Styles of Service: JCCC catering offers a range of services from a quick drop-off delivery to formal dining, from very economical to highly distinctive and customized events. JCCC appreciates the opportunity to work with you to plan a successful event. these menus represent our traditional offerings, but our skilled staff and staffs can also create custom menus and environments for your special occasion.

1. Standard Service: casual service orders are delivered right to your meeting room and are served with disposable ware and paper or linen tablecloths. we will return after your event to pick up any leftover foods and catering supplies. for an additional charge an attendant can be provided upon request.

2. Formal Service: formal service orders are served with china, glassware, the required number of attendants, linen and table skirting this includes all buffets and served meals but only those rooms and buildings designated for this type of service. with advance notice, special linen colors for both napkins and tablecloths are available at no additional charge. floral arrangements can be made available for an additional charge.

3. Custom Service: custom service entails original approaches to your special event. we are happy to work with you to custom-design a themed or upscale reception or dinner. our chefs can create simple and elegant, as well as more elaborate menus which may not be featured in this brochure. if you need some inspiration in choosing a personalized menu, our executive chef is available to create an original dining experience. to discuss this option, please call shawn sumstine, assistant manager, catering, ext. 3210 or jay glatz, dining services manager, ext. 3219.

Room Scheduling: arrange for your room by calling scheduling. internal clients, call extension 3147. external cl ients, call (913)469-4423. scheduling must be contacted prior to any call tocatering. all meals, for internal and external clients, are generally served in the Commons banquet room (rm. 319) and the Conference Center in the Regnier Center . if you are planning to have an all-day meeting, you will want to schedule a separate room for meal service.

Catering Orders: please call or email after your room(s) is scheduled to communicate your requests for catering. at this time, an estimate of the number of guests to be served and your food requests is required, even if tentative. internal clients should make all catering requests via the ad astra scheduling system. be sure to include the following information:

name of event, including ad astra event number, room number, date and time of event estimated number of attendees a specific time that you want food set-up (for a delivery), or served (for a meal) account number to charge event menu requested, please request any special dietary meals in advance. we are prepared to accommodate low-fat, diabetic and vegetarian meals. contact person and campus telephone extension (if different than person on an existing reservation) any specifics on the set-up (linen requests, floral, special requirements, etc.)

Minimum Guest and Purchase Requirements: meals requiring a minimum number of guests are noted within this brochure. for deliveries on weekdays at 6:00pm or later or any time on weekends, there is a $50.00 minimum purchase requirement, plus delivery charges and sales tax. any special event requiring catering in the Nerman Museum of Comtemporary Art/Cafe Tempo requires a $1000 food and beverage minimum when scheduled weekends and evenings.

Direct Billing: i f you are working with an off-campus group through your JCCC department, you can have the group direct billed through our office. in this case, all the information listed under "catering orders" will be needed. please include company's exact business name, direct billing contact name, email address, physical address, and telephone number on your ad astra request. our office must receive, or have on file, a sales tax exemption certificate for groups with tax-exempt status.

Information Deadlines: meals, receptions, box lunches, must be phoned in to the catering manager a minimum of two business days prior to your event to avoid a $10.00 late fee. for example, if your event is the tuesday of next week, the catering department needs the information the friday of this week.

Delivery Charges:

event total: delivery charges: up to $199.99 $5.50 $200.00 - $399.99 $11.00 $400.00 and above $25.00 off-campus (wespark, king’s cove, etc.) $15.00

Service Requests: when catering receives your advance food order by telephone or email and once it is confirmed to you from the ad astra scheduling system, we will send a service request to campus services for room set-up when your group is having a meal or a reception. if you would like a head table, registration table, extra tables, or any special arrangement please specify this with your initial order. please contact audiovisual at extension 3128 for any sound or video conferencing needs. catering does not send a service request for seating arrangements when box lunches or standard refreshment deliveries are ordered.

Areas Restricted from Catering:

all carpeted areas of the Carlsen Center Lobby Carlsen Center theaters and recital hall Gallery of Art Hugh W. Speer Board Room, 137 GEB (only beverages are allowed) hallways of all buildings except the entrance of 233 GEB (Craig Community Auditorium) and the Virginia Krebs Community Room, CC 107 Nerman Museum of Contemporary Art lobby

Count Guarantees: for the exact attendance count are due 24 working hours prior to your event. if no guarantee is received, we will consider the original function request to be correct. you are charged for the guarantee count, even if the count decreases. increases in count are charged accordingly.

Food Court and Dining Down Under Charges: i f you would like to set-up a charge acocunt for meals or snacks from these areas, call jean keating at extension 4537. jean will need the date, time and estimated number of guests. if you have a large group (25 plus) that will be individually paying cash for meals in the cafeterias, please contact jean at extension 4537, so we can better support your group.

Pick-Up: all items not available for pick-up by our staff, or returned by you after your event, will be charged to your bill. please do not move equipment or food from the room to which it was delivered.

Food Left Over from Catered Events: food ordered but not consumed at a catering function can not be removed from the building/room it was scheduled to be served in. this policy is standard for the catering industry. the policy is in effect for the following reasons: liability: dining services is responsible for the safety of all the food it prepares and serves. food that is mishandled is very susceptible to food borne illness. food items must be properly chilled, stored, heated and served. cost: additional labor and equipment would be required to package, label, store and issue these products to customers.

Additional Information:

please remember that although it is important that we receive notification in advance, we realize that events may arise unexpectedly. we are ALWAYS willing to assist you with last minute requests. jccc catering must provide all food and beverages. these guidlelines have been developed to assist in the scheduling of your event. please contact us for further assistance and information.

Tablecovers: paper - $4.50 linen - $7.00

Skirting: reception or refreshment orders - $17.00 per table (includes tablecloth). no charge for skirting for buffet meals and served meals.

China Charge: $1.50 per person (if not a buffet or served meal event)

JCCC Food Policy: any foods/snacks or food given away must be obtained from and/or prepared by the JCCC dining services licensed, health-inspected facilities (see list below). organizations sponsoring "closed" potluck events may provide their own food if all of the following criteria are met:

a. potluck is defined as members providing their own individually prepared food. b. the activity is only for organization members. c. the activity is held outside the JCCC dining services facilites. d. no admission is charged.

Regulations for Exceptions to the JCCC Food Policy: exceptions to this policy require the approval of the manager of dining services. the following exceptions are:

1. receptions/donated food:

exceptions to the policy may be granted in the case of receptions/donated when open to the public if the following guidelines are followed:

a. the food must be prepackaged. b. the food must be stored at room temperature without spoilage, such as cookies and punch. c. the activity is held outside the JCCC dining services (see below). d. no admission is charged for the reception.

2. licensed purveyors and caterers:

JCCC dining services has the right of first refusal when it comes to outside purveyors/caterers on campus. exceptions to the policy may be granted in the case of the engagement of private, licensed purveyors or caterers if the following guidelines are followed:

a. private, licensed caterers may be engaged only with the prior acknowledgement of the JCCC dining services manager and only under circumstances as are deemed cost prohibitive by JCCC dining services or for any other compelling reason.

b. private, licensed caterers may donate food only with the approval of JCCC dining services manager.

jccc alcohol policyguidelines

JCCC Alcohol Beverage Policy: beer and wine may be served at events related to college functions held in the Cafe and Atrium at the Nerman Museum for Contemporary Art, the Regnier Center conference area, the Carlsen Center lobby and at such other locations as the Board of Trustees may designate from time to time. observe these guidelines:

1. no alcoholic beverage sale is permitted. 2. all service will comply with the Kansas Liquor Control Act. 3. the President and Executive President must approve all alcoholic beverage service. those wishing to

serve alchoholic beverages must submit a JCCC Alcoholic Beverage Service Request Form before making any announcement, in no case less than two weeks before the event.

4. whenever alcoholic beverage is served, nonalocoholic beverages and food must be provided. 5. JCCC Dining Services exclusively will cater alcoholic beverage on campus and control it's dispensing,

providing all necessary personnel. the set up fee for a beer and/or wine bar is $75.00. this includes all the set-ups and one bartender. additional bartenders are $75.00 per event.

Dining Services, Catering, Will Follow These Definitions and Regulations:

1. events mean prearranged functions not advertised to the public and limited to members of the sponsoring group and guests. members are the basic makeup of the sponsor; guests members' spouses and invited personal friends.

2. the sponsor and Dining Services will determine the length of alcoholic beverage service. one to one and half hours is advised.

3. no alcoholic beverage other than that served by the Dining Services staff will be dispensed. 4. members and guests may not carry alcoholic beverages outside the area where they are

being served. 5. Dining Services will refuse alcoholic beverage service to anyone under the age of 21 or

appearing intoxicated.

Alcohol Beverage Request Form: an Alcohol Beverage Request Form is required for catered events including alcohol. click on the following for the form "alcohol.pdf". please submit the form to the JCCC Dining Services office at SC 110. please do not send the form electronically.
