FRESHERS WELCOME BOX
Do you want your marketing literature to be amongst the first information a new student sees?
Do you want your branded item to be one of the first things a new student uses (and continues to use throughout the academic year)?
How about being the first takeaway menu on a new student’s kitchen notice board or having your logo and contact details on a student’s mug or tea-towel?
This year Brookes Union is producing 4,000 (or more) welcome boxes for the new intake of students. These boxes will contain essential items – tea, coffee, a mug and a tea-towel - which can be used immediately by the students to help them settle in. Also included, will be our Welcome to Oxford Guide. This A5 booklet will contain friendly useful information about the Students’ Union, the University and Oxford itself. Each box will be left on a new student’s bed, ready for them to open once they arrive.
There are three main Welcome Box options:
1. A full colour advert or “feature page” in the Welcome to Oxford Guide. This is an excellent opportunity for your business/organisation to be featured in a publication that remains with students as a point of reference throughout their first year.
2. An insert into the Welcome Box. Menus, Special Offers, Vouchers, a branded item of use** (excluding tea, coffee, a mug and a tea towel).
3. Sponsorship of the mug and the tea-towel to be co-branded with Brookes Union. Price TBC. (Please contact us for details).
4. Sponsorship of the Box. Place your logo or advert on the inside of the Box lid. Maximum size to be 14cm wide by 8cm high.

Oxford Brookes has between 500 and 1000 new students who start at the beginning of Semester 2. We will be welcoming them and presenting them each with a goody bag. Why not insert a branded highlighter, mug, tea towel or pen into our goody bags so that they can be reminded of your product or service throughout the rest of their time at Brookes...
We will be giving away 4,500 of our own branded cotton shopper bags at the Fair. If you can’t attend the Fair, you can have an item inserted into our bags. Why not encourage students to use your service by inserting a “money off” or “free stuff” voucher, or keep students aware of your brand regularly by inserting an item of use like a branded reusable water bottle, a branded pen, a branded travel mug or some branded playing cards?

Please read the terms & conditions before you complete the booking formGENERAL1.1 We reserve the right to refuse distribution of any material or to support any activity that we deem to be unsuitable. This includes, but is not limited to material that contravenes our Equal Opportunities policy, which is available on request. Our decision is final.
1.2 If you are unsure about the suitability of your promotion or any material, please send a copy of the material or an outline of the promotion to: Molly Storey, Brookes Union, John Henry Brookes Building, Gipsy Lane, Headington Campus, Oxford OX3 0BP.
1.3 If you have booked advertising and your material is deemed unsuitable for distribution, no refunds will be given.
1.4 Clients may only promote their own products or services. If a client promotes a third party, we reserve the right to terminate their activity in accordance with our cancellation policy as outlined in 3.2.
1.5 Brookes Union take no responsibility for the content of any advertisements or promotions, and will not be held liable for any transactions that may be completed as a result of the promotion or advertisement at Brookes Union.
PAYMENT2.1 New companies are required to make payment upfront. Once an account has been established, future orders will be invoiced within 30 days of the activity taking place.
2.2 All Freshers orders must be paid by the end of the first week in September.
2.3 Payments should be made payable to The SU.com Trading Ltd.
CANCELLATION3.1 All cancellations must be in writing to: Molly Storey, Brookes Union, John Henry Brookes Building, Gipsy Lane, Headington Campus, Oxford OX3 0BP.
3.2 Where a cancellation is made more than 60 days prior to the publication or event date, there will be no charge. Where a cancellation is made more than 45 days prior to the publication or event date, 50% of the agreed fee will be payable.
Where a cancellation is made more than 30 days prior to the publication or event date, 75% of the agreed fee will be payable.
Where a cancellation is made less than 30 days prior to the publication or event date, 100% of the agreed fee will be payable.
LIABILITY4.1 In the event that for any reason Brookes Union shall cancel all or any part of a publication, or be unable to perform their obligation under this agreement, the liability of Brookes Union shall be limited to the refund of any payments made by the exhibitor to the students’ Union under this agreement.
4.2 Brookes Union shall accept no liability with regards to attendance figures to any event.
FRESHERS PRE-ARRIVALS MAILER5.1 Due to the fact that we use the Universities mailing list, all mailings will be subject to the approval of Oxford Brookes University.
FRESHERS WELCOME BOX6.1 Brookes Union take no responsibility for any inserts, leaflets and/or posters. You accept full responsibility for the quality and safety of any product we insert into our Welcome Boxes on your behalf.
6.2 Maximum size and weight per leaflet insert into our Freshers Welcome Box is A5 for and 30g.
6.3 Freshers Welcome Box inserts must be delivered to us by 10th August.
6.4 Please ensure that any inserts sent to Brookes Union are clearly marked for the attention of Tom Killick, Communications Manager, and sent to the following address: Tom Killick, Communications Manager, Brookes Union, John Henry Brookes Building, Gipsy Lane, Headington Campus, Oxford OX3 0BP. Brookes Union cannot accept responsibility for the loss or delay of any delivery that is not clearly marked. 100% of the invoice amount will still be chargeable if inserts are not included due to a delay caused by an incorrectly addressed delivery.
FRESHERS FAIR7.1 Exhibitors may only promote their own products or services. Any stall holder found promoting a third party will be asked to leave and be escorted from the premises if required.
7.2 Exhibitors must only promote products and services from the immediate vicinity of their stall. Anyone seen distributing promotional material or collecting data elsewhere on the premises will be asked to leave.
7.3 Exhibitors are responsible for the security and safety of their property. Brookes Union cannot be held responsible for damage or theft unless caused by gross negligence on the part of the Brookes Union. Any equipment or product stored overnight at Brookes Union is at the entire risk of the exhibitor.
7.4 Any damage caused by an exhibitor to backing boards, walls, ceiling or flooring including any cleaning costs, will be recharged.
7.5 All aspects of an exhibitors stall, including the promotional material and staff, must comply with Brookes Union’s Equal Opportunities policy.
7.6 We can accommodate one parking space per commercial rate booking. You may use our loading bay to unload materials, but you must take your vehicle off the premises afterwards if you don’t have an allocated parking space for it.
7.7 For environmental reasons, exhibitors are not permitted to distribute plastic bags at the Fair.
ARTWORK8.1 If you are supplying your own artwork you can send it to us in digital format by post, email [email protected], or in person. Artwork for print should be print resolution (300ppi), CMYK, fonts outlined, and submitted as pdf, jpeg or tif. Allow 3mm bleed and add trim marks if possible.
8.2 Artwork for web or email should be screen resolution (72ppi), optimised for the web, and saved as png, jpeg or gif. Website artwork should be supplied with a URL for the web ad to link through to.
INDEMNITY9.1 You shall indemnify us against all loss, actions, costs, claims, demands, expenses and liabilities whatsoever which we may incur either at common law or by statute in respect of personal injury to or death of any person or in respect of any loss or destruction of damage to property (other than as a result of any default or neglect of ourselves or of any person for whom we are responsible) which shall have occurred in connection with any work executed by you under this contract.
SIGNATORY10.1 Where a signatory does not have the necessary authority to make purchase orders and has signed this order, Brookes Union reserves the right to pursue any claim for outstanding monies from the signatory themselves.
ADVERTS & ADVERTISING11.1 Brookes Union reserves the right to refuse any unsuitable copy.
11.2 Brookes Union does not accept responsibility for any loss or damage resulting from error, late publication, non publication, or failure of any cause.
11.3 Photographs, artwork etc. can be returned if requested. However, Brookes Union does not accept any responsibility for loss or damage, and is not an insurer for such articles.
11.4 Advertisers must warrant that the information in their entry(ies) is accurate and not a breach of the Trade Descriptions Act (1968) or any subsequent Acts. Brookes Union does not take any responsibility for inaccurate or misleading information.
11.5 Corrections, changes and amendments must always be confirmed in writing.
DATA PROTECTION12.1 Any company that collects data whilst promoting at Brookes Union must be compliant under the Data Protection Act 1998.
LAW13.1 This contract shall be subject to English law and the jurisdiction of the English Courts.
