How to Import the Address Book from Webmail to Outlook 2007/2010 Contacts List
This tutorial shows you how to import your address book contacts from legacy webmail to Outlook 2007/2010 contacts.
NOTE: This is only necessary if you have contacts in webmail that aren’t in Outlook. If you only have a few contacts, it
may be easier to just re-enter them. Groups in old webmail cannot be copied, you will need to recreate your groups
after importing or re-entering your contacts.
To begin logon to old webmail and go to your ADDRESS BOOK and click EXPORT CONTACTS:
Click SAVE to save your contacts in a .csv file on your PC, remember the filename and location where you saved it.
-If using Outlook 2007 open and click FILE and IMPORT AND EXPORT.
-If using Outlook 2010 open and click the FILE tab then IMPORT. You will see the following:
-Select IMPORT FROM ANOTHER PROGAM OR FILE and click next. Next you will see this window:
-Choose COMMA SEPARATED VALUES (WINDOWS) and click next:
-Browse to the contacts file you exported earlier, highlight and choose OK. You can leave the Options at ‘Allow
duplicates to be created’. Click next.
-Select the destination folder as the contacts folder in your exchange account:
-Click next and you will see this window:
We now have to match the fields from our webmail address book to our Outlook contacts list because they were stored
in slightly different ways. Normally just the full name, first name, last name and email address is all that is used.
Click MAP CUSTOM FIELDS and you will see this window:
Drag the fields using mouse from the left pane (webmail)
over and match where that information should go in the
right pane (outlook). For example: name from webmail
should be put into the name field in outlook.
Name and Department fields are already mapped
Expand the name field on the right pane (by clicking the
+)and drag NAME1 from webmail over to FIRST NAME
and NAME3 over to LAST NAME. This matches first and
last name fields.
Scroll down the list and find email and drag it over to the
right pane and match it with the email field in outlook.
This is normally all the fields that most people use, you can map any you need though
Click OK then FINISH and your webmail contacts will be imported into your outlook contacts. If needed, you can delete
the newly imported contacts then re-import again, changing the mapped fields as needed, or just edit them in outlook.
