Application Management Services (AMS) Allowed Lean IT Team to Focus on Mission-Critical Initiatives

As one of India's largest real estate investment companies, Hirco Group was in rapid growth mode. After implementing SAP Enterprise Resource Planning (ERP) ECC 6.0, Hirco wanted to outsource support for the landscape to make its IT system run smoothly.

To assist an already lean IT team, Hirco chose outsourced support from the SAP Application Management Services offered by YASH Technologies. The support began with a one-month, on-site knowledge transfer program that included one week with Hirco's implementation team. YASH managed and provided support in FICO, Materials Management (MM), Project Systems (PS), ABAP and Basis for the existing SAP system, with a key focus on material procurement planning activities. YASH utilized Run SAP, a best-in-class methodology of setting up and optimizing operational processes for SAP solutions across their entire lifecycle. By following Run SAP, YASH was better able to predict costs and institute preventative measures for more efficient business operations for Hirco.

Hirco Leveraged Custom Development for SAP to Gain Real Estate-Specific Business Processes

Streamlined Project Management Improved Business Performance

As part of SAP ERP, Hirco had previously implemented the basic functionality of the PS and MM modules. As YASH had already started managing Hirco's SAP landscape, HIRCO asked YASH to create custom enhancements for these modules, as they were crucial applications for the real estate development company. Hirco utilized Project Systems to monitor and schedule all construction projects and to analyze budgets and revenue data. Before a Hirco project manager could execute a project, the project goals needed to be described exactly and the planned activities, resources and funds must be structured to ensure a successful project foundation. Hirco wanted to optimize their ability to manage inventory of their numerous projects, and to have a user friendly application design with complete visibility of project schedules, costs and budgets. In order to achieve this, the customized, integrated solutions that YASH developed were:

Project Inventory Management—When a project required a certain raw material, Hirco could add to inventory from the material planning option in PS. If it was in stock, Hirco could reserve the material in PS. If it was out-of-stock, Hirco could generate a Purchase Request in PS, and MM would automatically execute the procurement process.

Project Monitoring—Hirco needed an organizational form specific to each project that would allow all involved departments to accurately describe and detail all scheduled activities. Hirco could now schedule future projects in a “top to bottom” approach or vice versa, depending on their needs. In addition, they could allocate a certain budgetary amount to a specific project every fiscal year, and the sales order amount would appear as planned revenue in the project.

In a little over three months of support from YASH, Hirco saw improvement in the stability and performance efficiency of its SAP system. The service provided valuable day-to-day operational support. Hirco was able to enhance its management reporting system, streamline month-end closing processes, avoid interruptions to its business, and free IT personnel to work on other initiatives that were more strategic to the company's core business. The continuous maintenance support and optimization services provided by YASH, ensured that Hirco received the most from its investment in SAP ERP.

The user friendly custom enhancements to PS and MM allowed Hirco to achieve visibility across all stages of a project by being able to define the work breakdown structure and view accurate inventory levels. Hirco also now has enhanced budgetary controls, as the system will give an error message if the allocated budget exceeds the limit.
