Welcome

Welcome to what I hope will be the first of many future editions of the PAM Newsletter. I hope you enjoy it!

Given the size of the PAM Group and our geographical spread, effective communication, covering our key issues remains a challenge. And it is not just the PAM leadership that have things to talk about – I know there are lots of great things going on in the team worthy of sharing. Therefore this is your opportunity to share anything newsworthy that you have been involved with.

The intention at this stage is that the Newsletter will be published on a quarterly basis and it will contain a complete mixture of business focussed items and other “lighter” news around our people and the social side of PAM etc (the sort of stuff we really like to read about!!). So please get involved and contribute to future editions.

Another Challenging Year It is barely believable that the end of year is rapidly approaching and once again it has been extremely busy. Helped by better market conditions, transactional activity within the Group has been at a recent high and whilst this has meant that a number of properties have left us, a much greater number have come in.

At a wider level, we have seen a huge amount of work in other areas such as the SSEA Change procurement retender exercise which has involved lots of people in the Group. This exercise is now drawing to a conclusion with completion of an overhaul of our processes and procedures which have been recently re-launched; the move to new offices in Norwich and other 6 Delta business transformation projects. Looking forward, 2015 will see the commencement of the implementation of our new Yardi platform. To date all the work has been around preparation planning, process alignment and system configuration. More on this will follow shortly.

For now I would like to thank all of you for the hard work and unwavering commitment that you have shown throughout 2014 in contributing to our ongoing success in these and indeed many other areas.

Nick Lees, Lead Director, Property & Asset Management

Business Successes

St Martins and London Bridge City

The PAM Central London team, working in partnership with Broadgate Estates, has been selected by St Martins to manage their London Bridge City (LBC) portfolio from 1 September 2014, succeeding CBRE as present incumbents.

St Martins acquired More London earlier this year and the LBC appointment brings all of their South Bank assets into a single property management platform. This was a highly competitive tender process and we teamed up with Broadgate for the bid to build on the successful relationship that has been in place since the start of the More London contract.

The London Bridge City portfolio contains over 93,000 sq m (c1m sq ft) of office, retail, leisure, media and private residential properties as well as impressive public realm and river frontage. It includes No.1 London Bridge, The Cottons Centre, Hay’s Galleria, London Bridge Hospital, and St Olaf’s House.

Combined with our More London and the One Tower Bridge scheme for Berkeley Homes, this means that JLL are now managing 3 major landmark mixed-use estates between Tower Bridge and London Bridge. This is a huge boost toward our drive to build further on our market share in premium mixed-use assets.

A key factor in the appointment was the outstanding service and quality of our management of More London, which our combined JLL and Broadgate teams should be really proud of, as well as proof that the quality of our service is invariably our most powerful differentiator in a highly competitive market.

Led on our side by David Gardiner, and on Broadgates behalf by Mike Thornton, our bid response and presentations illustrate the power of a “one team approach”. Congratulations to the whole team involved, acknowledging in particular the fantastic contributions made by Sarah Madden, Kaye Walker and Hannah Williams.

University of BristolThe PAM Bristol team are continuing to develop our relationship with the University of Bristol and has successfully won two new mandates in the last month with them. We now manage three assets on their behalf for a fee of £24,500. The properties have a total of 4 tenants meaning we get a fee of £6,125 per tenancy – beat that! We are working closely with their estates team and have also secured work for Building & Construction.

The Central London team has been appointed by the Mercury Group to manage 30 Berkeley Square following its redevelopment. The building is a 52,000 sq ft premium asset over lower ground, ground, 1st to 7th floors.

JLL was appointed following a tender exercise with the client. The lower ground to 2nd floors have been let to Phillips, the auction house. October 2014 heralded the opening of their new state-of-the-art London headquarters. The remaining 3rd to 7th floors are being marketed to let.

JLL’s instruction is to provide landlord investor management services for the building as well as tenant maintenance assistance for the auction house.

Haymarket, Edinburgh development site

30 Berkeley Square

The Haymarket scheme is one of the city’s most important development projects of recent times, resulting in a £200 million mixed-use development delivering a mix of high quality office, hotel and retail space with the potential to create 3,500 jobs.

The Haymarket has full planning consent for 404,000 sq ft of office accommodation and 60,000 sq ft of commercial and leisure space, together with a 165-bedroom hotel and a 320-space underground car park. Tenants already signed up for the initial development phase include Q Park, Tesco and serviced apartments provider Staycity. Food chains Prezzo and Pret A Manger are already committed to the second phase, together with advanced discussions with other occupiers for a further 70,000 sq ft of retail and office space.

The Central London team was instructed by Greenland Group as a joint instruction with Rendall & Ritner (residential long leasehold management) to produce estimated estate and block service charge budgets and apportionment schedules for Phase One. All budget information was provided over a short timescale to facilitate marketing deadlines for a UK and overseas’ launch. We advised on design for management issues at short notice in order for development contracts to be placed, and also liaised with the legal team in defining the overall ownership and management structure and in the drafting of the template lease documentation.

IM Properties, the midlands based property firm which already owns the Mell Square in Solihull, which is currently managed by our shopping centre team, is to purchase Blythe Valley Park in Solihull. The Birmingham team currently manage this 257 acre park for the LPA Receivers and the good news is that on completion they have retained the instruction.

This is an exciting time for the park with IM Properties keen to start the development of the void plots and the Phase 2 residential scheme.

IM Properties

In collaboration with REWO the Birmingham team was instructed on a portfolio of 13 properties for Loanstar. It was a team effort to get 300 records setup quickly and issue the September rent demands. The portfolio consisted of mainly large office buildings but also several industrial and business parks with total fees of approximately £240,000 net pa.

The Central London team has been appointed by Rio Tinto to manage their building at 6 St James’ Square. The building is undergoing a major refurbishment and will be occupied by Rio Tinto when the works complete in Q1 2015.

Located in the prestigious area of St James, one building provides 122,000 sq ft of grade A offices. The building will be multi let, being Rio Tinto’s HQ but also with office space to let on the open market. This will bring complexity and challenges to ensure all occupiers receive a fair, premium management service.

Originally built in the 1970’s Golden Square has undergone 2 major developments.

The centre now stands at 665,000 sq ft ofretail space, with 140 stores and key anchors of BHS, M&S, Debenhams, Boots and Primark. Footfall to the centre is circa 13m

per annum.

Over 50% of shoppers come by car, with the centre offering 1700 parking spaces over 4 floors. The centre is also accessed easily via public transport due to a bus interchange providing direct access and accounting for 30% of visits.

Over the last 3 years Golden Square has changed significantly. The introduction of a number of new retailers in particular TK Maxx, New Look and Schuh has strengthened the centre’s offering. Golden Square’s new brand was launched in May 2013, marking the beginning of a new era.

Primark opened its doors in December last year and was the most highly anticipated store opening in Warrington for many years, appealing to shoppers from a wider catchment who would normally travel to Liverpool and Manchester to shop.

The North West is an extremely competitive market place. Key retail destinations are located less than an hour from Warrington, including Liverpool 1, Cheshire Oaks, Intu Trafford Centre and the Manchester Arndale.

Following a design for management review we have been Instructed by HB Reavis on their 1st UK development. This is an incredibly exciting office project in our core area of business in Central London.

Retail management has been retained as managing agents of the Kingsway shopping centre following its recent sale by UBS, Triton Property Fund to Queensberry Real Estate and Bywater Properties. Queensberry will be the asset manager for the purchaser. Queensberry is well known to JLL but a new client for PAM.

The 250,000 sq ft shopping centre has been managed by JLL since it was purchased by UBS in 2004. During this time it has been subject to a comprehensive redevelopment and the rebuilding of the 1000 space car park. The centre is anchored by Wilko with the main occupiers being B&M, Poundland, Peacocks, Post Office and Perfect Homes. The scheme also includes approximately 40,000 sq ft of offices and a theatre.

The centre is located adjacent to Queensberry’s Friars Walk development which is due to open in Autumn 2015 providing 390,000 sq ft of additional retail space. The new development has already led to an increase in retailer interest in the Kingsway centre with Pure Gym currently fitting out and terms agreed with a food store to open prior to Christmas.

6 Delta Updates

In June 2014, Riskwise 2020 was implemented to enhance our site operations risk management process and reporting. The implementation was supported by members of the IFM and Surveying team and Nigel Wheeler commented “This project has been a textbook example of how 6 Delta teamwork is helping to transform and future proof clients and our business”

In April 2014 the IFM Procurement team launched its retender process for maintenance, security, cleaning and grounds maintenance services. The tender process has included launch events, supplier site visits and submissions.

A structured evaluation of all tenders was performed and a recommendation for appointment will be submitted to the Supplier Engagement Steering Group and PAM UK Executive for approval in November 2014, with new supplier contracts in place by January 2015.

It was announced in July that JLL would collaborate with Yardi to implement an enhanced version of Yardi’s market leading Voyager 7S property and asset management software and Orion Business Intelligence platform across EMEA. Since July the EMEA team has been developing standard business processes and working with Yardi to configure the EMEA platform.

The UK implementation team is being brought together and we are kicking off preparation activities such as data cleansing and implementation planning. The real focus on UK implementation will commence in early 2015 and further news will follow.

There will be additional service improvements coming from the Transitions, Commercialisation and Service Charge projects over the coming weeks and months. Look out for enhanced Transitions processes and tools, the Commercialisation website and the roll out of a consistent model for service charge independent accounting reviews and a new workflow tool.

Coming Soon

PAM UK’s service development programme continues to transform and future proof our business. There have been a number of successes in the last few months and there are more coming soon.

The data management workflow has now been fully operational for 2 months. This is proving to be an efficient tool for changes to lease data to be managed from submission to completion of data input in our internal property management systems and those of our clients.

Spotlight on... Gretna Gateway Outlet Village

Place-Making: Effective Marketing & Management

2014 will go down in history as a significant year for Scotland with the Commonwealth Games, Independence Referendum, Ryder Cup and the forthcoming MTV EMAs. Arguably however, the biggest news is the outstanding retail performance that is being achieved at Gretna Gateway Outlet Village.

During its 15th anniversary, and off the back of successive record breaking footfall and sales in 2013 and 2012, a dynamic new marketing strategy has been created and delivered to maximise the unique combination of opportunities 2014 has to offer.

“The prospect of taking Gretna Gateway on to the next level was clear. We therefore developed and proposed to our client, Orchard Street Investment Management, an innovative, multi-channel marketing strategy that would educate Shoppers of the Outlet Village offer, enhanced tenant mix (with Clarks, Berghaus, Molton Brown and Superdry recent additions) and exceptional regional positioning” said Chris Coleman-Brown, Associate Director, JLL Retail Marketing & Commercialisation.

This August saw the destination achieve its best ever month and week 42

established a new benchmark with best ever weekly figures!

This strong performance has now secured the next phase of the development, with the announcement of a Phase 3 extension which is set to be anchored by a Next Outlet store totalling over 11,000 sq ft with an additional 8,000 sq ft available for tailoring to individual brand requirements. Phase 3 and Next Outlet are scheduled to open in Summer 2015.

Peter Gardner, General Manager at Gretna Gateway Outlet Village commented;

“Having been here from day one, it’s superb to have seen the development evolve to where we are today. We are all delighted with the news of Phase 3 and can’t wait to see our future tenants open with us next Summer – here’s to the next 15 years!”

Client Events

PAM Client golf day proves a major success

In October, 24 clients and PAM surveyors and accountants attended the inaugural PAM golf day at the renowned Hankley Common Golf Club. Played in an hurricane wind conditions, but remained dry, thankfully. The morning’s event was very competitive and was won by Nicholas Fowles of the Church Commissioners, with Andrew Woodhead prevailing in the JLL section with a very creditable 36 points, playing off a 9 handicap.

In the afternoon Darryl Kohler of Redefine and Andrew Woodhead won the Greensomes event.

We received many eulogies from our clients including “The course was superb, the company very enjoyable and the lunch excellent. Where else could we be offered 10 different puddings!! I look forward to the invitation next year.”

There is no doubt the event enhanced the strong business relationships we have already built with our clients and this will be an annual event going forward.

L&G Celebratory DrinksThe PAM Leeds team attended a celebration party in October at the Telegraph in the City of London hosted by L&G to mark the significant milestones of £2.5bn value of the Annuity Fund and £0.5bn of the LPI Fund. These Funds continue to grow at the current rate of c.£1bn and represent significant growth to our business (now over £300,000 pa. in management fees).

Client Briefing, LondonThe third and final 2014 PAM Client Briefing was held in Warwick Street in November with over 50 clients from across our business receiving updates on the property market and economy; a review of London property market hotspots and the latest sustainability challenge, ESOS, where we expect to be able to offer a service to assist with compliance. This Client Briefings series provides us with a great opportunity to network with clients over lunch and to demonstrate valuable thought leadership on a range of current and topical issues. A good differentiator for our business, you can now follow the series on Twitter.

Contact Philip Wakeling for more information on recent Briefings and if you have any idea for inclusion in the next event, in February.

Shopper Engagement Conference

The JLL Retail Marketing team was one of the industry expert teams which took part in the 2014 Shopper Engagement Conference in October at 30 Euston Square, London. Run by Shopping Centre magazine, the conference included presentations and workshops to give shopping centre managers, marketing managers and asset/portfolio managers’ greater insight into shopper engagement. Kaye Walker, Head of Retail Marketing & Commercialisation along with Sally Sookia. Laura Parker and Laura Booth ran interactive sessions with delegates to provide practical tips and best practise examples to enhance shopper engagement.

Training Updates

BIFM Awards

We were delighted to recently be shortlisted for the BIFM Trainer of the year award, acknowledging our internal course which leads to the BIFM level 4 qualification and also the range of materials available to FMs via My Skills.

We took a table at the awards ceremony at the Grosvenor House Hotel and scrubbed up nicely in our posh frocks or dinner suits. Six organisations were nominated for the award and we were just pipped at the post but received a Highly Commended which gave us a great excuse to party well into the night!

We will shortly be launching our new Property and Asset Management custom page on My Skills, which will highlight Property and Asset Management content.

There is some great new material, including:

• Take Charge of Your Development: select learning experiences based on your own preferences, time constraints and career goals. There is a GROW Conversations Planner, a framework for planning your next development conversations with your manager, colleagues and mentors; a Personal Development Plan and a personal toolkit to share your strengths and develop-mental goals

• Help Others Grow: Line Managers who want to play a key role in supporting the development of their staff and providing a work environment where the learning and development of employees is actively encouraged. We now have a range of tools to tap into. These include video on JLL’s approach to mentoring, 4 e-Learning modules on the fundamentals of managing staff and access to a line manager toolkit containing more videos, guides and articles.

• In addition to the personal development tools and modules, we have also launched a range of new e-Learning modules. These cover financials (Accounting for Non-Accountants), compliance (Construction Industry Scheme), systems (Data Entry Workflow Tool, Horizon modules, AAM Approval Process, Riskwise) and CPD (Client Briefings and CPD presentations).

IPMP

Completing a training module on My Skills should have formed part of everyone’s IPMP objectives. Only a small number of people have yet to access some training on My Skills but there is still time!

For any questions on My Skills and Learning and Development opportunities within PAM, please contact your regional Learning Champions or Eva Thonfeld.

APC

If you are thinking of enrolling on the APC, would like more information or want to join the PAM APC Workshops, please contact Richard Dunling or Helen Magorrian.

Meet the Executive

Lead Director - Property & Asset Management

Tell us more about your role

As Lead Director for PAM, the buck ultimately stops with me! I could say my role involves meetings, meetings and more meetings, and whilst that is true to a degree, my day to day focus is around a variety of issues ranging from driving forward the performance of PAM, client liaison and all aspects of business development, strategic & future planning, the wider engagement of other parts of the JLL business, connecting with the UK Board and dealing with personnel issues that arise from time to time.

What is the most challenging aspect of your job? I consider it a genuine privilege to lead a fantastic group of hard working and committed individuals in PAM and ideally I would love to be in a position to reach out and personally connect with each and every one of them (you) on a more regular basis. However, given the size of the Group and the limitation on time available, this is difficult to achieve on a regular basis.

Who inspires you?People who are able to deal with real adversity in their lives and young “achievers” generally.

Outside of work, where would we find you?Either on the golf course, at a classic car event or (currently) watching Peaky Blinders!

Tell me about your recent travelling experienceI assume you don’t mean my daily 1 hour 40 minute each way commute from Midhurst! In the past year I have been lucky to travel to the USA, Guatemala, Belize, India, Spain and Scotland – a mixture of business and pleasure!! As you might imagine, I found the diverse cultures in some of these countries absolutely fascinating but I would say that two particular highlights were the wonderful people in India and a flight by helicopter into the Grand Canyon.

When are you at your happiest? When the people around me are happy!

What are the top three highlights of your life so far? What a tough question! I would love to say “Spurs winning the Champion’s League” but that is yet to happen! So instead:

• Meeting my wife and seeing my 2 children grow and develop into bright, engaging and well balanced individuals (well my daughter at least!!)

• Birdieing the 1st and18th holes on the Old Course at St. Andrews (a rare occurrence) en route to shooting a gross 4 over par score for the round (very good for me & indeed many others!)

• Driving the Furkapass, Sustenpass and Grimselpass in Switzerland very early on a spectacular summer’s morning in an open top sports car. No traffic and unbelievably beautiful!!

Meet the Executive

COO - Property & Asset Management

Tell us more about your roleI usually describe my role as picking up anything that lands on Nick’s desk or Nigel’s desk that they don’t fancy! A more diplomatic description might be to say that I worry about where PAM is making or losing money and take care of many of our statutory and administrative duties.

Dick Hibberd

What does a typical day for you at JLL involve?A typical day involves people and numbers and beyond that just about anything. Recent topics have included:

• The wording of the new BP Ropemaker PMA• The allocation of overheads to PAM in Scotland• The file structure in the corporate document management system• JLLR pension liabilities and, of course, various budgeting tasks

What do you do in your free time? What free time is that? In the last four months, my children have had two property purchases, one sale and my elder son has got married and emigrated, all needing help (and usually money!) from Dad. We’ve also got three very elderly parents with various dramas to keep an eye on. When time permits, I attend various classic car shows and enjoy mini breaks.

Anything interesting in your fridge?Nothing very interesting I’m afraid but a couple of lagers and half a bottle of Chenin Blanc.

What will people be surprised to know about you? That Corrie and I met at the University Folk Dance Society (several years ago) and our favourite band is Steeleye Span!

What are the most important lessons you’ve learned in life? That it’s no good looking enviously at other people. If they’re doing better than you, good luck to them. There are lots of people who are far less fortunate than you are.

Name three things on your bucket list• Visiting the Great Barrier Reef • Joining the Barmy Army for a test match in Sydney• Going to the Le Mans Classic (24 hour race for older cars)

Internal News / Events

PAM Directors Away Day

The PAM Directors met in November for their bi-annual Conference at the Radisson Park Inn, Manchester. The event was primarily an opportunity for Directors to connect with one another and following feedback after the last event in 2012, the agenda for the day was structured around celebrating our successes, a desire to engage more around client management and customer care, a greater focus on soft skills and above all having a more outward focussed event where there was plenty of opportunity to participate!

After a short presentation by Nick Lees and Nigel Wheeler which focussed PAM progress over the past 2 years, feedback from the recent International Director’s Conference and the strategic orientation of PAM UK over the next year or so, the delegates participated in a series of facilitated seminars around:

• Best practice client management incorporating internal feedback from the Best Practice Group• Digital Connections which had delegates reviewing their Twitter & LinkedIn profiles, viewing

technological innovations such as google glasses and a magic mirror (which saw a number of male directors cross-dress!) and a live demonstration of Touch Point, the property specific tenant portal aimed at premium assets

• The Chimp Paradox, where delegates were encouraged to identify their inner “chimp” so that they could more easily get the best out of both themselves and others.

After the formal part of the day, delegates had the option to enjoy either a musical tour of Manchester City Centre, a wine tasting or play indoor golf before everyone met at a Spanish restaurant for tapas, drinks and in some cases, karaoke (video available upon request!).

The Norwich office got into the “spirit” of things on Halloween and raised £155 for The Samaritans by having a dress up (and down) day and an evening

social bingo event in the office. Everyone made such an effort and there were some amazing costumes. Well done to Franki Mulcrone, Jess Underwood and Garry Larwood from the Service Charge Team received “best dressed” awards.

Lisa Willet, Administration Team Leader said “It was a little disturbing walking through the breakout areas seeing vampires, clowns, witches and zombies all trying to have sensible meetings! And it seems the only person that had an external meeting that day was me!!”

Frightfest in NorwichPAM Bristol & JLLR Narrow Boating afternoon

To celebrate the appointment of Jo Edwards as Bristol Lead Director and Caroline Cubbin, as graduate surveyor, the Bristol surveying and FM team spent the afternoon narrow boating in Bath. Everyone had a turn at piloting the boats with varying degrees of success, with a couple of near misses along the way, including a high speed crash into the wall inside a tunnel and crashing the boat into the canal bank, taking out a few ducks in the process! Those in control at the time shall remain nameless….. The team managed to make it to a canal side pub for a very enjoyable lunch followed by drinks and cocktails late into the evening. The day was great fun and brought the team together in a social setting to further strengthen working relationships across the region.

Internal News / Events

Retail Management Went Swinging The Retail Management team recently got together for a group night out bonding at ‘Swingers’, a new pop-up crazy golf experience located in Shoreditch.

This houses 2 bars, a DJ area a 9 hole golf course and 2 street food vendors! We were extremely lucky to be able to get an area in this sought after venue as it is now fully booked until the end of the year! We marked the occasion to welcome Avis Sayer, Melissa Varley, Wilson Emmett, William Ashdown, Jess Turner’s return and also Sophie Witzenfeld who has recently accepted a permanent offer.

The evening was thoroughly enjoyed by all.

Thirsty Thursday is a monthly event where members of the PAM team based in London, get together for a drink. This usually takes place in a bar or pub and it’s a great opportunity to get to know other colleagues in different teams and also aid some cross selling.

The next Thirsty Thursday event will be held on Thursday 4th December, location TBC. Please can everyone put a note in their diary. We look forward to seeing as many people from the PAM team as possible.

For more information on Thirsty Thursday, please contact Oliver Brighton.

Charity Fundraising

PAM Norwich and Bristol raises money for Breast Cancer Care

The JLL PAM team based in Norwich and Bristol raised £489 and £277 (and 64 Euro cents) respectively for Breast Cancer Care on their Pink Friday by wearing pink, having a raffle and a cake sale & sweet jar.

The money raised is going towards helping women face the brutal reality of breast cancer, providing specialist nurses, local services and emotional support network.

“Every day more and more families wake up to the fear and disruption that come hand in hand with breast cancer. Together, with the generous and amazing support of people like you, we’ll help them find a way through one of the most

difficult challenges they’ll face”

Alec Raven, Head of Community Fundraising, Breast Cancer Care

Congratulations team!!!

We want to say a big thank you to all those who raised money for our 2014 charity partner, The Samaritans and we look forward to making a difference with Starlight Children’s Foundation.

The next edition will be published at the end of February 2015. All submissions should be emailed to Rochelle Collison no later than 17th February.Thank you.
