Thismodule reviews the Campus options to perform those functions. Additional informationis available for the Gradebook in the Lesson Planner and Gradebook manual.Target AudienceThis manual is intended for school teachers.ObjectiveThe purpose of this manual is to provide teachers with support in using the basic featuresof the Infinite Campus Instruction Module. Teachers will be able to use this manual tohelp them customize their seating charts, enter student grades, and run reports.VocabularyComposite Grading - The Composite Grading feature calculates the Course (or Final)grade based on Grading Tasks chosen and their % value (i.e., QI Grade - 23%, Q2 Grade- 23%, Q3 Grade - 23%, Q4 - Grade 23%, Final Exam 8%). This can be set up by eitherthe District or the teacher.Grading Scale - This is used by the system if the Gradebook & Lesson Planner areutilized. The Grading Scale is used to translate the result of the gradebook calculationinto a score (i.e., for a numerical score - the result of87.63 will equal an 88, for an alphascore - the result of87.63 will equal a B+). This can be set up by either the District orthe teacher.Grading Comments - This is a list of pre-determined comments that can be added to thereport card. They are set up at the School Level.Grading Tasks - The Grading Tasks (i.e., Quarter Grade, Final Grade, Final Exam) areused by teachers to score a student's performance. These print on the report card andtranscript. These are set up at the District Level.Score Group - The Score Group is used to house GPA values for each score. It is alsoused to calculate the Final/Course Grade if the Lesson Planner is utilized. The ScoreGroup also determines if the score will award the student credit(s) on the transcript ornot. The Score Group should MATCH the Grading Scale. The Score Group is set up atthe District Level.Term - In Infinite Campus, a 'term' is the equivalent of a 'marking period' for a course.

    1. The top bar will automatically display the current calendar year and school.When clicked, the Section field will display all the sections the teacher is assignedto.

    The Grading Window is opecomments.

    2. Click on the Course-Section to select it. If the same section is taught acrossmultiple Terms, the teacher can choose it in any term. However, if the teacher hasdifferent sections of the class, it will have a different section number for eachclass. Classes that are only available in certain terms must be chosen in thecorrect term.For example: Course 0557 - Art Sketching is taught by Mark Thackeray in theFall (Term 1& 2) - Section 3 and is taught by Mark Thackeray in the Spring(Terms 3 & 4) - Section 5. To choose the Roster, Preferences, Seating Chart forthe Fall class (Section 3), Mr. Thackeray must click on the Art Sketching class ineither Term Q1 or Term Q2.

    DescriptionTeachers take attendance by period. They can add comments as well. The attendance'events' are resolved (coding the reason for the absence or tardy) by the attendance staff.Attendance can be saved or edited anytime during the same calendar day. Although thestudents default to 'Present' unless marked absent or tardy by teachers (or theattendance staff), attendance must be saved for each course/section to properlyrecord that attendance was taken.

    Access the Attendance screensTeachers can access the attendance screens two ways, by using the quick link on theinitial screen or by navigating to the module. After attendance is saved for a section, itwill disappear from the initial screen. It can only be accessed again (i.e., to change astudent marked 'absent' to 'tardy') by navigating to the Attendance module (see step 2below).

    1. To take attendance using the quick link:a. Click the period link in your Process Inbox on the initial screen.

    2. To take attendance from the Index pane, navigate to Instruction> Attendance.a. The attendance screen will display, with tabs to separate the classes by

    period.b. Click on the correct tab for the period to take (or edit) the attendance.

    1. Navigate to the attendance screen using one of the methods listed previously. Theattendance screen can be displayed using the Display Standard Seating Chart orDisplay Lab Chart as other options. Note: If Use Seating Chart for Attendancewas chosen in Preferences, the teacher will see the seating chart even if they havenot set it up. (See the special note on page 5). If Use Seating Chart forAttendance is in use, there is an option to Display Section Roster on theattendance screen.

    2. For all absences, click on the A radio button. For all tardies, click on the T radiobutton.

    3. Enter comments in the Comments box if appropriate. District policy usuallydetermines whether teachers enter comments.

    4. Click on the button.5. A message will display, indicating that attendance has been saved. Click on the

    button to finalize the attendance.

    Je$ Special Note:If a student's radio buttons are gray, the attendance staff has alreadyresolved the absent event. These cannot be edited by the teacher. Someexamples include:

    Students marked for a 'Field Trip'.Students marked 'Sick' for a day. Teachers in later periods will seethe student already 'Absent'.Students marked for 'In School Suspension'.

JC a m pJe$ Special Note:If the attendance screen displays without students, either there are nostudents rostered in the class, or the teacher chose to take attendance usingthe Seating Chart and did not set up a Seating Chart for that course/section.In that case, click on the button. The defaultAttendance Roster will display (pictures on previous pages) and attendancecan be taken. This should be corrected as soon as possible as it will displayincorrectly until fixed.

    Taking Positive AttendancePositive Attendance is used to calculate the minutes a student was present in classes.This is primarily used in districts where the state requires the exact number of minutesthe student attended classes. It can also be used for classes where a student will receive acertificate and must attend a specific number of minutes to qualify. For example, it canbe used to calculate time attending an internship.

    1. Navigate to Instruction> Positive Attendance.

    2. The current date will display on the screen. Change the date if necessary byentering the new date in the field, or clicking on the calendar icon to display thecalendar.

    3. Minutes can be entered by entering the Time In and Time Out, or by entering theTime.

    a. Time In and Time Out can be entered either as regular time (i.e., 800) ormilitary time (i.e., 1300). For regular time, the system will automaticallyadd the colon and convert any time up to 12:00 as 'am' and any time after12:00 as 'pm'. (i.e., 100 will display as 1:OOpm).

    b. Time can be entered instead of Time In and Time Out as minutes present.

JC a m pGRADINGDescriptionIf teachers are not using the Gradebook to calculate the grades for each quarter, they willenter the grades using either the Grading by Task, or Grading by Student modules.The procedures are almost identical; the only difference between the two modules is thedisplay and the teacher has the option in Grading by Task to fill the students with thesame score. If the teachers are using the Gradebook, they will post the grades in theGradebook and navigate to these modules to add Report Card comments. Grading by Task will display all the students for the Grading Task chosen (i.e., Q1- Quarter Grade, Q2 - Quarter Grade, Q4 - Course Grade, Q1 - Progress Report).

    Grading by Student will display all the grading tasks for the Student chosen (i.e.,all the grades for James Abbate).

    Je$ Special Note:Regardless of which module is chosen, grades can only be entered or updatedwhen the grading task is active. Usually a district will activate a grading task for ashort time to allow the grades to be posted. Then, they will close the task andprint the report cards. If grades need to be changed after the task has been closed,only staff members with special user rights will be able to make those corrections.Teachers will be able to view the grades, but not change them.

    Entering Grades1. Select the course/section needed (refer to page 2).2. Navigate to: Instruction> Grading by Task. (These examples are showing

    Grading by Task. Grading by Student screen print is on page 10.)3. Choose the Grading Task from the Please Select A Task drop down box. All

    grading tasks set up for the course will display. If the grading task does notdisplay, contact your school administrator.

    district), enter the numerical score that will be used to calculate the Final orCourse Grade. For example, the Course Grade might consist of all 4 quartersmeasured equally (25% each). This is set up on the course level by the School orDistrict administrators. However, the system needs a number in the Percent fieldto calculate it. If the Gradebook is used, please refer to the note on page 10.

    6. Score - choose the student's score from the drop down list. This list is created bythe School or District administrators. If the score needed is not on the list, notifyyour school administrator. This is the score that will print on the report card ortranscript.

    7. Alternately, students can be graded using the Fill Scores feature. This is oftenused to enter the 'Progress Report' grade for the Progress (or Interim) report cardwhere students are receiving no true grade, just comments on their currentprogress. Since comments will not print without a grade, a 'placeholder' grademust be entered for all students. This grade will be available on the drop downlist.

    8. Comments - Click on the notepad icon (~) to the right of the Comments sectionto choose comments from the list. This list is created by the School or Districtadministrators. Comments can be added by clicking on the checkboxes or typingthe comment codes (separated by commas). More than one comment may beselected. After all comments are chosen, click on the button.Note: Use Canned Comments must be turned on prior to use or the notepad iconwill not appear (refer to page 20).

    Note on Composite Grading and the GradebookIf the Gradebook is used, the Percent might need to be changed before CompositeGrading is used to post Final Grades to the student. Leaving decimals in the Percentfield can cause unusual results due to rounding in the Final Grade.For example, a student received a 90.550 for the Quarter Grade in the gradebook. Thesystem (using the 'Grading Scale') changed the Score to a '91' for the report card. If thestudent received the same score for three quarters and an 89.8 for one quarter, the gradesshe would receive on the Report Card are as follows:Ql: 91Q2: 91Q3: 91Q4: 90If manually calculating from the Report Card scores, the Final Grade would be '91'91 + 91 + 91 + 90 = 90.75 (round up to a grade of '91')

JC a m pAdditional Note on Composite GradingIf a student drops a section of a course and adds a different section of the same course(i.e., changes teachers or periods for the same course) and the course uses CompositeGrading, the grades do not need to be moved to the new section. The system will use allgrades for the course, regardless of the section the student is rostered in.However, if a student drops a course after receiving a Quarter Grade and adds a differentcourse (i.e., drops 'AP English', adds 'Honors English'), the Composite Grade will onlyuse the grades listed in each course to calculate the Final Grades. This may have to bemanually adjusted.

    3. The students display in alphabetical order with basic demographic information.a. Clicking on the student name will provide a link to the Student

    Information> General, Summary Tab for that student.b. To view a flag, hover with the mouse over the student's flag (~). A box

    will display all the student's flagged information. This information isentered by the Registration, General Office, and Health Office staff. Eachdistrict determines what information will display as a student flag, but thisgenerally includes health risks (i.e., allergies, asthma), and contactinformation (i.e., Check with office before releasing).

    (or PLP) will open in Adobe Reader. It can be viewed, saved, or printed(but not changed). This button will only display if the student has an IEPor PLP created in Campus. If the teacher is not a member of the team, theIEP or PLP document icon will display (in grey), but the IEP or PLPcannot be viewed.

    d. To view the gradebook as it will be displayed in the portal, click on thegradebook button (~). The view will open in a new browser - close itwhen finished.

If the Gradebook is used, any assignments that aredue in the current week will display. In addition, all attendance events for the currentweek will display by date and course/section.

In order forthe teachers to request classes (usually Honors or AP classes), the students in their rostersmust be enrolled for the following school year. This is usually completed in MiddleSchools and High Schools during the late winter (January - March).

All the reports (except the TeacherSchedule) will be produced based on the course/section chosen (refer to page 2). They arelisted below with a brief description of their features:Aligned Assessments: This report displays the assessment results for any test (usuallyDistrict or State test) connected to the course.Assignment Analysis: This report prints a bar chart reflecting the students' grades for aspecific assignment (from the Gradebook). It is used in conjunction with the LessonPlanner and Gradebook.Assignment Standard: This report lists the Standards associated with Standards-basedassignments. It is used in conjunction with the Lesson Planner and Gradebook.Attendance Register: This report displays (by term), each student's attendance by day(in grid form). The codes displayed are as follows:

    A - Absent ExcusedU - Absent UnexcusedX - Absent Exempt? - Absent UnknownT - Tardy

    Attendance Summary: This report displays each student's attendance (by term). Itprovides totals for Absent Excused, Unknown, Unexcused, Exempt, Total Absent, andTardy for each student by term.Blank Spreadsheet: This report provides a blank spreadsheet of the class roster for theteacher. The user can choose the number of cells (columns) to print as well as the line(row) height. The spreadsheet will print the student's name in the first column with blankcells (fields).Gradebook Export: This report allows the teacher to export the gradebook out ofInfinite Campus. File format options include - Comma Separated (recommended) [thisformat will allow the teacher to save the file into Excel], Tab Delimited, XML andHTML.It is recommended to open the file in Comma Separated format, then click on ,. Name the file and change the 'Save as type:' (on the bottom) to Excel.This will allow the teacher to open the file using Excel and make anychanges/calculations they need. The Gradebook can only be exported out of InfiniteCampus, no information can be imported into Campus from an outside source.Grades Report: This report prints the students' grades for the specified task (i.e.,Quarter Grade).Missing Assignments: This report displays missing assignments.
