OVERVIEW

What is REDCap?

Why should I use REDCap? What can REDCap do?

How to make a REDCap project? (Demonstration)

WHAT IS REDCAP?

REDCap= Research Electronic Data Capture

Web-based data collection application

https://redcap.link/nslhd

Example uses: create surveys, databases, projects to collect data for audits or research

Page 4: Introduction to REDCap

WHAT IS REDCAP? OVERVIEW

A Project is similar to creating a separate Word or Excel document

to collect data for your database or study

You can create new projects or be added onto existing projects

Projects consist of instruments which are different forms collecting

information on a separate page

Data is collected for individual records

Instruments consist of fields (essentially the questions in the project)

Website to collect data

Page 5: Introduction to REDCap

Examples of instruments: demographics, clinical data, patient surveys

Survey=link to complete an instrument without needing to log in to REDCap

Two types of surveys:

-Public (same link for everyone) or Participant Specific (unique link for respondent)

WHAT IS REDCAP? PROJECTS COLLECT DATA IN ‘INSTRUMENTS’

Page 6: Introduction to REDCap

WHY SHOULD I USE REDCAP?

Page 7: Introduction to REDCap

BENEFITS: EASY TO USE

No specific technical experience required

FREE to use

Page 8: Introduction to REDCap

BENEFITS: EASY TO ACCESS

Can be accessed anywhere with Internet access e.g. on a computer, iPad, laptop, phone

Page 9: Introduction to REDCap

Users must login with their own username and password

To request a REDCap account complete the following form:https://redcap.link/NSLHDaccess

You will only have access to - projects you’ve created- projects you’ve been added to

BENEFITS: SECURE

Page 10: Introduction to REDCap

BENEFITS: SECURITY VIA SPECIFIC USER RIGHTS

Each project has ‘User Rights’ which specify what each person can do

on the project.

Examples: restrict access to certain instruments, view only, data entry

Page 11: Introduction to REDCap

BENEFITS: AUTOMATIC DOCUMENTATION

Every activity in the project is automatically recorded in a log

Page 12: Introduction to REDCap

BENEFITS: COLLABORATION + SECURITY

Multiple users can access the same REDCap project simultaneously making live changes

Central storage reduces duplication of data and minimises data loss

Data stored on server based in Royal North Shore Hospital

Server backed up daily

Page 13: Introduction to REDCap

BENEFITS: COLLABORATION + SECURITY

Multi-site studies supported

“Data Access Groups” can be created, users in each group can contribute data to the whole project but can only view and add data to records from their own group

Page 14: Introduction to REDCap

BENEFITS: DATA PROTECTION

Very difficult to accidentally delete project

To delete a project, need to have high level access to Project setupThen need to click/type delete multiple times

Page 15: Introduction to REDCap

BENEFITS: DATA PROTECTION

Very difficult to accidentally delete data

Deleting records turned off by default, needs to be intentionally enabled

Page 16: Introduction to REDCap

BENEFITS: DATA PROTECTION

Optional capability to request reasons for

any changes in data entry

Page 17: Introduction to REDCap

BENEFITS: DATA PROTECTION

Records and instruments can be locked

to prevent further changes

Page 18: Introduction to REDCap

Data quality is checked when entered

BENEFITS: HIGH QUALITY DATA COLLECTION

Different types of fields

Different validations for text box

BENEFITS: HIGH QUALITY DATA COLLECTION

Questions can be linked by a feature called branching logic

eg. making questions appear based on answers to other questions

Page 21: Introduction to REDCap

HIGH QUALITY DATA COLLECTION

Calculations can be created

(eg. calculating length of stay, BMI)

Page 22: Introduction to REDCap

OTHER NOTEWORTHY FEATURES

Page 23: Introduction to REDCap

HIGH QUALITY DATA COLLECTION

Data quality checks can be run on the entire project

Page 24: Introduction to REDCap

PROGRESS MONITORING

Easy to monitor project progress using record status dashboard

Page 25: Introduction to REDCap

DATA QUALITY - REPORTS

Custom Reports can be created to view specific data

Data can be exported to

Page 26: Introduction to REDCap

OTHER FEATURES -ALERTS AND NOTIFICATIONS

Automated notification emails can be sent out

eg. If someone records an adverse response to a question, for example,

distress is too high, psychologist can be notified via email

Page 27: Introduction to REDCap

OTHER FEATURES – REPEATING INSTRUMENTS

Instruments can be repeated an

infinite amount of times as a

‘Repeating Instrument’

Page 28: Introduction to REDCap

OTHER FEATURES – LONGITUDINAL PROJECTS SUPPORTED

Instruments can be completed at

certain time-points using

longitudinal setups

Page 29: Introduction to REDCap

OTHER FEATURES – DATA IMPORTS

Ability to import data via excel

template

Page 30: Introduction to REDCap

OTHER FEATURES – RANDOMISATION

Randomisation capabilities

eg. for clinical trials

Page 31: Introduction to REDCap

OTHER FEATURES – E-CONSENT

E-consent capabilities

Page 32: Introduction to REDCap

Files can be stored in REDCap:

File repository of

the project

An individual record

in a file upload field:

HOW DO I BUILD A PROJECT?

Page 36: Introduction to REDCap

BUILDING A REDCAP PROJECT

Know what you want to collect Know how you are you going to collect it Know what you will do with it

ANALYSIS

• Clearly state Objectives and identify questions to be

answered

• What data is required to answer your questions?

• How will you collect it?

ie.Types of questions, expected answers

ANALYSIS IMPLEMENTATION TESTING DEPLOYMENT REVIEW

IMPLEMENTATION

• Build into REDCap

TESTING

It is important to test the ENTIRE Project:

• Create a set of test records

• Practice using it as though you were collecting real data.

• Test out the practicality of your data collection process

• Check the integrity of the test data

DEPLOYMENT

User Training:

• Train your Team on how to use your REDCap Project for data collection

• Ensure that you have all the necessary approvals for your project prior to data collection

• Switch the Project from ‘Development’ to ‘Production’ mode. show process

• Begin actual data collection

ANALYSIS IMPLEMENTATION TESTING DEPLOYMENT REVIEW

Page 43: Introduction to REDCap

REVIEW

• Continue monitoring progress of project through reports & dashboard.

• Use data as intended

• Changes in production mode that affect existing data will require REDCap

administrator approval eg. Deleting questions with existing answers

• Cite REDCap in publications: “Study data were collected and managed

using REDCap electronic data capture tools hosted at Northern Sydney

Local Health District.”
