Objectives: Statement of the immediate and long term targets or goals.

Id entify i ng Information: Here you have to provide your complete name, address (both temporary & permanent) and other information of the applicant at the top of the document.

Educational Information: Making a list of information relating to academic degrees earned, institutions granting the degrees with locations, dates of degrees awarded, GPA & academic honors.

Experience: Descriptions of the names & locations of the present designation, total length of present service, dates of employment with a stress on those duties & skills those are transferable to the new position.

Honors , Awards, Achievements : Honors, Awards, Achievements do not compensate for work experience. But they act as recognition for outstanding work. In this category kinds of entries may be included-

Fellowship & scholarships Awards given by the professional Association Important award given by the Civic groups

Language & Computer Skills : If the applicant has some skills on other language or computer, he has to mention it in the CV. Here the proficiency level is an important indicator.

Extracurricular Activities : If the applicant has some skills about extracurricular activities, he can mention it here.

Reference: Statements of names, addresses & phone no. of people who can provide information about the applicant at the end of the resume.

Signature: At last the applicant has to sign his name in resume.

Interview/Recruitment letter

Definition: An interview is a conversation between two or more people where questions are asked by the interviewer to elicit facts or statements from the interviewee.

In response to the job application of the applicant the employer invites the applicant for face an interview to be selected for the position.

Contents of an Interview / Recruitment test letter :

Date Inside address (Address of the applicant) Salutation Time, Date & place of the Interview Required documents & instruments Restrictions (If any) Information regarding the payment for the exam

Date: The date is written at the top with left margin by the employer to the applicant.

Inside address : It indicates the address of the applicant.

Salutation: Here employer uses proper salutation word to address the applicant.

Time, Date & place of the Interview: In this part of the letter, employer usually informed the applicant about the time, date & location of the interview or exam.

Required documents & Instruments: In the Interview/Recruitment letter, employer also informs the applicant what types of documents & Instruments are required for the test.

Restrictions: If there is any kind of restriction during the interview, applicant will be well-versed by the employer though this letter.

Information regarding the payment for the exam : Here applicant is learned information if the company offers him/ her any payment for the exam/interview through this letter.
