 Helpful guides to supporting people remotely: Guide 1: How to set up a Virtual Coee Morning   Through conversations with our partners across the UK, it’s evident there’s a huge appetite for supporting people in the local community remotely. We’ve heard amazing stories about how sta at community organisations and libraries have been finding ways to substitute the face-to-face support that is valued by so many of the people they regularly help.  That’s why we’re working with various partners to create a series of easy-to-follow guides for delivering digital skills support remotely. Each guide will include a bit of background information, and a few simple steps you can follow to give it a try.   This guide, the first in a series, comes from Rachel Benn, Digital Inclusion Coordinator at Leeds Libraries, who found a way to keep a much-loved coee morning going online.

Guide1:HowtosetupaVirtualCo�eeMorning   ThroughconversationswithourpartnersacrosstheUK,it’sevidentthere’sa hugeappetiteforsupportingpeopleinthelocalcommunityremotely.We’veheard amazingstoriesabouthowsta�atcommunityorganisationsandlibrarieshave beenfindingwaystosubstitutetheface-to-facesupportthatisvaluedbyso manyofthepeopletheyregularlyhelp.   That’swhywe’reworkingwithvariouspartnerstocreateaseriesofeasy-to-follow guidesfordeliveringdigitalskillssupportremotely.Eachguidewillincludeabitof backgroundinformation,andafewsimplestepsyoucanfollowtogiveitatry.

Thecontext 

   TheDigitalHealthHubatCrossGatesandDistrictGoodNeighbours-inpartnership with100%DigitalLeeds-isusingdigitaltechnologytosupportmanyoftheirsocially isolatedmembersfollowingtheworryingnewsthatthecentrewouldbetemporarily closed.   Tohelp,theDigitalChampionshavereachedouttothosewithoutdevicesorWi-Fiand areusingatabletlendingschemetoequipthemwithiPads.Thismeansmemberscan catch-upwithlovedonesonFaceTimeandfindenjoymentinthingslikecolouringapps atthisoftenworryingtime.     

Makingithappen 

  Theteamstartedbydevelopingsimpleinstructionsfortheirmemberstodownloadand usetheZoomappsotheycouldjointheVirtualCo�eeMornings.Forthosethatwere reallynewtousingatablet,aone-to-onecallwaso�eredtotalkthroughtheinstallation process.   Onceconnected,memberscouldchoosewhichofthe‘breakoutrooms’theteamhad set-upintheapptojoin,dependingonwhatactivitytheywantedtodo.Forexample onehostedavirtualquiz,anotherwasforsharingchairexercises,orevenjustdancing tomusicasabitofexercise(withallmusictastedbeingcateredfor).   OvertimethepopularityoftheVirtualCo�eeMorningshasincreasedsomuchthat therearenowfiveseparatesessionseveryweek.Aswellastheactivitiesmentioned above,membersnowdoshow&tells,historytalksandmuchmore,meaningtheycan carryonbuildingfriendshipswithotherswhothey’dnormallyseeintheactualcentre.   Helpingmembersgetthehangofthevideocallingandusingthecamerawasalsogood fun,assomeofthepeoplehadverylittleexperienceofusingadeviceforthissortof activity.

Settingitup 

  

1. TrialtheZoomappwithasmallgroupofDigitalChampionsfirst,rememberingto explorethebreakoutroomfeatureandotherfunctionssuchasscreenshare. Knowinghowthesoftwareworksmakesiteasiertoshowotherpeoplehowto useit,andincreasesyourownconfidence. 

 2. AgreeonadateforthefirstVirtualCoffeeMorning,andcommunicatethisoutto 

peoplewhowouldtypicallyattendyourcentre.Callingthemisagreatwayto findoutwhatthey’dliketodoontheday,andwhileyou’reonthephone,askif theyneedanyhelpdownloadingZoom. 

 3. Prepareactivitiesusingtheinformationfromthecalls.Forexample,ifpeopleare 

interestedinlearningmoreabouttheirlocalarea,couldyouprepareathemed quizoraskalocalhistoriantohostoneofthebreakoutrooms?Remembersome peoplewilljustbejoiningforachitchat,somakesurethere’sspaceforthattoo. 

 4. GetthelinkandpasswordfortheZoomsessionouttothosewhosaidthey’d 

attend.Ifyouhavetime,itmightbeworthanothercalljusttomakesurepeople knowwhattodowiththelinkandwheretoenterthepassword.  

 5. Beafriendlyhostontheday-welcomeeachpersonintothemeetingasthey 

join,explainingwhat’sonoffertothemoverthecourseoftheVirtualCoffee morning.Remembertofinishonahighnotetoo,althoughasing-a-longis completelyoptional.Oh,anddon’tforgetthecoffee.
