1. Introduction to NIDA i-Thesis

Integrated Thesis & Research Management System (iThesis) is a system which helps managing thesis/dissertation (thesis) process flows. The system is designed to manage the processes such as sending a proposal to an advisor, creating a template for writing a thesis, detecting plagiarism (Akarawisut; a Thai plagiarism detection system), and transferring a complete thesis to NIDA’s repository. iThesis is the upgrade version of eThesis. This means that iThesis will be more stable and support new features. Because iThesis was developed based on eThesis, the usage of iThesis is the same as eThesis.

The main usage of the system is still the same which separates in 3 parts 1) iThesis itself is responsible for managing thesis information and create & upload thesis files to the system. 2) Microsoft Word is used for writing and formatting contents with the proper tools. The last one is a reference manager software such as Endnote or Zotero which will use for managing citations and bibliography.

From Figure 1.1 – 1.4 indicate that all the often-used functions are still existed although some of them have change the name. So, the usage of iThesis is not different from eThesis.

The advisor and committee form has been adjusted to be more easily to fill in. Figures 1.5 and 1.6 show the comparation between both systems.

Figure 1.7 shows the often-used buttons are still the same. So, iThesis Add-In will work the same way as eThesis.

1.2. iThesis Minimum Requirements

- A personal computer installed with Microsoft Windows 7 or later both 32-bit and 64-bit (MacOS is not supported)

- Microsoft Office 2010 or later (If using Office 2010, Visual Studio Runtime and Visual C++ Package must be installed (Available for download at iThesis Web Portal: ithesis.nida.ac.th)

- iThesis Add-in for Microsoft Word (Available for download at iThesis Web Portal: ithesis.nida.ac.th)

- Reference Manager (EndNote or Zotero) - Web Browser: Google Chrome is recommended.

1.3. iThesis Recommended Requirements

- A personal computer installed with Microsoft Windows 10 6 4 - bit with 8 GB of memory and SSD hard disk

- Microsoft Office 2016 or later (The latest version of Microsoft Office is available for download at portal.office.com (License will be valid until gradutaion))

- iThesis Add-in for Microsoft Word (Available for download at iThesis Web Portal: ithesis.nida.ac.th)

- Endnote X9 version (Available for download at library.nida.ac.th. Search the keyword “endnote x9” (Only internal network or VPN is required for download))

- Google Chrome

2. How to Migrate eThesis file to iThesis

Generated-file from eThesis could not work with iThesis including Add-In. So, to migrate eThesis file to iThesis. Do as following.

1) Install iThesis Add-In 2) Migrate contents from eThesis to iThesis

2.1. iThesis Add-In Installation

2.1.1. Uninstall eThesis Add-In (GMS) (If exists) eThesis Add-In (GMS) will interrupt iThesis Add-In So to avoid the problem eThesis

Add-In and GMS's configuration must be removed before install iThesis. As following

- Go to Control Panel → Programs and Features

- Select GMS and uninstall.

- Open Windows Explorer (Windows + E) and type %appdata% in address bar then enter.

- Find GMS folder and delete.

- Open Run window (Windows + R) and type regedit then press Enter or click OK

- Expand folder on left hand side as following path, HKEY_CURRENT_USER\SOFTWARE\Microsoft\Office\Word\Addins If GMS.WordAddIn folder exists remove it by right click and delete.

2.1.2. Install iThesis Add-In iThesis will only operate with iThesis Add-In. To install iThesis Add-In, Do as following. - Download installation file from Web Portal (ithesis.nida.ac.th) in Microsoft Word

Add-In tab.

- Choose version matching with Windows System type (32-bit or 64-bit) ( The matching version will be recommended)

- After downloaded, open the file then click next until finish installation.

Do not change the destination folder.

- After installation complete, open Microsoft Word. There will be iThesis Add-In added in ribbon. For the first time, iThesis must be activated before using. To do so, click iThesis icon.

System will display Successfully installed after installation complete.

- Paste this Activate Key (oQJi-KT4D-aMDr-oUxJ) then Activate.

- Activate Key can be found at Web Portal. After login, click on Profile icon located in top right corner. Go to Settings and there will be Activation Key there. (Every student use the same Activation Key)

If succeeded, logo will change into NIDA logo.

2.2. Migrate the Contents from eThesis file to iThesis

2.2.1. Fill the Thesis Information Forms on the Web Portal First, ensure that the information on the Web Portal is correct. If no information has

been filled, please fill the information and iThesis will generate a template completely. - Login to iThesis Web Portal at ithesis.nida.ac.th

- After successfully login, check all sub-menu in Electronic Form menu.

The username is NIDA email (username@stu.nida.ac.th) The password is the same as the registrar system.

Check the correctness of the topic include spelling.

If one who is in the complete thesis phase, check and correct the abstract and the

acknowledgement in the Abstract and Acknowledgement menu.

Check the correctness of the name of your advisor committees and dean include academic and doctoral title.

Check and correct the biography.

Check language settings and font size For English, use 12 pt of Times New Roman.

2.2.2. iThesis Template Preparation The next step is to create an iThesis template file and importing NIDA format styles

into the file 2.2.2.1. Step 1 Download NIDA Style Template File

- NIDA format style file is available for download. Please visit itc.nida.ac.th and download the file (Do not open the file directly).

2.2.2.2. Step 2 Create iThesis Blank Template - Create a blank document in Microsoft Word by click File and select “Blank

document” or press Ctrl+n.

Download English version of style (EN).

A file used for generate iThesis template for the first time must be a blank document only.

- Login via iThesis ribbon. Use the same account as the Web Portal.

- When successfully login, click Generate button in iThesis ribbon.

The iThesis template will be created.

2.2.2.3. Step 3 Import NIDA Style Template to iThesis File in Step 2 - After the iThesis template has been created, next step is to import the format

styles from the downloaded file in step 1. Click this icon ( ) located in the lower left corner of the style toolbox in the Home ribbon. (1)

- The styles pane window will appear as picture below, then click. at the 3rd icon

( ) (2) to manage styles.

- After manage styles window appear, then click Import/Export button. (3)

- After the Organizer window pops up, click Close File button on the right. (4)

- Then click Open File. button. (5)

- When the open window displays, locate and select the style file downloaded file from step 1.

- Click at the most top style. (6)

- Scroll down to the bottom. (7) - Hold shift button then click on the last style (8) to select all styles on the right. - Then click < - Copy button (9)

- Click Yes to All to confirm overwriting style. (10) - Then click Close. (11)

- Styles will be overwritten by NIDA format styles.

- Save this file by clicking the save icon ( ) then name the file.

2.2.2.4. Step 4 Copy & Paste Contents from eThesis File to iThesis - Open the eThesis file.

Any names can be applied as a file name. Save as type must be only “Word Document”.

- The copy step will be done twice. One is for the thesis contents (The page next to the table of contents page to the page before the bibliography page). Another one is the appendices (The page next to the bibliography page to the page before the biography page). First, the start point must be located by click at the beginning of the section to place the cursor (1) then scroll down with scroll bar to the end of the section (2). Press Shift key and click at the end of the section (3). The contents will be highlighted, press Ctrl+c or right click and select Copy to copy the highlighted contents.

- Go back to iThesis file prepared in step 3. Click at the page next to the table of contents page, then press Ctrl+v.

The contents from the beginning to the end of the section will be highlighted. Press Ctrl+c or right click and select Copy.

- Repeat the copy steps one more time for the appendices (If exists).

- If citations have been done with Endnote, the bibliography can be created by using Update Citations and Bibliography button in the Endnote ribbon. Endnote will create the bibliography at the last page of this file.

** For the correct display of the table of contents, the source file must use the same format style as in the step 3. If the table of contents displays incorrectly, the format style must be applied to each heading again.

- When all contents are completely placed, this file is now ready to upload to iThesis by using Save to Cloud function from iThesis ribbon.
