Unit G8 Develop and maintain your effectiveness at work © Pearson Education 2009 Printing and photocopying permitted Introduction As practitioners it is vital to review the progress each individual learner is making, as appraisal can be an empowering and confidence-building process for learners. However, it is important to be aware that some learners find this process quite daunting, especially if this is their first experience of self-evaluation or appraisal. Learners find it easier to be negative about their performance than positive. To help learners get used to self-evaluation we include a box on their consultation/analysis sheet for any practical work which asks them to evaluate the service they performed. Therefore each time they carry out a practical activity they have to address the questions ‘How well did I achieve?’ and ‘How can I improve next time?’ It then becomes common practice for learners to be self-objective about their performance. We encourage all tutors to involve learners in self-evaluation exercises right from the start of their course, because this helps them understand the importance and benefits of these processes straightaway. In this unit you will find activities which are designed to help learners see the benefits of self-development in their job role. This unit will be assessed using evidence of improving individual performance (appraisal and SWOT analysis) and evidence of individuals working well with their colleagues to improve the effectiveness of the salon.

Introduction As practitioners it is vital to review the progress each individual learner is making, as appraisal can be an empowering and confidence-building process for learners.

G8.A7 Activity sheet 7 Self-appraisal form A self-appraisal form includes whatever the employer or manager feels is relevant to the job role.

When identifying your strengths and weaknesses, try to be honest. Do not focus only on your bad points – be constructive. You should have an equal balance of strengths and weaknesses. Now complete the following self-appraisal form.

Self-appraisal

The purpose of this Self-Appraisal Form is to help you reflect on your job performance and prepare for a performance appraisal interview. Use this form as a basis for key points you may wish to raise with your manager during the interview.

Remember, the three main objectives of an appraisal interview are to:

1 Assess past achievements/failures 2 Consider the need for further training/development 3 Specify ways in which future performance can be improved

1 What parts of your job do you consider you have performed well?

2 What parts of your job do you feel you could have performed better?

3 Comment on your overall level of job satisfaction.

4 Indicate aspects of your work you particularly like/dislike.

5 What factors, if any, have made your work difficult to perform?

G8.A10 Activity sheet 10 Knowing the limits of your authority In pairs or groups, read and discuss the case study below. Was the situation dealt with in a professional manner and within the limits of the stylist’s authority?

1 Should Jenny have done this? Explain your answer.

2 Who might Jenny have gone to ask for guidance?

3 What are the potential consequences of carrying out a colouring service without an up-to-date skin test?

Jenny’s client had arrived for a colouring service. When Jenny printed off the client’s record card, there wasn’t an up-to-date skin test recorded on the card. The client insisted that she had been in for the test the week before and said it was with the ‘dark-haired girl’ who was on reception at the time. Jenny knew the receptionist was on holiday and had no way of confirming the client had been in. She knew that the client was ‘always right’ and carried out the colouring service.

G8.A11 Activity sheet 11 Salon codes of conduct Each salon has its own codes of conduct. These are not Acts or Regulations that can be enforced legally, but guidelines that are put in place by the salon to ensure the safety and welfare of everyone within the salon. They help to maintain a high level of professionalism that will create the right image to ensure repeat business and ensure a happy and profitable salon!

1 List all of the codes of conduct that you are aware of in your salon. You may like to list them in order of importance.

2 Imagine you are going to open your own salon. What standards of behaviour would you expect from your own staff?

G8.A12 Activity sheet 12 Setting and meeting targets Most salons offer commission to stylists as an incentive to earn extra money. Commission may be based on: • the amount of retail sales • recommendations of new products and services (proof would need to be provided that

these generated revenue for the salon) • the re-booking of clients (repeat business).

These are often referred to as productivity targets.

1 In pairs or small groups, produce a mind map stating why it is important to have productivity targets. You can use the space below to make notes.

2 In pairs or small groups, design a chart to use in the salon that records productivity targets for your group. Again, you can use the space provided below to make notes.

G8.F1 Fact sheet 1 Reporting problems Dealing with problems in the salon can be a complicated part of your job role. However, you need to know what to do if a difficult situation occurs.

If a client comes into the salon with a problem, remember the following procedure:

• Be sympathetic and listen carefully to the client.

• Ask the client politely to take a seat while you find someone in authority to speak to him or her.

• Inform your employer or the most senior member of staff that you have a client at reception who would like to discuss a problem. You should then explain the situation in as much detail as possible so your superior is able to talk knowledgeably to the client.

• You should be present at the following discussion so that you can see what the exact problem is and how the problem is dealt with. Only offer input to the conversation if asked.

Here are some things you should not do.

• Do not get angry with the client.

• Do not be rude and tell the client that nothing is wrong.

• Do not lie and say there is nobody who can deal with the problem. Do not ask the client to come back on your day off!

There is always a hierarchy within a salon and it is important that you are familiar with the correct channels to go through when reporting a problem. This means you need to know who you should approach with a particular type of problem. For example, if it is a problem concerning work schedules, you may need to contact the salon manager to help you resolve the situation. However, if you have a wages problem, you may need to speak to your salon owner who holds the purse strings.

You need to be clear about who does what in your salon so that you know who to approach with different problems. If you approach the wrong person with a problem, it could make the matter even worse.

G8.F2 Fact sheet 2 SMART targets Linked into the appraisal system of monitoring performance is the setting of targets for an action plan to improve performance at work. The chart below describes SMART target guidelines to help you.

SMART target guide

Specific Have particular aims in mind rather than too grand an idea. Set a goal specific to you, for example ‘I want to complete two assessments each week.’

Measurable Make sure you are able to measure your aims with a start and a finish. Assessments can be measured against the Level 2 performance criteria and ranges. You must know where you are now and where you want to be. For example, resale product sales might be on average £50 per day and a 10 per cent increase would take that to £55 per day.

Achievable Aim for something that can be realised. You could have a short-term target, for example to complete a Level 2 unit by a certain date.

Realistic Be sensible in your aims – doing ten haircuts per hour is not realistic. How long would it take you to cover all the performance criteria and ranges in one unit?

Timed You should set a timescale in which to achieve your target, for example ‘By next month I will improve my timekeeping by 50 per cent’ or ‘By December I am going to have my portfolio for Unit G20 ready to be signed off by my assessor.’

How often you decide to review your set targets is up to you and your salon, but short-term targets are usually easier to manage.

You are in control of your own destiny! If you regularly review how you are doing at work, you will be more focused on achieving set targets. Do not let opportunities pass you by because you are too lazy to have a development plan for your future.

Team communication• Unless your colleagues are telepathic or highly

perceptive, they will not necessarily know that you need assistance.

• You should feel confident enough to ask for assistance.

• Then, when your colleague needs help, you can return the favour.

• This is called teamwork!

Team communication• If you need help or information you should ask for it

politely.• Stating why you need assistance will explain to other

members of staff how they are helping you.• Being polite and professional at all times will promote

team spirit.
