The combined purchasing power of the Queensland
Government has enabled the development of a new
Standing Offer Arrangement (SOA) for the delivery of
Print and Imaging as-a-Service (PIaaS).
The previous SOA 652-08 panel which your
organisation had been purchasing print devices from
has been replaced with the SOA ICTSS.14.04. This now
aligns to the Queensland Government’s ICT 2013-2017
Strategy Action Plan of obtaining “ICT as-a-service”.
Fuji Xerox Australia has been successful in being
selected for this panel.
This new arrangement has been established to assist
you in moving away from the acquisition, ownership
and management of printing devices - to simply
obtaining a managed service to handle all your
print and document management needs. PIaaS is
an all-inclusive service, providing hardware and print
management services without your department having
to own any of the equipment or associated software.
This service moves the entire operational
accountability and responsibility for the device fleet to
the contractor, with the overall objectives being to:
• Lower your total cost of ownership
• Improve employee satisfaction
• Improve employee productivity
• Reduce environmental impact
• Reduce energy consumption
• Enhance efficiency and support a mobile workforce
• Facilitate improved governance and compliance
The PIaaS model is designed to accommodate all
brands of devices into the service. Fuji Xerox Australia
is proud to have been appointed through our brand
agnostic capability, and over the next few pages we’ll
introduce you to our customised PIaaS service.
It begins with one.
Welcome to your tailor-made PIaaS service presented
by Fuji Xerox; working together with the Department
of Science, Information Technology and Innovation
(DSITI) for the Queensland Government.
PIaaS is an all-inclusive ‘cost per copy’ service, with
no minimum monthly volume commitments. It is
completely third-party managed, meaning you don’t
have to worry about equipment, maintenance and
consumables. The arrangement is also modular,
scaleable from a single device to a wider-reaching
managed service.
Further topline benefits of PIaaS include treating both
A4 and A3 as a single copy across all in-scope devices,
detailed account usage and simplified billing and
complete flexibility for equipment changes, including
up-scaling and down-scaling, as your business needs
dictate.
PIaaS employs a single contract, creating increased
efficiency in managing terms and conditions. An added
benefit is the non-requirement to insure or maintain
asset registers for your equipment.

We’re committedto one goal. It’s important to note the term of your
resulting Customer Contract will be based
around a committed volume, rather than a
specified length of time.
The committed volume will be equal to at
least four times the current annual volume of
printed pages, as measured and agreed during
the discovery process.
However, the Customer Contract does not end
once the committed volume is reached. The
arrangement provides you with the choice
to continue with Fuji Xerox or terminate for
convenience without penalty.
Six easy steps,one simple process.
Step 1The Customer should seek proposal from an approved Contractor.
Step 2The Customer should complete Schedule 3A: Discovery Assessment Request.
Step 4The Contractor will contact the Customer to negotiate a discovery process to assist in formulating their response.
Step 3The Customer should email the completed Schedule 3A: Discovery Assessment Request to the Contractor, inviting them to then assess the Customer’s print environment and respond to specific requirements.
Step 5The Contractor will develop and submit their Customer Requirements Report and associated Volume and Cost Price Model.
Step 6The Customer should evaluate the Customer Requirements Report and Volume and Cost Price Model and make a decision whether to proceed.

There’s no need for your department to own
equipment, and we may even buy-out your existing
printing fleet.
Printing equipment
PIaaS offers a wide range of printing and imaging
solutions, from standard A4 and A3 printing through to
devices capable of complex functions.
Fleet optimisation
Enjoy optimised printing equipment in terms of asset
utilisation, environmental footprint, user satisfaction
and productivity.
User authentication
PIaaS employs technology controlling the ordered
release of print jobs, ensuring printing remains
confidential to the user and reduces documents being
left uncollected at the printer.
Maintenance
Comprehensive maintenance service for both new
and existing equipment, including routine preventative
maintenance.
Consolidated billing
PIaaS provides a centralised billing system,
automatically collecting accurate data for all devices
under our management. Billing for all devices is
consolidated into one invoice.
Security
All of your data is protected, including configuring
devices to limit their capability of distributing
sensitive data.
Help desk
Support covers all specified sites, handling the most
common queries, complaints and incident resolutions;
alongside change requests and information requests.
Environmental sustainability
PIaaS aims for environmental sustainability, including
100% recycled paper and components where possible.
Print policy
A customised Print Policy is to be developed and
endorsed in consultation with you.

Savings reporting
Enjoy ongoing formal progress reports on projected
versus actual savings, as well as reports on any service-
level agreements that may be specified.
Fleet monitoring
Ongoing reporting is provided on the fleet
configuration, capacity, printing volume and energy
consumption in kilowatts.
Training
Training for end-users and technical staff so that they
are familiar with printing and copying functionality.
Change management
Staff are educated on the benefits of PIaaS through
a “change management” program, along with their
responsibilities as end-users.
Continuous improvement
PIaaS focuses on continuous improvement, identifying
opportunities for cost savings or energy savings during
the term of the Customer Contract.
On-site technician
An on-site technician and fleet services operator will
handle everyday tasks, and escalate issues to the Help
Desk if required.
Predicted change in capacity
PIaaS is modular, with the ability to accommodate
different capacity requirements during any
particular period.
Did you know?With the previous SOA 652-08 panel, printing devices had to be purchased and print volume largely went unmonitored and unmanaged. Devices were purchased as capital assets and users had to separately procure toner and maintenance as an operating expense. The customer was also responsible for device refresh, retention, replacement and rationalisation along with reporting meter readings, service issues and toner requests.
SOA ICTSS.14.04 does away with all of the moving parts of SOA 652-08.
