Message from the Chair
Dear LIASA HELIG Members
The past two years were filled with activity and initiatives, in support of taking academic
librarianship in our country forward, at the same time aligning it with international trends. Thank
you to each and every one for supporting the events, thank you to the HELIG Committee, and a
special thank you to the incoming Chair, Ingrid Thomson, for her involvement.
During the past year HELIG continued to host webinars to bring expertise to the members. In
addition to the webinars, HELIG hosted numerous face-to-face workshops which included
information literacy, ICT tools and online journal management workshops. A highlight was numerous
governance issues being addressed, which were all documented. Being the ICT Development
Convener for LIASA had added benefits, and made it possible to make sure all HELIG
information/news/events on the web was added in a timely manner.
The HELIG bank account is now in good standing, and it is with great confidence that we are ready to
hand over governance for HELIG to the incoming Chair, Ingrid Thomson, and elected committee
members. I wish the new committee all the best, and may you take HELIG even further forward on
both national and international level, bringing new ideas, new initiatives and new perspectives to
the fore.

Leadership Theme 1: To provide innovative and dynamic leadership that will drive LIS in South Africa

An agile approach, with lots of emphasis on lifelong and self-learning, was followed. HELIG leaded in
terms of new technologies such as webinars and virtual meetings/presentations, and also published
an online blog newsletter on a monthly basis, connecting people with a common interest.
2016 was election year, and the process was professionally and thoroughly coordinated by the HELIG
Chair. In the end, ten nominations for various portfolios were received, with three nominations for
the position of Chair-elect. A satisfying number of members participated in the voting process.
Voting was conducted using online voting software, prepared by the LIASA Electoral Officer. The
election process was documented on the LIASA web for future reference. See the call for HELIG

All Branches had HELIG Conveners appointed, and the Conveners were included in all
communication between HELIG Committee members. The role of the Conveners was to initiate
HELIG activities within the Branches, and to be the connection between the Branch and HELIG
National.

Leadership was also demonstrated through actively engaging in vocational activities. A number of
presentations were delivered and workshops were initiated. From the HELIG Committee, the
following:
Ingrid Thomson (HELIG Chair-elect 2014-2016) participated and assisted with coordinating three
workshops on Information Literacy (Western Cape, KwaZulu-Natal, Gauteng North). She also
presented during these workshops. Ingrid was also co-opted to serve on the Executive Management
Committee of the newly established Digital Humanities Association of Southern Africa (DHASA),
representing the library sector. She further represents LIASA on the Higher Education and
Research Chamber. During the 17th Annual LIASA Conference, Ingrid will be chairing a round table
during which information literacy in post-schooling institutions will be discussed. She further serves
on the technical editorial team for SAJLIS.

Ina presented papers and workshops in Botswana and Zimbabwe during the past year, is an
international DOAJ Ambassador for southern Africa, and served on the SPARC OA Week Advisory
Committee 2014-2016.
Both Ingrid Thomson (Chair-elect) and Paulette Talliard (Secretary) are enrolled for further studies.
Yusuf Ras, Senovia Welman, Gerda Ehlers and Shirleen Neerput initiated and presented HELIG events
within their respective Branches.
The Branch was represented on the LIASA Representative Council by the HELIG Chair, Ina Smith. The
HELIG Chair also served on the LIASA Executive Committee, as Convener ICT Development.

Membership and Sector Management Theme 2: Develop new campaigns for recruitment of membership

LIASA – being a membership organisation – relies heavily on new members to join on an annual basis. HELIG relies heavily on membership campaigns by its Branches. No official membership campaigns were launched by HELIG National. Promotional emails were however sent to mailing lists outside LIASA, and the HELIG News Blog was used to create an increased awareness. The webinars were also supported by non-members, and all opportunities were utilized to communicate benefits to prospective members. The benefits were listed at http://www.liasa.org.za/membership-categories/ Members are mainly from the twenty five SA Higher Education Institutions, but also from other post-schooling institutions, incl. Research Councils and TVET Colleges, Universities of Technologies, Research Organisations etc. The following is a summary of membership numbers from 2012 to August 2016:

The HELIG membership is currently the highest than ever before – a clear demonstration that the
members trust the interest group and the direction it is heading in. The past two years were a great
advertisement for the potential the interest group has and can offer to its members, if managed
well.

Statistics demonstrate a high level of activity:
464 Likes, and followed by individuals all over the world. New posts are added on a daily basis by a
dedicated group of HELIG members.

Marketing and Communication Theme 4: Optimize the channels of communication to promote the LIASA brand, maximize the
impact of the Association and support for LIS issues

The primary marketing and communication tools utilized include four mailing lists (LIASA, LIASA HELIG Members, LIASA HELIG Committee, LIASA HELIG Information Literacy), Twitter and Facebook. It is used on a daily basis. HELIG has accounts for the following: Gmail, SlideShare, YouTube, Flickr, Google Drive, Google Docs, Google Forms, and Dropbox. LIASA Events (OCS) and LIASA Webinar (BBB) are used to manage and present events. Usage statistics for Twitter and Facebook:

A new initiative during 2016 was to start publishing an online monthly LIASA HELIG newsletter, using

The benefits of a news blog:
It helps to market/promote HELIG and LIASA to those not members yet
It serves as a central showcase of HELIG activities
Entries are listed chronologically, which helps when a report needs to be compiled
Through listing and authoring the items, it helps with reflecting and learning, establishing the
gaps and needs still to be filled
It is a reflection and learning activity
It keeps members connected to the association and interest group

Good Governance Theme 5: Provide and maintain good governance structures for financial growth, accountability and sustainability

HELIG Committee members are spread over the country, and busy schedules made it difficult to
meet – even virtually. The HELIG Committee mainly stayed in contact via email and the mailing list.
All mails were archived in the HELIG Gmail Inbox. The AGM in 2015 was successfully presented via
LIASA Webinar. HELIG subscribes to the mission, vision and strategic objectives of LIASA, and all
activities are aligned accordingly.
As indicated in the 2015 HELIG report, roles and responsibilities were unpacked, and a governance
manual was compiled. Quarterly and annual reports were submitted on time, and uploaded tot the
LIASA Document Repository and LIASA web.
Where workshops were presented, professional LIASA Certificates were issued, and each certificate
received a unique number, which was documented in the HELIG Certificate Registry.
Where invoices were issued, the LIASA template was used, a unique invoice number was assigned to
each invoice, and documented on the HELIG Invoice Registry. All proof of payments were uploaded
to HELIG Google Drive.

Since HELIG has a Savings Account with Standard Bank on behalf of HELIG members, it has 3
signatories. Unfortunately online banking is not allowed, and HELIG does not have a debit card. It is
recommended that the Standard Bank account be closed, and another bank account at a different
bank be opened for HELIG.
HELIG received a positive financial report back from the auditors for the period 2014-2015. An
abstract from the report below:
Members were – as far possible – kept up to date on developments within LIASA, also with regard to
Professional Body Status. All registered HELIG members received electronic membership certificates,
issued by the LIASA National Office. Frequently asked questions were documented at

Training and Development Theme 6: Invigorate the sector through dynamic, vibrant, continuing education, training and development programmes

about the other academic libraries.”
“Thank you so much for this inspiring day, as well as for the opportunity to participate. I really
appreciate it and I am motivated and encouraged to try harder and to put in more effort.”
HELIG was very productive in terms of training and development. In total, 44+ events were hosted,
which mostly included webinars, but also face-to-face workshops on Information Literacy, ICT
Development and more. Individual Branches also hosted various events. Please refer to the entries
in the table below for details. In some instances information were not received.

Mentorship
Every email, communication, presentation, workshop, web page, webinar, document, policy or other
activity we did was regarded as mentoring. Members were expected to observe and learn and take
away from all activities we engage in. That is the best way of learning. Also by getting involved in
actual activities related to the profession.
In addition, we hope that the numerous training interventions were great learning opportunities for
members. We would like to encourage our members to remain lifelong self-learners, in the spirit of
SALW 2016: #libraries4lifelonglearning

The Chair and Committee wish to thank all LIASA HELIG members for their involvement and hard work. Thank you for supporting LIASA and specifically HELIG. We welcome any contributions on how we can better assist in taking the LIS forward – not only nationally, but also internationally. Also – we would like to get to know our members better, and know about your achievements and successes. Please participate as much possible, and volunteer to help out during events, training and conduct presentations. We can learn so much from one another. As a committee we worked well together, although the few of us were spread all over the country, which made it a bit of a challenge. But no challenge could stop us. We learned quite a bit from one another – in terms of the LIASA structure, good governance, the importance of using correct and standardised terminology, as well as in terms of technology and other skills. Each committee member was valuable and brought something valuable and unique to the table. Events to look forward to for the remainder of the year:
- Open Access Week 24-30 October 2016 - Online Journal Management Workshop FS HELIG Branch 18-19 October 2016 - 14th Annual Library Symposium, Stellenbosch University 3-4 November 2016 - Publishing Tips for Librarians Webinar/Jaya Raju 22 November 2016 - UCT Open Access Symposium 3-9 December 2016
The term was too short to attend to all challenges, and there was not enough time for the following:
- Creating online learning opportunities using LIASA Academy - Including Open Access, Open Science and Open Data as part of the Information Literacy
Curriculum Framework - Active participation by elected HELIG Committee Members - More planned and coordinated HELIG events within the LIASA Branches - Addressing the needs of the TVET College Libraries - Changing the HELIG Bank Account - Network and collaborate with OSALL, SAOUG and more - Positioning HELIG better – embedding and connect with other post-schooling environments - Uploading and preserving all retrospective HELIG documentation to LIASA Document
Repository/Archive for easy access - Work towards less fragmentation, and more inclusiveness in the sector - Populate the HELIG Blog with journals, mailing lists, conferences of interest to this sub-
system (sector)
During the upcoming handover meeting, detailed information will be provided so that the next term
can focus on growing the IG, addressing new trends, and not having to waste time on sorting out
governance issues.
